7 BOWL GAME SCHEDULE: Post season bowl game attendance is MANDATORY. Failure to attend bowl game will result in a retroactive lowering of the final grade by two letter grades. No excuses will be approved. All of your Winter Break plans should be tentative until the bowl game is announced around December 10th. Game Day Schedule Game Day schedule will be announced via on the Monday preceding the game. Depending on the kickoff time, HOT may hold a rehearsal in the morning. Any member who misses that rehearsal will incur a rehearsal absence, and not be allowed to perform on the field at the game (but must attend and perform in the stands). HOT MEMBERS ARE EXPECTED TO BE AVAILABLE ALL DAY ON GAME DAYS. Do not schedule activities in the morning even if you know kickoff is 7pm. 7

In case of inclement weather during the outside/evening rehearsal block, the Color Guard will move into the upper gym at the Campus Recreation Center, the winds will move back to Theatre 2 and the percussion will stay at the Fowler Field pavilion or move to Theatre 1. 8

9 Inspection Before each performance, leadership and staff will conduct an inspection of uniforms and instruments. The purpose of the inspection is to ensure that all equipment is at top performing condition and the uniforms look professional. Uniform inspection will be conducted as follows: All uniforms must fit correctly. Proper pant length is the responsibility of the student Uniforms must not be wrinkled The 2009 HOT t-shirt must be worn underneath uniform Shoes must be flat black marching shoes. Tennis shoes and shiny black shoes are not acceptable Gloves must be black marching gloves with no holes Socks must be black and must at least reach mid-calf. Ankle socks are NOT ALLOWED Hair must be pulled back and kept off the collar, inside the hat Hair color must be natural or professionally colored (no spray-colored green hair) Earrings- no hoops bigger than a dime, and no more than 3 earrings per ear Facial hair must be well groomed No ribbons, of any color, may be tied in your hair, uniform, or equipment. Only officially licensed temporary tattoos are allowed and only one per side of face Sunglasses are always allowed at the road show, but are at the Director s discretion for pre-game and halftime. When sunglasses are not allowed, they must be stored out of sight (i.e. inside jacket, not on top of hat.) Sunglasses must be black or brown no neon, white, etc Wind instrument inspection will include: Mouthpieces & Reeds, clean and playable (discretion of the section leader) Saxophone neck straps must be either black or green Flip Folders Slides/Valves- Must move freely All brass instruments must be polished before each performance Percussion inspection will include: Sticks and mallets must be properly taped. Drums and cymbals must be cleaned and in excellent working condition. Must have all needed accessories (wrist bands, gloves, bags, scoops) ANY INSPECTION FAILURES WILL RESULT IN ONE ABSENCE BEING ADDED TO YOUR ATTENDANCE RECORD. Communication 9

10 Students must be in the Blackboard system and check it regularly. Announcements, attendance, & grade updates will be in Blackboard. Students are expected to check their daily for announcements. Students are STRONGLY encouraged to register for MoBull text messaging. *Set MoBull to send Blackboard announcements to your cell phone. If HOT rehearsal is delayed or cancelled, it will be announced 3 ways: 1) LIGHTS ON means rehearsal is delayed. LIGHTS OFF means it is cancelled. 2) An announcement will be sent (you can get this via to your phone) 3) A blackboard announcement will be made (you can get this via MoBull text) DO NOT GO HOME UNTIL YOU HAVE 2 of the 3 CONFIRMED!!! Travel The USF Athletic Band program has traveled extensively during their existence. As a member of the HOT Athletic Band program you will have the opportunity to travel the world to represent the University, support USF athletics and perform at national competitions. Out-of State trips to El Paso TX, Birmingham AL, Charlotte NC, New York NY, Hartford CT, Dayton OH, and many others are possible as a member of our Athletic Band program. In-State trips to Orlando, Ft Lauderdale, Boca Raton, Daytona Beach, Miami, St Petersburg, Pensacola, Gainesville, and Tallahassee are also common destinations for the HOT Athletic Band program. As a member of the HOT, be prepared to travel and represent USF, Tampa, and the State of Florida at the highest level of performance and maturity as we perform for over a half a million people each year! Conduct - The use of alcohol or any illegal substances that impair an individual s ability to represent the Herd of Thunder, School of Music, or the University of South 10

11 Florida in a positive manner will not be tolerated. Violators may be dismissed from the HOT, and/or reported to USF for additional consequences. - Smoking is not tolerated during any rehearsal or performance. Even if the band is on a break smoking is not permitted while we are functioning as a group. Anyone smoking in uniform or during a rehearsal may be dismissed from the HOT. - You are responsible for your USF uniform, and any USF equipment checked out to you. This equipment, which is given to you at no charge, is your responsibility during the season. Please keep all uniform parts properly maintained and all instruments in good working order. If you lose, damage, or destroy any USF equipment that is entrusted to you, you will be held financially responsible for its repair or replacement. A hold will be placed on your records & account until restitution is made to USF. - Uniforms must be worn COMPLETELY and correctly at all times in a performance venue from the time we arrive at our performance destination until the time we depart. The HOT Band is never seen in half uniform unless the Director deems this necessary due to severe heat. - HOT members are expected to have their music and or visual work prepared for the best possible performance. - In the stands, the band will stand and sit together as decided by the Director or Drum Majors. - Please pay attention and listen while in the stands, we will use hand signals and the long rangers for constant communication. - There will be no talking on the field during a performance for any reason. - Everyone must be on their best behavior at the games, and enthusiasm is expected. Rudeness, profanity, and disorderly conduct will not be tolerated. Engaging fans at any time, for any reason, is not allowed. The HOT has a welldeserved reputation as a first-class organization that has the very best students representing our great university. - Bus assignments to football games will be determined by the staff. Bus sign-ups for away games bowl game, and any other trips will be done prior to each trip. - While in the stands you may not leave unless you have a restroom emergency in which case you should notify a staff member and return as soon as possible. - During football games you may not enter the stands where the general audience is sitting. - Eating in the stands will only be done on breaks, at the discretion of HOT staff. 11

12 - Cell phones may not be used during rehearsal or at anytime while in uniform, if you are seen using a cell phone, this will result in a tardy. Additional violations will result in more severe consequences. Rehearsal Etiquette - Section Leaders and Officers: Section leaders and officers will be called upon by the Director to fulfill numerous responsibilities. Some of these responsibilities may include: setting drill, running sectionals, and insuring that rehearsals run smoothly. These leaders were chosen for a purpose and must be given the same respect as instructional staff to insure a productive rehearsal. - The HOT rehearsal is a time to practice, please leave any other outside issues or personal concerns outside of the HOT rehearsal area. Be prepared to learn and clean drill/music as quickly as possible. - Please arrive 15 minutes before a scheduled rehearsal and be on the field ready to go at 6pm. - Talking during rehearsals will negatively affect our performance abilities. Please do not treat rehearsal time as a social event. Along those lines, it is imperative that the Director and HOT Leadership have your undivided attention during rehearsals. Therefore, engaging in distracting behaviors - such listening to mp3 players during rehearsals is strictly prohibited. - Be flexible in rehearsal, changes will occur daily to improve our performance effectiveness so be flexible, adjust, and make it happen. - Be courteous and respectful to all band staff at all times. They are required to treat you in a similar manner. - Instructions will be given to you from both the tower and the field. When the Long Ranger is being used, it is the priority and all other instruction should cease. Field instructions will be given when the Long Ranger is silent. Grading and Attendance 12

13 All Members of the HOT Marching Band are required to enroll in Marching Band class at the University of South Florida for academic credit. Students who attend other local institutions must enroll as a Non-Degree seeking student. Stipends will be disbursed ONLY to those students who are officially registered members of the class each Fall and Spring semester, and who receive a final grade of A or B. Absences: You are permitted only two (2) absences to use at your discretion during the season. Each absence thereafter will result in the lowering of your final grade by one letter. An attendance grid is posted on the truck each Monday and also on Blackboard for your convenience. It is your responsibility to be aware of your absence and grade situation. -If any member has an absence from the last regular rehearsal prior to a game (i.e. Friday night s rehearsal before a Saturday game) or from the game day rehearsal, they will not be allowed to perform on the field with the band at that game. Absences are not excused or unexcused an absence is an absence. You may appeal to the HOT Logistics Coordinator, Doug Moser, for possible excusal or grade adjustment. He will review only absences due to EXTREME and UNAVOIDABLE circumstances. Any attempt to excuse an absence must be within ONE WEEK of your return to rehearsal. 0-2 absences from HOT rehearsals = Semester grade of A 3 absences from HOT rehearsals = Semester grade of B 4 absences from HOT rehearsals = Semester grade of C 5 absences from HOT rehearsals = Semester grade of D 6 absences from HOT rehearsals = Semester grade of F (and Dismissal from the HOT) - Once you reach the sixth absence you will be dismissed from the HOT. - Games, Parades, and Exhibition performances are MANDATORY. A missed performance of any kind will lower your grade by one letter. - USF Bowl Trips are MANDATORY. A missed Bowl trip will lower your final grade by two letters. Conflicts for any of the possible bowl trips must be made known in writing, to the Director by August 22 nd. Vacations will NOT be excused. - Emergencies must be documented by the hospital, doctor, or police to receive consideration for excusal. An excused absence form must be submitted within one week of the absence. - You must have your flip folder and drill with you at practice. If the band captains do not see it with you in warm up arcs, it will count as a tardy. - Using cell phones or any other electronic device, will not be tolerated, and violations will be recorded as a tardy. Consistent violations will result in absences. - Athletic shoes are REQUIRED at rehearsals. Flip-flops and bare feet are NOT allowed. A violation of this policy will result in a tardy. 13

14 You are considered tardy if you have arrived at rehearsal after 6:00 pm, there is NO grace period. After 6:15 the tardy becomes an absence unless there are extreme mitigating circumstances. (This is to ensure that members don t show up for the last half hour of rehearsal and attempt to count it as a tardy). If you arrive after the band captains have completed attendance, you must notify Josh Hollenbeck (GA in charge of Attendance) of your late arrival so that you will not be considered absent. The tardy policy is: 1 tardy to HOT rehearsal = No penalty Every tardy after the first one = ½ an absence CLASS CONFLICTS - If you will be coming to rehearsal from a class across campus and may be slightly tardy on a consistent basis, you will need to fill out a HOT Class Conflict form in order to have those tardies excused. This applies to chemistry tests and other class conflicts as well. Stipends All members of the Herd of Thunder will receive a stipend for successful participation in each activity. Registration in the USF Course MUN1110, and a grade of A or B is required to receive the stipend. Stipends are posted to each student s USF account, once any university charges have been deducted the remaining balance will be mailed to the address on file at USF. Herd of Thunder Marching Band (Fall Semester) First year: Receive a $ Stipend Veterans: Receive a $ Stipend Leadership: Receive a $ Stipend STIPENDS ARE NOT GUARANTEED. YOU MUST ACCEPT THE POSSIBILITY THAT STIPENDS WILL BE REDUCED OR WITHELD COMPLETELY. Costs 14

15 All members are required to pay the HOT Band Fee during registration. These items must be purchased new each year. Failure to pay at registration may result in your not being assigned a drill spot for the pre-game or halftime shows and may jeopardize your HOT membership!. HOT Band Fee - Winds $80 (Shirt/Cap, Flip, Poncho, Banquet) HOT Band Fee Guard $70 (Shirt, Banquet, Cleaning, Bag, Poncho) HOT Band Fee Drums $70 (Shirt/Cap, Poncho, Banquet, Supplies) HOT Band Fee Twirlers $40 (Shirt, Banquet, Poncho) All members must have the following items. However, you only need to purchase items you don t already own. All items will be available for sale during the week of band camp. Black Marching Shoes $25 Black Band Gloves $5/pair (get at least two pairs!) HOT T-Shirt $10 (an extra shirt is suggested as well) Color Guard Warm-up Suit $70 (Rookie Guard only) The HOT Band will supply members with uniforms and instruments free of charge as available (brass, piccolos, tenor saxophones, and percussion only). Members are required to dry clean their uniforms as needed. Instruments are also expected to have received routine maintenance. Checks need to be made out to Kappa Kappa Psi, Cash is also accepted. University Policies University Policy on Observance of Religious Holy Days Students who seek to be absent under the university policy on religious observances must give notice no later than the second class meeting (August 28 th ) by providing the Director with an stating the date and name of the observance. Learning Disabilities Any student with a disability is encouraged to meet with the Director privately during the first week of class to discuss accommodations. Each student must bring a current Memorandum of Accommodations from the Office of Student Disability Services, which is prerequisite for receiving accommodations. Accommodated examinations through the Office of Student Disability Services require two weeks notice. All course documents are available in alternate format if requested in the student s Memorandum of Accommodations. Internet Guidelines 15

16 Announcements & s Any communication from the Director or Staff to HOT members should be considered private information for the Band. These communications should not be forwarded to message boards or the media. If a HOT Band communication is for public release, it will be clearly stated. Media Interviews HOT members will NOT grant interviews with news media (print, television, or internet) without specific permission from the Director. This includes The Oracle. When reporting the interview request to the Director, include: Publication, Reporter & Topic. Message Boards HOT members will NOT comment on ANY message board on the topic of University Athletic Bands (even if the comment is positive in nature, or to defend a school s Athletic Band program). When commenting on message boards about non-band subjects, members will NOT identify themselves as members of the Herd of Thunder. Facebook, MySpace, and other picture hosting websites. HOT members will not post, or allow others to post images or descriptions of themselves engaging in any of the following on any picture hosting website: a. ANY illegal activity b. Underage alcohol consumption or possession c. Irresponsible legal alcohol consumption d. Illegal drug use or possession, or abuse of legal drugs e. Inappropriate stages of undress f. Any behavior that could reflect a negative image on the USF Athletic Band program. Consequences Any violation of these policies could result in a variety of consequences of the Director s discretion, including immediate dismissal from HOT Band, with a grade of F. 16

17 Membership Selection Paradigm STATEMENT The USF Herd of Thunder (HOT) Marching Band has enjoyed considerable success over the past several years, resulting in exceptional growth in the number of participants and excellent retention of returning members. As a result of numerous considerations, this year s HOT Marching Band will not exceed 320 registered members. This decision is the result of thorough discussions and careful consideration, and is fully supported by the USF Athletic Band Director, Director of Bands, Director of the School of Music, Dean of the College of Visual and Performing Arts, Athletic Director, and Provost of the University. Deciding factors include: Marching Band operating budget, allotted travel budget, school owned instruments, storage, facilities, and infrastructure. The ultimate goal of the USF Marching Band program is to continue to grow in size. However, membership will remain at 320 members for the foreseeable future, until such a time that the factors listed above allow for additional growth. MEMBERSHIP CATEGORIES Color Guard, Percussion, Drum Majors, and Majorettes: Must participate in the Spring/Summer audition process. This process will be completed and members selected by July 15 th. The instructors of these groups will post audition information on the HOT website by March. Returning Winds ( Vets ) Same instrument: Any member returning to the band on the same instrument will be automatically granted membership. (The Director reserves the right to notify any returning member they are not automatically granted a position at Band Camp Registration for any reason.) Returning Winds ( Vets ) Changing Instruments: Any member returning to the band who wishes to perform on an instrument which they have never performed on in a USF ensemble must: A) Notify the Director by July 1 st, B) Privately audition for the Director on the new instrument by August 1 st. If the member does not pass the audition, they are invited to return to their original instrument, and automatically granted membership, or to go through Band Camp as a Rookie on their new instrument. If the member passes the pre-audition, they will be automatically granted membership on the new instrument. New Winds ( Rookies ): All Rookies will enter into the Membership Selection Process as outlined on the next page. The audition process is comprised of both playing and marching elements. Definition of Returning Member ( Vet ): Any USF (or properly registered USF NDS) student who completed a full season of USF Marching Band with a final grade of B or higher, and received a stipend. 17

18 MEMBERSHIP SELECTION PROCESS In order to maintain the highest possible musical and marching standards, all new members Rookies will go through a brief but rigorous audition process. Returning members in good standing are exempt for the foreseeable future. Membership selection will be determined through group and individual performance situations during the first three days of Band Camp. Some students who are not selected as permanent members will be offered alternate status, which will be used to fill in holes as the season develops. These students will come to every rehearsal and performance with the possible exception of the bowl game. Students will be evaluated in the following areas: Musical Performance: Pre-Game, Show #1 (music available before Aug 1), scales, sightreading Visual Performance: Fundamental marching ability, the ability to play while marching Learning Ability: How quickly new musical and visual concepts are mastered. All students will participate in every music and visual rehearsal through the Tuesday evening at band camp (some shadowing or spot-swapping will occur in visual rehearsals). Students will be required to perform musical selections and march individually for staff members as part of the selection process. ALL MEMBERSHIP SELECTION DECISIONS WILL BE MADE BY STAFF. NO STUDENTS OR STUDENT OFFICERS WILL BE DIRECTLY INVOLVED WITH MEMBERSHIP SELECTION DECISIONS. ANNOUNCEMENT OF SELECTED MEMBERS The Director will the full membership roster by 9:00 am on the Wednesday of Band Camp. Any students who are not selected must drop the class by Monday, August 24 th or they will be automatically dropped by the Music Advisor. It will be the responsibility of all members who are selected to register for the course through OASIS before the add/drop deadline (Friday, August 28 th ). CAMP REGISTRATION PAYMENT & REFUND All students registering for Band Camp will pay a fee to the Band Fraternity Kappa Kappa Psi for: T-shirt, hat, flip folder, lyre, banquet ticket, drycleaning, etc. For winds, this total is $80 (fees for Percussion, Guard, etc. vary). If a student is not selected for membership in the USF Marching Band, they may return their non-used/non-laundered shirt & hat and receive a full refund from Kappa Kappa Psi. Or, if they choose, the student may keep the shirt and hat and be refunded $55. Refunds will be available Monday, August 24 th in the HOT offices. 18

19 HOT CREW The HOT Band requires the support of volunteer students known as the HOT Crew. These students assist the band with equipment, and other physical support at football games. HOT Crew does not attend rehearsals, but may be requested to under special circumstances. HOT Crew volunteers do not register for the course, and will not receive stipend, credit or a grade. Students who are not selected for the Marching Band may apply for membership in the HOT Crew, however returning HOT Crew members have first priority. If a member of the Marching Band quits or is removed during the season, there is a possibility of promotion to Membership from the HOT Crew. In this case, the student must register through OASIS, and is responsible for their tuition, band fees, and late registration fees. 19

20 CLASS CONFLICT - EXCUSED TARDY FORM Use this form if you will be consistently tardy to HOT Band because of a class that releases AFTER 5:45. Work schedule is NOT grounds for excused tardy.
