2 H:\HOCKEY\2012\Welcome\SAINTS _welcome_2012-v3.doc Version Details Dated 1 Update by TA 22 Dec Update by TA 3 February Update TA 6 February 2012 TRAINING VENUE AND TIME FOR THE START OF THE 2012 SEASON Seniors Training (Div 4 (ie U16) and higher) is held at the Club's facilities at Windarra Street on Wednesdays from about 6 pm to 7.30 pm (until advised otherwise by team coaches). TRAINING WILL START FOR ALL SENIORS on WEDNESDAY 18 th January 2012 from 6 pm (at the Saints Club House, Windara Street). Training on the TURF (CHA Grounds) will start from Monday 27 th February. All U8, 10, 11 and 13 teams (boys and girls) train at times specified by the coach of each relevant team. [With respect to Juniors training on turf - to be decided based on team numbers and desirability of players (parents) to pay the costs all of which is decided after sign on (Full Turf day rate is $90.00, with half field day rate being $65.00 equating to $2, and $1, respectively for a nominal 25 weeks training).]. A rotational plan (1 week on grass at SNTS) will apply if it proves necessary. The turf allocations can be altered in agreement between the relevant Teams and there is no need for the Committee to be involved in this process. Where an individual Team seeks to train on the Turf (beyond those allocations made by Saints), the Team Representative will need to forward the request to the SNTS Secretary (Jodi Newsam) who will forward the request to CHA. The Team Representative will be accountable for payment of the CHA fee directly to CHA (keep a receipt and inform the SNTS Secretary). For the 4 to 5 pm slot it is expected that between 2 (and upto 5) * U 13 teams will occupy the half (or whole) field. Details will be resolved in the coming weeks post sign on. For now SNTS has advised CHA that we will let them know. Page 2 of 8

Registration with Cairns Hockey Association (CHA) is required for any player to be insured. All information on the registration form must be completed for the insurance to be valid. 2. If you are a new player to the Saints Hockey Club, please present either your birth certificate or a passport for proof of age (see the club registrar (Wayn Duda) for Registration/Medical Insurance forms). 3. CHA COSTS a. Payment of CHA fees should be made direct to the Club (make sure you receive and retain a receipt). b. There will be "Turf & Grass Training Fees" for all teams for use of CHA facilities (collected by the Team Manager and paid to CHA via the Club). c. There will be Game Fees for all teams (collected by the Team Manager and paid to CHA). 4. Club fees are payable direct to Saints (make sure you receive and retain a receipt). 5. All coaches, managers and administrators (ie Junior Coordinator Position) dealing with children are required to hold a Blue Card. This is a requirement of the State Government and it is encumbent on the individual to hold the necessary certification. Inquiries may be made direct to Cairns Hockey Association or to Saints Registrar or President. USEFUL INFORMATION SOURCES The club website is provided at no direct cost to our members, through a Hockey Australia association wide provider that is funded by revenue from our collective membership fees and sponsorships. There is not a direct web address for the Saints Web site. Rather it is located through going to the CHA site ( and clicking on the link to Saints. There are other pathways to Saints website site such as via google search, or via the Hockey Australia website (click on Hockey Net) and follow the links. CHA forms, CHA Fees and CHA Calander may be found directly on the CHA website ( EQUIPMENT Through a combination of club fees, sponsorship, fund raising and grants Saints has been able to provide team equipment for all teams. For all grades the player is responsible for providing their own hockey stick, shoes, socks, shorts and safety equipment. Page 3 of 8

At the end of the season the Team Manager is required to return the clean shirts to Saints. The exception to the above occurs for some under age teams, wherein school sports uniforms are used. In the case of goalies, Saints provides the equipment for the most for all ages (where the equipment is needed U8s do not have the need). The exception to this approach is in the case of Senior teams, where it is often the case that goal keeping equipment is provided by and owned by the player. Where the player provides and maintains their own goalie equipment Saints gives consideration (on a case by case basis) to provide financial support to this player. In these circumstances, the player should approach their Team Manager who will bring the matter to the attention of the Saints Committee for attention and resolution. The Team Manager is responsible for the equipment provide by Saints. It is expected that the gear will not need replacing during the year (with each kit intended to be functional at the season outset). Wherein replacement goalie equipment is required, the Team Manager should inform a Committee Member who will decide on the action to take. Normal practice is that often spare parts exist and can be utilized, however, in other cases new gear is required and the replacement gear can be purchased at Just Hockey shop (at CHA fields). At the end of the season the Team Manager is required to return the equipment to Saints, recording any replacement requirements and giving this record to the Saints Equipment Coordinator. Saints clothing as follows is available for purchase from the Club. Clothing will be available for sale from the Saints Club House on Wednesday nights - just before and after 6 pm (during training). The timely supply of clothing is reliant on a collective effort (commencing with the purchaser) and then the location of the manufacturer. For certain items, delivery times can extend to 3 months or more post submission of order. Orders therefore should be raised as soon as possible at season commencement, to avoid disappointment. Price changes can occur due to manufacturing and our transport costs. FEES (CLUB and CHA) Ideally CHA and Club fess are paid at the sign on day. During pre-season organisation it is normal for Club fees to be paid to the Registrar. Once teams have organized and training has commenced, your Team Manager will administer payment of fees. It will not be possible to take the field wherein CHA and/or Club fees have not been paid by the due date. Page 4 of 8

The Team Manager has no discretion whatsoever in regards to a player taking the field wherein fees are owing. Saints Club fees are payable (cash or cheque made out to Saints Hockey) before the first round of games for Seniors and Juniors respectively. Players will not be permitted to take the field unless CHA and Saints Club fees are paid. In special circumstances progressive repayment arrangements can be made through direct consultation with the Saints Treasurer (John Roberts). Age Group 2012 Club Fee 2012 CHA Turf Fees (training) 1 U 8 $20 TBC U10 $35 U11 $35 U13 $55 Senior $80 U16s- $50, all other $80 1. Saints is required to collect fees from its members who train on the CHA Turf and Grass. This money is in addition to Game Fees (game fees being collected each week at the time of playing). Invariably there is a shortfall in money that is collected from players and the amount owing (on an annual basis in the order of $4000). This shortfall has been paid by Saints to CHA. The money that is used for this shortfall comes from a variety of sources including sponsorships, raffle money and fund raising undertaken by members of Saints. CHA FEES & REBATE SCHEME Refer to CHA Fees & Charges Form for details (see CHA website). A Rebate Bonus scheme is offered and administered by CHA (see CHA website). 9 Cairns Hockey Association Code of Conduct Players 1. Refrain from personal abuse towards other players and officials. This includes profane, insulting, harassing or otherwise offensive language or behaviour. Do not argue with umpires/officials. Any challenges to decisions on the playing surface are to be channeled through the team captain. 2. Respect the rights, dignity and worth of all participants regardless of their gender, ability, cultural background or religion. Co-operate with your coach, team-mates and opponents and treat others as you would like to be treated. 3. Do not encourage or intentionally engage in behaviours or practices that would endanger the health and well-being of all participants. Do not abuse equipment or use it in a manner that will endanger other participants. 4. Show concern and caution towards injured athletes. Enforce the blood rule. 5. Play by the rules and in the spirit of the game. 6. Accept responsibility for all actions taken. 7. Abstain from the use of tobacco and/or drugs and/or the consumption of alcoholic beverages when officiating or actively participating in the game. 8. Do not enter into nor undertake and activity that may bring the sport or Association into disrepute.

10 Parent/Guardian Code of Behaviour As a parent/guardian of a player/participant in any activity held by or under the auspices of Cairns Hockey Association, a member association or an affiliated club, you must meet the following requirements in regard to your conduct during any such activity or event: 1 Respect the rights, dignity and worth of others. 2. Remember that your child participates in sport for their own enjoyment, not yours. 3. Focus on your child s efforts and performance rather than winning or losing. 4. Never ridicule or yell at your child and other children for making a mistake or losing a competition. 5. Show appreciation for good performance and skilful plays by all players (including opposing players). 6. Demonstrate a high degree of individual responsibility especially when dealing with or in the vicinity of persons under 18 years of age, as your words and actions are an example. 7. Respect officials decisions and teach children to do likewise. 8. Do not physically or verbally abuse or harass anyone associated with the sport (player, coach, umpire and so on). 9. Respect the rights, dignity and worth of every young person regardless of their gender, ability, cultural background or religion. 10. Be a positive role model. 11. Understand the repercussions if you breach, or are aware of any breaches of, this code of behaviour.

11 Play the Whistle As a spectator watching an event that is conducted or sanctioned by Hockey Australia, you must meet the following requirements with regard to your conduct. 1. Spectators are an important part of the game and shall at all times conform to accepted standards of good sportsmanship and behaviour. 2. Spectators shall at all times respect officials, coaches and players and extend all courtesies to them. 3. Lead by example and respect all players, coaches, umpires and fellow spectators physical or verbal abuse will not be tolerated. 4. Respect the umpires decision. Do not abuse, threaten or intimidate an umpire or match official and do not show dissension, displeasure or disapproval towards an umpire or match official s decision in an abusive or unreasonable fashion. 5. Support skilled performances and show respect for opposition teams and players. 6. Display appropriate social behaviour by not using profane, demeaning or derogatory language, or harassing players, coaches, officials or other spectators. 7. Leave the spectator area tidy and free from litter. 8. Do not ridicule mistakes or losses supporters are there to support. 9. Acknowledge all volunteers who are giving up their valuable time to enable the conduct of competition.

Demonstrated ability to participate in the development and delivery of an inclusive coaching and development program in consultation with other coaches (incorporating U16A, Reserve and Classics) SELECTION POLICY Saints Team Personnel The following applies where there is more than one team (1) involved. Where there is one team and more than 15 players seeking to play for that team the same principle of transparency and independence as detailed below is to apply. The intent is to demonstrate to all players that a transparent selection process prevails and thus encourage healthy competition on the basis that performance against key nominated attributes will be rewarded. 1. Pre Competition At the time of Team Personnel Nominations to CHA a selection panel comprising three (3) people will decide the team. The panel is a. The Coach from the previous year b. The Coach for the current year c. A third person nominated by the Committee 2. It is not possible to stipulate the iterations that are possible. The intent though is to decide the initial Team and Personnel Nominations (required to be lodged with CHA before the season starts) in a transparent manner, with input from individuals who have been the most recent custodians of the responsibility given by the Club to coach the relevant teams, with a third person involved. 3. For the circumstance where the person defined by (a) and (b) is the same, then the Committee will appoint an alternate. 4. There may be more than one third person selector in the Club, though for each specific Team Selection Process only one third person is to be involved. 5. The intent is to have a third person for the purposes of assistance, impartiality, transparency and to assist in the implementation of the Club s Selection Policy. 6. The nomination process is to involve a formal in person meeting between the Two Coaches and the Third Person. 7. Players eligible to be registered in Under 16 will be registered in Under Team Nominations and Personnel Nominations are made by the Registrar with the approval from the President for and behalf of the Saints Committee. Competition 1. In the first two games of the season a trial period prevails. A selection panel comprising three (3) people will decide the team. The panel is a. 16 2. It is not possible to stipulate the iterations that are possible. For the Open Division, the intent is for the Classic, Reserve Coaches and Third Person (as described above) to formally meet and resolve. 3. In the course of the year players may be regraded, and among considerations that must be adhered to is the regrading rules administered by CHA. 4. In the course of the year, players may move between teams in accordance with performance against the key listed attributes. This phase of the selection process should involve the Coaches of each relevant team (ie 2 coaches for the most, though in the case of U16 moving to Open, should involve 3 Coaches) and the third person selector. The balance to achieve is between the legitimate desire for autonomy in coaching a team, an integral component of which is player selection, and transparent decision making in accord with the key attributes. 18 Version 1 Nov 2011 Page 1 of 3 THE DUMMIES GUIDE TO BEING THE SAINTS HOCKEY CLUB REGISTRAR: GENERAL Attend monthly club meetings as far as possible and be appraised of agreed processes for Registration into club and CHA. Attend sign on days for both Junior and Senior members. Maintain electronic data records of all members of Saints hockey club. Maintain team data for both Junior and Senior teams including personal details, coach and manager information. Coaches will be a high contact point in obtaining player and team information for the correlation of team personnel lists. Maintain electronic data for financial status of all Saints club members in relation to club and CHA fees receipt number for any fees collected should be included in this data. Forward received fees to club treasurer as soon as is possible. Any personnel / nomination form etc should be forwarded to CHA via the club secretary. ANNUAL SIGN ON Provide CHA registration forms for members ensuring data correlates to that held in Saints records where necessary. Collect monies for both Saints fees AND CHA registration providing a receipt at the time of collection. Receipt number to be included in Registrar records information. Once fees are received, completed registration forms can be passed onto CHA for processing into sporting pulse database, with the CHA financial component.( details of this process to be confirmed by Tim and John R) Even if players do not show up in sporting pulse, if you have received and receipted fees then that player is financial and safe to play. Historically the data entered at CHA does not always occur in a timely manner creating confusion at club level. TEAM FORMULATION SENIORS At sign on members generally nominate a division to play especially if they ve played previously. Once coaches are agreed and training commences, players will be identified to a particular squad or team as applicable. It is necessary to ensure all team members are confirmed as financial in advance of team nominations being made to CHA. This usually proves impossible. From 2010 the Club has adopted the approach that is consistent with CHA By Laws (albeit that CHA has not consistently applied this law) of requiring 11 players to be registered in order for a team to be nominated. Prior to the required date - as per CHA calendar, team nominations must be forwarded to CHA including total number of teams, number of teams in each division, team name and sex

19 Version 1 Nov 2011 Page 2 of 3 of team. This is done through the club secretary having been approved by the Registrar and President. Generally around a week later team personnel lists must be forwarded to CHA. Players eligible to be registered in U16 division are required to be registered in the u 16s (see Saints Selection Policy). A form may be available to use from the CHA website, if it is not possible to utilise this, use one from last year saved to USB. This is done through the club secretary having been approved by the Registrar and President. If any trial games are undertaken as per the selection policy ( see Saints website), it may be necessary for players to be regraded into a different team. If this happens, CHA must be notified. They require a completely revised team personnel list for each of the altered teams to be forwarded through to them. As above, all senior teams require a minimum of eleven registered players to be nominated as a team. The top 22 male and female players are forwarded as a complete list at the time of team personnel information, but are not allocated into a specific team ( just ensure a classic and reserve team are nominated) It is VITAL that only players who you have confirmed are registered with CHA are included on the personnel lists. Maintain electronic list of each team as above. JUNIORS Once coaches are identified for each team, liaise with Junior co-ordinator to ensure accurate lists of players are correlated and confirmed. The Junior Coordinator will liaise with school coordinators and the Junior Coordinator facilitates the process of organising teams working with President as necessary. The Junior teams are allocated in age groups and sex see previous spread sheet. It is necessary to ensure all team members are confirmed as financial in advance of team nominations being made to CHA. Maintain electronic list of each team as above. Team nominations are to be forwarded to CHA by the required date ( on CHA calendar).. This is done through the club secretary ( is fine) having been approved by the Junior Coordinator and President. The information required for each team is name of team, age group and sex. It s vital that the correct number of teams is provided to CHA or issues will arise later. Team personnel lists are then sent to CHA generally a week after nominations these are sent on a dedicated form from CHA website, however, if it s not possible to utilise the one on the site, use one of last years saved to USB. This is done through the club secretary ( is fine) having been approved by the Junior Coordinator and President Again it is vital that only players who are confirmed as registered and financial with CHA are included on the nomination forms. Junior teams require minimum of 6 players for team registration in under 8 s age group and 11 players in all other ages.

When raffle completed, co-ordinator does draw with another club person, phones winner for prize collection. If not collected, prize money & remainder of raffle money changed at kiosk, bagged and dropped into Game Fee Collection Box outside timekeeping office. d. On Sat morning take bucket with cards, hooter & hats down to shelter at (?) Field 4 and collect same at end of last Junior game and return to timekeeping office. e. all returned game cards, raffle book, etc collected and put back in CHA office at end of Juniors. f. Keys then to be dropped in Team Fee Box outside timekeeping office 4. Forward on any updates/changes from CHA to School Co-ords, Coaches/Managers 5. 25 Manager Duties Note: Please supply your address for club correspondence. Be present 1 hour before the team takes the field. Ensure team members have paid fees for season to club registrar. Ensure team members are financial before they take the field. Collect team member fees for weekly game. Fill in game card and sign at end of game ensuring score and opposing teams score are correct. Game Fees are to be placed in an envelope with game card. Envelope to be placed in collection box at rear of Turf score room near dugout A on same day as game day. Ensure no jewellery is worn on the field. Jewellery that can not be removed is to have tape placed over item. Ensure player jerseys and Club equipment is returned in clean and good order at the end of the season. Speak with Chris Ireland (Equipment Convenor) regarding repairs or replacement to equipment. Skirts, shorts, socks are the responsibility of the player. Remind players not to take to the field without the proper uniform, mouth guard and shin guards. Keep in contact with CHA officials or information on team playing times and possible cancellations or adjustments for bad weather (ensure Club has players contact numbers). Managers may be asked to information on their team performance for the week for inclusion in the proposed Saints web page. Assist team with refreshment and other needs during games. If anyone wishes to sponsor your team or club please contact one of the committee members. Be familiar with the Coaches and Players codes of conduct (See attached). Any questions or concerns can be brought up with the coach or a committee member. Managers of all teams are requested to encourage/facilitate participation of all players in perfoming umpire duties and to prevent the reliance on a select few players do the umpiring. Working with the coaches and with the support of the Saints Club, Managers are to guide players in their conduct specifically in regard to paying respect to Umpires and officials. Players and Club officers are expected to behave in a manner that does not bring themselves, their team mates and Club officials into disrepute. At the season's end, Managers are required to return clean Team Shirts and complete equipment to Saints. A written record of equipment in need of replacement or repair is to be provide to the Saints Committee.

NB, Multiple rebates are available to an individual member however rebates cannot exceed the original registration payable. The member seeking the rebate/s does not need to own the account or insurance policy (as the case may be), They just need to be the referrer. If the Player receiving the rebate wishes to pay online than they will need to pay the full registration and receive their rebate via a refund to their club. 1, New Member Rebate (This is only available if the new player pays the discount or full fees).
