1 Birchbank Golf Minutes for Board of Directors Meeting for May 24th, KSCU Board Room, Trail, BC at 5:00 pm Attendance: Rob Drezdoff, Tom Milne, Mark Brown, Kimba McLean, Tom Gawryletz, Jeri Santarossa, Ken Swanson, Jeff Papilion and Mark Lloyd Absent: Kalea Garrett and Brad Harding Meeting was called to order by President Rob Drezdoff at 5:00 pm. 2.0 Approval of Minutes: 2.1 Approve the minutes of the meeting held on April 26th, Business arising from the minutes: To be discussed later in the meeting. 3.0 Operations Reports 3.1 Director of Golf Report: (See report submitted) 3.2 Course Superintendent Report: (See report submitted) The nines will be changed Sunday May 27 th after 5:00 pm. Monday, May 28 th will be the first day of new play. 3.3 Food and Beverage Manager Report: (See report Submitted) 4.0 Committee Reports 4.1 Finance Committee: Mark Brown Chair See condensed financials attached Motion to accept Financials: Approved by: Tom Milne, Seconded: Jeri Santarossa The Board unanimously passed a motion to approve a new 4 year mortgage term while at the same time reduce the Line of Credit. The current line of Credit rate is not a fixed rate. We will save in principle and interest costs. Lastly, minimum wage will be going up June 1 st, 2018.

Thanks to the Men s Club for the donation for supplies. 5.2 Bathroom reno s complete: See report attached. Thanks to Jeri Santarossa and all the volunteers who helped out 6.0 New Business 6.1 Formation of a Bargaining Committee. Rob Drezdoff to chair. Brad Harding, Derrick Simister and Jeri Santarossa to sit on Committee 6.2 Smoking Bylaw at RTCC: The Board agreed to prohibit smoking on the patio. Signs will be going up asap. Members and guests will be asked to smoke a minimum of 25 feet from any clubhouse entrance and at ground level. A memo will be sent to the members once signs are purchased. 7.0 Director s comments, concerns or queries 7.1 Tom Milne: requested to book the course the second weekend in August to host the North American Lefties Tournament. Unanimously agreed 7.2 Jeri Santarossa asked if Ty Langton could volunteer his time to open the Snack Shack on selected days throughout the summer. Alcohol, soft drinks,

4 Pro Shop Report May 24 th Events We are ready for the Ladies this weekend, should run smoothly Teck Purchasing is On June 2 nd, setup is going well, most prizes are ordered, or picked out. The Smokies on June 23 rd set up and prizes looked after Social groups have been good so far spending $$ in shop for prizes in the golf shop as well as Bistro Staff Simply put, I hope the Members are as pleased with the final staffing as I am! Advertising Package set up with Beer refinery & Maglio s to help pay for new cards, Refinery also doing a hole sign as well as Decals and new numbers for Power cart fleet. Still thinking about coolers for Bistro? Working on Package with Redstone, Castlegar & Christina Lake, should be good Miscellaneous Water should be on the course as of Thursday AM Had another face to face with Dan / Janitorial service he promises to come out in the mornings for the next while to check on quality, which has been poor of late Dave Orlando & Ron Wilson have signs made up and on the Course, covered and ready to go for Monday; new cards are in and look nice. Sunday we will remove old Hole sign numbers and re-number new holes # s & 5 In contact with Golf Now to remove our Beat the Heat special that is advertised any day any time! 5 Agronomy Report for May 2018 Greens The weather has been optimal for good growing conditions. Our mostly annual bluegrass property is in full seed mode as we speak and keeping up on mowing is number one priority. The greens healed very quickly from aeration and are now down to summer heights. Preparations are taking place to get the course ready for the ladies zone tournament this weekend. Murphy Creek We have now set up murphy creek for the season and should be ready to pump water soon. A big thanks to Jim Rommerdahl and Al Doherty for there help in programming the new panel at the site. Jim spent many hours working through the programming as the old panel and communication systems were very dated. With very high runoff this spring the water actually came over the top of our intake gates filling some of this springs excavation work with more silt. The creek has now settled and we were able to get the intake in safely. Irrigation Upgrades Rainbird has been back and forth on what pricing they are going to give us on our project as we will not be completing the entire project this year. The final word from them is that they will be giving us the first rebates they quoted to begin with which was the best price I have seen on the components needed. A final quote is due to arrive Thursday. Course Switch over Jeff and I have done a tour of the new course routing and I have documented some possible safety areas so they are noted. I will be trying to route carts in some areas as there is cart paths where I don't need them now and no paths where I need them. We have done some pruning on the right side of new number 3 to open the view a bit but for safety concerns we ended up leaving the ash trees (was going to remove) to try and protect the right side a bit from errant shots. Signage and golfer etiquette will go a long way in helping our new course be successful.

6 Bistro Report May We had quite a few events this month: Retirees Host Ladies, Retirees Invitational, two Teck events, a 65 th Anniversary and the Mother s Day Brunch. All events seemed to go over very well with very good turnout (the Mother`s Day Brunch had around 100 guests). 2. The Ladies Zones is coming up this weekend and we are in the process of preparing for that 3. We lost two cooks this month (Brenda and Kody) so we have been short staffed in the kitchen. We also may potentially lose one more cook in the upcoming weeks as she has had an interview for a job in the field she went to school for. I have been filling in on shifts in the kitchen to make up for this. I have an interview set up for Thursday with a potential cook. Hopefully our lack of staffing in the kitchen will not have a significant impact on the several tournaments we have scheduled for June. 4. Our walk-in cooler has been having some issues, and we had to get Quinn to come in and fix it. He could not come up with a definitive solution for the issue, so that will be something I will have to keep an eye on throughout the season 5. Ladies Night has been much more successful than last year, averaging 40 ladies each week. The ladies originally wanted to be able to order off the menu; however, with the increased amount of customers, this has been unsuccessful. The wait times were increased due to the result of too many different items being ordered and modified. Therefore, I have decided to offer limited menu options, as we have done in previous years. We tried a limited menu this week and things ran much smoother

8 Course Committee report Attendance: Kimba, Mark, Jeff, Michelle. 1. Discussion on safety issues with trees blocking cart path on new #3 fairway, Mark is currently removing trees to improve view. 2. Discussed new cart path from #5 to #6 will ensure marked accordingly. 3. Drainage areas on bottom of # 18 and #15 Mark will have a look. 4. Discussed the red and white tees on #14 yardage is the same so will leave as is. 5. Bunkers currently upgraded with sand. 6. Some bunker areas need better irrigation. 7. Janitors? 9 BATHROOM RENOVATION PROJECT MAY 2018 Over the past several years, the Birchbank Ladies Club has considered doing some work on the on-course bathrooms but had chosen other priorities to support, including landscaping projects. However, hosting the Zone 1 Women s Championship added incentive and a time frame to prioritize upgrading the bathrooms. Our goal is always to support projects to enhance Birchbank for our members and guests. Feedback on the bathrooms so far has been very positive. The final cost for the entire project was just over $2600 and included replacing 4 toilets in the clubhouse as well as the renovations of the bathrooms at #4 and #15. Costs would have been significantly higher if not for the many hours put in by the volunteers and reduced pricing from Maglio s. Huge thanks go to the following: Russ Beauchamp of Maglio Building Centre (Trail) generously supported the project by donating the flooring at #15 and selling all the sink/vanities (4) and toilets (8) for on course and locker rooms at cost, significantly reducing the cost of the project. Our volunteers Rollie Caron, Butch Palmer, Rob Harasin and Wayne Weaver removed old fixtures, put in new ones and dealt with a few unforeseen issues. Carolyn Caron, Dana Haas, Eileen Holm, Flori Valentine and Jeri Santarossa cleaned the bathrooms and painted them. Originally we had considered redoing the flooring at #4 as well, however, after the thorough cleaning of them they looked so good we were able to save the time and cost of redoing. Mens ($500) and Retirees ($250) clubs both contributed financially to the project so we could do everything we planned for. The Pro Shop and Course Maintenance Crew helped out with loaning carts, supplies, picking up old fixtures, delivering new ones and in numerous other ways. We are very fortunate at Birchbank to have so many members who step forward to assist in our various projects. There were many others who had volunteered to assist with this project but schedules just didn t work out. And the thanks offered by numerous members to the volunteers was greatly appreciated.
