Minutes From The Previous Meeting These were distributed out, read and taken as a true record with the exception of a typographic error in the date of the meeting. Treasurers Report Central Account The Treasurer noted that the balance in the Central Account at the end of December 2017 was (the balance as of the end of March 2017 was around 16000). It was therefore agreed to allocate 7500 between the Artistic and Rhythmic accounts based on gymnast numbers at the end of the calendar year. This amounts to 6122 to the Artistic account and 1378 to the Rhythmic Account. This was agreed by committee members and the Central Account was accepted. 2 Artistic Account Although the account is showing a large balance, this includes a 9440 grant for equipment that is incorrectly identified as for leotards and tracksuits. Equipment has now been purchased. A discrepancy can also be noted between expenditure and income associated with both Gymfest and Grades. Some of this can be attributed to the split between financial reporting years. Proposed: Kerry Trueman Seconded: Laura Sutherland Rhythmic Account No additional commentary was necessary on the Rhythmic Account. Proposed: Valerie Calder Seconded: Kyla Moodie (See Attached Sheets for each account) 3. Chairpersons Report Julia provided the Chairpersons Report. She thanked the coaches who dedicate their time freely to make the club such a success. The children at the club work hard attending each week and training hard and we continue to try to accommodate all children who wish to take up the sport although space is always limited. As a club, we are competing more and performing at more displays and our own annual club competition was a popular event drawing a bigger audience than last year with the standard of entries particularly high. Our annual show Animal Antics also went down a blast with everyone. A big thank you to all in the past year including all of the committee members and parents who have helped out and continue to help the club maintain high standards. 4. Coaches Reports Artistic Kerry provided the meeting with an overview of what the Artistic side of the club had been up to over the previous 12 months. She started by thanking the team of coaches and helpers who come along each and every week passing on their knowledge to all our gymnasts. Over the year several coaches attended courses to improve their skills and add to their qualifications and the club can now boast more Level 2, Sports Acro and Team Gym qualified coaches. The senior/competitive gymnasts attended competitions throughout the year and came away with medals and fantastic scores wherever they went. Gymnasts from the Juniors, Progression, Development and Advanced classes were also invited to take part in competitions held in Alness and Inverness, again showing that our club is a force to be reckoned with coming away with individual and team medals. Our club competition was also well attended with over 80 gymnasts taking part. There was a Come and Try Session in September for children in Primary 1 and Primary 2 and after some re-shuffling of our existing classes we were able to offer all 47 children a place at our club. The offer was taken up by 45 children and our new members started their gymnastics journey in January

3 Our annual show Animal Antics was another great success with two sell out performances taking place in November. Our display team Fusion took part in displays all over the county as well as performing at the National Gymfest in Ayr (May) and the Scottish Gymnastics in Perth (November). Their routine entitled Little Box of Horrors went down incredibly well having show-cased a shortened version of the routine at a previous Gymfest Gala Night Our club is, as always, at full capacity teaching gymnastics to 165 children. Our classes range from our Introductory class through to Beginners, Juniors and Intermediate classes on the recreational side of our club. The Competition side consists of our Progression class through to Development, Advanced, Seniors and Grades. This is testament to the hard work and dedication that all our coaches and helpers put in each week. We were successful in our Awards for All application that meant that we were able to purchase more equipment. We purchased a mini bar package, folding crash mat, junior springboard, rebounder kit, folding wedge, low beam, beam matting, 4 spotting blocks, competition springboard, run up mat, beam widener, landing block, beam pad and a T Trainer. In addition, we used club funds to purchase a vault, beam, 2 crash mats and 4 coaching blocks. We also received a very kind donation from one of our coaches, Andrew, to purchase a springboard surround. At the request of the High School we had to give up our equipment store. We have, however, been allocated an alternative store which is bigger and has plenty room for all our existing and new equipment. Our club continues to thrive and I can only hope that this will continue on for many more years to come. Rhythmic Diane provided the meeting with an overview of what the Rhythmic side of the club had been up to over the previous 12 months. The club remains recreational and non-competitive. They continue to work hard improving body and apparatus handling skills and work towards attaining higher skills and higher display achievements. For a number of reasons, gymnast numbers had fallen towards the end of the session in June 2015 but by the end of 2015 they had returned to normal numbers. There continue to be requests for new children to join the club at age 7-8 years so it was decided to trial a few and this has worked really well so far. The 8 new gymnasts are really enjoying the sport and there have been many further requests for places within the club. The Rhythmic section, as always, enjoyed taking part in the annual show but this year also travelled further afield, with the display team attending an event alongside many other UK clubs in Dublin. This is the furthest the Rhythmic section of the club has ever travelled. It was very successful and it is hoped that there will be further similar opportunities in the future. The display team also performed at more local events including the Miller Academy School Fayre. All in all everything has gone well this year and everyone continues to enjoy themselves. A priority for the next year is replacement of some equipment that is begging to get worn. 3

In her absence was has been agreed with Scottish Gymnastics that Norma Mill could be appointed to this role ahead of her attendance at the required course in May. Any Other Business Spending Budgets It was proposed that consideration needs to be given to forward planning for spending as currently there is no prior approval required for spending. This could lead to overspending and disagreement over how funds have been allocated. It was agreed that categorising spending and allocating an annual budget for each e.g. show, competitions, equipment etc. would be beneficial. This could then be used alongside a template form for approval of expenditure in advance of making purchases. It was agreed that this was to be discussed further at a subsequent committee meeting and a suitable process was to be established. It 4

5 was highlighted that this must allow for flexibility and not be overly onerous whilst achieving the overall goal of improving budgeting. Funded Coach Places at Events It was also suggested that there should be general rules surrounding how many funded places (for coaches) are available for each event e.g. competition, gymfest etc. This should be based on the number of gymansts attending and the requirements for adequate coaching / supervision dependent on the type of event. Again, it was agreed that this was an issue to be discussed in more detail at a future committee meeting. Safeguarding The required Safeguarding training for a number of the coaches is due to expire this year and discussions are underway to try to secure a training event in Thurso in August. 7.
