2 Introduction Surrey Water Polo is a non-profit, parent volunteer run, recreational and high-performance water polo club that provides opportunities for children, youth and adults to play water polo all year round. Athletes are given the opportunity to develop all aspects of the game and are encouraged to participate in games and tournaments to compete at their ability level. Surrey Water Polo strives to provide a program that will challenge the participants' mental and physical abilities Water-polo provides a great opportunity to be a part of a form of physical exercise that provides great cardiovascular development and overall fitness development including endurance and stamina. Participation will not only help to foster respect, acceptance and growth of is athletes as individuals and as team members but also strives to provide opportunities to develop important life skills such as time management, positive self image, self discipline, physical and mental strength as well as sportsmanship. Our goal is to provide our athletes with a positive experience that will enrich their lives and assist with the development of life-long friendships. This parent handbook is currently under development so check back to our website often for updates. 2

3 About Our Club History The Surrey Orcas Water Polo Club was established in 1999 with 26 rostered athletes. Today we have grown to just over 100 families involved in our club in our different programs throughout the year. Club Membership Surrey Water Polo us a memberwater Polo Canada throughout the year, also joining the BCSSA (BC Summer Swimming Association) for the summer season. Surrey Water Polo is also part of the LMWPL (Lower Mainland Water Polo League). Philosophy of Excellence Club Philosophy The focus of the club is to provide players with an opportunity to engage in positive physical activity, to develop proper technique, traits of good sportsmanship and team spirit, while being part of a positive environment that fosters friendship building amongst its athletes. We aim to provide our athletes with exposure to a variety of experiences that are reflective of their ability level and that is conducive to providing a positive atmosphere that nurtures personal growth. With an emphasis to foster a passion for water polo and enjoyment of the sport, Surrey Water Polo creates a fun environment through which players can advance their skills to the next level. From introductory to recreational to high-performance our programs enable athletes to advance their skills learning essential life skills along the way that extend beyond the pool to their lives outside of the sport. These skills include (but are not limited to): Character development Physical Literacy and Development Goal setting Community Building Sportsmanship Vision To be a BC Water Polo Club that provides opportunities for all players of all abilities to reach their potential and develop as well-rounded athletes. Mission Statement To create a safe and positive environment in which athletes pursuing the sport of water polo can develop and grow under the guidance of knowledgeable and caring coaches who strive to help each athlete meet their personal goals, nurturing the skills of teamwork, fair play and respect for all. 3

4 Goal To develop compassionate and caring athletes who through training and learning the sport of water polo develop the attributes necessary to not only be successful water polo team members but also be respectful, caring and contributing members of society. True Sport Principles Surrey Water Polo follows the Canada's True Sport Principles and we ask every member of the Recreational and High-Performance programs to do the same. 4

5 Programs Overview Surrey Water Polo Club offers introductory, recreational and high-performance water polo programs for male and female players from 5 years to infinity! We are a community-based club that welcomes all interested participants. Surrey Water Polo offers a shallow water program for non and new swimmers, introductory sessions for elementary school gym classes, recreational and high-performance programs: Splashball An introductory program for non and new swimmers, practicing one time per week. Recreational (12U, 14U, 16U and 18U) A more advanced program for those who are comfortable swimming unassisted in deep water. These athletes practice two times per week and play one (Lower Mainland Water Polo) league game each week. High-Performance Developmental (14U All girls and All boys teams) Designed for those developmental, recreational athletes looking to push their game to the next level, practicing four times per week plus one (Lower Mainland Water Polo) league game each week. In addition to local and tournaments in the nearby United States, these teams will also compete in the provincial league, a qualifier for the Western National Championships. High-Performance (16U and 19U All boys teams) Geared towards experienced water polo athletes, these teams compete on a national and international level, practicing four times per week. These athletes will compete in the National Championship League with some athletes having the opportunity to earn a spot on the Canadian Senior National Team, as well as to earn scholarships to play across North America. Adults (18+) If you love the water this team sport is for you! Designed for mature athletes who used to play regularly or those who have always wanted to try the sport. A great opportunity to get out, meet people and have fun! Tournaments are available for this age group, dependent on interest. Switch one day of your regular work out to water polo and you won t stay disappointed! School Program With the support of the City of Surrey this program introduces students to Water Polo in Surrey, allowing students a unique, low cost, safe opportunity to try a fun and exciting sport. 5

6 Practice Schedule & Expectations The practice schedule is posted on our website at At the beginning of each season the practice schedule will be also posted and managed by a Team Manager through Team Snap software. Please be sure to watch for important communications on Team Snap relating to practice schedule changes and/or cancellations. Attendance at all practices and games is expected. Parents are expected to utilize the tools available through Team Snap to ensure communications to the coaching staff regarding not attending a practice or a game is made as soon as possible, in advance of the practice or event. Athletes are expected to arrive 10 minutes before practice starts, ready to go with swimsuit on underneath proper exercise attire and a full water bottle. 6

7 Expectations & Requirements of Athletes Surrey Water Polo provides a safe, rewarding and fun environment for all athletes to grow and develop as water polo athletes. In order for all participants to be able to be successful it is importune that specific guidelines and the Club's Athlete Code of Conduct is followed. The club expects athletes will: attend every practice and game be on time and ready to go at practice or game warm up start time come prepared for both dry land and water workouts respect the rules of the pool facility show respect to all coaches, managers, team mates and parent volunteers arrive willing to work hard and put their best effort forward demonstrate positive and supportive interactions with coaches and other players assist with clean up of equipment after each practice, game or event Any athlete who does not follow these expectations will be given an opportunity to explain themselves, will be given a verbal warning and an explanation of the consequences if they continue to not follow Club expectations. All athletes must: conduct themselves in a respectful manner which includes treating and addressing all club members, volunteers, opponents and officials in a respectful way. not engage in the use or possession of unlawful drugs or alcohol, or products deemed suitable for adult use only. not engage in theft or shoplifting or any other illegal activity demonstrate trust and openly communicate, bringing any problems or concerns to the coaches or team manager attention immediately so that it can be resolved in a timely manner act in a manner that is conducive to team cohesion and builds team chemistry, which includes being enthusiastic during practices and games and being supportive and friendly to all team members take a disciplined approach to school so that practice and games are not missed due to falling behind at school and also, so in the event a tournament requires missed days of school, athletes can attend as they are in good academic standing conduct themselves when attending tournaments or games at other club s facilities in a manner that will reflect positively on the Surrey Water Polo. Players need to remember they are representatives of the club and should be considerate of others and exercise good judgement at all times 7

8 follow the rules and expectations set out by the coach, team manager and chaperones when travelling. wear appropriate attire when representing Surrey Water Polo programs. When on the pool deck they should be wearing team shirts and suits. Any athlete that does not follow the rules as set out and/or is in violation of the Code of Conduct will be disciplined accordingly. Discipline will be dependent on the severity of the behaviour and will conducted by the coach and in consultation with the President and Vice President of the Club. No refund obligation is needed. Other reasons why an athlete may be asked to discontinue playing for or be suspended from the program and/or Club include, but are not limited to: poor sportsmanship and/or lack of respect of authority lack of effort and poor attitude over an extended period and after discussion between the coach and the athlete dishonesty and lack of trust disruption of the team and its dynamics 8

9 Expectations & Requirements of Parents Surrey Water Polo cannot function without the support and efforts of our parent community. We are appreciative of all the time and effort our parents put into making the club a successful and caring membership for our athletes. Parental involvement is key to the successful operation of any youth organization. Parent participation in team and club events helps build cohesion within the club, is vital to the special bonds that the athletes develop and will assist in obtaining higher government gaming grant funding to partially offset the cost to run the Club. Parents can be important role models to their children as well as other athletes by supporting their child's team, coaches, officials, and opposing teams. The club expects that parents will: Provide positive support for all athletes (both our Club and other Clubs) Abide by the Parent Code of Conduct and other regulations Read and respond to all communication from the Club in a timely manner, being respectful of the need for quick responses Support the coaches, who have tremendous experience in developing athletes, and their goals by encouraging athletes to aim for personal growth and development while developing good team relationships Communicate with coaches as needed to keep them informed of relevant information about your child and to voice praise and concerns in a productive fashion Pay for registration, travel and tournaments fees within a timely manner Volunteer for club activities; this is a requirement of your membership in the club. Participate in club fundraising activities; this is a requirement of your membership in the club Ensure safe arrival on time to all practices, games and tournaments and when possible help out with transportation of other athletes. 9

10 Fees (Regular Season) 1. Splashball All fees are to be paid in full upon receipt of invoice. Failure to pay fees in a timely manner may result in the athlete not being able to participate in practices. Fees are as follows: Registration fees cover training, coaching, and pool costs with separate fees charged each for the Sept to Dec and Jan to Apr. Athlete insurance fees of $60 for Water Polo Canada (WPC) athlete insurance valid September 1 to August Recreational Flippers (Regular Season) All fees are to be paid upon receipt of invoice. Failure to pay fees in a timely manner may result in the athlete not being able to participate in practices.see posted Fee Schedule for details. Fees are as follows: Registration fees cover training, coaching, and pool costs for September to April. Athlete insurance fees of $60 for Water Polo Canada (WPC) athlete insurance valid September 1 to August 31. League fees and tournament fees are not applicable unless the Flipper has been invited to progress to the 12U Program at which time the same fees as for the 12U athletes will be applicable to the advanced Flipper. League fee of $75 is required for the Recreational 12U, 14U, 16U and 18U programs. Note: High Performance Developmental and High- Performance athletes also wishing to play LMWPL are required to pay the $75 league fee. Fundraising fees - see Fundraising Volunteer fees - see Volunteering Tournament fees for both the LMWPL December fun and April end of year tournaments are included in the League Fee. Additional tournaments for our recreational athletes will require a 50% non-refundable deposit at the call for Expression of Interest with the balance of the tournament cost to be paid 7 days in advance of the tournament. Failure to meet these requirements may end up in a team not being registered for the tournament or your athlete not being able to participate if full payment is not received by the posted deadline. 4. High Performance Developmental (14U All Boys and 14U All Girls) All fees are to be paid upon receipt of invoice. Failure to pay fees in a timely manner may result in the athlete not being able to participate in practices or games.see posted Fee Schedule for details. Fees are as follows: Registration fees cover training, coaching, and pool costs for September to April. Athlete insurance fees of $60 for Water Polo Canada (WPC) athlete insurance valid September 1 to August 31. Note: Insurance increases to $110 if and when the team qualifies for the Western Finals. League fee of $75 is required for those High-Performance Developmental athletes wishing to play LMWPL games. 11

All additional tournaments will require a 50% non-refundable deposit for all BCPL league tournaments and at the call for Expression of Interest for optional tournaments with the balance of the tournament cost to be paid 7 days in advance of the tournament. Failure to meet these requirements may end up in a team not being registered for the optional tournament or your athlete not being able to participate in the optional or BCPL tournament if full payment is not received by the posted deadline. NCL Team Registration deposit ($300) payable early November. Balance of the NCL Team registration fee due mid-december. 5. High Performance (16U and 19U Boys) All fees are to be paid upon receipt of invoice. Failure to pay fees in a timely manner may result in the athlete not being able to participate in practices or games. See posted Fee Schedule for details. Fees are as follows: NCL Team Registration deposit ($500) payable mid-august. Balance of the NCL Team registration fee due mid-september. Registration fees cover training, coaching, and pool costs for September to April. Athlete insurance fees of $110 for Water Polo Canada (WPC) athlete insurance valid September 1 to August 31 payable to Surrey Water Polo. Please remind any Lower Mainland clubs you also swim with to deduct this insurance amount from your Lower Mainland club fees. League fee of $75 is required for those High-Performance athletes wishing to play LMWPL games. Fundraising fees - see Fundraising Volunteer fees - see Volunteering 12

13 Tournament fees for the LMWPL December fun and end of year tournaments are included in the $75 league fee. All additional tournaments will require a 50% non-refundable deposit for all NCL league tournaments and at the call for Expression of Interest for optional tournaments with the balance of the tournament cost to be paid 7 days in advance of the tournament. Failure to meet these requirements may end up in a team not being registered for the optional tournament or your athlete not being able to participate in the optional or NCL tournament if full payment is not received by the posted deadline. 6. Adults (18+) All fees are to be paid upon receipt of invoice. 14 Fees (Summer Season) All fees are to be paid in full upon receipt of invoice. Failure to pay fees in a timely manner may result in the athlete not being able to participate in practices. Fees are as follows: Registration fees cover training, coaching, and pool costs with separate fees charged each for the May to Aug. Athlete insurance fees of $38 (2018 fee) for BC Summer Swimming Association (BCSSA) athlete insurance valid May 1, 2018 to April 31, Tournament fees will require a 50% non-refundable deposit at the call for Expression of Interest with the balance of the tournament cost to be paid within 7 days of the close of the tournament. Failure to meet these requirements may end up in a team not being registered for the tournament or your athlete not being able to participate in future summer tournaments. 14

15 Junior Coaches In addition to developing our athletes as players we also provide opportunities for interested senior players to develop their coaching skills as junior coaches and mentors to our younger players at the Splashball, Flipper and U12 programs. All Club coaches are expected to take thecommunity Coaching Course and undergo a Criminal Record check that provides clearance to work with children and youth. Our coaches are expected to conduct themselves in manner that demonstrates good leadership, role modelling and sportsmanship that is reflective of the exemplary behaviour we expect of our athletes. 15

16 Payment Payment is accepted through e-transfer. Instructions for e-transfer will be provided at the time of invoicing. In the event you prefer or must issue a cheque, add $10 processing fee per check. Exception: Volunteer and Fundraising Fee. All NSF cheque will be subject to a $30 fee and personal cheques will no longer be accepted. If you are experiencing financial hardship or are having difficulty with making your required payment, please contact the Club's President and/or Treasurer to make alternate arrangements. 16

17 Refunds 1. SPLASHBALL, RECREATIONAL AND ADULTS PROGRAM ATHLETES PRACTICES 1. Prior to the first practice, a full refund will be returned. 2. Within the first 30 days of the season starting date, a prorated refund will be returned minus a $50 Administration fee. 3. After the first 14 days of the season starting date and before January 1 st of that season a prorated refund will be returned minus the $50 Administration fee and the BCWP insurance fee, in the event of an injury (with a physician note) 4. After January 1 st of the current season no refunds will be given. TOURNAMENTS A non-refundable deposit of 50% of the anticipated tournament cost (ie: coaches fees, accommodations, tournament fee, etc.) will be required when you identify your interest in attending a tournament. There will be no refund on this deposit as the Club s decision to enter a team is based on the number of athletes that commit. In the event an athlete cancels prior to the tournament, their payment will be allocated towards the overall tournament cost, so the remaining athletes don t have to pay additional costs because of reduced numbers of athletes. If another player can fill your spot the Club will consider, but not guarantee, refunding 75% of this deposit. Note: Full refunds for the deposit will be made if there is not enough interest to field a team. Final payment for tournaments will be required prior to the tournament date. Athletes not meeting the final payment deadline will forfeit their deposit and not be permitted to attend the tournament and/or play unless an alternate pay schedule has been requested and approved by the Board. 2. HIGH PERFORMANCE PROGRAM ATHLETES PRACTICES 1. Prior to the first practice, a full refund will be returned. 2. If another player can fill your spot the Club will consider, but not guarantee, refunding 75% of this deposit. Note: Full refunds for the deposit will be made if there is not enough interest to field a team. Final payment for tournaments will be required prior to the tournament date. This will be a best estimate of the cost of the tournament. In the event the Club estimates are higher than 10% of the total athlete cost, athletes will be refunded accordingly. In the event the Club estimates are lower than 10% of the total athlete cost, athletes will be charged accordingly. Athletes not meeting the final payment deadline will forfeit their deposit and not be permitted to attend the tournament and/or play unless an alternate pay schedule has been requested and approved by the Board. PRACTICES 1. Prior to the first practice, a full refund will be returned. 2. After January 1 st of the current season no refunds will be given. NCL DEPOSIT Registration with a non-refundable deposit for each team is required to Water Polo Canada in August. There will be no refund for an athlete s NCL deposit unless there are extenuating circumstances that will be taken into consideration such as: injury (with physician note) OR 18

19 another player that joins can fill your spot. In this event your deposit refund will be prorated minus a $50 administration fee. Note: Full refunds for the deposit will be made if there is not enough interest to field a team. BCPL DEPOSIT Same as above. Historically due in January. TOURNAMENT COSTS The expectation is that NCL players will attend all mandatory tournaments. Optional tournaments will be determined by athlete interest. A non-refundable deposit of 50% of the anticipated tournament cost (ie: coaches fees, accommodations, tournament fee, etc.) will be required when you identify your interest in attending a tournament. There will be no refund on this deposit as costs are calculated based on the number of athletes that commit. In the event an athlete cancels prior to the tournament, their payment will be allocated towards the overall tournament cost, so the remaining athletes don t have to pay additional costs because of reduced numbers of athletes. If another player can fill your spot the Club will consider, but not guarantee, refunding 75% of this deposit. Note: If prepaid travel is required (ie: airplane tickets) we will refund you the cost of the airplane ticket minus a $50 administrative fee and any cancellation fees only IF we are able to cancel your ticket. Final payment for tournaments will be required prior to the tournament date. This will be a best estimate of the cost of the tournament. Athletes not meeting the final payment deadline will forfeit their deposit and not be permitted to attend the tournament and/or play unless an alternate pay schedule has been requested and approved by the Treasurer. Note: In the event a tournament requires a qualifier tournament prior to the main event and the athlete does not attend one of or both the qualifier and/or main event, such deposits will not be refunded. 19

20 Athletes Playing Up an Age Category Coaches may ask an athlete to play up an age category. Playing up an age category is done at the discretion of the coaches and is done in the best interest of the athlete and the team involved. This athlete will be trained and or played as the coach sees fit. Where possible, coaches will attempt to utilize athletes within their own age group before moving outside of their age group. There are a variety of conditions under which playing up an age category may occur: 1. Ready for a Challenge The coach may ask an athlete to practice with an older age category as they feel the athlete is ready for a further challenge. In this case there would be no additional cost incurred unless the athlete chooses to add an additional practice or continues to practice with their original team as well (practices on both teams). 2. Shortage of Athletes for Regular Play The coach may ask a developed athlete to move up an age category to practice and play games, for an older age category team that is short athletes and the coach feels the athlete can play at this level. In this case there would be no additional cost incurred unless the athlete chooses to add an additional practice, continues to practice with their original team as well, or if they are going to be rostered and play in games for both age groups on a regular basis, a league fee of $75 would apply. If an athlete moves up an age category and is asked to play in the lower age category on occasion as the team is short athletes in that category, there will be no additional cost. This is the same if they are asked occasionally to play up the age group. 3. Shortage of Athletes for Tournaments The coaches may ask an athlete to play in two age categories for a tournament enabling the club to roster a team in both age categories as the team may have a limited number of athletes interested in attending the tournament. In this case the athlete is expected to pay the fees associated for any travel costs, coaching costs and tournament cost for both teams. 4. NCL Teams BCPL athletes asked to play NCL and NCL athletes that are asked to play up an age category are expected to pay their portion of the travelling teams costs (ie: travel, coaching, accommodations, vehicle rental, tournament costs, etc.). In the event the athlete is invited to join partially through the season, a prorated NCL fee will apply. 5. Conflicting Game Times The priority will be to the athletes original age group team. 20

21 Tournaments The club recognizes that tournament travel is a significant cost and not all families are in a financial position to send their children to multiple tournaments. Coaches will select tournament opportunities they feel would be most beneficial and important to the team. A tournament expression of interest will go out to parents and a decision to participate or not participate will be made based on number of athletes interested and team composition.. Parents' decision to send their child to a tournament will not guarantee the child equal play time. Decisions regarding playtime are solely up to the coaches and is based on a variety of factors such as ability, level of competition, position, etc. For athletes participating in the high-performance program, participation in tournaments outside the BCPL and NCL programs will be kept to a minimum to keep costs down. However, participation in extra tournaments is important to team development and relationship building and there will be an expectation to participate in some of these events. Participation in all BCPL and NCL league tournaments is mandatory unless approved by the coach. Team Manager See Volunteer Position Descriptions. 21

22 Teamwear Jammers or Speedos for boys and full suits for girls are required for all practices for all programs. 1. Splashball and Flippers Recreational logo team wear (Surrey Orcas suits and t-shirts) are available for purchase and are optional. 2. Recreational 12U, 14U, 16U and 18U(Regular Season) Athletes are requested to purchase logo team wear (a Surrey Orcas suit and a Surrey Orcas t-shirt) to be worn at all games. Surrey Orcas hoodies are also available and are optional. 3. High Performance Developmental (14U All Boys and 14U All Girls) Athletes are required to purchase logo team wear (a West Cast Warriors suit and a West Coast Warriors t-shirt) to be worn at all games. West Coast Warriors hoodies and robes are also available and are optional. Black athletic pants are also required for all league games. 4. High Performance (16U and 19U Boys) Athletes are required to purchase logo team wear (a West Cast Warriors suit and a West Coast Warriors t-shirt) to be worn at all games. West Coast Warriors hoodies and robes are also available and are optional. Black athletic pants are also required for all league games. 5. Adults (18+) Recreational logo team wear (Surrey Orcas suits and t-shirts) are available for purchase and are optional. 22

23 Fundraising See Fundraising Policy (under revision) Surrey Water Polo club is non-profit organization. As such it relies heavily on the fundraising in order to meet the club's financial obligations and to provide the best possible training for the athletes at an affordable cost. Each member is thus required to participate in the required dedicated Club fundraising activities (see Fundraising Policy) or forfeit their fundraising deposit. Additional (optional) fundraising activities can be arranged for individual teams in an effort to reduce costs associated with tournament fees and/or travel. 23

24 TeamSnap (Sport Team Management) A free app to the parents and athletes, the use of TeamSnap is mandatory to all Surrey Water Polo Club families as Team Snap is the main communication tool for ALL teams. Athlete and/or Parent will be asked to complete the Player Profile section to include their primary phone number, secondary contact number and athlete's address (to assist with organizing of rides if needed). All team specific information will be communicated and posted on TeamSnap. Team Managers will post all practices and games at the beginning of the season or as soon as schedules become available. Players/Parents will be required to update the players availability on a regular basis. Athlete availability for games must be completed as soon as availability is known or at a minimum of 3 days before a game. If an athlete's availability is not completed at this time the Team Manager will contact the player/parent to ensure they do so. TeamSnap is a very effective tool and can cut down on unnecessary s when used properly. Surrey Water Polo expects all members to make a concerted effort to use TeamSnap effectively. 24

25 Volunteer Expectations See Volunteer Policy (under revision) Surrey Water Polo and all its programs are run by volunteers and relies on these volunteers to help give the players the best experience possible. Volunteers are required to assist in a variety of different areas; fundraising initiatives, team wear orders and distribution, team managers, Board members, assisting at tournaments and games are just to name some of the various roles available. Each family is required to volunteer throughout the season. Reaching the required number of points is easily achievable. Volunteer points are collected and recorded by the family member throughout the season and verified by a Board member or coach. At the end of each season volunteer forms are to be submitted to the Team Manager and then to the Treasurer. Those families meeting the minimum volunteer requirements will have their volunteer fees returned or applied as credit for next season or returned for athletes not continuing with water polo. 25

26 Concussion Management In the best interest of the player and prevention from further injury or lifelong injury will be of the upmost importance and thus we will err on the side of caution. We will as a club follow the concussion protocol set out by Water Polo Canada ( - Concussion Protocol). In brief: If a player should appear to suffer a concussion during a practice or games the following protocol will be followed: 1) The coach will remove the athlete from the pool. If a medical professional is present and can assess the athlete, the medical professionals advice will be followed. If no medical professionals is present the athlete will not be able to return in the current practice or game. 2) The parent/guardians will be informed that the player should be monitored closely for any further signs. 3) The parent will be encouraged to seek medical advice by a health professional as soon as possible to be evaluated. 4) The athlete will only be allowed to return to play after written clearance is received from the medical professional. 26
