Our Club Formed in 1966, Oak Flats Swimming Club is a Community Swimming Club where Coaches, Swimmers and Parents work in partnership to develop a culture through which swimmers can achieve their full potential as athletes and club and community leaders. A friendly family oriented club, we have a mini, junior and senior squad to allow our members to progress into, as their ability and competitiveness progresses. Above all, we want our members and their families to have fun. The core of our club has been the ongoing commitment of Helen McKay (Senior Coach and Life Member) and Jim Egan (Life Member). We pay special mention and homage to Ted McKay. The Club constantly strives to ensure that the Oak Flats Swimming Club remains a legacy that Ted McKay would be proud of. Through the ever-changing cycle of members coming and going from our club throughout the past 49 years, the constancy and commitment of Helen, Jim and Ted shall always be acknowledged, remembered and never underestimated. 5 P a g e

6 2. Introduction & Welcome Welcome to Oak Flats Swimming Club The information in this handbook is designed to be your reference point throughout the year. It will inform you on what to expect within the club. To the new swimmers and families joining the club, we trust that you will enjoy your time and experiences at Oak Flats Swimming Club. It also provides the tools to access further information regarding swimming as part of a club. 2.1 Club Objectives and Mission The aim of the OFSC is to encourage, teach and promote the arts of swimming and lifesaving whilst. fostering a love of swimming in children. Our Club is a family oriented club with emphasis on promoting and providing a safe, healthy and friendly environment for swimmers of all ages to develop their swimming skills. Oak Flats Swimming Club encourages swimmers of all ages and levels of ability. We endeavour to prepare swimmers to compete at club events, external carnivals and surf lifesaving carnivals as well as promote a fun filled atmosphere and strong team spirit. We encourage all members to familiarise themselves with our website as all information about the club is found there and regularly updated. Oak Flats Swimming Club Inc. is one club, which forms part of the South Eastern Swimming Association (SESA), which currently covers 25 clubs from Helensburgh in the north to Eden on the far South Coast extending to Cooma and Jindabyne in the Snowy Mountains. 3. Parent Involvement 3.1 Volunteering Like all amateur sporting organisations, the Oak Flats Swimming Club does not run by itself and we are fortunate to have a hard working committee. Volunteering for the Oak Flats Swimming Club can be in the form of helping out on club nights, at external carnivals or at social club events. Essentially, we need the help of the collective group. On Friday Club Nights, the club introduced a rotational roster system to help fill all volunteer positions required on these nights. The roster is advertised on the morning of each Friday based on entries received for the night s events. At external carnival meets, it is compulsory that parents help out with timekeeping if their child is competing on the day. With all parents contributing, this ensures the meet can be run quickly, efficiently and the amount of time spent volunteering is shared and kept to a minimum. 6 P a g e

7 The club is fortunate to have a core group of people who help more weeks than not on Friday nights and at external carnivals. By continuing to use this core group of people and rostering out the other positions, it will go a long way to making the Oak Flats Swimming Club as inclusive as possible. Some of you may feel uncertain as to what each job entails, but there is enough experienced people to guide you through if you are unsure. As a small non-profit organisation, we rely on the support and volunteerism of all our families. The continued involvement of our families is vital to the future success of our club. 3.2 How To Become A Technical Official Technical Officials are people who are qualified to do set jobs around the pool. These people run point-score nights, swim meets, area carnivals and championships. They operate under the rules as determined by Swimming NSW in accordance with Swimming Australia and FINA. To become a technical official, you must first decide what job you would like to do around the pool. You must be a registered member of Swimming NSW and of secondary school age or older. Constitution & Rules of the Club Oak Flats Swimming Club functions through its Constitution, By-Laws and Club Handbook The Constitution (which must be approved by Swimming NSW), provides the framework of how our Club is established and managed. a) Our By Laws outline how our Club operates at a more functional level, incorporating various rules of our Club. OFSC By Laws also outline the rules which all Members must comply by. b) The handbook sets out an explanatory guide to Members on how we operate in detail as well as, information and further rules by which Members must comply. Our Constitution and By-Laws are published on our website and accessible by clicking here: OFSC Constitution & By-Laws A copy of the club constitution is provided to the Department of Fair Trading. Any alterations to the constitution must be approved by Swimming NSW. 5. Code of Conduct We have a Code of Conduct for parents and caregivers, which can be found on our website by clicking here OFSC Club Policies. The Code of Conduct applies within our own Club, at the Oak Flats Olympic Pool, at SESA Carnivals, Swimming NSW and Swimming Australia Carnivals and Events. 6. Member Protection & Child Welfare Policy Our Club adheres to the Member Protection a n d C h i l d W e l f a r e Policy issued by Swimming Australia Limited. The policy can be found on our website at Policies and Procedure Webpage. 9 7. Club Information Please take a tour of the Oak Flats Swimming Club website where you will find lots of information about the club. A notice board is also placed at the 25m pool and Club House with useful information. 7.1 Electronic Mailing List The Club also maintains electronic mailing lists. The electronic mailing list is used to: notify members of Club activities, point-score and carnival meet information, and Notify members of publications on the website. Members who have access to are strongly encouraged to provide their address. The Club takes the personal privacy of its members very seriously and only club executive committee members have access to addresses. Under no circumstances will member addresses be released to any third party. 8. Management of the Club 8.1 Annual General Meeting (AGM) All Club Annual General Meetings by Law must be held in May in each year and prior to the AGM s of SESA and Swimming NSW. All members of the OFSC are encouraged to attend the AGM. Members over 16 years of age are welcome to become active members of the Club Committee or Sub Committees to help in the running of our Club. 8.2 Committee OFSC is managed through a Committee of Volunteers. The Committee meets on a monthly basis, the second Wednesday of each month at the Clubhouse located onsite at the Oak Flats Pool. The Committee consists of the Executive Officers plus other members elected to various positions. Committee members undertake a variety of voluntary duties in order to run Friday night point score and add to the smooth running of the Club. 9 P a g e

Club Registration 10 P a g e Club Registrar Janet Selby co ordinates the formal part of O F S C Members affiliation with Swimming NSW and the member s registration numbers. Membership to our Club is open to anyone who enjoys swimming and would like to compete at Friday point score nights and/or carnivals. Membership takes effect from the time you and your child/children become registered with Swimming NSW. A list of registered club members is held in the club house. 9.1 How to Register There is an annual subscription payment for Membership fees which is due from the 5 th September each year and cover 12 months from the 1 st October to 30 th September. The fee includes insurance for members and registration with Swimming NSW and SESA. Due to insurance risks, fees must be paid prior to any swimmer taking part in club events prior to the commencement of the Summer season. 14 11. Squads 11.1 Introduction Squads is a comprehensive squad training program that prepares swimmers for competition at all levels or for those just wanting to maintain fitness. The squad levels focus on maintaining advanced technique, whilst giving swimmers the opportunity to develop their own competition skills. Our Squad Training Program is divided into three main categories: MINI, JUNIOR, & SENIOR Our program caters for swimmers who have attained a certain level of ability in swimming who wish to progress in their swimming for the purposes of: Stroke Correction Proficiency in all swim strokes Participation in Swim Meets / Carnivals Surf Life Saving Club Night Point Score General Fitness It is compulsory that ALL Squad Swimmers are registered members of the Oak Flats Swimming Club. Membership entitles you to swim in our Swim Squads, allows Free Pool Entry to attend training, and insurance coverage Squad Allocation The placement of swimmers into squads is the responsibility of the Head Coach. The Head Coach will receive input from the other coaches, and any questions about a swimmer s placement should be directed to their immediate Coach. The goal is to have swimmers placed in one of the groups based primarily on ability and commitment. At all times, the best interest of the swimmer and team will be considered. All swimmers are encouraged to strive to attain the next level of training. For placing swimmers in the appropriate groups, the following criteria may apply: Practice attendance, Training ability, Age, Attitude, Skills achieved, and Swim Meet participation. 14 P a g e

15 11.3 Training Location The Oak Flats Swimming Club conducts training at the Oak Flats Pool. The Club has lanes set aside in both the 25m heated pool and the 50m cold pool. During the winter season (June to September inclusive), training is conducted in the 25m heated pool only Squad Swimmer Responsibilities All OFSC swimmers are expected to abide by the following at training: Maintain a positive attitude at training sessions and swimming meets, Arrive at the pool at least 5 minutes before the start of practice, Bring their own caps, fins and water bottle to all sessions, Bring Hand paddles and pool buoy to all sessions when instructed, Be ready to enter the water at the designated time, Notify coaches of expected prolonged absences, Listen to coaches and follow their instructions, Display respect towards coaches, adult volunteers and other swimmers, Respect Oak Flats Pool Centre property, Stay in the allocated lane and not interfere with other swimmers, and Swim to the wall on finishes in the allocated lane and move out of the way so the swimmer behind may do the same Coach Swimmer Parent Interaction The following principles are applied: Fairness: Coaches will deal with each individual fairly, consistently and directly. If swimmers have issues or concerns, they should approach the coach immediately. In fairness to coaches and the swimmers, OFSC may request meetings with parents and swimmers in order to resolve issues. Coaches will make every attempt to avoid gossip or negativity. Swimmers and parents are asked to do the same. Appropriate Times to Approach Coaching Staff: If a parent has a concern, it should be expressed when the coach can give it his/her full attention, this is either before or after a training session. Please do not distract a coach with these concerns during a work-out or on the pool deck. In the event that a problem occurs during a swim meet, please notify the coach. The coach will take care of the problem as quickly as possible, given the constraints of managing the team. Parental disruption and interference during practices is detrimental to the Team. Please refrain from interacting with swimmers during training. 15 P a g e

16 Directness: Coach/swimmer relationships are the concern of the coaching staff and should be dealt with at that level. Coaches will discuss issues after practice or by appointment. If required, parents/swimmers may approach the head coach with concerns. An appointment may be made to discuss the matter privately if required. Team Policy: OFSC encourages parents, swimmers and coaches to work together to produce the best possible team environment. To that end, OFSC suggests that taking extra lessons or practice with opposing coaches or teams is counterproductive. Taking lessons from outside coaches is confusing for swimmers, and not healthy for a successful coach/swimmer relationship. For a referral for swimming lessons, please speak with the OFSC Head Coach Training Schedule Swimmers will be advised by their respective coach regarding their training schedule. Every effort should be made for swimmers to attend the minimum number of training sessions allocated to them by their coach. For information on training times, please refer to our website page by clicking on the following link OFSC Training Timetable 11.7 Lane Hire Training Fees The allocation of lanes at Oak Flats Pool for OFSC Squad Training is a contractual arrangement with Shellharbour City Council (SCC). The Club pays a monthly fee to SCC for the provision of lanes. It is important that squad members pay their lane hire fees when due. The Club has a policy that outlines how and when swimming lane hire training fees are payable, the fee structure for the season, the club financial hardship provisions and available options for the payment of Fees. It is imperative that Members comply with this policy in order to continue to keep fees affordable for all Members, and for the Club to have the existing provision of lanes available. 17 12. Swimming Seasons The swimming year is divided into 2 seasons consisting of: Summer (Long Course 50m pools) Winter (Short Couse 25m pools). The summer season starts at the beginning of October and runs until (including school holidays), the e n d of March. Summer season consists of 15 weeks point score and 4 weeks club championships held at the Oak Flats Pool. The summer presentation evening is held in May. Oak Flats Swimming Club provides winter squad training from the beginning of June and runs until the end of August. Training is conducted in the 25m heated pool. 13. This is why swimmers are seeded according to their times. You swim with others who swim similar times though they may not necessarily be the same age as you. You may even find a parent scattered through the heats!

18 It s my first time at Point-Score Swimmers don t have to be experts! Swim distances start from 12.5 metres for the very beginner swimmers. These are NOT races like at School Swimming Carnivals or Club Meets, rather heats that are arranged according to a competitor s time regardless of age or gender. The first time a child swims an event; that time is recorded as their best time. As they swim faster in the following weeks, these times will become their new best times. If it is your first time swimming in the 12.5m race, the club can provide a senior swimmer in the pool to guide you along. Our 12.5 and 25m races are designed to help swimmers develop their skills prior to advancing to 50m races Entry Fee and Rules for Point-Score Nights Oak Flats Swimming Club does not charge a Fee for Point score. Late entries will not be accepted. Please ensure you enter on time to avoid disappointment. If your child is unwell or unable to attend, you need to notify the Race Secretary by no later than 4:00pm on the day of the point score meet. Our Club Point-Scores will now be run as "Qualifying Meets" pending approval by SESA. This means events of 50m distance or greater will have times officially recognised by Swimming NSW however competitors will come under the rules and be subject to disqualification when an accredited referee and starter are officiating. Athletes who opt to swim the longer distance events (i.e. 400m) must make the qualifying time in order to enter these events Entry Procedures Swimmers are informed each week by of the 2 strokes that will be run on the Friday night. First event each evening is always our primary distance event (400m free, 200m free or 200 IM), followed by freestyle and this is followed by the off-stroke of the night (backstroke, breast stroke or butterfly), and the off-stroke distance event. Entries for point score are to be submitted via our website homepage under Events Schedule. Entries must be submitted by no later than 7:00pm on the Thursday evening prior to Friday point-score. Any changes to entries submitted must be advised via to: clubsecretary@oakflatsswimclub.com no later than 7:00pm on the Thursday evening prior to Friday point-score. 18 P a g e

19 13.4 Events for Point-Score Each week there is a freestyle event, an off-stroke event plus the choice of a distance event. The program repeats five times during the point-score season for a total of 15 pointscore weeks. Weeks 1 / 4 / 7 / 10 / 13: Distance Event: 400m Freestyle or 200m Backstroke Freestyle: 12.5m, 25m, 50m and 100m. Backstroke: 12.5m, 25m, 50m and 100m Weeks 2 / 5 / 8 / 11 / 14: Distance Event: 200m IM or 200m Breaststroke Freestyle: 12.5m, 25m, 50m and 100m. Breaststroke: 12.5m, 25m, 50m and 100m Weeks 3 / 6 / 9 / 12 / 15: Distance Event: 200m Freestyle or 200m Butterfly Freestyle: 12.5m, 25m, 50m and 100m. Butterfly: 12.5m, 25m, 50m and 100m 13.5 Requirements for Point-Score As a general guide, it is suggested each swimmer bring: Swimmers and Goggles Swimming Cap Towels Warm Top Water Bottle A BIG smile, and lots of positive energy. Swimmers can also bring along Uncles, Aunts, Granddads and Grandmas. Our Friday Nights are for the whole family! 19 P a g e

20 13.6 How Point-Score Works Freestyle is swum each point-score week followed by an off stroke such as backstroke, breaststroke and butterfly in the following distances m; 25m; 50m and 100m. A swimmer can only enter one of the above distances for the freestyle and off-stroke events. If a swimmer elects to swim the Freestyle and Off-Stroke Events on the night and doesn t swim either of the Distance events, then both the freestyle and off-stroke events will attract improvement points where improvement is shown. There are two Point Score Open Distance Events conducted on each Friday night. The point score distance event is based on 200m and 400m distances. Week 1 is the 400m Freestyle or 200m Backstroke Week 2 is the 200m Individual Medley or 200m Breaststroke Week 3 is 200m Freestyle or 200m Butterfly Note: If a swimmer elects to swim in either one of the distance events, improvement points will be allocated to the swimmers distance swim and their best swim of the night from the freestyle and off-stroke where improvement is shown. Note: If a swimmer elects to swim in both distance events, improvement points will only be allocated to the first distance event of the night, being either the 400m Freestyle, 200m Individual Medley or 200m Freestyle and their best swim of the night from the freestyle and off-stroke where improvement is shown. Points are accumulated throughout the season based on the OFSC Club Point-Score System below. 21 13.7 Point-Score Awards All members registered as swimmers with Swimming NSW, may participate in point score events. To be eligible for a point score award at the end of the season, a swimmer must participate in at least 8 point score evenings during that season. Age trophies are awarded based on the Swimmer s age as at the first evening of Point score being 14 October Awards are presented for the Summer point score season, to those swimmers who have achieved the highest number of points for the weekly point scores. The Club also has an overall point-score winner. At the end of each season, there are numerous categories of awards that can be achieved. 22 14. Club Championships 14.1 Introduction Club Championships are held at the end of each season during the month of March. This is different to point score as each swimmer is racing against their peers rather than points for improvement. Club Championships determine the fastest swimmers in each age group. Our Club Championships are held in the Oak Flats 50 metre pool, on each Friday evening of March. All Members may participate in Club Championships, however to be eligible to win an award, a swimmer MUST swim in at least 8 x Point-Score Nights for 50m and greater events, and at least 4 x Point-Score Nights for the 25m freestyle 6yrs & under event, which have been conducted during that season. Members who have not met the point score attendance criteria may still compete as a guest swimmer, and will not be entitled to an award Entering Club Championships Swimmers enter online via our Website Homepage. 23 15. Carnivals & Swim Meets OFSC competes at various swimming carnivals throughout the south coast region and Sydney region. Club swimmers are encouraged to enter carnivals. The club and coaches will target certain meets during the season. The meet programs will be displayed on the Club Noticeboards and on our website under Competition. Our club promotes and fosters team spirit at carnival meets we attend. Our swimmers benefit from participation, social interaction with other club swimmers, and the overall experience. Competitions are strongly encouraged at Oak Flats Swimming Club because they are an opportunity for athletes to put into practice the racing skills they have been taught. For many swimmers, this provides an opportunity to experience a true sense of personal achievement. Carnivals are usually a great day or week end away where our swimmers have fun competing and cheering on friends in races. Parents/caregivers also have a good social day, getting enjoyment from watching their own children, including their friends, striving to reach their full swimming potential. We encourage all Members to consider attending carnivals and joining other Members in what is usually a top day. The Race Secretary will inform members via e mail of upcoming carnivals that Members may be interested in attending. 24 16. Club Swim Shop The Oak Flats Swimming Club has its own swim shop. Our range of swim supplies and club merchandise is reviewed regularly based on customer member feedback. Club Members enjoy quality merchandise at very competitive prices. The club makes very little profit from our swim shop in order to ensure that the savings we make through our bulk ordering from our suppliers is passed on to our valued members. We have two volunteers who operate our swim shop from the club house during specified hours both in the morning and afternoon five days a week so Members can purchase what they need whilst they are poolside.
