3 FIRST LEGO League Jr. Expo Greetings Teams You are in for a fantastic experience so please read this packet in its entirety to maximize the fun (Don t forget to share it with all team member parents) If your team is unable to attend, please contact the event manager as soon as possible. 5 Food Outside food is NOT permitted in the facility. Several children attending have peanut allergies. Please make sure team members eat before event. (It s difficult to have fun if you re hungry.) Dress Dress for all teams and spectators is casual. In fact, we encourage your team to adopt a fun and unique team identity, which allows others to understand something about your team, your engineering experience, or your Project. Most importantly, dress comfortably and remember to HAVE FUN Team Size The maximum number of children allowed on a team is six (6). All youth team members must be between the ages of six (6) and 10. Team Check-in Coaches Only. Team check-in will run from 8:30 am - 8:55 am. Please know your team number Coaches must submit the following to the Team Check-in Volunteers upon arrival to the event: Consent and Release Form: A FIRST Consent form is required for every team member and Coach who will be with the team during the event. Form is available on the stlfirst.org website team portal page under Challenge Season Info/Challenge Season Documents. Click to expand. Team Roster (for events held in the United States and Canada): Download your team roster from the team registration website, print a copy, and bring it to Team Check-in. Staple additional FIRST Consent and Release Forms to the Team Roster for any youth team member or Coach that does not have an electronic consent form on file. A FIRST Consent form is required for every team member, Coach, and Mentor who will be with the team during the event. Don t forget to bring the following items to the event: Your Show Me Poster, Model and any additional LEGO pieces you may need for model repair. Your computer and power cord. Make sure everything is fully charged ahead of time and ready to go. There is no electricity provided at tables. A box or small bin to carry your model to and from the reviewing room. Note: Although we do not anticipate any problems, FIRST LEGO League Jr and Host venue are not responsible for lost or stolen items. Please use common sense and do not leave valuables unattended. 6 Reviewing Team reviewing begins at 9:00 AM. FIRST LEGO League Jr. teams will each have the opportunity to meet with a pair of Reviewers. This session is an opportunity for your team to tell about all they have done during the AQUA ADVENTURE SM season. Teams are not required to have a pre-planned presentation, but if they do, please make sure to inform your Reviewers of this as you enter the reviewing area. If you do not have a preplanned presentation, Reviewers will use this time to ask team members questions about their Model, Show Me Poster, research and Core Values. (3) teams are assigned to a presentation room. In random order, each team will present their AQUA ADVENTURE challenge to a pair of Reviewers, other teams and spectators. After each team presentation Reviewers will follow up with Q&A. Most likely questions are listed in the team s Engineering Notebook. During your reviewing session, Coaches and audience should be silent observers of the reviewing process and refrain from influencing the session in any way. All cell phones (team members & Coaches) must be turned off during the reviewing sessions. Team Pits The Pit is where the all team expo and robot demonstrations will occur. It s here where you will display your poster and model for public viewing. This is also the area where you can enjoy downtime, get to know other teams, and see their posters and models and learn about the other FIRST robotic programs until the Closing and Awards Ceremony. Your team will have access to: One standard-sized table Two (2) chairs Some Pit Area Rules to keep in mind: Adults should NEVER work on the Model. Teams and Coaches should behave as Gracious Professionals when participating in team activities. Awards Awards will be presented at this Expo. All awards are non-competitive and teams are chosen based on what the Reviewers wish to highlight. Page 6
7 Spectators The Expo is free and open to the public. Venue layouts vary. Please be aware that some presentation rooms may be small and only allow space for presenting teams and coaches. What is Gracious Professionalism? Gracious Professionalism is part of the ethos of FIRST. The idea and phrase are found throughout FIRST, but no one has been a stronger champion than FIRST National Advisor, Woodie Flowers. Gracious Professionalism is a way of doing things that encourages high-quality work, emphasizes the value of others, and respects individuals and the community. With Gracious Professionalism, fierce competition and mutual gain are not separate notions. Gracious professionals learn and compete like crazy, but treat one another with respect and kindness in the process. We expect all team members, Volunteers, Coaches, and families to behave as Gracious Professionals. Thank you in advance for keeping our events positive Expo Cancellation Policy Events for our region are booked and scheduled in advance. Our policy is that no event is ever rescheduled. Event managers have the authority to cancel an event if their facility determines conditions to be unsafe. This policy would apply to inclement weather, any other public safety issue, or lack of volunteers. If an event is not cancelled, it is up to the discretion of the parents and coach to determine if they will attend. No refunds will be given in these situations. 9 FOR INSPIRATION AND RECOGNITION OF SCIENCE AND TECHNOLOGY (FIRST ) CONSENT AND RELEASE AGREEMENT Participant Name (full legal name): If Participant is under 18 years of age, Parent/Guardian (full legal name): Participant Date of Birth if under 18 years of age [MM/DD/YYYY]: Participant Address: Participant (If Participant is under 18 years of age, Parent/Guardian ): Participant Team Number The Participant identified above ( Participant ) desires to participate (as a team member, coach, mentor, judge, or in some other manner) in the FIRST Robotics Competition, FIRST Tech Challenge, FIRST LEGO League, FIRST LEGO League Junior, or another FIRST program (the Programs ). As a condition of allowing Participant to participate in a Program, For Inspiration and Recognition of Science and Technology ( FIRST ) requires that the Participant (by his or her Parent/Guardian if under 18 years of age) agree to the terms of this Consent and Release Agreement. 1. Participant (and the Parent/Guardian of a Participant under 18 years of age) understands that participation in the Program will expose Participant to risks of injury including, without limitation, injury from; building, lifting, and using electrical/mechanical robots and robot components; using tools; other participants; dancing and other associated activities. Participant (and the Parent/Guardian of a Participant under 18 years of age) understands that FIRST does not select, employ, supervise or otherwise exercise authority or control over the coaches, mentors, and other participants in the Program. Participant, if 18 years of age or older, acknowledges and agrees that he/she is primarily responsible for his/her safety. The Parent/Guardian of a Participant under 18 years of age acknowledges and agrees that the Parent/Guardian i s primarily responsible for the Participant s safety and that the Parent/Guardian will monitor, as appropriate considering the age of the Participant and other factors, the Participant s participation in the Program. 2. In consideration for FIRST allowing the Participant to participate in a Program, Participant (and the Parent/Guardian of a Participant under 18 years of age for and on behalf of the Participant and the Parent/Guardian) assumes all risk of such participation and hereby releases FIRST and (except as expressly provided below) all FIRST directors, officers, employees, volunteers, and agents from any and all claims for any injury of any kind to the Participant (and the Parent/Guardian) or other damages that may occur as a result of the Participant s participation in the Program, including without limitation any injuries or other damages that may be caused by the negligence of FIRST or negligence of any FIRST director, officer, employee, volunteer, or agent (including without limitation negligently failing to adequately investigate or screen coaches, mentors, volunteers, etc.), and agrees not to file any lawsuit or otherwise make any claim against FIRST or any FIRST director, officer, employee, volunteer, or agent for any such injury or other damages. The Participant (and the Parent/Guardian of a Participant under 18 years of age) does not hereby release any claims against any individual person who intentionally causes injury to the Participant. 3. Participant (and the Parent/Guardian of a Participant under 18 years of age) understands that photographs, videotapes, and other recordings will be made of participants in the Program s, including the Participant. Participant (and t h e P a r e n t /Guardian of a Participant u n d e r 1 8 years of age) c o n s e n t s to t h o s e photographs, videotapes, and other recordings and the use thereof (i) as part of a record of the Program and (ii) to promote FIRST and the Program s. Participant (and the Parent/Guardian of a Participant under 18 years of age) has read this document and understands that this Consent and Release Agreement includes a waiver of the right to make injury claims that is intended to be legally binding.
