1 July 22, 2009 To: Exhibitors at the Boyd County Fair From: Donna Bernt, Office Manager, Boyd County Extension Subject: Last Minutes Details Exhibitor Tags What to do with them? 1. Check the Department-Division-Class number on your tags. Is it correct? Some Judges will drop your exhibit a ribbon placing if it is entered under the wrong class. It is your responsibility to make sure the tag is correct. Call me if there are any mistakes. Be sure that you are using this years regulation book as the numbers have changed from last year 2. Write a description of your item on your tags. Tell what type of cookies or quick bread; tell if it is yellow sunflowers on a wooden plaque; wooden angel Christmas tree ornaments; etc. 3. Write in the variety name, and fill in the class number for ALL flower, vegetable, fruit and herb exhibits. These will be dropped one ribbon placing is the variety name is missing. Make sure you have the correct number of flowers or fruits/vegetables etc. - - if not you will be dropped a ribbon placing also. Tags with V are Vegetables; Tags with F are Flowers; Tags with S are Special Vegetables. Flowers are to be exhibited in a plain jar or bottle. Use a rubber band to attach the tag to the jar. Don=t tape in on to the jar because as the jar sweats the tape falls off and then we don=t know who brought which jar of flowers. Exhibit the fruits and vegetables on a styrofoam plate. Punch a hole in the plate and attach the tag to the plate with a rubber band. Herbs - some are exhibited on plates some in a container of water. Read the regulation book for details. Bucket Calves and Bottle Lambs The Bucket Calf and Bottle Lamb Record Books are due in the Extension Office on Monday, July 27 at 3:00 p.m. Sewing Projects Remember to bring back to the fair your sewing exhibits. The construction ribbons will be placed on them. The information that was required at Pre-Fair Day with your garment is also needed at the Fair. The Shopping in Style Garments are the only items not exhibited at the Fair since they were not judged for construction. General Information Get the regulation book and read the general information for whatever project you have. Double check to make sure you have all of the information needed - such as information on back (name, address, etc.); recipe; plans; type of camera; etc.

2 Be sure to have your tags attached to your exhibit prior to arriving at the fairgrounds on Wednesday, July 29. Exhibits must be in place with tags on the exhibit by 10:00 a.m. If not in place each exhibit will be dropped one ribbon placing. Most tags can be attached to the exhibit with a rubber band. Some must be stapled to the upper right hand corner. See the regulation book for location of the tag. If it does no=t say anything about the tag, then it can be placed anywhere. Foods - Remember the recipe. Place the food on the appropriate size plate and put into a ziplock bag. Attach entry tag and recipe to the outside of the bag by punching a hole into the top of the bag above the Azipper area@ and attach with rubber band or tie it on with string. That way your food doesn t dry out before being judged. Cake Decorating - Remember to include exhibit card (page 28 of the manual) with your layer exhibit. Food Preservation - Remember to label your exhibits with the correct information (see regulation book). Please bring your own string, tape, scissors, paper punches, plates, etc. The office will not provide this for you. Interview Schedule An Interview Schedule is included with your tags. Please be on time for your interview. If you will not be exhibiting that item, call me so the judge isn=t waiting on you. Also call me if you don=t see your name on the list to interview and I will assign a time to you. You are required to wear the official 4-H dress. See the Fair Regulations book for details. Livestock Release Time Livestock will be released after the conclusion of the Livestock Sale. No animals shall be released prior to or during the sale. Remember to send out letters to those who you think might bid on you. Hall Release Time The exhibits in the hall will be released from 4:00 p.m. on Saturday, August 1. Other Responsibilities Check with your club leader to see when you are to sell pop, pick up the fairgrounds or work in the 4-H building. They will have a schedule for you. State Fair Entries All state fair exhibits (except foods and horticulture) need to be in the Extension Office on Tuesday, August 25 by 3:00 p.m. All food and horticulture exhibits will need to be in the Office by 3:00 p.m. on Wednesday, August 26. Thank you for cooperating with these deadlines. This is so that there is ample time to prepare the exhibits for transporting to the Nebraska State Fair. Quick Note: Use rubber bands to attach tags on all exhibits where it works. Fast and Easy!!!!!

3 BOYD COUNTY FAIR ACTIVITIES SCHEDULE Monday, July 27 Bucket Calf and Bottle Lamb Record Books - Due in Extension Office by 3:00 p.m. Fair Set-Up - Help is needed for the fair set up at 7:00 p.m. It would be nice to see more 4-H'ers and adults at the set up night. This is good community service to put into your record book. Tuesday, July 28 The 4-H exhibit hall will be open for booth set-up after 1:00 p.m. Wednesday, July 29 All booths must be set up and all hall exhibits must be tagged and entered by 10:00 a.m. Each club is asked to provide several Adult and Junior Leaders to help with check in of exhibits and to help the Judges. Judging of exhibits and interviews will begin at 12:00 noon. You will get an interview schedule with your entry tags. If you will not have the exhibit at the fair please notify Donna so that your name can be taken off of the list All Swine, Sheep and Goats MUST be entered PRIOR to 7:00 p.m. with weighin at 7:00 p.m. See health regulations and weight requirements for animals. Thursday, July 30 Bucket calves and bottle lambs MUST be entered PRIOR to 8:30 a.m. with the interviews to begin at 9:00 a.m. Bucket calves and bottle lambs will be led into the ring after being judged to receive ribbons and trophies. All Dairy (Cows and Goats) MUST be entered PRIOR to 9:00 a.m. with only the lactating dairy animals released after the conclusion of the Livestock Judging Contest. Swine show will start at 9:00 a.m. and will be followed by the dairy, goat and sheep shows. Livestock Judging Contest to be held after the Sheep Show. Market Beef weigh in will be from 1:00 to 4:30 p.m. at the Spencer Vet Clinic. (This allows them time to clean-up and to get closed on time. Please honor this time schedule as it is a donation of their time and facilities to 4-H and FFA by the Spencer Veterinary Clinic.) All Beef animals except stocker feeders and junior breeding heifers MUST be entered PRIOR to 8:00 p.m. Friday, July 31 Stocker Feeders and Junior Breeding Heifers MUST be entered PRIOR to 9:00 a.m. The Beef show will start at 9:00 a.m. Livestock sale will be held at 6:30 p.m. Each livestock exhibitor will be allowed one project animal (swine, bucket calf, bottle lamb, dairy, goat, sheep or beef). It is the responsibility of the exhibitor to be signed up by no later than 1 hour after the Beef Show. Sign up sheets will be available at the Livestock Barns. It is also the responsibility of the exhibitor to contact perspective bidders. A letter is available on the 4-H web page for you to mail to 4-5 bidders. Bidders will not actually purchase the animal, but rather bid a premium on the animal to award the exhibitor for a job well done. The sale will be conducted by the public auction method. Sale order will be determined by drawing. All livestock will be released after the conclusion of the livestock sale on Friday evening. No animals shall be released prior to or during the sale. Saturday, August 1 Horse show registration will begin at 8:45 a.m. with the show to begin at 9:00 a.m. at Krieger Arena. The Exhibit Hall trophy and award winners will have their pictures taken at 3:00 p.m. It is the responsibility of the recipient to show up for his/her picture. All hall exhibits will be released from 4:00 p.m. with teardown immediately following. Please bring tools to help with this. Entries (both livestock and hall) removed early will be dropped 1 ribbon placing. The parade with a theme of AWhere Communities Come Together@ will begin at 6:30 p.m.

Parents are reminded that the interview is between the exhibitor and the judge. If you have an exhibit in one of these areas and you don=t see your name, call the Extension Office. If you name is listed and you will not be exhibiting in that area, call the Extension Office. Please check-in with a fair official to see if you interview earlier than listed due to scheduling changes.
