1 Gilwell : Information for Group Leaders Welcome... We are looking forward to welcoming you to Gilwell 24. Whether you are new to the event or have been before, please read carefully through the information below to make your arrival/departure as smooth as possible and to enable your young people to have a great event. Arrivals The site will open from Thursday ( ) for groups who wish to arrive early to set up camp. Equipment is left at your own risk. All groups arriving on the Thursday will also need to visit the Scout Adventures Reception before pitching camp. If your group arrives after opening hours then you must contact the duty manager on before pitching your camp failure to do so may mean you will be asked to move your tents and erect them on the correct field. Please ensure that all vehicles coming to site have a completed vehicle pass on display, otherwise entry onto site will be delayed as drivers will be asked to complete one on entry. From Friday at the site will reopen for arrivals and once again a traffic system will be in operation and the Traffic Management Team will do their very best to get you where you need to go. The Traffic Management Team will be wearing Hi-Vis, and will do their very best to get you where you need to go. Please follow their directions and the traffic system in place. In order to maintain site safety, vehicles will not be permitted on the campsites and kit runs will be organised where necessary. Your full co-operation with the team during this busy time is very much appreciated. Parking There is no onsite parking at Gilwell 24, so several off-site car parks will be in use with our shuttles. Please see the directions in the map below or ask a team member for details of where to park. On site car parking is available only for disabled parking blue badge holders and this must be booked in advance by ing info@gilwell24.info. A shuttle bus will operate between the off-site car parks and the main site (from Chingford Station on demand only). Shuttle buses will operate from on Friday at regular intervals (This will be running continuously on Friday evening, early Saturday morning and Sunday morning then on demand* at all other times). If you think you may arrive between 2330 on Friday evening and 0700 Saturday please contact us in advance so we can facilitate your arrival. * When the shuttles are not in continuous mode, you may request a shuttle bus by texting BUS and your name and location to

2 Coaches If you are arriving by coach, specific arrangements exist, please see the Information for Coach Drivers and make sure you have given this to your driver. Drop off If your group are arriving individually, please ensure that you have given each individual a copy of the information pack for parents/guardians and your booking reference. This helps us to find out if the rest of the party has arrived and where they are pitched. We will have a designated meeting point at the end of the drop-off parking in front of The White House and this is where you must meet your group. Where appropriate, please ensure you give parents a contact telephone number for yourself. Please also encourage your group to share lifts in order to cut down on traffic to and from the site. It is also possible for parents to drop their young people directly at the off-site parking point and then join the shuttles onto the site. If you would like to use this option, please make sure there is a leader available at the off-site parking to meet your young people. Registration The event registration is located in the Jack Petchey Lodge and is clearly sign-posted. The event registration will be open from on Friday and on Saturday. Please register before pitching your camp. Outside of these times registration will be located in the Scout Adventures Reception and manned throughout the event. To assist with smooth running, we ask that only a single representative books your group in (If you are on an event passport then one of your group needs to check you in) To register you will need your booking confirmation and either cash, cheque or card if needed to pay for a maximum of three additional people. (Cheques should be made payable to The Scout Association ). Please ensure that you have completed your group information online prior to your arrival as this will replace the nominal roll form this year. Please note that refunds cannot be given for lower numbers of attendees as activities will have been arranged for the numbers booked. On arrival you will be issued with a pack containing ID cards and lanyards, tickets for meals (if ordered) and t-shirts for all those in your booking. T-shirts may be available for extras added to your booking, but these will only be issued after on the Saturday subject to availability from the Info Point. Please ensure the correct person is wearing the correct ID card and lanyard. During the event we will be checking IDs, so please ensure that your Explorers are wearing their lanyards at all times. Clothing and badges that have been ordered must be collected on presentation of your tickets in the Jack Petchy Lodge on arrival as leftover stock will be sold in the Providore after 3pm on Saturday afternoon.

3 Setting up your camp In order to ensure smooth arrival and to maintain health and safety, all groups will be allocated a campsite on arrival by a member of the Camping Space Team. Campsites will be opened in a phased manner to ensure the space is best used. This means you will not be able to choose your own camping location. You must check in with the camping space team or the activity centre reception prior to setting up camp. This may mean that you need to walk carrying your kit or load and unload your vehicle into one of our trailers for transport to your site. Please bear this in mind when packing your vehicles and minimise the number of bags or loose equipment to make this easier. If your group has any special needs with regards to their camping location, please ensure you contact us in advance. We may not be able to accommodate your needs otherwise. Safeguarding It is the policy of The Scout Association to safeguard the welfare of all members by protecting them from neglect and from physical, sexual and emotional harm. The TSA Safeguarding Team have created a Safeguarding Guide for Gilwell 24 which is available for download on our website. The guide will help leaders, parents and participants to think about some of the potential situations which could arise during Gilwell 24 and help to plan for and mitigate these risks. It also outlines the help and support available to you and your group in the unlikely event that something does go wrong. Please share and discuss this guide with all adult volunteers prior to attending Gilwell 24. Should you have any safeguarding questions before the event please contact your County Safeguarding Awareness Co-ordinator. Coming alone? This year we will be providing some dedicated ice-breaker activities for those coming on passports or in small groups so you can get to know some more people before the event starts. These activities will be at the Star Stage (training ground) from for participants and for leaders on Friday night! New to the event? If you have never been to Gilwell 24 before or would just like to have some last minute tips on making the most of the event and helping your young people to do the same, then please come along to our Leaders Briefing at 2200 at the Star Stage on the training ground. Mobile phones Mobile phone reception at Gilwell can be variable and therefore you should bear this in mind when using a mobile phone as a contact number. The following networks all appear to have good reception: T-Mobile, Orange, EE, Vodafone and Virgin. Please ensure the nominated leader s phone is charged and switched on at all times. Charging is available for free at the info point, please just bring your own charger.

4 Activities Some evening activities will run on Friday evening for those who arrive early. This will include a disco. Every year we have a number of participants who think that our event is a 48 or 72 hour challenge and try to stay awake all night on the Friday. This causes difficulties for our staff and other participants who would like to get their sleep, so please encourage your young people to be in the camping area and quiet by midnight. We reserve the right to ask young people or groups to be taken off site if this causes problems. The main activities start at on Saturday morning after the opening ceremony at 9:00am. Further detailed information will be on the website and in the app before the event. We finish with a closing ceremony from on Sunday morning. At Gilwell 24 there are no activity tickets or booking systems centrally. Instead, sign-ups for the activities are at the activities themselves. Sign-up for Scuba Diving sessions, the sports competitions and Gauntlet will be at the Info Point in the main arena sign-ups will be available Friday night and Saturday from about #G24Star we ve got an open mic/acoustic stage on the training ground please encourage your young people to sign up to come and perform! Visit the stage to sign-up. Gilwell Gauntlet This year the gauntlet will run overnight. Young people will need to complete 15 activities in the Lid between and Sign-up is via the Info Point as there is limited capacity! There are great prizes available (and a trophy!). We are hoping to make the Gilwell 24 app available again this year, more details will be available on the website nearer the event. Last year this was extremely popular, giving activity opening and end times, further information and notifications. Leader activities From the Saturday morning, there will be a Leaders Zone hosted in the Large Campfire Circle at the bottom of Essex Chase, accessible from the main Essex Chase field behind the Lid. In the leaders zone there will be a programme of training and interaction activities. Leaders can join any of the sessions and workshops on a first come first served basis. No pre-registration needed. There will also be free tea and coffee throughout the event. It s a great space to come and chill out around our fire, meet fellow leaders and gain some skills at the same time. Feel free to bring your own chair for extra comfort! We are still finalising the programme. Please see the provisional timetable below. A full programme will be available on arrival. If you would like to help during the event please come and see us at the Info Point in the Arena, We will be very grateful for any offers of help received especially for the night time Gauntlet activities and cinema supervision.

Departures Departures will be organised as follows: To book your kit run, you will need to talk to the Kit Run Coordinator for your field who will be clearly identifiable. Your kit will be collected from your site once it has been fully packed, and will be dropped off at Branchet car park Unfortunately it will not be possible for vehicles to collect their own camping equipment from Essex Chase, though this may be permitted from other fields please check with the Kit Run Coordinator for specific arrangements for kit runs and vehicle access Once you have booked your kit run, you will be advised to collect your vehicle and take it to the Branchet car park. Due to limited parking, vehicles arriving without having booked a kit run may be turned away.

6 IMPORTANT INFORMATION PLEASE MAKE YOUR YOUNG PEOPLE AWARE First aid will be available throughout the weekend - the location is marked on all maps, and clearly signposted on the Camp Square. In the event of an incident or accident 1. Immediately inform a member of staff. They will initiate the appropriate procedures. 2. Follow directions issued by Staff. 3. All calls for emergency services should go through Reception, except where a delay would be life threatening. Discovery of fire 1. Raise the alarm by ringing the fire bell and warn people in the vicinity 2. For a small fire, try to control it using fire buckets or an appropriate extinguisher until help arrives. Do not put yourself at risk. If in doubt, leave it alone. Evacuate your area immediately and report to the closest assembly point. These are located outside the Lid, and opposite the White House. Site Emergency Evacuation Alarm The evacuation alarm is a single pitch siren. Evacuate your activity area immediately, and go to the emergency evacuation point, situated at the bottom of the Quick or the edge of Branchet Field. And finally Please take time to talk to us during the weekend and let us know your opinions on any aspect of the event. 12 LASER - MAYHEM Declaration Laser Mayhem treats the Health and Safety of all participants as a priority. As with any sport/leisure activity there are hazards associated with laser tag. We recommend that old long sleeve trousers and tops are worn with fastened trainers or stout shoes. I understand that: Laser tag is physically and mentally intense and may require extreme exertion to play. The possibility of injury to myself and others exists. The playing area has varying terrain and may be slippery and have many trip hazards There is the possibility of fallen tree debris. No physical contact is allowed between participants I confirm and agree that: I am physically fit and mentally able to take the strain and exertion involved in playing laser tag. Protective equipment must be worn at all times consisting of a minimum of a Helmet, Knee Pads, Elbow Pads and Wrist Guards when riding a mountain board, riders must also always wear the retention leash at all times to prevent runaway boards or have heel straps attached. Bikes and dirt scooters require a minimum of a helmet. Please be aware that failure to observe these rules may result in eviction from the centre. Please note: The foam pit is only for use by experienced riders, if we feel you do not have the experience to use the pit we reserve the right to stop you. 14 THE BIG AIR REVERSE BUNGY DECLARATION Jumpzone Big Air treats the health and safety of all participants as a priority. The BIG AIR is an extreme experience and there are, as with many sports related activities potential hazards. All persons under 18 must seek permission from a parent or guardian prior to using the BIG AIR. 15 PADI Discover Scuba Diving Participant Statement Please read the following paragraphs carefully and fill in all blanks before signing. This statement, which includes a Medical Questionnaire, Discover Scuba Diving Safe Practices Statement and a Statement of Risks and Liability, informs you of some potential risks involved in scuba diving and of the conduct required of you during the PADI Discover Scuba Diving programme. Your signature is required to participate in the programme. If you are a minor, you must have the Participant Statement (which includes and acknowledges the Medical Questionnaire, the Discover Scuba Diving Safe Practices and the Statement of Risks and Liability) signed by your parent or guardian. You will also need to learn from the instructor the important safety rules regarding breathing and equalisation while scuba diving. Improper use of scuba equipment can result in serious injury or death. You must be thoroughly instructed in its use under the direct supervision of a qualified instructor to use it safely. PADI Medical Questionnaire Scuba diving is an exciting and demanding activity. To scuba dive safely, you must not be extremely overweight or out of condition. Diving can be strenuous under certain conditions. Your respiratory and circulatory systems must be in good health. All body air spaces must be normal and healthy. A person with heart trouble, a current cold or congestion, epilepsy, asthma, a severe medical problem, or who is under the influence of alcohol or drugs, should not dive. If taking medication, consult your doctor before participating in this programme. The purpose of this medical history questionnaire is to find out if you should be examined by a doctor before participating in recreational scuba diving. A positive response to a question does not necessarily disqualify you from diving. A positive response means that there is a pre-existing condition that may affect your safety while diving and you must seek the advice of a physician. Please answer the following questions on your past and present medical history with a YES or NO. If you are not sure, answer YES. If any of these items apply to you, we must request that you consult with a physician prior to participating in scuba diving. Your instructor will supply you with a PADI Medical Statement and Guidelines for Recreational Scuba Diver s Physical Examination to take to a physician....do you currently have an ear infection?...do you have a history of ear disease, hearing loss or problems with balance?...do you have a history of ear or sinus surgery?...are you currently suffering from a cold, congestion, sinusitis or bronchitis?...do you have a history of respiratory problems, severe attacks of hayfever or allergies, or lung disease?...have you had a collapsed lung (pneumothorax) or history of chest surgery?...do you have active asthma or history of emphysema or tuberculosis?...are you currently taking medication that carries a warning about any...impairment of your physical or mental abilities?...do you have behavioural health problems or a nervous system disorder?...are you or could you be pregnant?...do you have a history of colostomy?...do you have a history of heart disease or heart attack, heart surgery or blood vessel surgery?...do you have a history of high blood pressure, angina, or take medication to control blood pressure...are you over 45 and have a family history of heart attack or stroke?...do you have a history of bleeding or other blood disorders?...do you have a history of diabetes?...do you have a history of seizures, blackouts or fainting, convulsions or epilepsy or take medications to prevent them?...do you have a history of back, arm or leg problems following an injury, fracture or surgery?...do you have a history of fear of closed or open spaces or panic attacks (claustrophobia or agoraphobia)? Discover Scuba Diving Safe Diving Practices Statement These practices have been compiled for your review and acknowledgment and are intended to increase your comfort and safety in diving. I understand that upon completing the Discover Scuba Diving programme, I will not be qualified to dive independently without a certified professional guiding me. To equalize my ears and sinus air spaces, I will need to blow gently against pinched nostrils every few feet/one metre while descending. If I have discomfort in my ears or sinuses during descent, I should stop my descent and alert my instructor. Underwater, I should breathe slowly, deeply, continuously and never hold my breath. I should respect underwater life and not touch, tease or harass an underwater organism since it may harm me and/or I may harm it. I can seek further training from any PADI Dive Centre, Resort and Instructor to become certified to dive without a professional guide Statement of Risk and Liability (EU Version) I (participant name),, hereby affirm that I am aware that skin and scuba diving have inherent risks which may result in serious injury or death. I affirm I have read and understand the Safe Diving Practices and have had any questions answered to my satisfaction. I understand the importance and purposes of these established practices. I recognise they are for my safety and well being, and that failure to adhere to them can place me in jeopardy when diving. I understand that diving with compressed air involves certain inherent risks; decompression sickness, embolism or other hyperbaric injury can occur that require treatment in a recompression chamber. I further understand that this programme may be conducted at a site that is remote, either by time or distance or both, from such a recompression chamber. I still choose to proceed with this programme in spite of the absence of a recompression chamber in proximity to the dive site. The information I have provided about my medical history on the Medical Questionnaire is accurate to the best of my knowledge. I agree to accept responsibility for omissions regarding my failure to disclose any existing or past health conditions. I further understand that skin diving and scuba diving are physically strenuous activities and that I will be exerting myself during this programme. I further state that I am of lawful age and legally competent to sign this Statement of Risks and Liability, or that I have acquired the written consent of my parent or guardian.
