1 GNAS Judges National Conference Minutes 2013 Saturday 17 th February Conference opened 13:30 Andy Pointon (Chairman) introduced the other members of the committee, Neil S E Foden (Conference Coordinator & Documents Officer), Peter Fairbrother (Registrar & Webmaster), Hannah Brown (Uniform Officer) and Graham Potts (Training Officer), he also introduced the weekend s special guests, Bryan Woodcock (Chairman of the Operations committee) and Helen Woodcock (Chairman of the Junior committee). The deaths of three judges during the past year was reported, these being Mike Evans, Keith Mills and Dennis Beresford. A one minutes silence was held as a mark of respect in their memory. 20 Questions Graham Potts circulated a paper containing 20 multi choice questions. The judges where given a maximum of 20 minutes to complete the paper. The paper is included at the end of these minutes. Bryan Woodcock Chairman of operations Bryan gave a presentation on what he considers the duties of the chairman of operations are. Bryan covered a wide range of areas that the operations committee is involved in, including the volunteers that work within the sport at all levels, the growth in membership, the Olympic and Paralympic effect on the sport. Bryan also paid a personal thank you to all the judges for their input into the sport. One of Bryan's main points was that small changes to the structure of the organisation can have the greatest impact. There was a long Q & A session at the end of the presentation where Bryan took several notes regarding issues that judges have concerns about. He will raise these issues with his committee and investigate them further if required. Indoor Scoring Graham Potts delivered a presentation on scoring, both for indoor rounds and outdoor rounds. The presentation covered the main points and procedures that need to be adopted when working out arrow values. It was discussed that as a CoJ of a tournament it may be of benefit for you to request a copy of the score sheets that will be used at the tournament, so that you are familiar with its layout, you can also check that the correct information is being recorded, and if there are any errors inform the T.O. And try and have them corrected. Several examples of indoor scoring on a three spot face where worked through during the presentation. The presentation is included at the end of these minutes.

2 Chairman of Judges (CoJ) Graham Potts delivered a presentation on the duties of the Chairman of Judges. The presentation is included at the end of these minutes. Field Archery Hannah Brown delivered a presentation giving an introduction to the world of judging at a field round. The presentation is included at the end of these minutes. Open Forum Geoff Malyon. On some of the reports for Tournaments submitted to the office it can be unclear if action regarding any aspects of the tournament needs to be taken. Geoff proposed that if a judge reports action is required then this should be written in red on the report form. Geoff proposed introducing a list that would contain the names of Archers who have been warned about wearing the wrong clothing at previous tournaments. This could be shared amongst the judges and would allow them to check for names on the target lists for the shoot they are attending. This should help stop archers claiming they were allowed to wear the same clothes at a previous shoot. If any of the tournament equipment is incorrect and thus and violates the status of a shoot, this should be enforced and the archers informed that the record status of the shoot is in doubt due to these problems. Chairman Andy Pointon informed the judges present that the next National judge reaccreditation exam is scheduled for the end of this year. When returning the question papers all the National judges will also be required to submit a J15 form listing all their judging activities for the past 4 years. Conference closed 18:00 Evening Banquet The banquet was held in the main dining room. The service and the food were of a good standard and everyone seemed to have a good time. All the judges who had been an ITO or NTO at either the Olympics or Paralympics had been requested to attend the banquet in the formal uniform they had been given, which it seemed most did. Several certificates were awarded after the meal, but unfortunately a lot of the persons being honoured were not in attendance, so the respective regional JLO s collected the certificates on their behalf. The following Certificates were awarded Emeritus Andy Haggan & Pam Weeds Appreciation Bob Provan, David Wallace, Malcolm Wootton, Mark Davis & Tony Tideswell.

3 Sunday 18th February Conference opened 8:50 20 Questions Graham Potts went through the question paper that the judges had completed on the Saturday. There was a bit of discussion on question 12 and if it was possible to help the archer here, even though the current laws are clear that you cannot. Graham is to contact WA and seek clarification. Olympics & Paralympics Peter Morris requested the opportunity to highlight the achievements of the judges of the society who worked at the Olympics and Paralympics, both as officials and games makers. The Sydney games in 2000 are recognised as one of the best for volunteers, but the volunteers of the London games where the best volunteers of any games in Peter s opinion. Circuit Training Course Devised and setup by Hannah Brown and Derrick Lovell. The course consisted of a couple of targets showing varying numbers of arrows in the scoring zones. Various bows, arrows, nocks, sights and rests that may or may not be legal for either target, field or clout archery. Hannah went through the results of the course back in the lecture room. There was a discussion on the various types of lighted nocks that were displayed, how they work and how it may be possible to detect them by passing a magnet over the nock. These nocks are available and can be purchased. On field rounds judges were also reminded that they should always check that the archer does not have a range finder in their quiver. A selection of clothing was also on display on the course and the judges had to decide if an archer would be allowed to wear them or not. A question was raised regarding field bunny faces. If an archer shoots in the wrong column the judge can remove those arrows to allow the correct archer to shoot their arrows into that column. When you go to remove the arrows take the archers who have already shot and score their arrows BEFORE removing the arrows from the face. If this happens on an unmarked round try and vary your steps or walk in a zig zag pattern to the target, so as to try and disguise the distance from the archers still to shoot. The photo s below show a Peep eliminator which can be purchased. Currently there is no interpretation from WA stating if this is legal or not. Judges are advised that until WA publish an interpretation this can be allowed.

4 Open Forum Three whistle issue This was trialled in 2012 and feedback was requested from the judges at the conference whether they would like this to continue or revert to the traditional two whistles. The consensus was to continue with three whistles. This proposal will now be forwarded to the Opps committee to request a rule change. The question of having sighters for the second round of a double round tournament was raised. This primarily concerns indoor tournaments but does relate to double clout rounds also. It was agreed to state that all Clout rounds shot to GNAS rules will not be allowed to have a sighters on the second round of a double round, as for indoor rounds this would need to be raised with the Opps committee for them to discuss. Rule changes from 1st March 2013 (if published in time) The following rules come into effect from the 1 st March, but only if they are published in time a. Shooting, shall be from an unsupported standing position with the body above the shooting line. Disabled archers may use appropriate support (c) (iv) After all classes have shot the first end, competitors and official s will go forward in groups of at least 2 persons to find and mark the arrows. The group, acting together, will place a marker with a label attached bearing the name of the archer and class/weight division at the measuring point (see Rule 607) of the archer s furthest arrow. Arrows will then be withdrawn. (v) Succeeding ends may then be shot and the process of finding and marking arrows repeated. If necessary, markers will be adjusted. Pam Tonkin Pam asked if it was possible to reduce the lead in time on GNAS timed rounds from 20 to 10 seconds to match in with the current FITA timings and thus avoid any possible confusion. The proposal will be raised with the Opps committee. A question was asked by Peter Turner on what is the correct way to mark arrow holes on FITA rounds. The WA Judges guide book states the correct way is to draw 2 lines approx. 4mm long at 90 degrees to each other. Break for Lunch 12:35 Recommenced at 13:35 Helen Woodcock Chairman of the Junior committee Helen told the judges a little bit about her back ground and experience, then about the reasons why juniors come into and stay in archery. Helen gave a general presentation which covered how juniors develop and the effects this has on their archery, followed by how the parents of juniors react to their children s achievements, and the pressure they can put their children under, which is not always for the better. Helen advised that when problems arise with juniors, remember that the junior might only be doing what their parents have told them to do, so don't always tell the junior off, talk to the parents first. If you do talk to the juniors explain your decisions and actions to them, they tend to be interested in knowing why something is wrong and how it should be done.

5 Always try and pay attention to what the juniors are doing and if a problem arises do your best to deal with it as quickly as possible to minimise any possible embarrassment to them. A Brief Interlude As a bit of light relief Richard Breese recited a Stanley Holloway monologue about the battle of Hastings, followed by Andy Pointon playing a recording of Stanley Holloway s monologue of Albert and the Lion. New WA Bylaws and Interpretations Graham gave a presentation which covered bylaws and interpretations issued by WA, starting off with bylaws that came into force on 1st April 2012 The presentation is included at the end of these minutes. Graham showed several WA interpretations that are published by WA and are downloadable from their website, as are the bylaws. Conference closed 15:40 This was Andy Pointon s last conference as the Chairman of the committee. He has been Chairman of the committee for six years and had been a general member of it for five years prior to that. The judges present gave Andy a standing ovation, which in Andy s own words made him very wet eyed.

9 Indoors Golden Rules: - No X rings! (either FITA or Archery GB) - Only 10 s are golds! - FITA s should count 10 s and 9 s, and not hits

11 Outdoor Scoring For all FITA rounds X s apply to any bow style FITA rounds should record 10 s and x s, but not hits For six gold end claims, if a metric round, both 9 s and 10 s count

12 Outdoor scoring If too many arrows are shot score the lowest six, or three depending on the rules being followed If an arrow is then shot out of time deduct the highest value. For FITA if deducting the highest value, don t forget to record it (record and cross through, and initial on the scoresheet) in case of appeal Don t be afraid to spot check the scoring

13 Outdoor scoring / determining an arrow value Always use a magnifying glass it aids your eyesight! Look from one side, then the other, then call the value make sure it is recorded correctly If unsure, then always give benefit of doubt to the archer however, don t tell them this, just call it! In FITA, if an archer touches the face or arrows, you must still call the value as you see it, but remind them not to do this in future

15 CoJ Or the Big Cheese!! Consider the role as hard earned, and easy to lose you will always be remembered for doing a poor job, and the good job s get forgotten

16 Before the event Contact with organiser and agree on the team Make contact with the team early so they have the relevant information Determine if there are any rule changes you need to let them know about Ask early if any will need J5 s it helps to sort out in advance if you need to give someone experience of making announcements for example

17 At the Shoot Start of day make sure you arrive at the designated time! Always best to organise duties in advance, and let the judges know in advance Have your Judge plan available to all Contact with organiser, and field crew leader Check comments to be made at assembly, especially if using another judge to do this for training

18 At the shoot Keep your judges happy help them, and stand in for them if necessary Keep track of time, and if working with a DOS ensure both of you are consistent in approach on timing and breaks Ensure all Judges know the process to be used on the day for make up arrows

19 At the Shoot If a Head to Head, ensure you: a)understand the process b)check the target map and process map c)ensure all your judges are kept up to date d)no harm in checking each pass to ensure you have archers in the right place can save a lot of time later!

20 Dealing with difficulties If an archer questions a Judge decision, think carefully before reacting If it s an arrow value call there is no second chance, and the call must stand If you need to talk to the Judge about how they handled it, do this discretely, and away from the archers coach and train, not criticise

21 Dealing with difficulties Be prepared to make unpopular decisions some will like it, some will not! Consider the archers welfare if it is really bad weather, consider if a break can be had for a while always try to see if a shoot can be finished the archers have come a long way and often want to complete their round

22 After the shoot Thank the team Ensure any paperwork for record status has been completed Complete any J5 s talk to the candidates, and discuss your points with them - be constructive if dealing with something that was not carried out correctly Make sure Judges have received expenses, or at least had the opportunity to claim

24 The aim of this section of the presentation is to give you an overview of Field Archery and show you that it isn t as scary as you may think!

26 Field Archery Field Archery comes in several forms. The most common shot by members of Archery GB/GNAS is FITA Field. This is the form that this presentation will concentrate on, the others are very similar with only minor variations on timing, distances and arrows. Field Archery is best likened to golf groups of archers move around the course, shoot one target and move on to the next.

27 What will you need? Everything that you need for a target shoot, you will need at a field shoot. Tape measure (60m) or measuring device. Stout shoes on some courses, trainers might not be suitable. Bow ring (not initially, but could be useful later). A sense of humour (Field archers are a mad bunch)!

28 The Round The number of targets in a round depends on the shoot and the space available to the organiser. This number though will be between 12 and 24 and be a multiple of 4 (12/16/20/24). The FITA round consists of 24 targets. The round can be unmarked, marked, or mixed As it suggests, in the unmarked round the distances are unknown. In the marked the distances are known. In the mixed round there is a mixture of both marked and unmarked targets. Arrowhead Rounds are equivalent to FITA Star status and must be at least 24 targets.

29 The Target In field Archery, as in Target, there are different size target faces. All sizes are shot within one round. The size of the face depends on the distance of the target (see page on units ) There are four sizes of face used: 20cm, 40cm, 60cm, 80cm. No matter what the size face, the bottom face must be 15cm from the ground. It must also be 5cm form the edge of the butt. All targets must be as perpendicular to the archer as possible (allowing the archer to see the whole target)

30 Face set-up on the butt The 20cm face columns must be vertical. The 40cm should be as close to vertical as possible. The only requirement for the 80/60cm face is the 5cm boundary so small and large butts can be used to increase the judging difficulty. 5 cm min. 5 cm min. 80/60cm face 40 cm face 20cm face 5 cm min.

31 Scoring

32 The Shot Each shot must accommodate all the bowstyles and age groups. To do this there will be a number of shooting pegs placed on each shot. Red pegs are placed for all compound and recurve archers. Blue pegs are placed for barebow, traditional and longbow archers. Yellow pegs are placed for the cadets. White pegs (UK only) are placed for archers under 12. An easy way to remember is that unless the archer is a junior recurve all bows with sights will shoot from the red peg. All unsighted archers will shoot from the blue. When checking the shot, make sure that it is even for archers on either side of the peg. Make sure that the shorter archer can see the face the white peg archers will be small so ensure the peg is not in a dip!

33 Shooting the Shot There will be a minimum of 3 archers per target, a maximum of 4. As soon as the target is safe the 1 st 2 archers will approach the peg. Archer A on the left, Archer B on the right. Both archers shoot together 3 arrows at each target. The second detail, CD, then shoot. Arrows are collected. Move on quickly to the next target. Next target, C and D shoot first, AB second For multiple faces who shoots what? 40cm face 20cm face First detail, First detail, Left=top left/right=top right Left=column 1/Right=column 3 Second detail, Second detail, Left=bottom left/right=bottom right Left=column 2/Right=column 4 This will vary dependant on the detail on each target.

34 The Rules... The main rules to grasp for filed archery are in relation to: Safety Course set-up Distances Timing Equipment Judging

36 Safety. As the judge the safety of the course is paramount. This is more critical in Field archery as the archers shoot unsupervised. Archers can be moving from and to targets whilst other archers are shooting. You will never see all of the archers all of the time unlike in target. You must check that the approach paths and paths from the target do not cross any overshoot areas. You must ensure that the shooting pegs are not in any overshoot areas. You should ensure that the paths are safe and the course can be navigated safely. Watch out for public footpaths, boundaries, bridal ways etc. Shots should not cross these or shoot directly towards the boundary. Remember-if in doubt-ask. Your CoJ or the course organiser will know the answers, and if you compromise safety-you compromise the sport!

38 Course Set-Up The course should be set up so that it is challenging for the archer it should not be impossible... The course should consist of a variety of shots. Uphill, downhill, cross slope, water shots. The more obstacles in front of the target the harder it is for the archer to judge the distance BUT the whole face must still be visible. The course must be a complete course, made up of several units. A unit is 12 targets. Each unit will comprise all 4 face sizes, and all face distances.

43 Distances. The maximum distance shot on a FTIA field round is 60m. Red peg archers shoot between 5 and 60m Blue peg archers shoot between 5 and 50m When you conduct your course check, you will be provided with the distances by the TO. You need to check that these are correct and that they are within tolerance. The tolerance is: For distances up to and including 15m = +/- 25cm For distance greater than 15m = +/- 1m You have seen from the unit that for the unmarked round there is a range that the distance can be. Therefore if the TO says the shot should be 45m on an 80cm face and it measures 47- does it matter? On the marked course, you may vary the distance by up to 2m providing it is marked as such. Our field committee have produced course check sheets which are downloadable from the gnasfield website.

44 Timing. Timing of the shot starts when the archer take the peg-which they must do as soon as the target is available. The archer then has 3 minutes to shoot 3 arrows. Once all archers have shot they move to do the scoring and onto the next target. If an archer is causing undue delay to the shoot then you may warn them that they are likely to be timed. You can then time the archers. Communicate this to the other judges so all are aware. Timing is not about hiding behind a tree and pouncing when they go over time. It is far less formal that Target and open to far more interpretation of what constitutes a delay. Usually though, if there are groups continually waiting behind this particular group, you know you have a problem.

45 Equipment. There are several styles shot in the UK. The most common are: Compound Recurve Barebow Traditional Longbow The basics are the same as Target archery, so these will not be covered here only the differences will be looked at.

46 Sights. Compound and Recurve are the only 2 categories that are permitted to use a sight. For all divisions no device that will assist in estimating distances or angles is permitted. This could be multiple rings on a sight, rings and cross in the sight, marks on the riser, marks on the limbs. This sight is was not permitted at the World Championships it consists of 2 rings and a cross it will assist the estimation of distances. Check the number of sight scales archers are permitted the manufacturers plus one other. Look for a second set of marks other than the sight marks- it could be a ranging system...

47 Stabilisers. No restrictions are placed on Recurve and Compound. Barebow does not permit stabilisers of any sort. Barebow archers are allowed to attach weights directly to the riser provided the bow still fits throught the 12.2cm ring. Traditional and longbow archers are not permitted any stabilisers. This weight was prohibited at the World Championships because it does not fit directly onto the riser.

48 Binoculars/Aide Memoire/other bits. Binoculars are permitted. Range finders are prohibited. Shooting glasses are permitted. Look for marks that could be used to assist estimation of distance/back sights etc. Archers can carry aide memoire in relation to the distances that the targets can be set at. Recurve/compound archers can have their sight marks written down. Barebow/Traditional/Longbow are not permitted any aide memoire in relation to sight marks. Archers may carry a copy of the rules. If they need, archers can shade there target companions-but the shade cannot be bigger that an A4 sheet and cannot be used during the finals rounds.

49 Judging. The majority of the incidents where penalties are incurred are the same as target with a few major differences. Timing Offences: Once the archer has been verbally warned that they may be timed, the next occasion they exceed the 3 minutes they will receive a written warning on the back of their score card. Any subsequent occasions will result in them losing the highest scoring arrow. Scoring: If a mistake is made on the score sheet the archers may correct it. They will cross the whole score through on the front of the card (double scoring always takes place), the target number and the correct score will be recorded on the back of the card and all archers will sign it. Arrow values: As you cannot guarantee being near a target when a value needs calling, the archers decide the value. If 2 say it is higher and 2 say lower, then it goes in favour of the archer. The same is true for bouncers and pass throughs if the archers agree it has happened, they also agree on the score.

51 FIELD ARCHERY RED CALL WHY? During at least 2 shoots this year archers have needed to be removed from the course quickly due to a medical emergency. In both cases it took time to communicate this to someone with a radio who could then arrange the medical assistance. The archers raised the fact that there was currently only one call for assistance JUDGE Target.. When a judge hears this, they go to the target, waiting for groups to shoot, taking the paths. This takes time. This doesn t distinguish between JUDGE we need a line call or there is a twig in the way and We need help now. The archers felt vulnerable and discussed a solution before coming to the committees. The process is not a rule change. It is a procedure to be used in emergencies. Emergencies being the normal meaning of the word it does not include arrows stuck in trees, overhanging branches. Archers should ask themselves - does someone need help quickly, would you normally call 999 in this situation? If the answer is YES to either, then Call RED.

52 THE PROCEDURE An incident occurs and the archers on the target decide they need EMERGENCY help. The group call TARGET. RED EG TARGET 15 RED This call is heard by other archers who IMMEDIATELY STOP SHOOTING and REPEAT THE CALL The course has now stopped shooting and is clear for Judges, First Aiders, Organisers etc to make their way to the target by the shortest and quickest route. The incident is dealt with. Judges will re-start the shoot on WHISTLES. No one will shoot until this re-start is signaled.

54 So there you have it, your rough guide to Field Archery. It isn t scary. Wet, muddy, but not scary. Come on, come out and join us mad folk on the field course!

60 By Laws Target Archery Practice during byes (matchplay) - Recurves, maximum 3 sets - Compounds, 5 ends - Must all only shoot 3 arrows - If warned for exceeding arrow numbers, on second warning they are stopped from further practice on competition field, but it does not affect their match. 20/02/13

61 ByLaws Target Archery For archers arriving late, Chairman of Judges now determines if they can make up arrows. Maximum allowed is 12 arrows. This does not apply to Matchplay Archers must not touch the arrows, target face or butt prior to the arrows being scored (Included for Multi-Face purposes) Under Unsportsmanlike behaviour, if arrows are withdrawn prior to scoring being confirmed by scorers, the arrows will score a miss. If repeated, the archer can be disqualified CARE if a mistake is made, we should still protect the archers score. 20/02/13
