1 ATTENDANCE: Cletus Poat, President; Jason Bell, Vice President; Bob Ezell, Treasurer; Tim Kopischke, Secretary, Jane Parsley, Cliff Owen, Butch Freels, Kent Bohanon and Mark Denton were present. Also present was Kraig Binder, Kevin Rhinehart, Rick Sutton, Nancy Sutton, Nancy Ragland, Sherrill Gunn, Ronnie Hall, Trudy Gregory, J.B. Hollowell and Lauri Cronin. CALL TO ORDER: President Cletus Poat called the meeting to order at approximately 6:00 PM, Monday, June 12, MINUTES: Minutes from May 8, 2017, Board meeting and Minutes from May 22, 9, 31, June 1 and 6, 2017, were distributed by prior to the meeting. Motion was made by Mark to accept the Minutes; seconded by Bob. Motion carried. COMMITTEE REPORTS: PRO SHOP & TOURNAMENTS: Butch stated the Duke and Duchess was a success this past weekend. Kevin stated he got positive comments on both the condition of the course and the food. Kevin stated a date for the KSR could not be worked out. The first Jr. PGA Match is this Wednesday at Drake Creek. There will be six to seven matches this season. RHCC has been contacted about hosting a fundraiser for cancer on October 7th. Discussion followed. Jason made a motion to waive the rental fee for the fundraiser event on October 7th; seconded by Kent. Motion carried. Butch stated we are going to serve lunch on Saturday and light hors d oeuvres on Saturday night at the Men s Member Guest in September instead of dinner. Spouses will be invited for lunch. Bids will be solicited soon. TREASURER'S REPORT: Bob Ezell and Kent Bohanon The May 2017 Actual vs. Budget Report and the Balance Sheet dated May 31, 2017, were ed to the Board prior to the meeting. Bob stated receipt of members dues were down in May. This is due to timing of payments by members and should catch up. We are 97% of what we budgeted through May. Bar income is up, and COGS are down. The golf course figures remain over due to chemical bills coming in earlier than expected when the budget was made. This should catch up in the next two months. The total lease payments will be approximately $800 higher each month for the remainder of the year due to the execution of the new leases. Annual lease payments will run approximately $89,000 a year after a high of $103,000 in It will be approximately $500 more per month that was originally budgeted Tim stated two of these leases are for equipment that we will own at the end of the lease. 2 Page 2 of 5 We had an unexpected expenditure in the bar of $5,500 for a new ice machine. We have $7,500 additional monies in Building and Grounds. We will decide later whether to use for roofing as originally planned or possibly use for repair underneath the deck. The high cash amount reflects lease monies received but not yet used to pay for the equipment. Bob stated in July the principal amount owed on our mortgage to CFSB will drop below $1,000,000. (APPLAUSE) Bob stated CFSB continues to be a great partner with RHCC. Mark stated the future looks promising, and we could possibly have the mortgage paid off in 12 years. Mark made a motion to accept the Treasurer s Reports; seconded by Cliff. Motion carried. FINANCE COMMITTEE: Bob Ezell and Kent Bohanon Nothing further. GOLF COURSE: Jason Bell and Mark Denton Jason stated Kraig had ed a monthly report prior to the meeting. (The report is attached to these Minutes.) There are some trees overhanging the course that will require a crane to trim. Kraig is going to coordinate this job with other jobs that will require renting a crane. There is an area of #3 that had been repaired last year. There are problems with this area again and will be addressed by Kraig so that it doesn t become a ditch again. Jason stated John Rikel couldn t be at the meeting but had sent an with positive comments about the current state of the course. A copy of this letter is attached to these Minutes. John stated in his that he couldn t be at the meeting but wanted to give his perspective regarding the condition of the course. Discussion followed. J.B. Hollowell stated he has had a lot of people asking about the no mow area on #1. J.B. stated he does not like it and wants to know if the current state is how it is going to look permanently. Jason stated they are not. J.B stated that area of low mow is the only areas he has a problem with. Discussion followed. Jane stated she preferred the area mowed and kept up like it was done last year. Nancy Ragland said we have worked hard to get grass to grow in that area and in her opinion the area should be mowed and maintained for cosmetic beauty. Ronnie Hall stated some of the new areas marked as low mow he likes but not the areas on #1 and #9 as you enter the Club, and he would like the areas of the entrance manicured. Nancy Ragland agreed and stated it was a matter of cosmetic beauty and on the course was a different story. Discussion followed. Lauri stated the entrance area is what sets us apart and she feels the current state doesn t fit in with the adjacent neighborhoods. Lauri stated it looks unbalanced and not symmetrical. Trudy Gregory stated she was concerned about an areas on the right side of 18. She recently walked through the area and found a dead opossum and large limbs. Discussion followed. Sherrill Gunn stated he is interested in seeing the no mow area in a year. He stated the entrance looks unbalanced. Trudy stated there is an area on 18 coming down to the 150 marker that needs to be mowed. Kraig stated that area will be mowed and should always have been mowed and was never an area that was not going to be mowed. Discussion followed.
3 Ronnie Hall inquired if we had changed anything with watering the fairway and with chemicals used on the fairways. Kraig stated he wasn t aware of what had been done in the past; there are no records. Ronnie stated he was referring to 2, 3, and 7. Kraig stated until two weeks again we have overnight temperatures of 50 degrees and even one night of 48 degrees. Now the overnight temperatures are getting warm enough for Bermuda to start growing and thriving. Ronnie asked what our watering schedule is for the fairways. Kraig stated we water every three days. Mark stated he had played six big courses in St. Louis recently, and they were the same way. Bob Ezell stated he had played at Country Club of Paducah and Paxton recently and seen similar conditions with CCP being thinner than he had remembered in the past. Kraig stated in the next week or so they will apply granular fertilizer that should help. Discussion followed. Erosion problems continue on the course. We spent $30,000 last year on repairs on #3. Mark stated we now have equipment to fix these problems ourselves versus getting outside contractors. Discussion followed. Kraig stated these are projects for the off season to keep from interfering with play. Cletus asked Kraig to explain the reason for the no mow area under the trees. Kraig stated much of this had been explained in his previous to the membership. He stated there has been erosion problems in the areas under the trees. His crew makes two passes beside the row when they mow. The area between the trees is very rough on a mower, and repairs are costly. The low maintenance reduces money spent for parts for repairs to the mowers and also helps mask the eroded areas. He further stated native grasses and wildflowers will be planted in the low maintenance areas. Discussion followed. Kraig stated he is here to maintain the course the way the Club wants it to be maintained. Kraig stated in his opinion the area looks good as a low maintenance area and will help save money. He stated if the Club wants the area mowed, he will mow it. Ronnie asked how it will be determined whether the area remains as a low maintenance area. There are obviously people in favor of it and against it. Discussion followed. Jason stated it will be evaluated and a decision will be made. He stated the comments by the members at the meeting will be considered. Kevin stated all the comments he had heard this past weekend were positive comments, the firmness of the greens, they were not splatty; the bunkers were better. Kevin stated he is looking forward to what s in store. Lauri stated the area is a small area but it is a very impactful area. Discussion followed. Kraig stated due to the direction of the sun on #9 and #1, the area on #1 will never be as good as #9. Jane asked what the status of fountain for #18 was. Kraig stated it was taken in for repair, and they ordered the wrong part. The correct part is currently on backorder. Trudy asked why you have to be off the driving range at 5 PM on Sundays. Kevin stated they pick the green on Sundays after 5 so the range can be mowed on Monday mornings. Discussion followed. J.B. Hollowell stated there was a board missing on the bridge on #15. Kraig has already ordered wood for repairing the bridge. Mark stated we will be seeking nominations for the Board of Directors soon and encourage the people in attendance to submit names for directors. He stated being on the Board is more of an advisory position now that it used to be in the past. Names should be submitted to Mark, Bob or Cletus. Page 3 of 5
4 SUMMER GOLF ACTIVITIES: Mark Denton and Jane Parsley Jane stated Kayla Tuttles is scheduled to play on June 30 th after Couples Golf. Weather permitting we will grill burgers. Bob thanked Jane for all her hard work and stated she is doing a great job. MEMBERSHIP: Kent Bohanon and Butch Freels The Membership Report was submitted to the Board prior to the meeting. We currently have 419 xxx members. Paul and Tammi Trogolo submitted an application for a Regular membership. They are sponsored by Christine Bickerstaff. Motion by Kent to approve the membership, seconded by Cliff. Motion carried. HOUSE: Jane Parsley & Cliff Owen We are in the process of picking out some commercial rugs for the Clubhouse with the money donated by the Night Ladies Association. Jane stated the hardwood floors look great. Please use caution when moving furniture on the floors; be sure to pick up and not drag the furniture. Tim stated we purchased a wash light to use in the ballroom to illuminate the performers when the lights are turned down. BUILDINGS AND GROUNDS: Cliff Owen & Jane Parsley There were positive reports about how everything looked this weekend, not just the golf course. We had a water leak this past week near #10. The leak was on the side owned by the water company and was repaired at no charge. SOCIAL ACTIVITIES: Jane Parsley & Jason Bell Golf is the social activity currently. POOL: Cliff Owen and Jane Parsley The pool looks great. We have hired 12 lifeguards that are doing a great job. We have cut down on non-member usage. We are over budget by approximately $1,900. This is due in part to opening the pool early, lifeguard salaries and chemical usage. We also had to buy a new motor for the vacuum. Kudos to Johnny Fults who essentially opened the pool this year by himself. TENNIS: Bob Ezell and Jason Bell Zach Vanderboegh has returned as the Tennis Pro this summer doing kids clinics on Monday and Thursday mornings in June and July. We have 8 in the June clinics so far. We have 6 signed up for Kids Camp. We hope to get some adults signed up for tennis and pickleball in a few weeks. We are offering a one week summer camp with golf, tennis and swimming for ages 8 14 the week of June 19. SNACK BAR: Mark Denton and Jane Parsley Plans fell through for an outside vendor to run the Snack Bar this year. We have hired Alexis Wagner, who is 21, to work in the Snack Bar and get supplies for the Snack Bar. Thanks to Mark Denton, John Rikel and Kenny Robinson for volunteering to grill burgers for the Snack Bar for the tournament this past weekend. Thanks to Jane for her help in initial setup too. Alexis is also waitressing at the pool. Snack Bar is open Friday, Saturday, Sunday and holidays. Page 4 of 5
5 CHILDREN S ACTIVITIES: Jason Bell and Jane Parsley Kids Camp starts next week. We currently have six signed up. MEN S NIGHT: Tim Kopischke & Kent Bohanon: Tim stated Men s Scramble and Steak Night is in its prime with 90 to 100 men in attendance each week. BAR: Tim Kopischke Tim stated the bar is going well this year and revenues are great. Thanks to Jasmine Arnold, bar manager. CAPITAL IMPROVEMENTS: Cletus Poat No report. OLD BUSINESS: Cart shed inspections have not begun yet but should be commenced in a few weeks. NEW BUSINESS: A possible change in lifeguard breaks was discussion. The Pool Committee will address what, if any, changes need to be made. Lisa stated a text messaging service is available at a rate of $99 per month for unlimited text messaging from RHCC to club members. A $199 set up fee is required. Discussion followed. Lisa will research this more. Cliff stated there is an issue with children coming to the bar to get popcorn, sitting at the bar, and children too young coming to the bar without supervision. Cliff and Tim will address this issue. Cletus made a motion to adjourn the meeting; seconded by Mark. The meeting was adjourned. Page 5 of 5
