6 AGENDA TOPICS FOR DISCUSSION # Welcome by President Alan Dobie Bar closed 1pm Present Past President s Badges to Phil Cogan and Karyn Edmonds (absent) - the last respective Presidents of our sections of the RVBA and VLBA prior to Unification. 1 Reading of the notice convening the meeting 2 Numbers Present and Apologies - Total Present : 67 Total Apologies: 34 3 Reading of the Minutes of the previous AGM 28/07/2013 No Business arising from Minutes of the previous AGM 28/07/ Confirmation of the Minutes held on 28/07/2013 Moved: Ray Watts Seconded: Ian Conley Reading of the Annual Report Alan Dobie read his report printed in the Annual Report thanked fellow Directors on the BOM and their sub-committees acknowledged sponsors 5 major achievements - new green bar contributes the major working capital for the club - thanks to Phil Cogan for his contribution in running the bar and private functions and barefoot bowls - all money earners acknowledged the loss this year of some of our members, Ralph Proctor, Ivy Rhodes, Jack Coram and noted the recent death of Eva Smith - Roly s wife. Lighting to be replaced on the Proctor green Refurbishment of toilets, change rooms, office and storage areas. Decision to appoint a coach for the club - Len Cumming on retiring from the BOM thanked members and sub committees noted club was in a great position noted recognition of facilities, our competitive edge and social aspect no coach available at this stage as ERBR delegate mentioned the challenge to grow the club membership base Pennant changes to encompass all members and all men and women to have the opportunity to play - awareness around falling female memberships - Karen Morgan amended her report in the Annual Report to read 7 teams (not 8) qualified in the finals - Judy Schuler thanked the members of the House & Garden (Jim Ball, Ron Ogilvie, Bob Lerpiniere, Guy Tomsett) and Social & Catering (Eileen Lerpiniere & Gerard Credlin) teams and helpers for their assistance throughout the year. - Judith Todd acknowledged the work of Phil Cogan on the Bowls C tee for running Barefoot Bowls Richard Burton for his assistance as Umpire Coordinator noting that more umpires were needed Grant de Nijs for his efforts as coaching coordinator specifically with the work he has done with the Active Kids Schools program, visiting schools to coach in two sessions before and after Christmas Eileen Lerpiniere for handling all of the affiliations and transfers, clearance and bowling arm applications. - Graham Waldron noted the $27K from sponsors which pays for the Club Championships and tournaments and major events. Our main sponsor has reduced their sponsorship but with the help of George Heinink recently appointed as Sponsorship Coordinator, more new sponsors have become supporters of our club - assisted by Mark Morgan and Gerard Credlin. Thanked Phil Cogan as Chairperson of the Tournament C tee - tournaments were well run, well supported and generated $15K. New people invited to become involved. 7 Consideration and adoption of the Annual Report Moved: Bob Richardson Seconded: Mario La Morticella Presentation of Balance Sheet and Statement of Accounts for period 1/4/13 to 30/6/14 Treasurers Report: Financial Year from 1 April 2013 to 30 June 2014 (15 months) - directive of Consumer Affairs New Xero software for accounting - assisted by Hilary Dobby in book-keeping tasks with many thanks. Allows more than one person to track financial reports of the club. The system however, did not allow us to compare 2013 with 2014 because of the 15 month time frame - refer to last years annual report The main capital expense was the new second green which cost $157,909 and our first payment of the required progress payments for the renovations of $39,800 showing in report as Suspense (Renovations). The balance of these renovations (totaling $150,000 approx.) will appear in next years financial reports. Bar Sales for the fiscal year $250,000 - for the 15 month period were $294,000 Bar prices have gone up on 1/7/14, but are still competitive Membership and Green Fees have increased as affiliations have increased. Please pay your fees early to be sure you are affiliated for the season and able to play pennant. $67,470 profit seems low but $61,018 was applied to depreciation making our real cash profit $125,488. The write off was necessary to be realistic of our real value. We are a successful club, but more people are encouraged to participate and become involved in the administration and running of events and functions. Thanks again to Hilary Dobby for assistance. Bob Lerpiniere - at what age does a Junior member become a student. - Junior is up to 18 years of age and Student is anyone over that age still in full-time study. Bob Richardson - new sound system locked in position behind the bar. New technique when using microphone. Outside speakers to be installed as well as ipod docking station. System designed for background music only - the speakers won t handle high volume. No one is to adjust major settings - use only wall settings near urn to control volume but no single member may turn off music. Brian Walsh requested permission to destroy ballot papers - Yes Joel Brooks - can we have an umpire s course at Lilydale - Umpire Coordinator to organize an Umpires & Measurers class at Lilydale - minimum of 6 Lilydale people to attend. Approach other clubs for other of their members to attend also. Umpire Coordinator to put list on Noticeboard for people who are interested and provide application forms. 38 Ken Marsh - Do you have to be a playing member to be a measurer? Not necessary to be playing, but you must be affiliated and be agile enough to get down to measure. Confirmation of Saturday Selection Committee- Ray Watts, Bill Meyer, Steve O Regan, Grant de Nijs and Luke Lamont Graham Waldron brought member s attention to the fact that the By Laws state that NO hats are permitted to be worn in the club. Mario La Morticella asked if there was a limit on Life Members - no limit applies. Members are invited to nominate a member for Life Membership with supporting documentation and evidence of committee involvement and years membership/service etc. The application must be supported by a second independent referee. Ray Watts asked if social members could play winter bowls and perhaps be brought into Pennant games if required. Our By Laws state that Social members may not bowl. Discussion around new BV data base which may show social bowlers as active & affiliated in direct conflict with our own rules. TBC. John Storey suggests we include in our Handbook that Events and functions ratified by the Board may allow non bowlers or non members to bowl on our greens during the designated Event or function. Eg. If Barefoot Bowls is in progress and members wish to play one of their elimination Club Champ games at the same time, they will play alongside invited guests or choose another green. John has also re-written the Rules for Club Championship play - see Handbook for updates. Gerard Credlin thanked the BOM for their continued efforts in administration of the club. 13 Board of Management President s Report Rosemary Varty As I watch the ploughing of the rich red soil for the re-planting of sections of the orchard it reminds me that we as a Club must keep planting new ideas and new ways of enriching our club at the competitive and social levels. I want to thank all those wonderful Club members who have made such important contributions through their efforts on the various committees. Their ideas and inputs are testament to what can be achieved when we all work together. During this last year we have seen changes some of which have caused angst amongst those people who feel threatened by losing what they perceive as their power base. There should not be anyone who believes they are entitled to a power base we should all be working for the common good and maximising the range of skills we have among the Club members, to spread the load and garner as many new ideas as possible. One of the challenges we have faced with the change in the new constitution to make the 30 th June the end of our financial year was the difficulty for newly elected committees when the AGM is held in late July or early August. To overcome this the regulations have been amended to allow all committees (other than the Board) to be elected much earlier on a date to be set by the Board. This will allow all new committees to set in place their plans for the upcoming season With the appointment of a Club coach we are looking forward and bringing a skilled person who can assist us all to be better bowlers. Our new web page provides up to date information across the whole spectrum of our operations and I want to thank John Storey for his great work in this regard. He is currently teaching a number of people so they are able to enter information that reports events as they happen and advertise upcoming events. The finishing off of all the extensions and renovations to the clubhouse means we have a Club of which we can all be very proud my thanks to all who were involved in the planning, supervising and overseeing of the works. Whilst there are a few things to be completed like lockers, we can all see the benefit of what has been done. The modern facility we present to potential hirers of our venue goes a long way to ensuring we have a regular income stream from function bookings. The new focus group is looking at a range of ideas to plan for the future of the Club they have a big task ahead of them and will need to set some key priorities, objectives and timelines for outcomes to ensure they can produce some options for the Board to consider. There is an urgent need to replace the bottom green as it has been downgraded by Bowls Victoria, which means we are limited in the number of Region events we can conduct. This will be a big job as not only the green needs replacing but the surrounds will need to be completely replaced too as they do not comply. 20 Board of Management CCO s Report Hilary Dobby With the resignation of Lynne Cogan as Administration officer towards the end of last year, I have had to take on the secretarial duties associated with that post along with those of the CCO. It has been a steep learning curve and I would like to thank everyone who has helped guide me. I would particularly like to thank Brian Fritsch for his hard work as Treasurer for the past eight years. He has done an excellent job and thoroughly deserves to take a rest and hopefully return to playing and enjoying Bowls. Both the BV Weekly Bulletin and The Shot magazine have been replaced by a fortnightly electronic newsletter ed directly to subscribers. Anyone can subscribe by signing on to the Bowls Victoria website and registering their address. Board of Management Vice President s Report Johnny Sanders This last season was a great year for the club. A lot was learnt for me as a new member on the board, although it was tough, it was very enjoyable. Since I was mainly on the social side of events that were in the club, I can talk about those such events. We had 3 different events over the year including, Trivia, Karaoke and of course the band on the final day of pennant home and away season. The members and their friends and family enjoyed all events. I look forward to many other events coming up on the next season, and of course we all hope that everyone can make an effort to come and enjoy some various great nights at the club. Next season we may look into having different events and those people with ideas they think might work then please approach us with those ideas. 21 Director 1 Report Kurt Brinschwitz As we are busy preparing for the new season, I would like to thank each and every one who gave their time again so generously to make our Club look like it is. Harry Hudson and John Burke made and installed the bench seats in the men s locker room which are greatly appreciated. 48 lockers will/have been installed in the Ladies rooms by Fine Shavings Custom Cabinets. To make our Club look its best for the opening of the new season, a WORKING BEE has been planned for Sunday 20 th September 2015 starting am!! There are quite a number of jobs to be done both in and outside our clubhouse as well as in the Gardens and around the greens. A list will be placed on the noticeboard of what needs to be done and according to your expertise please put your name next to the chore that you would like to do. So please pencil this date in your dairy and give 4 to 5 hours that day to your club. If you are worried about missing your Sunday roast, we will provide a free BBQ for you and hopefully our Bar Manager may find it in its heart to shout a few drinks. Kurt Brinschwitz 15/7/2015 Board of Management Director 2 Report Graham Waldron SPONSORSHIP - ADVERTISING SIGNAGE The challenge to retain the financial achievements of last season was met by the Sponsorship Committee and in particular George Heinink, who was relentless in his pursuit of the business dollar to support the Club. Great effort, George. We increased not only the number of Sponsors but also the revenue. Sponsorship monies are used to provide prizes for the Club Championships and all the Tournaments and Special Day events that are conducted throughout the year, this includes social bowls and indoor events. We coerced Sponsorship packages for a total of $29,115 and advertisements in the Handbook netted $3560 Advertising signage is in all shelters on number One Green and we are now selling space on number Two Green. Each of these shelter signs generates $500 rental per year so it is important to fill them all. The major Sponsors receive shelter signage, Web Page and T.V. advertising as well as shared or exclusive Sponsorship of the Tournaments and Events. The Club Handbook is financed through the selling of advertisements that cover the cost of printing. These supporters also have their businesses promoted throughout the season. CORPORATE CUP. 22 Certainly a major success story at Lilydale B.C. has been the inclusion of a Corporate Cup competition that was introduced and run by Mark Morgan. What started as a low key event now is completely filled and has teams on the waiting list. Well done Mark this is your baby and we are all fully supportive of your efforts. Club members should make the effort to check out the action and assist Mark by participating in the games or helping with the BBQ and other tasks on the night. TOURNAMENTS Lilydale once again hosted a number of Tournaments throughout the season; competition to attract the best players to attend is fierce, and only for the efforts of the Tournament Committee were we able to fill the Greens for the major events. Karen Morgan was tireless in her efforts using Web Sites, Face Book, Phone calls, and Flyers to chase the entries. It is suggested that we reduce the number of Tournaments as Sponsorship is harder to obtain and we need to increase our prize money to attract the participants. The Board is grateful for all the effort that has gone into the organizing and running of the many tournaments that were conducted throughout the season, I think the ultimate effort was shown by Karen Morgan who almost alone orchestrated the Queen s Birthday event, it was well run and required a mammoth effort from Karen who thought it was beyond her capabilities but rose to the occasion and produced a brilliant result. It would be remiss if I were not to mention the fantastic support from the Social Committee in providing the meals on the Tournament days, the Bar staff that always are there to quench the thirsty bowlers and all the helpers that ran the raffles, prepared the Greens and helped in the set up and clean up on the day, thanks one and all. I have enjoyed my time on various committees but have decided to take a break, thanks to all who have supported and assisted me over the past eleven years. Graham Waldron (Waldo) Director Sponsorship, Advertising & Tournaments Board of Management Director 3 Report Judith Todd The Bowls Committee has worked well over the past twelve months to provide for the needs of all club members. The challenge to get members involved in social events was always forefront in our planning meetings. Opening Day saw a good turnout of members on a fine cool day, the beginning of a season which has proved cool all year. Among other major social days provided by the bowls committee were Try Bowls Day, Gala Day, Australia Day, Mornington Challenge, Anzac Day and Presentation Day. Club Championships were successfully completed and celebrated, awards being made at our Presentation Day. At the completion of the season, midweek Canadian pairs commenced, but as the weather became so bitterly cold it became difficult to get members to play. It will be time to try again next year when hopefully the weather will be warmer. Page 22 of 30

23 Plans are afoot for some changes this coming season particularly in the format of some of the special events run by the Committee. This will include Opening Day and Try Bowls Day as well as in the format of the rules for Club Championships. The Bowls committee wishes to thank all those who participated in the competitions organised, the sponsors and a special thank you to Eileen and her helpers for always providing such fine catering for our special days. Eileen always came to our meetings and was very helpful in her knowledge of the format of awards as well as the formalities of these days. My thanks to all members of the Committee for their assistance during the year. Special thanks to Ken Butcher and Joy Strik for their leadership and cooperation for all our functions. Sincere thanks to Richard Burton for the great work he has done in coordinating the Umpires Committee over the past years. With Richard's leadership we have always provided umpires as required by pennant or club championships. We will all miss Richard and wish him well for his new life at Safety Beach. My thanks also to Nadine Leslie, supported by Bob Richardson, for her wonderful work in taking over the coordination of the Coaching Committee mid-season. Our new bowlers are always grateful for coaching help that is so quickly provided. Bowls Assistant Report. We found ourselves when playing away, not following the conditions of play which are in the side manager s folder (eg: weather, sickness or substitutes). Please ask the Umpire for the day if unsure. Managers should make themselves familiar with the conditions of play. This applies also to club games, ask for an Umpire, then disputes will not arise. More Umpires and Measurers are needed the more the merrier. We all hope the new season brings good results. Richard Burton Umpire Coordinator PS: This is my final duty Good Luck! Coaching Report Nadine Leslie Since taking over from Grant in December 2014, coaching has been busy with new members. With 15 members signing up for coaching, 3 have not been contactable and/or were unreliable by not showing up. Thanks go to Ian Conley, Mario La Morticella and Bob Richardson who have helped with the majority of the coaching. Timothy Breen, Joy Lang, Matthew Grundy, Peter Kleyn, Gino de Vincentiis, Nicholas Sage, Troy Renton and Karyn Mackie have all received coaching whilst Jane Johnston and Roger O Brien are currently being coached. Kelvin Tapson is to be coached when he is available. Karyn Butler and Dawn Pierce have been uncontactable. Page 24 of 30

25 I am planning on helping Jim Ball get re-accredited, as he is willing to help again and is available most of the time when needed. I feel a few more retired members would be beneficial as coaches as most of the new bowlers prefer to be coached during the day. I will try and find a couple of people to go with Jim Ball and attain accreditation. The coaching list needs updating, as it is not current, this is being rectified. Board of Management Director 4 Report Karen Morgan Pennant: Unfortunately we had a bit of a disappointing pennant season both Midweek and Saturday with only 4 of our 12 teams participating in finals. This could have been so much better. Midweek we had only 1 Team in the finals, however as at the last game of the season it could have been a possible 4 teams - so well done. The Committee would also like to thank the players that filled in, often at very short notice. Saturdays we had only 3 teams into the finals - well done to you all. We also lost our Division 2 side and will now be in Division 3. This had a lot to do with the fact that at the start of the season we lost 4 skips and it was difficult for selectors to fill positions. However we did get our 3 rd side back up, so well done. I would like to thank Norma Edwards (Chairperson), Ian Conley (cowboy), Joy Strik, Lorraine Burgi and Frank Sayles for their efforts in getting 5 sides into Midweek Pennant. Also Ian Mays (Chairperson), Richard Burton (who stepped in after the start of the season), Stephen O Regan, Ray Watts and Bill Meyer - I congratulate you all. It was a difficult start to the season with a % of players from the top 2 teams leaving and a few players from our top side away for the start of season. We have employed Troy Stafford as a part time coach, so with his help, and the help of our current coaches I m sure we can have a successful 2015/16 season. Please support Troy by attending his training sessions. Greens: At the beginning of our Pennant season our greens were inspected by Bowls Victoria. Green #1 was rated A. Green # 2 was Rated B, as bowls rebound on a drive, so we are looking into angling our plinths 30 degrees. Hopefully this will rectify Page 25 of 30

26 the problem and Green # 3 was rated a B due to the variation in the bank heights and the fact that the running surface is not up to standard. Green #3 will be replaced with a new Bowls Weave carpet surface by Tiger Turf. Our greens have been running nicely, keeping up with the Bowls Victoria ratings. Thanks to Cowboy and his team, John Newbound, Margaret Conley and Ray Lawn. They have also changed the cleaning detergent from a copper sulphate to a tiger turf detergent which seems to be working nicely. Our spray machines were sent away for a major service, other than that, things are in good order During our off season Ian Conley (Cowboy) will continue to keep our greens in a good and clean condition. To Cowboy and your team of helpers, I would like to thank you for all the time and effort you put into our greens to keep them up to the best standard possible Cowboy also extends his thanks to all the members that helped in the general maintenance of the club and assistance at the working bees. A special mention must go to John Newbound to thank him for organising and installing the new lights on Green 1. Website: A big thank you must go to John Storey, for all the hours he has spent on our website, he has completely redesigned our website. We now have a new web address. You will find that the new site is more interactive, it also displays all team selections on the one page. We have tabs for downloads, tournaments, and club photos, club championship results and the photos are also up to date, club news and a calendar of upcoming events. It is very user friendly and easy to navigate We envisage future development of the web site will include that members running various aspects of the club take responsibility for entering their own data. eg: Reports Team selections, Night Pennant, Corporate Cup and Carpet Bowls. A Coaches segment. Board of Management Reports after each Board meeting The aim is that members own the web site rather than it be the responsibility of one person.
