Question from the floor from Ray Cooper - Is it a legal requirement to announce the number of votes each person receives in the election result? Members did not agree that numbers should be declared to save candidate from embarrassment and possibly not trying again for a position in the future. The question was answered by the facilitator who said it was a constitutional requirement to do so and that the BOM had agreed to do it this way. This was not the case and BOM members conferred amongst themselves and with the facilitator as to the inaccuracy of the comments but did not challenge it publicly and the statement was not retracted. Comment from the floor from Sean Kavanagh (new bowler and club member) - grateful for the friendship and encouragement given to him by members of the club Ian Mays addressed the members - spoke well of Phil Cogan and his contribution to the club during his term as Men s President. 12 Board of Management President s Report Alan Dobie This is my first report to our members as the first president of the first board of management under our new regime since the demise of the old RVBA and VLBZ. Basically, nothing has changed except we now have one controlling Board for all members instead of 2 committees but the principles remain the same - we all work together for the enjoyment of the game of bowls and the satisfaction of all our members. A new aspect of our operations this year is that all Board members have a specific area of responsibility and this new approach has worked well. Firstly, I would like to thank my fellow Directors for all the hard work put in during the year. We are all volunteers and give of our time and expertise freely for the benefit of everyone at LBC. Additionally, we are blessed here at LBC with a large number of members who also give of their time and abilities freely; the ladies who take care of our catering needs the blokes who keep our greens in top condition - the gardeners who maintain the surrounds the members who run our social bowls: the list is endless. At this point I wish to acknowledge our sponsors who have been very generous this year One of our major achievements this year has been the replacement of our number 2 green with a woven carpet surface which, according to reports coming to me has been very well received. This work was fully funded out of our normal revenue which is primarily takings over our bar. In this regard, i acknowledge the hard work of the several members who staffed (not stuffed) the bar during the year. I will dwell on our bar operations momentarily this operation is the biggest funds generator we have at LBC; the last year saw the bar bring in about $250,000, the actual net profit will be mentioned in the treasurers report but it will be quite important, certainly allowing the club to proceed with the improvements i have stated. This success is due to the hard work of our bar manager, Phil Cogan, who gives of his time to ensure stocks are maintained, equipment is functioning etc. Phil is supported by his troop of volunteer bar staff to whom, I again, offer the appreciation of all members for their efforts. Bar success is also due to the several private functions we have had during the year by hiring out the club facilities and our barefoot bowls program we hold during the season and not forgetting our regular club events. The current club refurbishments have had a negative impact on bar operation for obvious reasons but things will be back to normal soon. On a sad note we lost several of our members during the year, including Ralph Proctor, Jack Coram, Ivy Rhodes, John Bourke. They will all be sadly missed on the greens and around the club. As I write these notes, work is well under way to refurbish the northern section of our clubrooms including both toilets, locker rooms and offices. This work should be completed before the start of the new pennant season. Again this work will be fully funded from the club general revenue. Another project taken on by your Board is the improvements to the lighting on the Proctor green. Whilst I am not an electrician, I am advised that modern technology which we will be utilising will bring a huge improvement to the lighting on that green. On the downside this year, none of our Pennant sides achieved any notable success, although some of our individual bowlers made names for themselves in regional and state competition. In order to improve our Pennant performances on the greens, we have decided to appoint a professional, playing Coach who will hopefully draw better performances from our bowlers for the coming season so we have more pennants to dangle from our trophy room ceiling. In summation; we are a growing club; a happy club; and a successful club in many ways. The areas where we need to improve are being addressed. Its now up to all of us to try and reap some success on the greens in competitive bowls - remember; if you are the runner up in anything, you are the first of all the losers. We want to win more from next season on so we then will compliment the atmosphere and joy which is consistently apparent in our clubrooms. 12 of 24

Thanks again, we can t do without you. Thanks to our accountants - The Field Group and our auditor - Gary McClusky. Members may ask why our subscriptions etc. have increased - the answer is simple - our affiliation fees etc. have gone up that much or more since the last increase. My apologies for not giving comparison figures of our last years balance sheet and profit and loss statement. Computers just don t handle periods longer than 12 months when comparing one year to the last. If you have any queries, simply look up last years report. 18 Board of Management CCO Report Hilary Dobby CCO The CCO acts as a conduit for incoming and outgoing communications between the Club, other clubs and the various Bowling Administrations. Most of the correspondence is mundane, but Bowls Victoria did issue a Special Bulletin which dramatically changes the manner in which membership affiliations are paid and processed. As of 1 st July 2014, all clubs are responsible for maintaining their membership database on the Bowls Victoria website. One single affiliation fee will be charged to the club per year, based on the total affiliation fees paid by each club in the 2013/14 year, plus an adjustment figure. In the 1 st year, this adjustment will be 7%. This payment must be made to Bowls Victoria before 15 th September otherwise the club and its members will be suspended. Lynne Cogan and I have been checking and maintaining the database and are happy that it is currently up to date. Each member has been allocated an individual username and password and can sign on to the website and check their own details and also pay their subscriptions on-line if they want to. Paying on-line will incur a 4% plus GST processing fee, so I doubt whether that will prove a popular way to pay. If you want to find out your user name etc, just ask me and I ll look it up for you. Bowls Victoria will be monitoring and assessing this new method over the next two years. VOLUNTEERS Many of our new members have filled in on their application forms an area of support they may be able to give the club on a casual basis and this has proved most welcome and satisfactory over the year. However there are also a number of members who have omitted this section of their form and we would urge them to contact Karyn Edmonds to specify the ways in which they may be able to help, either gardens, social and catering, bar, maintenance around the club etc. Two Devonshire morning teas were held during the season which were well supported by the ladies. Board of Management Vice President s Report Firstly I would like to thank all the serving board members and their hard working committees for their tireless work which becomes very transparent to all through the new green and current renovations of the administration and toilet facilities. Overall the club is well placed for the future with the club renovations now providing a great environment and their is also recognition to ensure that we continue to improve and grow as a competitive bowls club which is the main essence of the club. From a overall bowls perspective the biggest challenge is recruiting younger people to play to ensure the future and reconsider our position with the ladies pennant competition to ensure our ladies are not lost to the game of bowls. 19 Board of Management Director for Tournaments & Sponsorship Report Graham Waldron SPONSORSHIP- ADVERTISING SIGNAGE This, being the first season operating under our new constitution and committee structure, has been testing yet satisfying, highlighting that change is inevitable but not necessarily bad. Sponsorship, advertising and signage is one of our most important methods of raising finance to enable the club to host the many tournaments and club championship events over the season. George Heinink supported by Mark Morgan and Gerard Credlin have certainly excelled in the fund raising stakes. Due to the economic climate we have lost several sponsors and some have reduced their contribution, but these guys have knocked on doors and coerced extra dollars from some existing sponsors as well as signing up new support. New sponsors in the and coming season : Angoves with an increased package which included substantial donation of wines, umbrellas and bar mats and shelter signage Flight Centre who sponsored a tournament and new shelter signage Valley Views new shelter signage and tournament Montrose Foot and Ankle Clinic new shelter signage and bowls mats Metric Tile new shelter signage The Firewood Man Ahaan Thai Restaurant Poolwerx Tiger Turf Lambles Tours sponsored Club Mixed Pairs prize CFT International Lend Lease (Evelyn Ridge) new shelter sign Mark Morgan ran the corporate competition and it was a roaring success. You will notice the large advertising signage in the shelters around number one green, these generate $1000 each for a new sign and $500 rental fees every year thereafter. Sponsorships contributed $26786 for the past season. We will improve our mode of operation as we develop and the committee will ensure that the sponsorship support will be maintained in the future. Please support our valued Sponsors. They support you. TOURNAMENTS Lilydale hosted various tournaments throughout the past season. We conducted events such as the Bendigo Bank Open Fours Invitation, Ladies Classic Day, Flight Centre Canadian Pairs, William Matthews Open Triples, and the Easter Tournaments, Open Pairs on the Friday and Canadian Pairs on the Monday. Tournament events generated in excess of $15000 along with money from increased bar sales and raffles. A most successful season run by the Tournament Committee funded by the efforts of the Sponsorship Committee and well fed by the social/catering personnel. 19 of 24

20 Board of Management Bowls Committee, Coaching & Umpires Report Judith Todd BOWLS COMMITTEE Opening Day set the scene for a busy and most successful year for our club. Over 100 people attended and most played on the day. This was the beginning of the many days organised for club members and for members of other clubs who chose to support us during the season. The committee provided a large variety of club championships, club social games and social games for other clubs to be involved. Monday afternoon triples was especially well patronised and provided a chance for other clubs members to visit and enjoy the facilities of our club. Club championship games were well supported and in spite of some not keeping strictly to the proposed timetable, all were concluded well in time for presentation day Special event days were well patronised especially Australia Day, Good Friday and Easter Monday. Anzac Day being so close to Easter was cancelled as few people had indicated they were interested, so a donation was forwarded to Legacy and the bowls committee enjoyed a respite day. Gala day was a profitable day for the club even though the weather did its best to wash away the rinks beforehand. Ten visiting teams came to play as well as our own club teams an all players enjoyed the day. A highlight of the season was the growth of interest in Barefoot Bowling on Friday evenings with all rinks often being booked prior to the day. Phil Cogan and his small team of helpers worked tirelessly each available Friday to ensure that the evenings were successful. This was a great commitment and will be very hard to duplicate now Phil is retiring from the Bowls Committee. The success of all the special event days depends also on the food provided for us all and the Bowls Committee would like to thank all those involved in the preparation and presentation of food on these days. Presentation Day was well supported with 48 players on the green and 38 non players as well at lunch. It was great to have sponsors present as well as life members and also our state parliament representative to conclude our successful season UMPIRING COMMITTEE All games of pennant and club championships were provided with umpires or measurers. Thanks to all who volunteered their services. It was difficult at times to meet the needs of pennant as we really do not have sufficient numbers of trained umpires for a club of our size. In the 2012 to 2013 season 8 people form Lilydale club enrolled in the course but only 3 followed through completely. We had no new umpires trained during the 2013 to 2014 season. Often we get requests for umpires when we have Eastern Ranges competitions here and we are unable to supply these. It would be great if we could find some dedicated club members who are prepared to train as umpires during the coming season. COACHING COMMITTEE It has been a busy season for members of the coaching committee. All new bowlers have received coaching and requests from current playing members have been met. Grant denijs received a grant to become involved in the After Schools Bowls Program. This was a 7 week program where members of the Lilydale club visited After School Program's in local schools and provided series of activities which would help develop bowling skills in young primary schools. It concludes with an evening for children and their parents at Lilydale Bowling club. This is a funded program with all equipment being provided. One program was run prior to Christmas and another commenced in January. This required a strong commitment from this coaching team and was also profitable for the club. 20 of 24

21 The club was pleased to receive 5 bowlers arms from a grant prior to Presentation Day and Christine Fyffe, our state government representative, presented these to club president, Alan and Grant. These will be a great help when coaching is needed for bowlers who need a bowlers arm to continue playing. Rosemary Varty, Bowls Vic current president, will be returning to play at the club when her period of presidency concludes in September, and will be available to coach in this specialised area. At the request of club members the club is seeking the appointment of a part time paid coach to head up the coaching department and interviews have been conducted and are being conducted for this position. AFFILIATIONS AND TRANSFERS Eileen Lerpiniere does all the work in this area. We are constantly receiving requests for membership of our club and also to a lesser degree for transfers to other clubs. All players must be affiliated if they are to represent or play at our club so it is a constant process throughout the season. Each season every player in the club must be re affiliated though there is a change to this process planned by Bowls VIc. Affiliations at Lilydale currently are 206 Another area covered by Eileen in this position, is the application for approval to play with a bowlers arm for members who find they have need of this apparatus. Each month the board of directors is notified of all new members who have been affiliated and those who have transferred in or out of our club. All permits for the use of bowlers arms are also notified to the board. 22 Board of Management Director for Pennant (Selection), Greens & Website Report Karen Morgan PENNANT: I am pleased to advise that we had a successful pennant season both Midweek and Saturday., with 8 of our 12 teams participating in final fours. Midweek we had 2 nd,3 rd 4 th & 5 th sides into finals. Saturdays we had the top side, 3 rd and 4 th teams into the finals - well done to you all. I would like to thank Norma Edwards (Chairperson), Anna Shanahan, Joy Strik, Lorraine Burgi and Frank Sayles for their efforts in getting 6 sides into Midweek Pennant and the success they had when the 5 th Side defeated the 4 th side in Sectional finals. Also Ian Mays (Chairperson), John Bulmer, Richard Burton, Ray Watts and Bill Meyer - I congratulate you all. They did mention however, that the disappointing thing was that they had 10 players pull out of positions they had been asked to play and believe that we could have been more successful had these players continued on in the best interest of the club and their teams. We are currently in the process of looking to employ a part time coach, so with their help, and the help of our coaches I m sure we can have a successful 2014/15 season. GREENS: At the beginning of our Pennant season our greens were inspected by Bowls Victoria. Green #1 & Green # 2 were rated A while Green # 3 was rated a B due to the variation in the bank heights. Our greens have been running nicely, keeping up with the Bowls Victoria ratings. As the weather was very dry our tanks ran out of water so unfortunately we were unable to water them as much as we would have liked. The investment we made with our ride on groomer made cleaning of the greens quick and efficient. We had our second green installed by Tiger Turf and was completed on 16 th August 2013, just in time for the new season. As it has a new base, that has a very thin membrane, it is important to remind all bowlers that there is to be no dumping of bowls on this green. During our off season Ian Conley (Cowboy) will continue to keep our greens in a good and clean condition with the intension of giving them a shampoo in August ready for our new season. We are also looking into the costing of new lighting over green # 1. Thank you to John Newbound and David Morgan who have driven this project and introduced many alternatives for us to select from in order to have the safest, brightest, best light radiating and cost efficient system available. The announcement of the Grant for lighting is on 30 June 2014 by the Shire of Yarra Ranges. To Cowboy and your team of helpers, too many to mention, I would like to thank you for all your time and effort you put into our greens to keep them up to the best standard possible WEBSITE: We have invested in a new website for the club which is more interactive and also displays all of the teams selected on the one page. We have tabs for downloads of the newsletter, most recent photos, club news and calendar. Ray Cooper has been maintaining the Pennant selection pages, however, Geoff Woodrow (Croydon) has continued on to update our photos and downloads and tournament flyers etc. Ray will also keep the TV loop for the sponsors updated. Facebook has been a new feature of the website and is followed by many. 22 of 24

23 Board of Management Director for House & Garden, Catering & Social Report Judy Schuler House Committee Coordinator Jim Ball with the assistance of Ron Ogilvie, John Newbound, & Ian Conley has completed various maintenance tasks around the Club. The Sprinkler Leak to the top green involved jack hammering concrete to have access to repair and complete the task. The path to the 3 rd green has been widened to accommodate gardening equipment and a new hand rail has been installed assisting member s moving between greens. Committee members also assisted with removal/relocation of furniture prior to commencement of renovations to the building. This committee are tireless workers who assist in keeping our club facilities looking great. Guy Tomsett Gardens Committee Coordinator together with assistance from Bob Lepiniere, Ian Conley and the rest of his team have our Gardens looking beautiful. The roses always look a picture, thank you Bob and some shrubs between Greens 1 and 2 have been removed due to shedding leaves on both greens. Our thanks to the Catering Committee consisting of Pat Roubos, Eileen Lepiniere, Gerald Credlin and Elaine Mottola. Unfortunately Pat Roubos was unable to continue after her Accident.Eileen, Gerard and Rod have completed a Food Safety Training Course and have obtained Food Supervisor Certificates, a requirement by the Victorian Health Department and Local Councils. Recently the Shire s Health Inspector inspected the Club kitchen and was impressed with the cleanliness of the kitchen and returned on a day that food was being prepared and served and we passed with flying colours. Thank you Eileen. With Lilydale Bowling Club being a Community Type Club many local Businesses, Emergency Organisations, Sporting Clubs together with Family Occasions have enjoyed their function at the Club rooms during the past 12 months Bowling Events included Opening Day, Gala Day, Australia Day, Men s Invitation Fours, Ladies Classic Day, Presentation Day and the Queens Birthday Triples. All these events were catered by the Committee and for all who assisted on any given day, thank you. The Thursday nights snacks were great and a thank you to Gerard. Other members also provided snacks which were greatly appreciated. Our catering Gurus, Eileen and Gerard jointly received Club persons of the year award. 24 Outer East Rangers (formerly Reclink) Marilyn Hage s Report We started this year not knowing whether we could survive without the support and funding we had received from Reclink for the past eight years. A group of volunteers got together in an attempt to keep providing some activities for people who are experiencing disadvantage or social isolation. We chose lawn bowling, gym, and the Rocky Road choir in Healesville LBC assisted us to put in a submission to the Commonwealth Government Volunteer Grants and we were successful in getting a small amount but enough! So it has been another successful year more than 40 people have had a go. Some are absent for periods due to training courses, casual work or health issues but most return when their commitment is over. Three played Pennant and we hope one or more will join this year. As there is no Reclink competition any more we have organized annual challenge matches against Healesville, Yarra Ranges, and Lilydale we didn t have success but all clubs praised the standard of our three teams. We played our annual challenge against Ballarat Aprotch and won well sadly the last one as they lose their funding from 1st July. LBC has provided wonderful support our sincere thanks. A special thank you to our Coaches Anna and Grant and a big thank you to members who gave us their previous tops we now look very professional in tops, Rangers caps and badges Report from Sub Committee to Appoint a Coach Steven Hancock 2014 After an extensive advertising campaign in magazines, websites, Facebook and bowling forum s, the coaching sub-committee were presented with four applications for the position of head coach. After meetings with all four applicants were completed, the sub-committee agreed that we narrowed our preferences to two candidates. As it turned out our first preference moved from his home close to Lilydale to the inner city making the travel back to Lilydale a sticking point, and the other took up a coaching appointment at Mitcham. Of the other two - one was looking to provide more of a mentoring role and the other had never coached before. We also followed up on a couple of contacts we thought may be interested but our offer was declined. At this stage the sub-committee all then agreed that the process had now run it s race so to speak, and we would now finalise the process without appointing anybody for the 2014/15 season. We were always of the opinion that if we couldn t get the right person into the position, that we would hold off on making any appointment, which was the case this time around. We would now like permission from the Executive Committee to start the process again in time for the 2015/16 season, with the aim of hopefully finding the right coach second time around. I hope our process and end decision shows the Executive Committee that this coaching subcommittee is very serious about only appointing the right person for our club, and we will not be making any rash decisions on trying to get anybody into the position. 24 of 24
