1 Scottish Championships - Final Details Balmoral Estate Saturday 21 st May & Sunday 22 nd May 2016 MAROC and Grampian Orienteers welcome you to Balmoral Estate on Royal Deeside on the 21 st & 22nd May 2016 for the Scottish Orienteering Championships. We are able to use this area by kind permission of Her Majesty the Queen and Balmoral Estates. Particular thanks are due to Garry Marsden, Estate Visitor Enterprise Manager for his great co-operation in all we have asked of him. Thanks also to Red Cross for supplying the First Aid, and to the many volunteers from Mar Orienteering Club and Grampian Orienteering Club who are making this weekend possible. Important information for the weekend The estate will be open to the public during the competition. Please be considerate of the general public, estate staff and other competitors. The general public are not permitted vehicle access. Please print and display the car parking pass for access to the Estate. There is NO ENTRY AFTER, or EXIT BEFORE 1330 on the Saturday. And NO ENTRY AFTER, or EXIT BEFORE 1200 on the Sunday. To avoid damage to underground cables only put up banners in marked areas Both days use EMIT timing. Competitors may use their own brikkes or those supplied by the organisers. Brikke numbers will be allocated at download. Please only cross fences using marked gates / crossing points. The key deer fences are also shown with a boundary line. The Gelder Burn (the main river running through the event area) is out of bounds. Competitors starting from the far (red) start on Saturday should only cross the burn at the marked crossing point (footbridge). The large rock face in the south-east of the area is marked out of bounds for your safety. There are many other crags in the course area, some are substantial. Please take care with selecting your route around crags Please do not enter any fields with ponies or cattle, or OOB areas (marked on maps with purple overprint). OOB includes the western end of the estate where there are Capercaillie and no courses. Please don t enter this area. The competition area includes some estate tracks and you may encounter a very small amount of traffic. If you are not a member of BOF please give your name and address to registration. This is required for BOF Insurance. Please take away your own litter No overnight camping is allowed Please note that participants take part at their own risk and are responsible for their own safety. Competitors must download after finishing even if you don't complete your course.
2 Safety & medical information Full body cover is required. A waterproof may be required depending on weather condition - signs will be displayed at the enquiries tent. Competitors are advised to carry a whistle. If temperatures are higher than average there may be a risk of dehydration. No water will be provided; please bring your own. Hygiene: Livestock and deer roam the event area and their droppings may contain serious diseases, including e-coli, so please wash hands, especially before eating. Please be TICK AWARE and check yourself thoroughly after your run for TICKS. If you are unsure how to remove a tick safely then please visit the first aid tent. If you have an underlying medical condition please the Organiser (secretary@marocscotland.co.uk) by Thursday 19th May with the relevant details and next of kin contact details. These details will be kept confidential/for emergency use only and destroyed after the event. This applies if you are running either or both days. Travel and Parking These directions are the same for both days. Parking will be signposted from the junction of the A93 and B976 at Crathie. Car Park Grid Reference: NO253947, Postcode AB35 5TL (A93/B976 junction at Crathie). Googlemap link Streetmap link Travel directions access from A93 at Crathie then B976 over River Dee. DO NOT ENTER VIA MAIN GATES AT BALMORAL. Continue approximately 1/2km on B976 to Easter Balmoral and turn right (south) onto unclassified road then first right into Balmoral Estate. Continue for approx 2km on Estate tracks past golf course bearing left after approx 1km to car parking in field approx 400m in front of Balmoral Castle. The car park will be open for competitors at 0930 on Saturday and 0830 on Sunday and is beside Event Arena/Assembly. The car parking field is unsuitable for minibuses/motorhomes/coaches. If you intend bringing a large vehicle please contact the Organiser (secretary@marocscotland.co.uk) prior to the event. These should enter by the same route at Easter Balmoral and park at the Estate Office car park 500m from the Event Arena. There is no charge for car parking, but the car parking pass must be displayed in the windscreen for access to the Estate. Please obey any instructions from car parking marshals on both entry and exit. Event Arena The Event Arena is the same for both days and is located next to the car park area on level grass. Please ensure children don t play with security cameras in this area and do not enter the wooded area (with a pond) to the north.
3 The Event Arena will contain: Enquiries & registration, including Entry on the Day subject to map availability/numbers. Car keys can be left at Registration. Relay registration (from 3pm-5pm) First Aid Tent (please advise the First Aid providers if there are any medical conditions they should be aware of before you start your run) Compass Point (for equipment, Saturday only) ScotJOS cake stall (Saturday only) Cake stall in aid of WaterAid (Sunday). Anne Hickling is running this and says: 'WaterAid works to provides safe water and sanitation for the world's poorest communities. Millions of people in the developing world still lack these basic human needs. I'm fundraising for the charity ahead of joining a trek with fellow-supporters to Mt Mulanje in Malawi in November. Please help me support WaterAid by buying a cake or two. Sheridans hog roast /burger stall with Angus beef burgers in local bread roll 4 & hog roast in a local bread roll with apple sauce 4.50 Coffee & Cake van serving real coffee, other hot drinks and home bakes. Live results on WiFi. WiFi network OResults, browse to o.net There will be space for club tents and banners in the Event Arena. Please only use the areas indicated as there are underground cables which must not be damaged and please do not enter the cricket square which will be taped off. The Balmoral Tea Room, Visitor Centre and toilets will also be open and available to competitors and spectators. They are situated to the east of the Castle and a short walk from the Event Arena. String Course On both days a string course will be located in woodland 200m to the north of the Event Arena. Dogs Dogs are permitted in the Event Arena but NOT on the courses. Please keep dogs on leads at all times and please clear up any mess. Photography Chris Spencer will be in the competition area and the arena. He is well known sports photographer and has photographed many orienteering events including the Scottish 6 Days, the JK and the recent SOL3 at Affric. He will upload suitable photos to his website to be viewed. These will be available for purchasing at a small price. In accordance with British Orienteering Child Welfare Policy and Procedures, we request that any other person wishing to engage in any video, zoom or close range photography should make themselves aware of British Orienteering policy. Organisers reserve the right to challenge anyone who is giving cause for concern. If
4 anyone has concerns about inappropriate or intrusive photography they should raise them with the Organiser or Controller. Photographs will be taken at prize giving and may be used in publications and on websites. Please make the organisers aware if you do not wish a photograph which includes you to be published. Protests & Complaints There is a procedure which all competitors should follow on either day if they feel that the Rules are not being followed. Any complaint should initially be discussed with the Event Organiser, using the Complaints/Protests form: ( mplaint_protest_form_sept2014.pdf) available from Enquiries. However any approach should bear in mind that Event Officials are volunteers who have given up their valuable time to lay on the event, often under circumstances which are not ideal. If the complaint is not resolved satisfactorily then a protest can be lodged with the Controller. The Controller will then, if necessary, convene a Jury. 5 Start Times Start times are available from Brikke collection Please collect your named and numbered backup card, and brikke at registration. You may use your own brikke, but will need to attach a backup card. Brikkes will be checked by the start team in the start lane. If any brikke fails to respond, the start team will provide a replacement brikke. At download your entry number will be used to match your brikke with your entry. Please note that there will be no race numbers or bibs Distance to Starts 800m to near (blue) start and 2km to far (red) start. Signposted from the west side of the Event Arena. Please note that there is no clothing transfer and that there are no toilets at the starts. 6 Competitors who are late for their start will only be allowed to start after the last start or in a gap, at the discretion of the start official. Control descriptions will be available in the start lanes and also printed on the front of all maps Competitors on the White and Yellow courses and courses 17 & 18 (M/W10A & B, M/W12B) should collect their maps and control descriptions from the Registration tent before heading to the start. Map Details All maps are laser printed with a scale of 1:10,000. Courses 17 (Yellow) & 18 (White) both have taped sections. Out of bounds is marked with purple overprint. The Gelder Burn is out of bounds and there is a compulsory crossing point on the footbridge across the Burn for competitors starting at the far (red) start. The key deer fences are shown with a boundary line and must only be crossed at the marked crossing points. The area to the west (Garmaddie Wood) is out of bounds due to Capercaillie. The large rock face in the south-east is marked out of bounds for your safety. There are many other crags in the course area, some are substantial. Take care when selecting your route around crags. Prominent rock features more than approximately 1m in height are marked. A green dot has been used to show prominent Scots Pine trees in the western part of the area. Results and Prize Giving Results will be displayed in the Event Arena and available by WiFi in the vicinity of download SSID: OResults URL:o.net Prize giving will take place in the Event Arena as close as possible to 4pm. Please support prize giving and take the opportunity to explore Balmoral including the Visitor Centre if you have time. There are Individual Trophies for M/W Elite (Winner, first Native Scot and first Scottish club member) and for all eligible class winners. Medals will be awarded for 1st/2nd/3rd in Individual Junior A classes and for 1st in Individual Junior B classes, M/W 18/20E. Mememtoes will be awarded for 1st/2nd/3rd places in all individual adult classes. 9 Registration Relay Declaration forms (& changes) can be submitted at enquiries in the Event Arena up until 5pm on the Saturday. Submissions by the 18 th May would be preferred. Any changes after 5pm on Saturday will cost 1/runner or 5/team (for a change of class). Collection of Relay team bags (bibs, EMIT brikkes) will be possible from 3.00pm 5.00p on the Individual day and from 9.00am on the day of the event. Please note that you will need to supply your own safety pins Anyone seeking a run in an Ad Hoc team should come to Relay Registration on Saturday between 1500 and Ad Hoc entries will cost 12 per person for adults and 6 per person for juniors (whatever class). Please pay with cash/ cheque. Start and Changeover The junior classes BOF 36- and 44- will start at 10.30am with call up 15 minutes before at 10.15am. All senior classes will start at 10.45am with call up 15 minutes before at 10.30am. The sequence of bib colours is red, white, blue. After map issue, second and third leg runners will wait in a holding area before moving forward to the changeover line as their incoming runner approaches. Incoming runners will only be visible from the last control, so waiting runners will need to be vigilant. All competitors must download even if they don't complete their course. On exiting download there will be a compulsory map collection area. One representative from each club should collect the club s map bag from the finish area after all competitors have started. Mini-mass start(s) will happen at appropriate times if necessary.
10 Map The maps will be A4 in size and laser printed on waterproof paper. Map scale 1:10,000 for all courses. These are indicated on the control descriptions and on the course overprint. Shadowing Shadowing (or taking part as a pair) is permitted but the whole team will compete as non-competitive. The person shadowing must complete their own run before shadowing and they must not pick up a map at the start.
11 Download Download will be in the event arena next to the finish. All competitors who have collected a map from map issue must report to download whether or not they have completed their course. Results and prize giving The philosophy of the Scottish Relays is that all teams are competitive. Runners need not be from the same club, they need not be of the correct age class or handicap value for the class they are running, and runners may even run twice. However, in order to be eligible to be Scottish Champions, teams must be of members of the same Scottish club, or a neighbouring club alliance, and they must fit age, gender or requirements for the class they are running. The two open classes and the age class/handicap classes all start together to enhance the racing experience. Provisional results will be displayed in the Event Arena both electronically and on a "Results Board". Prize giving will be as close to 1.00pm as possible. There will be medals for 1st/2nd/3rd in the BOF 36- and 44- classes and mementoes for 1st/2nd/3rd in the senior classes 3-7. There are trophies for the first Scottish teams in the Men's Open Class (which women can also compete in), the Women's Open Class, the Junior 36-, the Junior 44-, the overall winner of the Age Classes (the first team finishing in classes 3-7) and the first Scottish Junior Team (M/W10-20) in any of the Age Classes (classes 3-7).
