1 Raintree Country Club Board of Director s Meeting Minutes Wednesday, March 27th, :00 p.m. I. CALL TO ORDER: Larry Whitmore, President, called the meeting to order at 7:00 p.m. II. ROLL CALL: A. Members Present: Gary Ahlstrom, Kevin Beste, Mike Fresina, Greg Garlick, Si Iyoob, Sandy Koury, Bill Larson, Mary Ann McGill, Sylvester McGinn, Don South, Jim VanWinkle, Charles Weatherholt,, Larry Whitmore, B Members Absent: Bob Fritsch Jr., Larry Witham C. Others Present: Jim Troutman, General Manager, Dale Yaged, Al Andrews, newly elected board members. III. REVIEW AGENDA AND APPROVE: Larry Whitmore reviewed the agenda for the meeting. Greg Garlick MOTIONED to approve the agenda. Jim VanWinkle seconded. All approved. IV. APPROVAL OF MINUTES FROM February 27, 2013 Bill Larson MOTIONED to approve the minutes. Mary Ann McGill seconded. All approved. V. GENERAL MANAGER S REPORT Mr. Bob Fritsch Sr. funeral was today. The service was very nice as many board members attended. Our thoughts are with his family. A. Project Update 1. Pool Bathrooms are progressing and the tile work is next. Then fixtures will be set. The completion date is set for April 22 nd. 2. Technology updates are ongoing. We are updating the website and we are working on upgrading our WIFI speed and upgrading our firewalls. We never changed the increased speed of our internet connection from Symetra last year. B. Budget Update: 1. We are budgeting based on our membership loss for the year ending March 31 st. Resignations are 50 overall with 26 of those being full golf. 2. The budget is being worked on for the April board meeting. C. Banking Update 1. We have been in contact with PNC and they are showing signs of being willing to return to our original due date. We are not an immediate priority with them since we are not due yet.. D. Champion Plan 1. We are waiting for an assessment from our attorney regarding the language about assessments. Based on initial thoughts, there is nothing in the wording of our documents that prevents assessing our membership. Raintree was intended to be set up as a mandatory membership by Raintree homeowners. Obviously that is not the case. The allowed dues increase needs to be addressed as well. The

2 bottom line is that our documents governing club operations need to be updated, and the neighborhood associations are doing the same thing. The club needs to give members confidence that we will not assess the membership after they participate in the Champion Plan. Strategic/Long Range Planning needs to be a part of this process. We have a little less than 20% participation in the Champion Plan. The line of credit has been paid off and there is $50, in the account. E. Membership 1. We are looking at winding down our Trial Program. Phyllis is seeing what is being called club hoppers. Due to competition for members from clubs similar to Raintree, clubs have dropped their large initiation fees. We are looking at our trail plan which allowed a trail member to become a member for 1 year with an initiation fee of $1, Once that year is up, the member must pay the remainder of their initiation or leave. Club hoppers are using these trail memberships to jump from one club to another. 2. We have 64 members who are currently members under this program and our goal is to keep those members. Their membership decision comes at different times during the year depending on their date of joining. The idea is to waive their remaining initiation fee and charge them a one time $1, fee to immediately join the Champion Plan members. 3. New members, beginning April 1 st would be offered a one time charge of $2, to join the Champion Plan and would make a 3 year commitment to membership. There would be a window of opportunity to this membership offering. The thought was that this offering would expire in 90 days. After that, the initiation fee would go back up to $6, Our goal is to add 100 members by July. We do not want to cheapen the value of our club, but also must be realistic in what our competition is offering. Sylvester McGinn MOTIONED to allow this membership program to be offered for 90 days. Si Iyoob seconded. All approved. 4. There are 4 Lifetime memberships still available from our last offering. F Upcoming Events 1. The Annual meeting will be held April 24 th at 6:00. The board meeting will take place immediately following. We will need to address the order of these meetings in the future or alter our bylaws due to fact that our budget needs to be approved by the board prior to the Annual Meeting. The budget can be distributed by to the board. 2 Symetra News: Mike Fresina reported that we are 6 weeks for the event, which is about how much total time he had when he first got involved last year. Needless to say we are way ahead of last year s event at this point. a. There are still needs for volunteers, mainly caddies. According to Mary Ann McGill, housing needs should be met. b. We have raised more money for the Pro Am with 6 weeks to go before the event, than we had at the end of last year!

3 c. We have the schedule set and Wednesday May 8 th will be a big day at the club. There will be the Pro-Am starting with 10:30 Registration The Daddy-Daughter Golf Clinic with Dana Rader will be from 5:00 6:30. Rock the Putt will be from 6:30-8:00 pm with Rex- Goliath offering free samples of their wines. for spectators of this event. The Band Hot Sauce will be performing. d. Many of our sponsors have returned and we have added additional sponsors. We have been working with local news outlets to publicize the event, and have been in contact with Paula Burnett from Wells Fargo to get a list of potential volunteers left over from their event the week before. VI. COMMITTEE REPORTS A. Membership Sylvester McGinn 1. We added 13 new members in February. We had 18 resignations. The total golf membership is 772 for the end of February. The month of March, so far, we have added 15 new members with 6 of those being Full Golf non-resident. We have had 50 total resignations with 13 full golf non-resident and 13 social athletic non resident. The rest of the resignations were spread out across the board. That leaves us with 759 Full Golf members. We started April 1 with 796. B. Bylaws: Bill Larson C. Rules and Grievance Gary Ahlstrom D. Golf and Greens Larry Whitmore 1. The Pro Shop and fellow committee members have put together a Pace of Play Program to be introduced and used to help our playing members that struggle in keeping a good pace of play. It was asked that the members of the committee review the warning letters that players will be given and forward any suggestions to Kris Cappuzzo by April 1 st. 2. Temperatures have been below normal the past 30 days and precipitation has been in the normal range since the first of the year. 3. We aerated our greens the first week of March which is the first time this year. The weather was not very agreeable, but the aeration went fine. Unfortunately the cooler than normal weather has slowed the greens recovery. 4. The irrigation lake level is slowly recovering, but we are about a foot below where we need to be.

4 5. The low lying limbs on #9 South are being trimmed up off of the ground to help playability. As a reminder, they are still low to help keep out of bound issues from being a problem. We will address #7 when we finish #9. 6. We have two new additions to our golf shop staff, Addies Zabel and William Mac Lean. Addies is our Golf Shop Manager. And William will be splitting his time in the golf shop and outside. 7. With the new hires in the shop, the next step is working on the bag attendants and outside staff. Kris will be interviewing this week for an Outside Supervisor, as the goal is to implement some new rules and job descriptions to improve our customer service and outside image. 8. The GHIN system is up and running, but there is some tweaking that needs to occur before the tournament sign-up and scorecard printing portion is fully operational. The Pro Shop has a teleconference with the CGA on March 21 st to have these two features up and running. 9. The Nine-Holers season officially started March 19 th and had 27 ladies participating. In the past month they have had a meeting discussing Pace of Play and had their 2 nd golf clinic. 10. March 21 st is the starting date of the RWGA golfing season. Their membership count is down, currently at 65 players, but have hopes of adding more ladies during the golf season. At their next tournament they will be incorporating the use of volunteer rangers (insert the word husbands) to assist in their pace of play efforts. 11. The RMGA s first tournament of the year was the Opening Scramble, which had 115 members participating, which is the largest turnout they have had in several years. At their breakfast meeting a Power Point Presentation was used to illustrate the topics of the meeting s agenda and upcoming events. It was a good addition to the meeting, as it was a great way to clearly communicate to the members the subject matter of the meeting, RMGA announcements, and future tournament dates. 12. The first six players from each of two RMGA Interclub Qualifiers will be given the opportunity to play a match at Longview Country Club. This is a one-off interclub event, but hopefully will become an annual event. 13. February 20 th was the start date of the RSMGA with a practice round with Ballantyne Country Club. After play it was decided that all future OMEGA events both teams will be reminded of pace of play guidelines. Their membership is down 20 members. Those that dropped out were not actively participating, so will have little impact on the number of members participating this year. 14. The Member-Guest Committee will be met on Friday, March 22 nd, & finalized the format for this year s event. An

5 blast will be sent soon to announce the changes and the official invitations will be in the mail before April 1 st. 15. Symetra Update: as of March 20 th there are 71 volunteers (200 needed), 22 houses for lodging (last year 40), and 15 caddies (last year 40). The tournament is now only five weeks out, so it is requested that all golf associations remind their members of the need for volunteers. 16. A discussion was held on our new Tee It Forward program. The Tee It Forward program was introduced in July of 2011 by the USGA as a program to help attract more people to the game of golf. The layout will provide a much shorter golf course to be used by juniors, new players to the game, higher handicap players, and anyone wanting to play another set of tees that are not as challenging as our current tees. These tees are not gender specific and not intended to be, they are another set of tees to be used by our club membership. SEE END OF MINUTES FOR DETAILS. 17. The tee marker locations and length of holes was completed by Kris Cappuzzo, Brad Fellrath, Andy Wheeler, and Larry Whitmore using the guidelines provided by the USGA, Golf America, and the PGA of America. 18. A hand-out was given to all committee members outlining the length of the holes and location of the tee areas. The total yardage and length of individual holes makes both courses legit. Meaning that once they are sloped and rated, scores can be posted and used in calculating a handicap from these forward tees. Once the courses have been rated the information will be entered into the GHIN system and our membership notified for posting purposes. 19. On April 2 nd the Carolina s Mid-Am will be held on our South course. 20. On April 23 rd & 24 th the North Carolina Senior Women s Championship will be held on our South course as well. (See TEE IT FORWARD at the bottom of these minutes) E. Property and Insurance Bob Fritsch Jr. F. House and Social Greg Garlick 1. March Events a. 3/30 Easter Egg Hunt b. 3/31 Easter Brunch with 4 reservation times available. There is a wait list. 2 Saturday, April 13 will be the Pacific Northwest Wine Dinner 3. Dog Fights have started. A grill will be set up by the 37 th hole and will be serving different selections each Thursday night as a test to see how it works out. 4. We have started a Member Incentive Plan: Refer an event to Raintree/hold your own event and receive a credit to use towards food at the club. A $1, event = $50 credit, $2, event = $100 credit & $3,500.00

The change in membership totals has a direct effect on our dues line and being able to meet budget numbers. The year to date numbers for Total Income are ahead of budget 2. Total expenses were well controlled and beat budget for the month and year to date. 3. Net After Income numbers for February are number is off budget by approx $10,000.00, however, year to date we are ahead of budget. 4. The Champion Plan statistic were presented with a total of 18% participation The Full Golf percent is 22% The Senior percent is 26% The Social Athletic is 6% Other category is 9% The total contribution is $558, With $250,862 used to pay off the line of credit, there is a balance of $51, The current and future fund balance with the current participation is $307,498.
