Board Meeting Minutes July 21, 2015 Storey Creek Golf and Recreation Society 300 McGimpsey Road V9W 6J3 Directors Present : Jerry Smit, President Liza Hadfield, Vice-President Wayne Kerr, Secretary Faye Dahoy, Director Sandra Parkes, Director Rick Johnson, Director Staff: Guests: Regrets: Rob Watson, Course Superintendent/Operations Manager Kyle Stoudt, CPGA Head Pro Debbie Olsen, Business Manager/Food & Beverage Manager Rob Rounds, Treasurer Rory Evans, Director Gerry Gillis, Director 1. Call to order: The meeting was called to order at 2:00 pm 2. Approval of Agenda M/S Liza/Rick Carried 3. Approval of Minutes of Meeting dated June 16, 2015 M/S Rick/Faye Carried 4. Greens Superintendent Report Rob gave his report at this time. Submitted by Rob Watson: July 15, 2015 It is not very often that I go to bed praying for rain but I can honestly say I did over the last couple of weeks. Pretty much the entire province has spent the past few weeks with record high

temperatures and no rain. The only real difference for us in Campbell River and at Storey Creek is that we have not had to deal with the stringent water restrictions that most other areas have faced. * The mean temp for June, 2014 was 15.1 with a high temp of 26.2 on June 25 * The mean temp for June, 2015 was 17.5 with a high temp of 33.1 on both June 27 & June 28. Of note in June days of 26.2 or higher also included June 5 (27.1), 6 (27.3), 7 (29.7), 15 (26.5) and June 26 (30.2) From January through April we were pretty much on target for seasonal rain fall averages. Where that changed was in May. The following is a comparison of rainfall totals for May and June for the past 4 years: 2012 May (27 mm), June (80.1 mm) Total: mm 2013 May (51.6 mm), June (26.5 mm) Total: 78.1 mm 2014 May (52.6) mm, June (10.8) mm, Total: 63.4 mm 2015 May (4) mm, June (20.8) mm, Total: 24.8 mm Steps that we took this year to try and reduce our water usage included the addition of wetting agents on fairways, tees and approaches. Although our total water usage is higher than the past few years due to the fact that we have had only been able to go about 8 nights without irrigation since the beginning of May, we have been able to achieve our goal of reducing the total nightly irrigation by at least 20%. This is almost entirely due to the addition of wetting agents on tees, fairways and approaches. On the bright side the heat has allowed us to cut back on our total fuel usage. This is a result of the high temperatures and the poor irrigation coverage to rough and surrounds areas forcing the grass into a temporary summer dormancy. Of special note is that for the past 2 weeks of June we used approximately half the fuel we traditionally would at this time of year. This works out to a savings of about $1200 for the 2 week period. On the golf course we have been busy performing routine maintenance along with some additional projects. These are as follows: Painting of permanent tee markers Sprinkler edging Stripping and re sodding worn sections of rough at holes 6, 8 and 9. Worn sections of the collar on hole 13 are currently being re-sodded and should be completed by the end of the day on July 16. This area along with all other sodded areas have been sodded with extra thick sod to ensure they will not have to be marked as ground under repair during the Crystal Open. Installed 6 X 6 tie to act as a curb along 8 cart path by green. Along with this we resodded the green entrance and added irrigation to ensure grass survival. Hand plugged broad leaf weeds from tees and approaches on June 22 & 24. In addition we applied a herbicide in conjunction with our foliar fertilizer and amendment application on June 23. This herbicide targeted clover. Granular fertilizer applications were as follows: Tees received.47 lbs N on June 30

Approaches received.62 lbs N on June 25 Greens received.5 lbs N on July 7 Range tee received.78 lbs N on July 7 On July 2 the greens received a soil flush application of Calcium and Humic Acid. This application was applied to help ensure water movement through the soil profile and to release tied up nutrients. Greens were brushed on June 17 and double Verti-Cut on July 16. Greens were topdressed on June 24 and on July 15. We did intend to top-dress the greens on July 1 and 8 th as well however due to the extreme heat I felt this would have been far too stressful. The reduction in cutting has allowed us to remove more broom as well. Additional areas that have had broom removal include around the irrigation pond as well as hole 8 and 9. On July 14 we began performing bunker renovations to green side bunkers. This includes adjusting sand depths, adding sand where required, establishing edge definition and removing weeds and rocks. As of the end of the day on July 15 we had completed holes 16, 17 and 18. I expect that by the end of the day on July 16 we will have also completed holes 1, 2 and 15. During the week of July 20 to 24 we will be busy prepping the golf course for the Crystal Open. These tasks include: Weedeating along hazard lines Edging permanent markers Painting of hazard lines on July 22 and 23 Completing bunker renovations Weather permitting, greens will be brushed and double cut on July 22. It was noted that during this hot weather our water bill is $ /night. Wetting agent costs are roughly ($3000) but are being offset/realized with fuel savings. There was a discussion regarding recommended removal of the maple tree beside the pond on #18. There was a short discussion on fire protection and fire extingishers. There is a fire protocol in place that all departments are aware of. If there was a fire, Rob would be contacted immediately as he can control the irrigation system via phone. Motion to accept the report M/S Liza/Sandra Carried 5. Head Pro Report Kyle gave his report at this time. Pro Shop Report: As of July 15, Submitted by Kyle Stoudt Green Fees: We once again beat our budget for the month and sit 17% ahead of year-to-date expectations. Having talked with other golf pro s on the Island this is slightly above the average. Most coursed I have talked are reporting being up 5-15% at this point in the season. Member rounds were down by 320 over 2014 while green fee rounds were up by 60. We had a total of 4860 rounds played in June or just over 160/day. We noticed a drop in afternoon play during the second half of the month as the heat became a deciding factor for would-be golfers. The heat did however help with power cart sales as we were up almost 75 cart rentals in June.

Pro Shop Sales: The beautiful weather, increase in golf lessons, variety of merchandise and educated staff has all helped in driving sales to record highs this year. The margins in June are not accurate as we had substantial mid-season credits come in and added to margins. We are at proper margins for year-to-date. Wages: We kept wages under budget throughout June and continue to stay on pace for the year. Junior Wind-up: We had our annual Junior Program Wind-Up on June 21st. The 5-9 year olds were on a mini course set up on the nursery and the older kids played a 9-hole scramble on the actual course. We have our Adult/JR Scramble coming up on August 2nd and JR Club Championship on August 16th. A big thank you to the many volunteers that made the program such a success! Marketing: We adjusted our radio and newspaper ads in June and promoted the 9-and-dine, 4- for-$180 and the restaurant equally over numerous advertising spots. Now that we have the new carts set up with the information holders installed, we have a new advertising space in which we will promote current deals, membership information and restaurant specials. The website had over 5100 visitors in June with 45% of those being new visitors. Tourism BC has a group of 44 people coming to the course in September for promotion. Aeration has been moved back until after they are here. There was a short discussion in regard to webcam issues. Faye passed on compliments she has received from members re: Food and Beverage and Pro Shop Staff. Dress Code is to be discussed during the next month Board meeting Motion to accept the report. M/S Faye/Liza Carried 6. Business Manager Report Deb gave her report at this time. I thought I would explain to the Board some of my thoughts for the profits and expenditures for the month of June. With the continuing nice weather in June, Storey Creek has seen increased traffic in all areas of the course. Balance Sheet: - Accounts Receivable in line with the same time in previous years. Unpaid memberships have now been adjusted. - Accounts Receivable Installments down due to forfeiture of Class C memberships. Will discuss in more detail. - Proshop Inventory is still higher, offering greater choices. - Prepaid expenses higher due to the timing of Property Tax bill. - Accounts Payable lower as a result of receiving product earlier in the year. Fees,Dues,Rentals:

- Initiation Fees no new members this month. 10yr plan adjustment of $6000 is the 3 members who took advantage of deferred 1st payment of initiation fees and did not renew this year. The revenue was included in February, thus the adjustment to initiation fees, not forfeiture. Overall, we are currently on budget for projected new members this year, with 13 new members to date. - Initiation Fees Forfeiture this is the adjustment for Class C members under a payment plan who did not renew for the 2015/16 season. These people have now forfeited their share. There was a total of 7 under the payment plan. - Annual Dues At June we are on budget for annual dues due to the monthly allotment from Deferred Dues to Annual Dues. As Annual dues have to be paid by June 30 we did not have a true number to base our monthly revenue to. All unpaid memberships, sitting in deferred annual dues/accounts receivable, have been adjusted to reflect our annual dues revenue. In addition the transfer of money owing to the junior program ($25 for every child membership and $50 for every junior) has been done (approx. $5,000). I am working on getting numbers together for our membership, both by total number of active members and by category. This year also saw more people with medical exemptions or not renewing due to medical reasons. - Green Fees, power carts, driving range Up resulting from increased traffic and great weather. Proshop: - increased sales/cost resulting from more traffic at the course. - Wages under budget this month, slightly over for the year. - Office expense Pro shop under budget due to payment from scorecard advertisement. We expense the whole purchase for scorecards and receive payment from those 4 advertisers. Both the expense and other payments had been recorded in May. Food/Beverage: - Food Revenue tournaments and increased traffic have kept our food revenue above budget. - Bar/Snack/Non-Alcoholic revenues are down from projected. The change in afternoon play in the last two weeks of the month, due to the heat, may have affected these revenue areas. - Cost of goods sold F&B 40% estimate was done this month for food cost. The result being a higher food inventory value. This will be corrected/adjusted in July. - Misc. Repairs unexpected repairs required on the walk in cooler fans. Maintenance: - Under projected budget for the month resulting from timing of invoices. Administration: - Computer/consulting timing of invoice. - Visa/MC discounts charges for May and June. - Education and Conference timing of invoices. - Telus credit has now been used up. Will see charges appearing in July.

- Legal Fees invoice from Tees, Kiddle, Spencer with regards to Rogers Tower. Working on getting this paid by Rogers. - Memberships timing of invoices. - Office Supplies increased traffic, requires more till tapes, visa machine rolls, etc. Overall; June was a great month. We have been receiving great comments and compliments from both members and visitors. Motion to accept the report M/S Liza/Rick Carried 7. Old Business 1. Storey Creek Volunteer usage: Rob gave a written/verbal report that he and Kyle compiled. There was a lengthly discussion regarding volunteers and WCB. Motion: That the Board approve the utilization of personelle categories as recommended in the report from staff M/S Liza/Rick Carried Motion: That Board approve Policy No. 27 Utilization of Personelle as set out by staff with names to be retracted.
