1 Chalmers Alumni Association - Continental Europe Annual General Meeting & 19th Anniversary in Hamburg October 15, 2016 Minutes of meeting Junges Hotel, Hamburg 1. Opening of the Meeting Conny welcomed the participants to the 19th annual general meeting (AGM) of CING-CE. List of meeting participants enclosed. He also expressed a special welcome to Jan-Olof Ohlsson, CING President, Peter Hellqvist, Head of CTH Alumni organization as well as personal representative of Stefan Bengtsson, President of Chalmers University, and Nicke Blomquist, our former President, Greetings from absent friends were also passed on to the participants, especially from Tore Fredde Fredriksson, Kicki Rindegård & Ulf Cedergren, Stefan Bengtsson and Bengt & Kerstin Sevedag who were all unable to attend the meeting. 2. Election of Chairman, Secretary and Tellers for the Meeting Conny Sundberg and Staffan Erenmalm were elected to chairman and secretary respectively. As tellers and protocol reviewers, the meeting elected Gunilla Hedman and Sten Bexelius. 3. Correct Announcement of the Meeting The meeting was announced well ahead of prescribed time. An with save the date was sent initially. The invitation was then sent per to all alumni in Continental Europe, with an additional reminder later on. Also Chalmers alumni who are not members of CING but live in continental Europe received the invitation. The meeting was also announced in Avançons, as well as on Facebook and CINGs website. 4. Non-Voting Participants It was decided to accept non-voting participants at the meeting. 5. Approval of the Agenda The agenda was presented by Conny and was approved by the assembly. 6. Protocol from Annual General Meeting 2015 The minutes of the previous annual general meeting in Bratislava 2015 are available at the website of CING since July It was approved and decided to be filed. 1

2 7. Report of Activities 2016 Chairman Conny gave the following report for 2016: The organization of the event in Hamburg has lead to a large number of protocolled telephone conferences. Also a large number of s were necessary to finalize the planning of the event. A special thank you to Georg Musold for him checking hotels before the final decision on where to stay was taken. The motto: Something interesting to look at, something nice to drink and something good to eat. The AGM decided unanimously to accept the report of the board. 8. Reports from Treasurer and Auditor 2015 Treasurer Bertil Alexandersson presented the financial statement for calendar year 2015, which showed a net gain of 329,90 Euros, leading to a total capital of 3962,18 Euros at the end of A discussion on what should be the size of the financial buffer followed. The meeting agreed that a buffer of EUR is OK in order to meet any financial challenges. Auditor Sten Bexelius presented his audit of the financial report, prepared by Bertil Alexandersson, and confirmed its correctness. As recommended by the auditor, the AGM discharged the board of liabilities for the operations in How to Engage More and Younger Members Frantisek Kinces gave a mind-blowing presentation titled How to engage more and younger members. Conclusion: Certain changes and improvements to the program have been made, with the following result: Ø Program improvements did attract new and younger members to a certain extent Ø Average age of participants has slightly decreased Ø But numbers of participants has stayed around the same max. 40 The meeting took the following decision for a next step : Launch an electronic survey: 1. What is your acceptable cost for the annual meeting weekend? 2. What do you expect from the meeting? (networking, friendship ) 3. What season do you prefer for the annual meeting weekend? 4. 3 10. Election of the Board 2017 Catarina Hagertz-Sanchez has decided to step down after a very successful period on the board, a total of 7 years. The AGM thanked Cattis for her excellent work during all these years. After Cattis has left, we now need to add 1 or 2 new members to the board. Especially was requested to get some younger people on board, in order to plan for future events, but also to get new ideas and add fresh blood into the board work. The meeting was asked to supply any good ideas by mail to the chairman. The proposal for the board of CING-CE 2017 was: Vorsitzender Schatzmeister Genralní tajemník Internationalisierungsexpert Member Conny Sundberg E85 Bertil Alexandersson D02 Staffan Erenmalm E76 Frantisek Kinces, MSc05 N.N.* * An additional board member to be identified and decided by the Chairman a.s.a.p. The meeting unanimously elected the proposed board for The Bratislava AGM 2015, elected Sten Rydman as auditor for However, no further candidate was identified at the meeting, why the board will find and elect an auditor for 2017 well before the next AGM. 11. Suggestions for Venue for Get-Together 2017 As always, the city for the get-together should be easy to reach and ideally there should be local Chalmers alumnis willing to help with the organisation. Even though it is possible to organize a get-together without local assistance, it does help a great deal and increases the overall quality. An open discussion followed, the following list of possible locations was compiled: Malaga Rotterdam Luxemburg Bad Nauheim Dublin Rome Copenhagen Nice No specific quantitative voting was made, but overall perception is that Malaga is a strong contender. Especially considering that we have 3 CING members there, who might be willing to support. The board will start the work of organizing the next get-together early in 2017, first step being to select a city for the meeting. 3

4 12. Information from CING Jan-Olof Ohlsson, President of CING, informed about current activities in CING. Especially was mentioned the 100 years celebration of CING Stockholm, which actually coincides with CING being 110 years old. The mother association will therefore include its traditional Vårmötet in the Stockholm celebration. Furthermore, Jan-Olof distributed the Katalogen and a book about CING 100 years; Gemenskap, karriär. 13. Information from Chalmers Peter Hellqvist, Head of CING Alumni, brought general news from Chalmers University. Especially was mentioned Chalmers Ventures. This new company gathering all the earlier companies within this area. These companies have so far created 110 new commercial entities. Not a bad result. 14. Miscellaneous Nothing was brought up. 15. Closing of the Meeting Chairman Conny declared the meeting as closed and the participants could go to their well-deserved dinner.
