1 S TRACKING TABLE STAGE ENTERTAINMENT CHAIR: Sharon Carrington Stage Dimensions: Inform S. Carrington of stage dimensions and green room size, once revealed by VANOC. Poi Ball Demonstration: Contact NEXUS to see if they are interested in doing a Poi Ball demonstration Dance of Lights. Update, 2009: NEXUS has agreed to perform and would start training up to 30 participants for the event. The poi ball demonstration could be choreographed to music and either fire or LED lights could be used on the poi balls. ACTION: Firm up concept and details with NEXUS on demonstration. Update, 2009: NEXUS needs to have music selected for the Poi Ball Demonstration. Contact VANOC to see if another copy of the Vancouver 2010 Torch Relay DVD is available and obtain permission to use the theme song Lights Will Guide Them home in the demonstration. Entertainment Chair: Contact Sharon Carrington (Valentinos) and Jim Senka (Main Street Lounge event) to see if they are interested in being the Entertainment Chair. Update, 2009: Sharon Carrington has agreed to take on the portfolio of Entertainment Chair for organizing the stage performance/ entertainers. Alex Cuba: Contact Alex Cuba to see if he is available to perform. Dan Hamhuis: Contact Marty Hamhuis be contacted to see if his son Dan Hamhuis would be available to participate in the event. Update, 2009: Councillor Benson will ask if Dave Tucker would contact Dan Hamhuis. Update, 2009: Dave Tucker was able to contact Dan Hamhuis and stated that Dan will be trying out for the Olympic Hockey team and if he is not selected, he will be on vacation and not in Smithers. Curling Club Dance: Contact the Curling Club to see if they are interested in hosting a dance. UP : Julie Froese, Curling Club, has agreed to sit on the Working Group. RBC and Coca Cola Promotional Materials: Contact RBC to see if they would be providing promotional materials for the event, for example: flags, balloons, stickers, etc. Contact Coca Cola to see if they would be providing promotional materials for the event, for example: flags, balloons, stickers, etc Mascots: Does the Group want the 2010 Mascots to come up again this year for the Fall Fair parade (last year s cost $4,000) Heather Ian COMMUNICATIONS CHAIR: RBC -Meet an Olympian-Torch Promotion: Tuesday, April 7, 2009, from 1:30 p.m. to 3:00 p.m., at the RBC Branch Main Street. This will allow the Working Group to be aware of local events in order to promote the Torch Relay. Create a 2009/2010 Smithers/Telkwa Events Calendar (include the following events: Telkwa BBQ, Fall Fair, Midsummer Festival, RCMP Musical Ride, Canada Day, Round Lake Opening, Property Tax Season, Smithers Trade Expo, Ski hill events, Clubs Day, District Sports Day, Minor Hockey Tournaments). Create a Communication/Promotional Materials Kit for display at local events. Research costs of Torch Relay Banners, etc. from VANOC. Smithers Trade Expo: Set up information display at the Smithers Trade Expo to promote the Torch Relay, Games Town 2010, Health Challenge. Provide computers to allow for on-site registration for the above. Hudson Bay Mountain Adventures Events: Provide a Spirit banner for the top of the mountain for the Schuss Boomer Downhill, April 4, and Schnai Day, April 12. Round Lake Hall Opening: Find out when the opening is happening. Update March 26: The Round Lake Hall Grand Re-Opening is being held on Saturday, April 25, 1-5pm. Town of Smithers Display: Create a Torch Relay display in the Town of Smithers lobby for the duration of the year; include information on becoming a Torch Bearer, Games Town 2010, and the Health Challenge. Ask the Smithers Art Gallery if they would like to be the Luminary Chair. Gladys School Luminary Ceremony: Contact the School District and private schools, to see if they would be interested in decorating a section of Andrew the park and participating in a luminary ceremony. Volunteers Recruit volunteers for the Working Group. Winter Sports Clubs: Recruit some members of the winter sports clubs, including the minor hockey, figure skating, ski clubs, etc. to help out with organizing the events.
