3 Introduction The Campus Activities Board (CAB) and the Student Development Center (SDC) are delighted to invite Registered Student Organizations and UTEP Departments to join us in celebrating this year s Homecoming: A Haunting Homecoming. The week is packed with activities for everyone s pleasure. 4 2011 Homecoming Activities Registration Packet Registration Entry Fee $45.00 First Place Prize $ Second Place Prize $ Third Place Prize $ Registration: All Homecoming registration materials (i.e. CDs and song lists for lip sync, membership rosters, float designs, applications, and fees) must be turned in by Friday, September 30, 2011 by 5:00 p.m. (for additional dates see lip sync rules on page 20-21). ONLINE APPLICATION WILL NO LONGER BE ACCESSIBLE AT 5:00 P.M. on Friday, September 30, No entries will be accepted after this time. Please fill out registration forms on Minetracker. The forms are found at utep.collegiatelink.net. a. Only UTEP Departments and SDC registered student organizations (RSOs) are allowed to participate. i. All RSO registration, either new or renewal, must be completed by Thursday, September 23, 2011 at 5:00 p.m. via the Minetracker system. ii. All RSOs must send a liaison to the weekly CAB meetings (held every Monday at 12:30 p.m. in 111 Union West) in order to be eligible to compete for points and prizes in Homecoming. CAB meetings begin the second week of school and will fall on the following dates: August 29, September 12, September 19, September 26, October 3, and October 10. Organizations/teams and departments must fill out the Homecoming registration form on Minetracker (utep.collegiatelink.net) in its entirety and check off all the events in which they are going to participate. c. If your organization/team or department selects an event and fails to show up to that event, 20 points per offense will be deducted from the organization s/team s total score. 2. Payment: No application will be processed without the $45 entry fee (check, cash, or dept. transfer only). All checks should be made payable to the Student Development Center. 3. Rosters: Each registration must contain an organization/team or department s roster. Please include the following: a. Names as they appear on the current Miner Gold Card. b. Students ID Numbers (800 numbers). (Please attach a member roster form available at the SDC) c. Students with multiple organization affiliations may only compete with one organization. Note: Only registered UTEP students on an organization s active Minetracker may be included on a Homecoming Roster. 4. Teams: In the spirit of Homecoming, we are encouraging ALL organizations to participate and show their UTEP pride. This year, in order to accommodate all organizations, we are allowing organizations to join together, if they choose, to participate in the Homecoming events as teams. 6 a. The types of groups that can participate in Homecoming 2011 are, 1 RSO, 2 or more RSO s as a team, and University Departments. b. Each team must complete a 2011 Homecoming Team Registration Form and submit an active member roster for each RSO on the team s official Homecoming Team Roster. c. Each group should only complete one Homecoming online registration form. d. Teams must submit a team name. Any team that submits a name that is vulgar, contains profanity, or is offensive or inappropriate will be asked to submit a new name or will not be allowed to participate in any Homecoming event. 5. Themes: To go along with our Haunting Homecoming theme, when you deliver your completed Homecoming packet to the SDC, you will be required to draw the name of a sub-theme out of a container at the SDC front desk. The sub-theme you draw will be the one you represent throughout the entire Homecoming week. Failure to incorporate your selected sub-theme may result in loss of points for certain activities. 6. Homecoming Meeting: All groups will be required to send a representative to the Homecoming meeting on Wednesday, October 5, 2011 at 3PM in the CAB Garage. Failure to attend this meeting will result in a deduction of 15 points. 7. General Rules: Homecoming Activities Registration Packet P age 6

7 a. Sign in will take place 15 minutes prior to the start time of each event. Students must present their Miner Gold Card to the event staff. (Military ID, State ID/Drivers license are not acceptable) i. If anyone in your organization needs a replacement ID card, have them visit: Miner Gold Card Office: Academic Services room 116 Telephone: b. A team will be disqualified from all Homecoming activities if there are any unregistered members participating in any of the competitions, with the exception of the Doomsday Donation War. c. Only participants or members listed on the Homecoming Minetracker Roster may participate in Homecoming events. A roster may only be altered once after it has been turned in. To accommodate recruitment, updates or additions to a roster, a new full updated roster can be submitted via Minetracker by noon on Monday, October 10. This updated roster must be accompanied by a letter, stating why members were added by the organization s advisor. Once submitted and approved by the SDC, this roster will be the FINAL roster. d. All groups participating in Homecoming can earn support points for each event or competition that they attend (with the exception of Doomsday Donation Wars), regardless if they are participating in the event. Support Points will be awarded on a percentage participation base. Groups can earn extra support points by attending themed dress events Homecoming Activities Registration Packet P age 7

8 by having their members dress in Homecoming theme costumes. Standards for themed dress and support point breakdown are defined in the events sections of the registration form. e. Alcohol may not be present at any Homecoming events. If any participant or member affiliated with the group arrives to an event with alcohol and/or is intoxicated, the entire organization/department will be disqualified for the remainder of Homecoming, and the individual(s) and group will be referred to Judicial Affairs in the Office of Student Life. f. Lip Sync participants must submit musical selections and/or song list for approval Wednesday, October 5 by 5:00 p.m. to the Student Development Center (room 106 Union West). NOTE: Only CDs will be accepted. (Refer to Lip Sync rules on page 19 for more info). g. Participants are responsible for showing up to events on time. No events will be delayed because of a participants tardiness; please be there 15 minutes before the start time for each event to sign in. h. Unsportsmanlike conduct will not be tolerated. The Campus Activities Board and the Student Development Center reserve the right to disqualify any team for any behavior we deem to be unsportsmanlike. i. If for any reason there is a discrepancy regarding rules and/or violations, the Homecoming Committee will conduct an investigation and make a decision. Any concerns regarding rules should be brought to the attention of the Homecoming Committee, typed and submitted, within 24 hours. All Homecoming Activities Registration Packet P age 8

9 decisions are made with the, Spirit of Homecoming and a majority decision of the Homecoming Committee is necessary to deliver a decision. Decisions of the Homecoming Committee can be appealed to the Director of the Student Development Center/Women s Resource Center, Corey Bailey (cmbailey@utep.edu). j. If any member of an organization is found to be complaining about the week of events or harassing committee members or SDC staff the ENTIRE RSO/DEPARTMENT will be disqualified for the entire week. k. Point totals will be updated on Wednesday, October 19th and displayed on the bulletin board outside of the Campus Activities Board. RSOs/Departments will not know their final score until the pep rally on Friday, October Homecoming Disqualifying Offenses a. At the discretion of the Homecoming Committee, any group may be found guilty of committing a Disqualifying Offense. Also, any organization/team found guilty of any Disqualifying Offense may be disqualified from the Homecoming week in its entirety. i. Any member of an organization/team is found to be complaining about the week of events or harassing committee members the ENTIRE GROUP will be disqualified for the entire week. b. Any disqualification will result in a deduction of 25 points (nonparticipation points) per offense. c. Event Disqualifying Offenses are as follows: Homecoming Activities Registration Packet P age 9

Cheating, attempting to cheat, lying (through direct statement or omission of information), deceiving or attempting to deceive officials or other competitors in any event are grounds for immediate disqualification from any event. ii. iii. iv. Any unsportsmanlike conduct. This refers to a particular player or group who has acted inappropriately and/or unprofessionally during/after an event. 1. Examples of unsportsmanlike conduct include taunting an opposing player/organization/team, the referee, or the crowd; spitting, arguing, fighting, or losing one's temper. Fighting, whether verbal or physical, between or within organizations/teams, are grounds for immediate disqualification from any event. Any organization/team whose member(s) are found to be consuming, in the possession of, or under the influence of alcohol/drugs will be immediately disqualified from any event and referred to The Office of Student Life. 9. Negative Points a. Negative points will only be given for violations of Homecoming rules as outlined in this document and negative points cannot be given to any group for reasons other than those listed. 11 b. Multiple offenses will result in an organization receiving only the penalty points for the greater of the two offenses. Example: If a group is disqualified from an event for fighting, the offending chapter will not be given -65 for fighting and - 20 for disqualification; only 65 points will be deducted from their score. c. Negative points will be given as follows: Offense/Negative Points Penalty Fighting - 65 Possession, consumption or under the influence of alcohol - 65 Cheating/Attempting to cheat - 65 Verbal Abuse - 50 Disqualification from any event - 25 Non Participation - 25 Homecoming Activities Registration Packet P age 11

13 Support Points and Theme Dress All groups participating in Homecoming can earn support points for each event they attend, regardless of their participation in the event (not including Donation Wars, Float-Making party, and the Parade). Your group can also earn extra points by showing up to themed dress wearing attire related to the chosen theme! A breakdown of required attendance, points, and costume requirements are listed below. % Member Attendance Support Points 1%-20% 1 21%-40% 2 41%-60% 3 61%-80% 4 81%-100% 5 *For example: 25% of your org at the pageant earns your team 2 support points. In order to receive themed dress points, each member in costume must be wearing at least three (3) DIFFERENT items that represent the theme. ALL costumes are subject to approval by HC committee staff monitoring the event. Your group will be disqualified if the HC committee finds ANY of your costumes overtly offensive, derogatory, or insensitive. % Member Attendance Extra Themed Points 1%-20% 1 21%-40% 2 41%-60% 3 61%-80% 4 81%-100% 5 For example: If your group has 40% of its members present and 15% of that 40% are in dress, your group will earn 3 points for that event. 14 Sunday Homecoming Pageant Date: October 16, 2011 Sign-in: 5:30 p.m. 6:00 p.m. Time: 6:00 p.m. Location: Magoffin Auditorium Members to participate: 50% of members must attend Pageant Description: The 2011 Homecoming Pageant production is free to all UTEP students with a valid UTEP ID. Come support your fellow classmates and your Student Government Association (SGA) as they crown the 2011 Homecoming Court on Sunday, October 16, 2011 at 6 p.m. They will be crowning the King & Queen, Prince & Princess, and Duke & Duchess. The pageant will include music and dance numbers by the contestants, as well as special guest judges and MCs. All contestants will be given an opportunity to represent their respective organizations and demonstrate their Homecoming Spirit. 15 Monday Doomsday Donation War Date: October 17 October 19, 2011 Sign-in: NONE Start Time: 9:00 a.m. Monday October 17 until 5:00 p.m. Wednesday October 19 Location: CAB Garage Members to participate: All members may participate This year, the Homecoming committee has elected to collect toiletry donations for the Center Against Family Violence. Each group will have an assigned container. For every travel size toiletry (NO SAMPLES) collected, your team will receive points. All toiletries must be NEW (sealed). The winning group will be the team with the highest number of points. 1 point per item donated. Unsportsmanlike conduct (e.g. disrespecting SDC Staff; attempting to or removing recyclables from any container; blocking others from placing toiletries into any container and trying to tip over containers) will NOT be tolerated and will result in disqualification. Only two people from any group may approach a container at a time to deposit toiletry donations. All containers will be closed at 5:00 p.m. on each business day until 5 p.m. on Wednesday, October 19. No student may loiter in the CAB Garage. 16 Date: October 17, 2010 Sign In: 11:45 a.m. - 12:00 p.m. Start Time: 12:00 p.m. 12:15 p.m. Location: Union Plaza Stage Members to participate: 3 players Monday Bobbing for Apples The tradition of apple bobbing originated among the Celts who played the game as part of their Halloween festivities. For the ancient Celts apples were associated with love. Each organization will have one bin of water with apples in it. Whichever group/team can pick up the most apples with their teeth in 2 minutes wins 1 st place. Each group/team can have 3 contestants bobbing at a time. Horror Movies Get ready to experience fiendish fun when you play Scene It? Horror. Be prepared for an hour of terrifying trivia, creepy clips, and petrifying puzzles pulled from the scariest horror movies of all time. 18 Date: October 18, 2010 Sign In: 11:45 a.m. - 12:00 p.m. Start Time: 12:00 p.m. 1:00 p.m. Location: Union Plaza Members to participate: Tuesday Scariest Dessert Your organization must create a scary, creepy, crawly dessert. It must be in your group/team s sub-theme. You will be judged on creativity, taste, originality, and theme. The dessert dimensions may be no larger than 2 ft (height) by 2 ft (length) by 2ft (width). The dessert must be a baked item, and not be cream-filled. 19 Date: October 18, 2011 Sign In: 6:15 p.m. 6:30 p.m. Start Time: 6:30 p.m. 8:00 p.m. Location: Union Plaza Members to participate: 4 Tuesday Pumpkin Carving Each organization will be given one pumpkin, one candle, and one pumpkin carving kit. It will be up to the four participants to carve the pumpkin. Your group may bring the design in ahead of time, but you must only use utensils provided by the Student Development Center. You will have one hour to carve the pumpkin. 20 Wednesday Lip Sync Date: October 19, 2011 Sign In: 10:45 a.m. - 11:00 a.m. Start Time: 11:00 a.m. 1:00 p.m. Location: Union Plaza Stage Members to participate: All members may participate 1. IMPORTANT: Music used during Lip Sync must be from/in the style of the country your group is representing. Country or representation will be chosen once your group s completed Homecoming packet is turned in to the SDC. 2. Only one CD per organization/team is acceptable. DJ will not swap out CD s during the performance. 3. We will not allow one song to be performed twice, thus songs will be accepted on a first-come, first-serve basis. 4. Important Song/CD Dates: a. Monday, September 19, 2011 at 8:00 a.m.-begin Song Turn-In. Submit songs on a CD that you wish to use along with a list of the song names and artist(s). These CD s will be time/date marked by SDC staff. This CD does not need to be the final cut/edited version. b. CDs and song list must be submitted to the SDC (Union West Rm. 106) by Wednesday, October 5 at 5:00 p.m.; NO EXCEPTIONS. Only CDs will be accepted and we must have a list of the songs on the CD. Your selections must be reviewed by the Homecoming Committee members. c. CD s will be reviewed according to time of submission. Chapters are not guaranteed the songs they submit until verified by the SDC. d. October 5, by 5:00 p.m.-absolute LAST CHANCE to submit your final CD to the Student Development Center. No changes can be made to your CD after this date. No exceptions. e. Song lists will be updated daily by CAB in order to prevent, as much as possible, chapters from turning in additional songs that are taken. 5. The order of performance will be chosen at random. The list of performance order will be posted on the SDC window by noon on Friday, October Vulgar language or obscene gestures will not be tolerated and will lead to disqualification. 21 7. Organizations/teams will have a total of 7 minutes. This time includes performance and set-up and breakdown of any props, etc. Exceeding this time limit will result in disqualification. 8. Each group is responsible for the immediate disposal of any litter or trash left in, on, or around the performance area. If the stage is left a mess, your organization will be disqualified from this event. 9. Organizations/teams may not include anyone in any act who is not an active member of the performing organization/ team. This includes but is not limited to alumnae, audience members, other organization/team members, significant others, and judges; doing so will lead to disqualification. 10. 22 Date: October 20, 2011 Sign In: 10:45 a.m. 11:00 a.m. Start Time: 11:00 a.m. 12:30 p.m. Location: Geology Lawn Members to participate: 6 Thursday Cemetery Chase 1. First, Second, and Third place will be determined by a Campus Activities Board Representative. 2. The first member will carry an eyeball using a spoon in their mouth from/to predetermined coordinates. 3. The second member will jump rope with animal intestines to predetermined coordinates while being shot by water guns by opposing teams. 4. The third member will toss brains through a zombie cut out. 5. The fourth member will escape via the tires of doom while being shot by squirt guns by opposing teams. 6. The last two members will wheel barrow through the Geology Lawn and then tie each other s legs together and run a 3-legged-race for the rest of the predetermined coordinates. 7. 23 Date: October 20, 2011 Start Time: 6:00 p.m. Location: To Be Determined Thursday Float Making Party You don t want to miss out on our annual Homecoming float-making party! We will have music, food and lots of fun! Rules and Regulations: You can begin to create your float prior to the party, but all floats must be assembled during this event. No alcohol or pets are permitted at the float-making party. No spray paint/chemicals on concrete. Points will be deducted if an organization s area is not cleaned entirely. Additional Information: We will begin lining up floats at 5:30 p.m. Your float MUST be present no later than 6:00 p.m. o o Late arrivals will result in disqualification. You can participate in the parade, however you will not be judged. NO EXCEPTIONS. Once you arrive, you cannot remove the vehicle pulling the float. Please plan accordingly. There is limited access to power so please charge any power tools prior to this event. Security will remain with the floats all night. Homecoming Activities Registration Packet P age 23

24 Friday Parade and Pep Rally Date: October 21, 2011 Start Times: Judging - 10:00 a.m.; Line-up - 11:15 a.m.; Parade - 12:00 p.m. Location: To Be Determined 10:00 a.m. Judging o The judging of floats will begin in designated parking location. Please have a member of your organization speak about your float to one of the judges. 11:15 a.m. Line-up* o All floats and vehicles must have their driver present no later than 10:45 o a.m. Organizations/teams walking in the parade must also be present at this time 12:00 p.m. Start time (Parade Kick-Off) o The parade will begin at a location yet to be determined and continue to the Memorial Triangle courtyard where the pep rally will immediately follow. PEP RALLY (following parade, estimated start time 1:15 p.m.) o o We will announce the winners of the float competition and the overall winners of the Homecoming activities for 1 st, 2 nd, and 3 rd place winners. The Most Spirited prize will be awarded to a student organization. *Floats arriving on Friday will NOT be allowed to participate in the parade! *Groups are only eligible for ONE cash prize. 25 2011 HOMECOMING PARADE FACT SHEET DATE: Friday, October 21, 2011 PARADE THEME: JUDGING BEGINS: PARADE BEGINS: REGISTRATION FORM DUE: A Haunting Homecoming 10:00 a.m. 12:00 p.m. (line-up is promptly at 10:30 a.m.) Friday, September 30, :00 p.m. Non-Float Participation: Teams may choose to walk in the parade if they are unable to build a float. You MUST however have a banner or a sign that represents your organization/team/department. Dressing in costume to represent your organization/team/department or to the Homecoming theme is encouraged. Awards & Judging: Each judge will receive one copy of the score sheets, which will list each float, their order in the parade and the organization/department it is representing. The scoring sheets will list the four (4) categories for judging: Beauty, Theme, Costume, and Creativity. (Each award-winning float will be presented with prize package designated from their category.) Scoring for each category will be from zero (0) for not meeting the requirements to five (5) for excellence. The total number of points that you can receive for the four categories is twenty (20). **Failure to comply may result in disqualification.** Rules & Regulations: 1. Each float entered must have completed registration form and a detailed conceptual drawing/picture of the float along with a written description of the float to Student Development Center (SDC) 106 Union West no later than September 30, 2011 at 5:00 p.m. 2. Entries must follow safety requirements. Initial inspection of floats will occur during the Float-making Party. A final safety inspection will take place a minimum of one hour prior to the parade. If your float/vehicle does not meet these requirements you will not be allowed to participate in the parade. 3. Entries must be viewable for all age groups. Any entries deemed inappropriate by SDC staff or judges will not be allowed to participate in the parade. Homecoming Activities Registration Packet P age 25

26 4. Floats or vehicles should clearly state the organization/department/team name on both sides. 5. No smoking on or near floats. 6. No animals or pets are allowed in the parade. 7. Assigned area for float-making party must be kept clean. Building areas left with trash and other items prior to judging will be disqualified. NOTE: Once you leave the parking lot for the parade, you may return and disband your float. It is your responsibility to disassemble your float and place remains in the proper disposal areas. 8. Each organization/department is responsible for the towing or hauling of their float. Float Design: 1. Maximum dimensions: height 14 width 20 and length Decorations must be secured to the float. 3. Music must pertain to theme of float and appropriate for all ages. 4. Banners must pertain to theme of float and safely attached to float. Safety Requirements: Cars, trucks and trailers must all be road safe and the driver must have a valid driver s license and insurance. Road Safety is considered but not limited to: 1. The vehicle s driver must be licensed and have valid insurance. 2. No one is allowed to get off or get on vehicle/float during the parade. You are not allowed to stop during the parade. 3. Float riders must have a means of support whether it is a railing, back support, seat belt. No one is allowed to sit or stand on the front/hood/top of vehicle/float during the parade. 4. Design must allow for quick exit for all passengers on the vehicle and float. 5. Tires, wheels and brake system must be in good working condition and able to perform normal driving functions. 6. If towing a trailer, follow all manufacturers specifications concerning maximum tow and tongue weight limits. Proper towing device must be installed. The parade route includes sharp turns and downhill streets. 7. Exhaust system must be free of cracks. System should extend 12 beyond exterior of float. It must not make contact with float. 8. Muffler must be clear of running gear. Must shield muffler if near combustible objects. 9. Gas tank should be load-free of decorations. 10. Electrical system should be for automotive use only. Circuits above 30 volts must be ungrounded. 11. A fire extinguisher should be on all floats. One will be provided by the Environmental Health & Safety (EH&S) department upon request. 27 12. The drivers view must not be impeded. The driver should also have two ways to exit vehicle. 13. Ventilation must be provided for possible exhaust leaks. 14.
