1 Minutes of 1/23/13 Athletic Board Meeting Members Present: Tad Boeding, Sara Salata, Tim Crabtree, Doug Holtkamp, Mike Kassmeyer, Mike Sporkman, Steve Brink, Darrell Menke, Bob Mehmert, Tom Merschman, Craig Pieper, Lori Wilson and John Goetz Motion to approve Secretary s report by Mike S and 2 nd by Bob Motion to approve Treasurer s report by Mike S and 2 nd by Mike K Lori Wilson speaks about the Capitol Campaign, discusses the goals of the Campaign as well as where the funds will be allocated. Friends of Aboard: So far have about $9,900 Names/Businesses printed on back of programs Will need to decide when to add/end year (July 1 st?) will continue to discuss this Tad will ask Linda where these thank-yous are coming from Tennis Courts: Plan to get this done in the Spring Tim will be going to the school board meeting next week to discuss this with them We still need to tile the north end of the courts Baseball Shed: A few more pieces of trim need to be put on Hopefully only a few hours left on this project Defibrillator Machines Still Beeping: Batteries have been ordered, but are on back order Golf Cart Update: Will not start, as the batteries are frozen Will need 6 8Volt batteries costing around $800 Motion by Darrell and 2 nd by Mike K to approve $800 for new golf cart batteries Dance Team Help: Dance team will be helping with concessions and gate during the 5 th and 6 th grade girls tournament Concession Stand Update: Tad reports that all concession sales are going well Need to have 1 person per concession stand to order the pop and food Will plan to run the concession in Ft. Madison down low to avoid transporting a lot to West Point Popcorn Machine in Ft. Madison: Will take the machine in Ft. Madison to prison to get cleaned Will have them look as the heating element
2 Hot Dog Roller for West Point: $285 for a 20 dog roller Motion by Steve B and 2 nd by Mike K to purchase a dog roller for $285 Pitching Machine Net: Will scrap net Tad will get dimensions and John will price Basketball Practice: Discrepancies in West Point between club volleyball and basketball practice being scheduled at the same time Trophies: 2002, 2004 and 2008 trophies are in and will need to be engraved John will help Tad with this Trophy Case in Ft. Madison: John, Tad, Tim and Tom will look at a possible trophy renovation Medals instead of Ribbons for Basketball Tournaments: It has been noticed that all other tournaments are giving out medals Motion by Doug and 2 nd by Mike K to purchase medals for the tournaments Sports Programs: Tim working with Shelly Sheerin and Becky Sanders at AEA on a Sports Program HTC Athletics Website: Website needs to be updated Need to get athletic pictures earlier in the season Homecoming Help: Need help this Friday at the Homecoming game Concessions will be in the cafeteria Wenches in West Point Gym: Will be about $3600 for 2 West Point Bleachers: Tim would like to get the plaque for the individuals donating to the West Point bleachers Will get this from Linda Reding Motion by Doug and 2 nd by Darrell to spend up to $500 on the plaque Next Meeting 2/27/13 in Ft. 4 Sports Programs: Tim working with Shelly Sheerin and Becky Sanders at AEA on a Sports Program West Point Bleachers: Tim would like to get the plaque for the individuals donating to the West Point bleachers Will need to find out how donors would like their names on the plaque Girls Softball: John to have a meeting in the next couple of weeks to determine if there is enough interest South Park Concessions: Y Soccer to begin 3/23/13 High school soccer to begin 4/2/13 Need to get concession stocked, will move what s left in WP and FM out to South Park 2013 Soccer Concessions: Varsity Girls Tad Varsity Boys Steve K and Darrell JH Mike S and Paul (3 home dates) YMCA Tim, Tad and Bob (5 Saturdays) Boys Basketball Request: John Hellige and Loren Menke talk about a Noah Shooting System Program/clinic coming to HTC on 3/16/13 Basketball team will be shooting and then parents/adults will be coming to watch $4000 for a wall mounted unit, $5900 for a portable unit RAGBRAI: Will concluding in Ft. 5 Minutes of 2/27/13 Athletic Board Meeting Members Present: Tad Boeding, Mike Kassmeyer, Mike Sporkman, Josh Ragar, Darrell Menke, Doug Holtkamp and Craig Pieper Motion to approve Secretary s report by Mike S and 2 nd by Darrell Treasurer s report: Laura will give report next month 1. Tennis Courts Currently on track to be repaired this spring 2. Baseball Shed Addition has been completed. Just need to get new lock, clean our existing snack shack/loft and move equipment to shed 3. Golf Cart Has been fully revamped and overhauled. New paint, wheels, shocks, etc. Tim to deliver 4/13 for soccer usage 4. Hot Dog Roller A new machine has been ordered and will be delivered 5. Popcorn Machines We agreed to send them to Mt. Pleasant Correctional Facility for refurbishing and thorough cleaning 6. Bleacher Plaque Tim ordered and it will be on its way 1. Pitching Machine Net We need to get ordered before practice and season get going. Tad will get measurements to John for ordering 2. South Park Tad has been stocking and just has a few items left to finish up 3. Workers Lists Girls list has been made, handed out and posted online. Boys is being given to Doug by John 4. Soccer Nets Ordered new nets last week. Replace the Varsity field and take to Bethurem field. Tad will talk to Michael about future plans for net replacement 5. South Park Fridge Bought a new fridge at Sears for SP main concession. Need to reimburse Tim for purchase 6. Noah Shooting System Looking at getting one for Ft Madison and West Point. Cost would be approximately $8K. Motion to purchase two Noah Systems at a cost of $7,946, with approximately $6K in donations. 1 st Darrell 2 nd Mike K 7. Baseball Shed Clean Up Will schedule a date for early May at April s meeting to get in and get cleaned and all equipment moved to new addition 8. Officer Nominations Nominations will be made at April meeting

8 Minutes of 6/27/13 Athletic Board Meeting Members Present: Tad Boeding, Sara Ragar, Tim Crabtree, Laura Menke, Mike Kassmeyer, Mike Sporkman, Steve Knight, Steve Brink, Darrell Menke, Doug Holtkamp and John Goetz Motion to approve Secretary s report by Laura and 2 nd by Mike S Motion to approve Treasurer s report by Mike K and 2 nd by Steve Brink $15,000 has been paid to the school We have ~$43,000 total Steve Knight resigns from the Athletic Board Tennis Courts- Tim reported that in late July or early August the tennis courts will be re-done The drainage problem is being address as the parking lot is getting re-done Golf Cart - Has been fixed and is running well Hot Dog Roller - has been delivered Popcorn Machines -Tad will take to Doug Bleacher Plaque - Has been ordered Pitching Machine Nets - Chad Hannum will take down and use the existing baseball pitching net We will order a new net in the fall Soccer Nets - Will be put away this fall after Coach Sheerin is done using them Baseball Jerseys and Hats The baseball team has new jerseys and hats. Motion by Darrell and 2 nd by Laura to purchase the jerseys, since they are not personalized, and the players will pay for the hats and keep them, as they always have Health Inspector- Tad met with the health inspector; she has approved us for concessions Houghton Deli- We have been told by the health inspector that we cannot use Houghton Deli (they did not pass inspection). We will stay in contact with them and continue to order from them when they get approval restored Microwaves- 2 new microwaves have been purchased Girls Basketball- Coach Baldwin has asked the Athletic Board to help pay for the girls to go to a shootout
9 Motion by Mike K and 2 nd by Mike S to not pay for the camp We do encourage coaches to have camps and fundraisers to help pay for the camps Mowers- the 2 old mowers were sold for $600 total Tables for South Park- We have purchased tables for the South Park concessions for $150 from West Park South Park Baseball Field- The baseball field needs to be re-done Will find out how long we have a contract with the city of West Point and go from there RAGBRAI- Coming through West Point on 6/27/13, we currently have spots in the park for corn dogs and ice cream Decided to sell water at Mike Kassmeyer s house Will get 2 pallets of water and 2 Port-O-Johns Will have signs made and will get teams to do the work Tad will call and cancel our spots in the West Point park Corn Festival- Will plan to sell corn dogs and water on Friday and Saturday nights Dave Steffensmeier has agreed to purchase the goods prior to the Corn Festival Athletic Board will do the prep work and sell Golf Tournament- Having a hard time finding a date and a venue, will pass on a golf tournament this year Will look into doing a run to help raise money Athletic Board Workers Assignment- We are in need of more help to get the concessions started We need to recruit more members Cheerleader Uniforms- Maria Sobczak has asked the Athletic Board to purchase new uniforms for the cheerleaders Motion by Laura and 2 nd by Mike K to spend up to $ for new cheerleader uniforms Next Meeting- 7/24/13 Motion to adjourn by Darrell 2 nd by Mike S

Madison is stocked and ready to go Paul Biegler will head up West Point, this will be ready by 9/19/13 Tennis Courts: Tim has been in contact with the company Will table this until the dirt work gets done with the parking lot Pepsi Contract/Coolers: Tim has met with the Pepsi salesman We have agreed to stay with Pepsi and will get updated coolers

Madison was in need of a new net, and has received one The one from Ft. Treasurer s Report: we have $46,231 in the checkbook; this is prior to volleyball expenses John believes we should be getting about ~$ from the IGHSAU Baseball Field: Have quotes for the Batters' Eye Will attempt to find someone to till the dirt and spread Turface Plan to do this in the Spring Pepsi Cooler: Leaving old cooler as it is for now South Park Clean Up: Clean up is done Nets are down; Tad will take the flag down Basketball Workers List: Tad and Mike have completed Coaches have been told and the players are to tell their parents Shelly has put the list on the web TV/Camera in Concession Stand: We have the TV from the Pothitakis' Doug will look at the input for the connection with the camera Sports Programs: Tim reports we spent $660 on the current programs we used for the volleyball season with 2/3 of a box left Plans for upcoming programs: 1. Leave as it 2. Go back to the old photocopy programs 3. Make a generic program with 4 pages and insert rosters for each game Tim will speak with Shelly and talk with AEA about pricing for the generic program Friends of ABoard: Tim spoke with Lori about pledges; Lori composed a letter and pledge sheet John will speak with Donna and Lori about addresses ABoard Budget: Tad hands out the budget prepared by Laura Motion by Mike K and 2 nd by Paul to approve the proposed budget with the following changes for the expenses 1. $5000 for West Point gym improvements 2. $5000 for Baseball improvements Wenches: Quote from Skeeter Kell for $4, for wenches for the West Point gym Doug will look into the wiring for this
15 AD Reports home basketball games Working on worker list for scorer's table Thanks for all the work in the fall Next Meeting- 12/18/13 in West Point Motion to adjourn by Mike K 2 nd by Paul Meeting on 1/8/14 at 4 th Street Final 5 th -6 th Grade Boys Basketball Tournament: Motion by Tad and 2 nd by Tim to pay Cameron Vorhies and John Nagel $75 each to finish up the games on 1/11/14 High School Baseball Game at Busch Stadium: Mike Rung presents that the baseball team has been approved to play a baseball game vs. Notre Dame after the Cardinals game at Busch Stadium on 6/22/14. The team is responsible for 800 tickets (Cardinal game, a hotdog and pop and the high school game) at $18/ticket. Motion by Tim and 2 nd by Tom to back the baseball team $12,000 for the tickets and to charge $35/ticket Sports Programs: For now we will go back to the programs we have been using in the past Tim will see about getting a team picture scanned onto the program
