1 4 H Horse Leader Retreat, 2018 The Florida 4 H Horse Program faculty invite 4 H Agents and Horse Volunteers/Leaders to join them at a workshop/retreat on September 21 23, 2018 at the Welaka State Forest camping facility. This location will allow you to bring your horse if you care to. There will be opportunities for trail riding, schooling, or just for time with your horse. Workshops will be a mixture of classroom and hands on programming. What you gain from the program will be similar whether or not you bring a horse. A large focus of the retreat will be introduction the new leader guide called Horse Smarts. This is the new reference for Horse Bowl and Hippology in The retail cost for the materials is $ plus shipping. We will make the guides available to attendees for $ Agents from counties with competitive horse teams will receive one complimentary copy per county. These books will be available at the retreat, not pre paid via Eventbrite. Refer to the tentative schedule for the list of topics to be discussed. Please know that we want to make this beneficial to you. We can modify the schedule to include topics/skills development based on your feedback. The intent is for the retreat to be a relaxed, need driven weekend, with as much value given to peer interaction and discussions as formal presentations. 4 H Agents who want to understand more about horses and/or horse programming are encouraged to attend and may do so at no cost! Depending on experience level of participants, a buffet of different levels of instruction may be offered. Even if you have very little hands on experience with horses, this will be a good no judgement opportunity to gain some in a fun and relaxed setting. Registration Fee Dropped to only $75.00 per person, with or without horse. Fees cover two nights lodging in cabins, 5 meals, snacks, classroom and hands on programs, stall, and 4H insurance. Registration is through Eventbrite (linked from webpage) and is due by Friday, September 7th. Participation is limited to 30. See the Eventbrite registration page for other partial time/fee combinations. Agents should contact Wendy DeVito (wtaylor@ufl.edu) for the code to register at no charge, and/or for a code for a leader to register and not be charged if the County program is paying the $75. Cancellations: After September 10 th the fee can only be refunded at 50% unless: someone is waiting to fill the space. certification from a doctor of illness or injury to the participant or immediate family member. Arrival/Departure Participants should arrive at Camp Welaka between 4:00 pm and 6:00 pm on Friday, September 21 st. You may arrive early with horses if you would like to ride on trails before the program starts, but no earlier than 2:00 pm on Friday. Program will conclude by 10:00 on Sunday, September 23. Participants may stay to ride and depart later but everyone should plan to depart before 1:00pm.
2 PARTICIPANT INFORMATION Age of Participant The retreat is an adult leader only program. Participants should be County Agents or certified 4 H adult volunteers or leaders. Prospective volunteer leaders are also encouraged to attend. Children and dogs are not invited. Paperwork to Bring Florida 4 H Participation Form (all participants) Signed Statement of Risk (all participants) Negative Coggins Test (if bringing horse) Horse Health, Preparation, and Use All horses should be properly immunized, preferably under the supervision of a veterinarian, before coming to the retreat. Vaccinations should include influenza (flu vac), tetanus, West Nile Virus, Eastern & Western Encephalitis (EEE, WEE, WNV), and Rhinopneumontis (Rhino immune). It is recommended that all animals be vaccinated 30 days prior to the retreat. Do not vaccinate a few days beforehand because the injections will not provide immediate immunity. Outside temps will likely be hot, so horse s temperature should be taken prior to leaving home. It may be checked at Welaka and any horse with a seriously elevated temperature may be isolated and sent home. Proof of a Negative EIA (Coggins) test within the past 12 months must be shown. Horses should be dewormed and accustomed to the feed & hay that you are bringing. Horses feet should be trimmed recently (but preferably not within a week of the retreat). This a not a Horsemanship School with heavy riding. Any rides will be at your own pace in the arena or on trail rides. Horses should be safe for that purpose and be accustomed to being in a stall when not being ridden. Participants who bring a horse will manage and care for their own horse and tack, including cleaning their stalls. Participants do not have to own the horse they bring. IF FARRIER OR VETERINARY SERVICES ARE NEEDED DURING THE RETREAT, PARTICIPANTS MUST PAY ALL EXPENSES INCURRED. Those with horses may work/play with their horse during any free time whether that s before breakfast, in the evening, or during scheduled free time. Safety dictates that no one should be alone when on the hill with the horses or riding. Also participants must wear boots when working with horses and are encouraged to wear a helmet when riding. Tack All tack should be clean, safe, in good condition and properly fit the horse. Bring a halter and lead that you would use for ground work and any tack/equipment you use on trail rides.
3 Insurance Participants will be partially covered by American Income Life's accident and hospitalization policy during the three day period. They should carry their own insurance on horses, tack, and vehicles. Stalls Barns are open pole barns with new roofs. Stall walls have spaced boards on all sides, so it is possible for horses to make contact with their neighbors. If you have a stabling request to be near a specific horse, please list it on the registration. Tack stall are available or you may keep your tack locked in your trailer. Housing Dorms are newly renovated cabins which contain 5 to 12 beds per dorm. Each dorm has a kitchenette, sitting area, and shared bathrooms (private shower stalls). If you would like to share a dorm with someone specific, please indicate that with your entry. Participants will need to bring their own bedding, towels, personal products, etc. All dorms must be completely cleaned, including bathrooms, before check out. Meals Meals will be prepared and served in the dining hall. Snacks will be provided at various times during program breaks and the evenings. If you require vegetarian/vegan options, or have other diet restrictions, please include details with the registration. Dorms have a kitchenette with a range top but no refrigerator or microwave. You may bring food items for the dorm if you wish. Cell Phones Cell phone reception and wifi is inconsistent at the facility. There will be ample time during breaks, free time, and evenings to check in on home. If you need to be reached in an emergency, our onsite contact is Rhonda Wells, Vehicles and trailers Personal vehicles may be parked by the dorms and by the barns as we will likely drive between the two locations. There is plenty of space for trailer parking near the barns, so you may keep feed, hay, and tack in your trailer. Even though ours will be the only group using the facility that weekend, it is advisable to keep anything valuable in something lockable.
4 CHECK IN PROCEDURE Friday, 4:00 6:00 pm 1. Upon arrival at Camp Welaka, stop by the cafeteria to receive your dorm assignment. o o Those with horses present their Coggins form, then will be given a stall assignment and be directed up the hill to settle in their horses. Those without horses will be pointed to their dorms to unpack. Then may join the others at the barns until dinner time. 2. Florida 4 H Participation Forms, Statement of Risk Forms, and Horse Health forms will be collected by staff at the barn check in. 3. Unload horses and stow equipment and trailers in appropriate locations as directed. 4. Trailers may be left in designated areas for the weekend. 5. After finishing with their horses, participants may go back to the dorms to unpack their personal things. 6. Please note that the program will begin at 6pm. Please plan your arrival with enough time to settle into the dorms (and settle in your horses, if applicable), by 6 pm. 7. Those arriving early with horses are welcome to trail ride until ~6 pm. CHECK OUT PROCEDURES Sunday, noon 1. Personal belongings may be packed and dorms cleaned either before breakfast or at the completion of the program. 2. If no horse, once you are packed and your dorm area is clean, you are free to turn in your keys and leave. 3. Those with horses will have to strip stalls and pack all their tack and equipment. 4. Have your stall checked and return keys before leaving. 5. If you are staying for one more ride, you should strip your stall before doing so. 6. All participants should depart by 1:00 pm. (Lunch is on your own if staying late.)
5 DRIVING DIRECTIONS TO WELAKA STATE FOREST Welaka State Forest is located in northeastern Florida, approximately 17 miles south of Palatka, off of U.S. Highway 17. The forest headquarters and training facilities are on the east side of County Road 309, about one mile south of the town of Welaka. From the South: Traveling north on US 17, turn left/west on CR 308 in Crescent City. Follow until it the T with CR 309 and turn right/north. Continue ~3 miles and the facility entrance is on the right. From the North: Traveling south on US 17, turn right/west on CR 309 in Satsuma. Continue ~6.5 miles and the facility entrance is on the left (~1 mile past the town of Welaka).
6 CHECKLIST FOR NEEDS AT LEADER RETREAT Participants Should Bring For Horse: 2 water buckets, 5 gallon capacity, with chain/rope/snaps to hang 1 feed bucket Salt brick or loose salt Bedding, enough for 2 nights Stall cleaning tools (shovel, pitch fork, rake, muck bucket/wheelbarrow, etc.) Hose (at least one for every 3 4 horses we can help coordinate) Feed for 2 days Hay for 2 days Your trail riding tack (saddle, bridle, pad(s), etc.) Halter and strong tie rope Brushes and curry combs, hook pick, any medications commonly used Insect repellant (fly wipe, etc.) NEGATIVE COGGINS TEST WITHIN 12 MONTHS! For You: Camp/lawn chair (for presentations on the hill ) Bed linens (oversized twin bunk beds), blankets, pillow Towels and washcloths Bath robe Shower shoes Casual/outdoor clothes (possibly warm clothes too) Barn/trail riding clothes Boots Other shoes for when not in the barn Insect repellent Alarm clock and watch Soap, shampoo, and other personal hygiene items Musical instrument if you play Helmet (encouraged) Florida 4 H Participation Form Signed Statement of Risk form
