There are over 24,000 players in Georgia competing for a berth in the USTA League Tennis Georgia State Championships, so you are in an elite group. The next step on the road to becoming a National Champion is the USTA Georgia Adult 18 & Over League Tennis State Championships, which for the Men s & Women s and 4.5 levels, will be held May 11 th 14 th, in Rome, GA. This packet has all the information you will need to register your team. Please review the enclosed materials carefully. The Coman Tie-break Procedure will be used in all tie-break situations (see website for explanation.) The directions page shows which facilities we will be using and all levels will be scheduled to play on hard courts, barring any weather problems. Balls will be provided and handed out prior to each match. The CVTA (host CTA) and Greater Rome Convention & Visitors Bureau would appreciate your help with your hotel information. This will help them with their Economic Impact report. They are asking that captains be able to fill out a form (will be ed to you in advance and turned in when you check in at the captain s registration) that shows where their players are staying and the name in which the rooms will be reserved. The CVTA and the Rome Convention & Visitors Bureau will each provide a token for a free lunch at the Food Trucks, which will be located at the Rome Tennis Berry College Friday through Sunday. The tokens will be given to the captain at the captain registration for each registered player. If you have questions, please contact your local league coordinator. 4 DIRECTIONS FOR COMPLETING REGISTRATION FORMS 1. Complete the form USTA League Team Information Sheet. A. Write the name of your local league in space next to Local League. (Do not write the name of your team or your facility.) B. Write your team s level in the space next to NTRP Level. C. Write your team number in the space next to Team #. D. Place a checkmark next to the appropriate gender. E. In the Players column, write the name of the captain on the first line. If original captain is not the acting captain for the State Championships, list the acting captain s name. Enter all players by last name first. All players other than captain should be entered alphabetically. 2. Include a copy of your roster from TennisLink. 3. Entry Fee is $30 for each player. This check should be made out to your local league. 4. Deposit Fee is $ per team. This check should be made out to USTA Georgia. Teams who fail to complete all scheduled matches will forfeit both their entry fee and deposit, and will be subject to sanctions during the next league year. At the conclusion of scheduled matches, all deposit checks will be destroyed. Teams that withdraw twenty-two (22) days in advance of the start of the tournament will be reimbursed their security deposit and entry fee. Teams that withdraw within twenty-one (21) days of the start of the tournament and the posting of the draw will not be reimbursed their entry fee. Teams that withdraw once the draw is posted will forfeit their security deposit, entry fee and a grievance may be filed by the referee to the appropriate committee.

7 2018 USTA Georgia League Tennis State Championships Withdrawal & Cancellation Policy Tournament Withdrawal Policy Teams that withdraw twenty-two (22) days in advance of the start of the tournament will be reimbursed their security deposit and entry fee. Teams that withdraw within twenty-one (21) days of the start of the tournament and the posting of the draw will not be reimbursed their entry fee. Teams that withdraw once the draw is posted will forfeit their security deposit, entry fee and a grievance may be filed by the referee to the appropriate committee. Tournament Cancellation Policy During Round Robin Play Should inclement weather or other circumstances prevent the completion of all round robin play during the State Championship; the following procedures will be used to determine round robin winners: In the event that only one team in a round robin has a mathematical chance of finishing first, that team will be declared the winner of the round robin. If more than one team has a mathematical chance of winning their round robin, and the first place team has already beaten the other teams with a mathematical chance of winning, the 1 st place team would be considered the round robin winner. If a round robin winner cannot be determined, only teams with a mathematical chance of finishing first will receive an entry into a drawing. Undefeated teams will receive a second entry into the drawing. Once a winner is determined in each round robin flight in a particular level, each team winning their round robin will be put into a drawing to determine one state champion. During Playoffs Should inclement weather or other circumstances prevent the completion of all playoff rounds during the State Championship; the following procedures will be used to determine round robin winners: If cancellation occurs before or during the first round of playoffs, all group winners will receive two entries in the drawing and any best 2 nd place teams will receive one entry into the drawing to determine one state champion. Any winning team that has completed their first round match will also receive two entries into the drawing and the losing team will be excluded from the drawing. If cancellation occurs during the second round of playoffs, all teams that have not had their team match decided will receive an entry in the drawing to determine one state champion. Any winning team that has completed their second round match will also receive one entry into the drawing and the losing team will be excluded from the drawing. Once the finalists are determined, both teams will be told how the champion will be determined by the USTA Georgia Director of Leagues, should cancellation occur after the finals have begun play. If cancellation occurs once the finalists have been determined, but play has not begun, both teams can agree to meet at a mutual location and time to play for the state championship. A deadline will be given by the Tournament Committee to complete the match. If both teams cannot agree to a mutual location and time prior to or on the deadline set forth by the Tournament Committee, both teams will receive an entry in the drawing to determine one state champion. USTA Georgia will not be responsible for providing an official or for any expenses related to this match.

9 Frequently Asked Questions about the State Championships If you have a question about the 2018 USTA Georgia League Tennis State Championships; refer to this sheet as a handy reference. 1. Our team won both the summer/fall and winter/spring seasons, but a couple of our players were different. Can we take all our players? No. You must choose which season you are representing - the fall or the spring. Only those players on that roster, and who are otherwise qualified, may play. You cannot combine rosters. 2. How many matches does a player have to have played locally to be eligible to participate at the USTA Georgia Adult 18 & Over League State Championship? A player must have played two matches during the same local league season, including local playoffs, in which his/her team qualified for the state championship. One default received by the player during local competition shall count for advancing. A retired match shall count toward advancing for all players involved. 3. How soon can we get our match schedule? The tentative schedule will be posted on the USTA Georgia Web Page ( or on TennisLink at least one week before tournament starts. No schedules will be mailed to captains. At registration, captains will receive a final schedule that will replace the tentative one. 4. Why do I have to listen to the captain s conference call and attend the captain s registration? On the captain s conference call we go over all the specific rules that apply for the tournament. All announcements concerning schedule changes are made at this time. The captain s call is the only way we can ensure you are informed of changes or special situations you need to know about in order to make your tournament as smooth as possible. The captain may have a representative listen to the conference call and/or attend the captain s registration. The final schedule will be handed out at the registration. 5. Our team only has four players available. Will we have to default all our matches? You must have a minimum of eight players who can play all five positions ( ) or 5 players who can play all three positions (2.5 & 5.0+), but if the Tournament Committee approves this prior to the tournament your team will be allowed to play with only 4 players ( ) or 3 players (2.5 & 5.0+) for the entire tournament. These defaults would be subject to the default rule (see #6). 6. What is the Default rule for the State Championships? Any team defaulting a court for any reason will be fined $100 per court defaulted. The fine must be paid in the tournament room prior to the team s next match. If it s the team s last match of the tournament, they must pay prior to leaving. If a team does not pay the fine, a grievance will be filed against all members listed on the team information sheet, which could result in suspension from any USTA League play until the fine is paid. Any matches played during that time will be reverted to losses. The reason for this regulation is it s your team s responsibility to have players on every court at each match during a state championship. When a team defaults a line, it not only can affect the outcome of the tournament, but more importantly, it affects those players who showed up ready to play, only to find their opponents did not show. * Players must play at the level their rating was on the roster at the time of their local league play!

At end of Exit ramp turn LEFT onto Cedar Ave. and proceed to the Stop Sign. At the Stop Sign turn RIGHT onto Darlington Dr. Darlington School is approximately 0.5 mile on RIGHT just after the Railroad Track. Look for sign at road.

Go 1.2 miles, turn RIGHT into Berry College. Once on the Berry College campus, take the 3rd (final) RIGHT off the traffic circle onto Opportunity Dr. and follow that street through the main campus. Go RIGHT at the fork in the road, and then take the first RIGHT after that onto Victory Dr. Richards Gym will be on your LEFT, with parking next to the gym and the tennis courts, which are located next to the Gym, as well. Directions to Georgia Highlands College (GHC) (3175 Cedartown Hwy. SE, Rome, GA 30173) Turn RIGHT out of the Rome Tennis Center at Berry College onto Armuchee Connector which becomes Braves Blvd. and then becomes Riverside Pkwy. and go 3 miles. Turn LEFT onto Turner McCall Blvd. and then becomes US Hwy 27 South (Sign says Gadsden Cedartown). Go approximately 8 miles to Georgia Highlands College.
