1 Summary This document is to serve as a tool for submitting the Classic Team Commitment Form. 1. Prior to beginning the process, you will need the names of your Classic Teams for the 2013/2014 Fall Season: Ages U11-U18 Girls, U11-U14 Boys a. Classic Team Name: (Yr)(Association Acronym)(Team Name)(G,if girls) b. Team Name portion 20 characters or less NO EXECEPTIONS!!!! 2. First Step is to Start a Work Roster by Naming the team there will be three options in this step: (pages 2-8) You will choose option: Access/Create Work Roster a. 2012/2013 Team Name submitted without a change b. 2012/2013 Team Name submitted with a change c. New Team created for the 2013/2014 season 3. Enroll Team in Fall League Instructions (pages 9-16) a. From the Access/Create Work Roster Option, teams that have been named will appear in the Classic Teams Enroll for League Play b. Last opportunity to correct team name c. Select teams that appear under: Enroll Teams for League Play - d. Click on Enroll Team for League Play at bottom of list e. Select the radio dial to left Review Committed Teams f. Teams will appear in blue need to be added to your commitment form g. Option will be available to: i. Open team record & make corrections or unenroll in league play (remove team from the list) ii. Listing of Teams for League Play is Complete- all teams highlighted in blue will then be added to the commitment list 1. Commitment List will print to screen w/ option to Complete Association Commitment Form a. Click on Association Commitment Application is Complete h. Print Association Commitment Form i. Read carefully the printing tips ii. Print Form and secure the appropriate signature iii. Association Designee must be listed on the 2013/14 Membership Renewal Application iv. Form DUE BY MIDNIGHT: (Fall) June 11, 2013 OR (Spring) Nov. 4 to NCYSA: Fax# Classic League Association Commitment Forms (page 17) a. At any time you can review the status of your form b. Once approved by NCYSA teams may go to Soccer In College to begin the Intent to Play Application process 1

2 Accessing NCYSA Online Registration Database 1. Log onto NCYSA Online Database System a. Enter your Head Registrar User ID & Password (returning HR your info is the same, new HR contact our NCYSA liaison if you need help) b. Remember to use ALL CAPS when entering your information 2

3 Viewing your 2012/2013 Classic Teams 2. Choose from Main Menu: Access/Create Work Rosters 3. Click on the radio dial to the left of Start New Work Rosters for All Levels of Play. 4. Your Association name will auto populate (only have access to your association information) 5. Level of Play: Choose Classic 6. Age Group: ALL Age Groups 7. Data Submit: You can choose ALL, 25, 50 or Click SUBMIT system will pull up entire list of your 2012/2013 Classic Teams

4 Naming your 2013/2014 Classic Teams 1. Choose an age group to begin the process Ex. 97 Female 2. System will show the 97 Female teams from the 2012/2013 (NOTE: if you did not have any teams in this age group the RIGHT side of the screen will be blank.) 3. Indentify the teams that will be returning for the 2013/2014 Classic Fall Season. 4. Choose a team to begin the process Click on the radio dial to the left of the TEAM 5. Click on OPEN TEAM RECORD NOTES: a. If you did NOT have a team in this age group last year Click : Add NEW TEAM NOT LISTED HERE b. Your work is saved each time you click submit the initial time you go to the site CHOOSE: Start NEW WORK ROSTER FOR ALL LEVELS OF PLAY c. You can view the total teams you have submitted by choosing: l Access Work Rosters in Progress l Level of Play: Classic l Age Group: ALL l Data Subset: ALL 4

5 Naming your 2013/2014 Classic Teams CLASSIC TEAMS THAT PARTICIPATED IN THE 2012/2013 Seasonal Year Directions: No change in team name 1. Team Record, like the one below, will appear. 2. Review CAREFULLY!!! 3. You WILL NOT BE ABLE TO CHANGE: a. Level of Play, b. Association or *Team Age (except for your 00 teams) see note below c. Team Gender (if there is a need to change gender the team is considered a NEW TEAM) d. NOTE: Team Manager will APPEAR on roster and be issued a pass unless the box is checked 4. If the Team Name is to remain the same for the 2013/2014 Season - click SUBMIT TEAM NAME *You will be able to change your 01 teams from last year that is TRUE 02s to 02 for the 2013/2014 season. Only age group you can make this change!!! No change in Team Name Team Manager Option Click to SUBMIT TEAM NAME 5

6 Naming your 2013/2014 Classic Teams 1. Review the TEAM NAME 2. Click Add New Work Roster if the name is CORRECT 3. Click Return to Previous Page if there is a problem 1. The Team is now named in the permanent database for the 2013/2014 season. The Work Roster will be available to add Officials & Players after Association Registrars have been certified. (system due to open June 10, 2013) 2. Continue naming Teams by clicking: RETURN TO WORK ROSTER SUMMARY and repeat the process. 6

7 Naming your 2013/2014 Classic Teams CLASSIC TEAMS THAT PARTICIPATED IN THE 2012/2013 Seasonal Year Directions: TEAM NAME CHANGE 1. Team Record, like the one below, will appear. 2. Review CAREFULLY!!! 3. You WILL NOT BE ABLE TO CHANGE: a. Level of Play, b. Association or Team Age (except for your 99 teams) see note below c. Team Gender (if there is a need to change gender the team is considered a NEW TEAM) 4. To Change the Team Name: a. Click on Change Team Name b. Type the New Team Name you will have 20 characters NO EXCEPTIONS!! c. Check and Recheck the spelling of the Team Name 5. Once you are pleased with the Team Name Click SUBMIT TEAM NAME 7

8 Naming your 2013/2014 Classic Teams 1. Review the TEAM NAME 2. Click Add New Work Roster if the name is CORRECT 3. Click Return to Previous Page if there is a problem Make a Correction Return to Previous Page Ready to Submit Click Here! 1. The Team is now named in the permanent database for the 2013/2014 season. The Work Roster will be available to add Officials & Players after Association Registrars have been certified. 2. Continue naming Teams by clicking: RETURN TO WORK ROSTER SUMMARY and repeat the process. 3. Once you have named all your 2013/2014 Classic Teams that will be playing in the Fall League (U11-U14 Boys; U11-U18 Girls) go to MAIN MENU 8

9 Classic Teams Enroll for League Play Main Menu: Select Option - Classic Teams Enroll for League Play 2. Click - CONTINUE 3. Radio Dial: Enroll Classic Teams for League Play 4. Type of Teams: Classic Teams for League Play 5. Age Group: ALL Age Groups 6. Data Subset: ALL 7. All teams you have named in the Access/Create Work Roster Option will be listed here, review carefully and confirm you have ALL the teams for the Classic Fall League 9

10 Classic Teams Enroll for League Play For your convenience, the Total Number of Teams available to play will be listed at the top of the page. 2. Select All Teams to Enroll for League Play by checking the box to the left of the association name. 3. Review the list carefully, particularly for the NEW teams and teams with a NEW NAME for the 2013/2014 season. The chart will display all the information for you. 4. Click ENROLL TEAMS if there are no changes or errors. 5. A grey box will appear in the screen - Click OK to Confirm you are ready to ENROLL TEAMS or CANCEL if you need to review: 10

11 Classic Teams Enroll for League Play The system will save changes 0 Total Records will be left on the screen 2. The system is now aware of the Classic Teams your Association has committed to Enroll for the 2013 Fall League Play. (or 2014 Spring League Play) 3. NEXT Review the List of Committed Teams & Place on a Commitment Form a. Click on the radio dial review list of committed teams b. Type of Teams: Classic Teams for Fall League Play c. Age Groups: All Age Groups (you can choose to review each age group separately) d. Data Set: ALL 11

12 Classic Teams Enroll for League Play Teams will appear to the right side of the screen If all teams have been COMMITTED the block of teams will be in white/yellow Teams that appear in BLUE have NOT - you would see this if you have already submitted your Association Commitment Form and are now adding additional teams NOTE: there is a radio dial to the left of the BLUE TEAMS ONLY this is the last opportunity to change the team name and /or UNROLL 12

13 Classic Teams Enroll for League Play If you would like to REVIEW your teams prior to the final step when the team is blue you have the ability to OPEN TEAM RECORD 6. Click on the radio dial of the Team you would like to review 7. You will have the opportunity to : a. Make a change to the TEAM NAME b. UNENROLL TEAM FROM FALL LEAGUE PLAY (will take the team off the list and will not be available to include on the final listing of your Association Classic Teams to Commit to the 2010 Classic Fall League Play c. Return to List (no changes to be made) d. Go directly to Main Menu 13

14 Classic Teams Enroll for League Play When are satisfied there are NO MORE changes to make, CLICK on LISTING OF TEAMS FOR LEAGUE PLAY IS COMPLETE 9. DO NOT CLICK on radio dial by the team name just click on Listing of Teams for League Play is Complete 10. The Listing will include the teams that were highlighted in blue - Once the Association Commitment Application is Complete button has been click your teams will be sent to NCYSA. 14

15 Classic Teams Enroll for League Play All your teams will appear yellow/white which means they have all been ENROLLED in the Fall League - 2. Ready to : Print Association Commitment Application Form 3. The Application will print to the screen along w/ printing tips please review the printing tips!!! DUE DATE: must be RECEIVED in NCYSA OFFICE by June 10, 2013 SPRING: November 4,

16 Association Commitment to Classic League 1. Form will print to screen 2. Review printing tips 3. Print 4. Complete the form w/ Association s Information. Remember: Association designee must be noted on the Association 2013/14 Membership Renewal form. 5. Signature is required. 6. Fax completed for to NCYSA: attn Colby ( ) 7. Fax is due by midnight Fall: June 11, 2013; Spring: November 4, 2013 to the NCYSA Office. 8. Associations can submit more than one Application if a team was overlooked or an additional one needs to be added prior to the deadline. Please communicate with Colby if you have teams that may NOT make or potential ones that may need to be added late. BE AWARE of the penalty fees that may be imposed. 9. If you are not sure of a team include on the application notify Colby IMMEDIATELY if the decision is made NOT to field the team. (colby@ncsoccer.org) ext. 227 Deadline is June 13 SPRING: November 4,

17 Association Commitment to Classic League 1. You can check the status of your Commitment Form or print an additional Form at anytime. 2. Go to MAIN MENU 3. Choose: Classic League Association Commitment Application 4. Below shows a listing of Applications submitted by this Association hopefully most of you will submit only ONE or possibly two applications for the 2013 Fall League (2014 Spring League) 5. White Approved by NCYSA team names are then sent to Soccer In College 6. Yellow: Application has been submitted to NCYSA but not approved yet. 7. Red: An application would be pending (teams still in blue in the Classic Fall (Spring) League Option) and yet to be pulled on to a list/application. 8. NOTICE: When your application appears in WHITE teams are then available in Soccer In College and the team manager/team official can begin to complete the Team s Intent to Play. 9. REMINDER: The team name submitted on the Association Commitment Form will be the OFFICIAL TEAM NAME for the 2013/2014 Seasonal Year. ie. how the team will be listed in the registration database, Soccer In College and on the list for Notification to Travel. 17
