1 MCHS BAND BOOSTERS MEETING September 17, :45 P.M. Call to Order Approval of Meeting Minutes Sandy Orazine, President Prepard By: Elena McGowan, Secretary Meeting was opened by Sandie Orazine, President of the MCHS Band Boosters. Agenda attached. August 13, 2018 Meeting Minutes were Delivered: Mon, Sept. 10, 4:17pm for review. An opportunity was given prior to this meeting for review of the meeting minutes. No questions from the floor. Motion to Approve 8/13/18 Meeting Minutes: 1 st Kara Robinson / 2 nd Beverly Luscombe Committee Reports Financial Report Jennifer Watson, Treasurer Fundraising Committee Lisa Goldberg, Vice President Report was presented prior to this meeting and is attached for review. Jennifer explains why the Financial Report looks like it is in a hole - It is are Pepsi bills we have to buy all our our drinks and that is a big chunk of change. Of all the money we spent about 2/3 of that is our Pepsi bills but we have stocked to sell. We sold 24 cases to volleyball tonight but that doesn t include with everything we sold Friday night and we still have enough stock for the next game or two. We have plently of stock but that is why it looks low but we do have to buy those Pepsi and they are not cheap. We so make a good profit on it but will get our money back but won t see that till after Oct. Also products are stock up such as chips, candy and hot dogs. Motion to Approve 1 st Beverly Luscombe /2 nd Dana Cockrell Parent Preview Fish Fry: We made approx. $1, ($500 less than we anticipated) McAlister s Restaurant Night: There was a miscommunication on the fundraiser night. I was told 9/11/18 but we didn t call back to and confirm and unfortunately it wasn t set. We are looking into rescheduling for a later date.
2 MCHS BAND BOOSTERS MEETING September 17, 2018 Page 2 Fundraising Committee Lisa Goldberg, Vice President Yankee Candle: Thanks to all who helped sell candles as well as other catalog items. Online sales totaled $1, our profit of 40% = $773.40* Catalog sales total= $ %= $ S&H (5%) = $1, Total profit on 9/14/18= $1, *This can go up as our online account is open until January 9, 2018 Dough & Co.: Gave us a donation of $200 as part of their sales from first 3 football games. Upcoming Fundraising Events: Jimmy Johns Restaurant Night: October 22nd Swirls will receive donation at the end of the season. Sugar Whisk will sponsor us for last 2 homes games in October 5th & 19th (It is like Dough & Co.) Christmas Greenery: Open sales starts on 10/8 10/26. We will have really good price points on this, so please sell sell sell! Any ideals or information regarding fundraising ideas please those to us. Bingo Report / Vice Chair of Fundraising Beverly Luscombe Bingo Update: We found out last month that Reidland Booster Club lost their gaming license and that is a lost of $20, on our fundraising for the band. We always did Sunday and Tuesday, but we had to wait for someone to takeover Sun. and Tues. to get back in. There has been rumors that others are still doing it, a couple of organization still working. We are still looking with the possibility of us coming back in. We have phone calls out, but we are looking into it. At this time, we have not been offer an opportunity. As soon as we know something we will update you. 09/21/18 - McCracken Band Game Night(s) Funtacular Lip-Sync Battle Registration Slip Online Bingo Report / Vice Chair of Fundraising Beverly Luscombe Game Night(s) Funtacular: We will try to do this once a month by kicking it off with the Lip-Sync Battle on Friday 9/21 6pm-9pm. $3.00 to get in and we will sell concession. There is Flyers out and registration forms online. We encourage parents and to bring other kids to participate. Hype this up and encourage the kids, the more successful we are the longer we can do this and if we re super successful we can possibility of opening this up to the school. Any help will be greatly appreciated. Next Funtacular will not be till November because of band competition being so busy for the month of October. 2 more regularly scheduled Varsity home games: October 5th & 19th, 3- JV games: tonight (9/17), October 15th & 22 nd (all Monday nights) Volunteers needed on the 2 Monday nights in October and Varsity games. JV Games starts at 6pm and Varsity starts at 7pm if you can get there earlier that we be even better. Spread the word to encourage new parents to come and have fun. Thank you
3 MCHS BAND BOOSTERS MEETING September 17, 2018 Page 3 Concessions Report Sam Watson, Chair Presented by: Lisa Goldberg Uniform Committee Melissa Lewis, Chair Prepared by: Cara Lovell Presented by: Sandy Orazine, President Pepsi Pig Skin Points Kick Off Contest August 1 st December 14 th please keep collecting the Dr. Pepper red bottle caps. Seven (7) bibs were order in the smaller sizes to complete the marching band fittings. All MMB have been fitted for uniforms and hats. Jackets are not as clean as we would like. This is due to bad cleaning, age and abuse. The kids are doing a good job of hanging to dry but Febreeze has been purchased to help with the odor. The uniforms are showing some significant signs of wear and tear and will require some attention for the if not sooner. Bibs are also looking very worn (not all) and will need replacing sooner along with several uniform bags that have been thrown away due to broken zippers. Information regarding replacements bibs for those not already purchased will be presented for Executive Board consideration. Transportation Committee Dana Cockrell, Chair New MMB jackets will take more time to price but I will speak with the Melissa, Cara, and Mr. Lovell regarding that purchase for future consideration. Needing parent volunteers with a truck and a trailer for upcoming competition to transport equipment and props. You can contact Dana Cockrell at I want to Thank everyone for showing up this past weekend. We got there, and we got back, and the truck worked. We definitely could use more help with the pits. I won t be here for a couple weeks, but JT will be filling in for me. We did pretty good with the crew we had but we had to bring back some of the old timers for help. And a guy who doesn t have a kid in school or band help pull the white trailer. We could use more people to pull trailers that has trucks. Vance didn t mind it and we thank him for that.
4 MCHS BAND BOOSTERS MEETING September 17, 2018 Page 4 Band Director s Report Mr.John Lovell Thank you for all your help if you helped Saturday, it was amazing to see all these parents come together to help make all these crazy dreams come together, it makes our kids successful. All the props we won, we were the top scoring group/individual effects. I m not sure if it helps or not but I m going to think it does. We took a vote to move Thursday rehearsal to 6pm-9pm to be safe due to the heat, this way we can play and move more. Saturday September 22 is Murray State we will be preforming twice for Prelims and random drawing for final. It will be on KET television and broadcast 3 times a year. It will not be live. Upcoming competition dates: Warren Central September 29, Christian County October 6, Then fall break off and then we come back to perform Regionals and then State. President Report Sandy Orazine, President OLD BUSINESS Spirit Wear First round of MMB and McCracken Band spirit wear is here from Action Sports. Start round 2 of our sales this week. Christmas is coming soon! Also, if your student did not receive a show shirt in this last round please go to Music In Motion 2018 Cancelled due to the weather. That was devasting and financial lost. Minimum loss of probable of $4, and maximum of $10, to $12, for not having it. Donation was really down this year. Positive side is that we didn t have $ worth of ads and people to contact to return their money back for the ads. Sold $10, last year in ads and had to pay for the book, sold no ads this year and ended up not paying the book due to sponsorship for the book and then end up cancelling. Update on 501(c)3 Automatic Revocation No updates at this time. NEW BUSINESS Food Trailer Freezer and Refrigerator for MMB food storage and use on the food trailer has been installed and used this past weekend. Worked great! Thank you to Lone Church of Christ for their sponsorship of this equipment. Permanent home for the freezer probably will not be on the trailer but the barn/shed. The fridge was big enough with its freezer to work for the trailer. Food Trailer Generator: received in the amount of $ from Kolbee Key. (kolbeek@linwoodmotors.com) with Linwood Motors. We have not purchased the generator yet. We want to Thank you for that donation!
5 MCHS BAND BOOSTERS MEETING September 17, 2018 Page 5 President Report Sandy Orazine, President In Memorial: Donation for Brad Silvey (Eli Case s Stepfather) to the American Heart Association Envelopes are on the table. Please put your name on the envelope with your donation inside, seal and place in the ziplock bag. Barbie Warner our past president is handling this donation and a candle was made with Brad picture on it and given to Eli. Brad worked concession, transportation and anywhere there was something that needed to be done. He will be greatly missed. $5 Meal Deals Doing again the $5.00 meal deal for the kids this week. The menu is a tentative, but we know one of it is pork chop sandwich, baked potato, pasta, garlic bread and salad. We are working out how to keep it warm and edible, but we will be working early morning getting it all going We do have the Power MMB for any money donation for food purchase for the kids and it can only be spent for food only. MCHS Band Booster Budget This is an Abbreviated conversation from Sandy Orazine with the Band Boosters. Our current financial picture reflects an overall shortage of $41, for the year. With this situation we will not be able to continue paying out as we have in the past. The Executive Board is making every effort to keep spending under control and make financial decisions wisely. The $5 Meal Deal is one of the ways of supplementing the expense of paying meals so that we may continue to pay some of the extensive outgoing costs for MMB as well as Symphonic Band, Jazz Band, Wind Ensembles and Percussion Ensemble. Fundraising is important for this effort; however, we cannot sell enough candles to offset this much of a shortage. We are hopeful that the situation will change with the IRS thus freeing the Executive Board to pursue other means or sponsorship but until that time we will be making even more cautious financial decisions than we previously have. I advise this conversation was shorten and that a recording is available for listening.
