1 1 Our Mission 3:23 Ministries, Inc. exists to provide and promote discipleship to children, youth, and adults primarily through competitive youth sports venues. Coaches and teams affiliated with 3:23 Ministries share a common vision to invest relationally, spiritually, and developmentally into kids, families, and coaches. 3:23 Ministries, Inc. exists to promote and provide ministries including (but not limited to): 501c3 sponsorship for like-minded sports teams Youth sports camps Coaching clinics Parenting/missional living seminars Team sponsored community service events Mission trip opportunities with teams and/or local churches 4 Core Values What makes 3:23 unique are the following priorities in order: 1. Competitive Progression Teams sponsored by 3:23 Ministries will implement the highest of standards in coach, player, and parent conduct, including but not limited to written team policies/expectations, measurable player development, team financial disclosure etc. It s our goal to keep the game fun, help kids grow in their skills, prioritize relationships, and mentor responsible, godly young women whose character formation will outlast their participation in sports. 2 2 Team Selection: Teams will be comprised of athletes who are willing and able to contribute and agree to the rules, philosophies, and goals of each team. Players will be chosen based on skill level, athletic ability, potential, attitude, and ability to understand roles as well as the concept of being a team player. Our goal at 3:23 is not to exclusively train athletes for just one season. Our hope is to build a continuum of training with our athletes over multiple seasons. 3:23 places athletes in training scenarios where they can be comfortable and competitive. In finding a comfortable environment, we reserve the right to offer team placement that does not match age or grade. Our 18U/16U teams are constructed by position demands, tryout evaluation and potential. Age is not a driver for placement. For the betterment of an athlete s development over time, those who are high school freshmen, but are able to play 14s and under (with middle school athletes), will be directed to play 15s alongside other high school players. This enhances their prospects to socially mature and develop the needed athletic skills required for their future volleyball experiences. If a player declines placement on a team, they will be allowed to try out for 3:23 one more time. If they decline placement for a second season they will no longer be allowed to try out for 3:23 teams in the future. Player Development: 3:23 is committed to training our athletes for the duration of their junior volleyball experience. During the 2019 season, we will be fostering an environment for athletes to grow their understanding of the game, how to thrive in competitive scenarios and have the necessary competitive composure to be successful in their athletic endeavors. Coaches are not allowed to provide paid private lessons to players on their team during the season. If a player is interested in getting more repetition or practice, their coach must approve the private lessons with a 3:23 coach. 3 3 Coaching Staff: Teams will be staffed with coaches who promote fairness, high work ethic, integrity, and good sportsmanship. Coaches are responsible for creating this team environment and supporting the enhancement of players volleyball skills, leadership abilities, teamwork, and individual development on and off the court. Each coach involved in the development of the team should be treated with the utmost respect. Any abuse of our coaches by a player or parent may be dealt with swiftly and fittingly. It is the intent of 3:23 to provide an ongoing learning environment for its coaches. 4 4 Coaching and Playing Philosophy: It is our philosophy that practices are the time to improve skills and work on new concepts. It is important that players and parents accept the following statement: Players pay to train, not to play. Playing time is not a given; it is earned by hard work, positive attitude, and display of skills on the practice court. 80% of each athlete s club experience occurs in a practice gym. The remaining 20% of club time is served within a tournament context. The reality is that equal playing time is not a possibility at any time. During tournament play, the coach has the right to determine the line-up that he or she determines is best suited to meet the goal of the particular level of participation. An equal play philosophy does not apply in many situations. It is each player s responsibility to perform at a level that is consistent in keeping with the goals of the team. If the player does not, for whatever reason, fulfill their obligations on the court, it is the coach s right to substitute them so that the team may achieve its goals. Players are expected to perform certain roles on the bench as well, which will greatly contribute to the success of the team. All players must understand that playing time among team members WILL NOT BE EQUAL, especially in a playoff and gold bracket situation. Coaches will do their best to allow all players to compete in each tournament attended. Factors that influence playing time include, but are not limited to (in no particular order): attendance, attitude, practice performance (hustle, enthusiasm, skill and athletic ability), teamness and playing position. Some players will get specialized assignments, while others must work to be the best alternate starter she can be. Regardless of the role that evolves over the season, all players and parents are expected to remain positive and committed to the goal of having the TEAM do as well as possible throughout the season. It is important for players and parents to understand one of the goals of the team is to compete successfully at tournaments. If it is the player s belief that she is not being treated fairly and playing an appropriate amount, she should discuss it with the coach first. The coach sees your daughter at each practice and may see something that parents do not.
5 5 Player/Parent/Coach Communication In reaching our goal to educate players in life skills outside of volleyball, we feel it is important for players to to create and maintain a good dialogue with their coaches regardless of age. This is particularly true with the 13 and older age groups. The 11/12 age groups should be a balance of teaching a young player to learn to communicate, while having the guidance of a parent as needed. The parent s role is one of support to the players, coaches, and the club. Parents should not engage in coaching from the sidelines, criticize players, coaches, or game officials or try to influence the makeup or operation of the team at any time. We encourage player communication with their coaches. If a parent feels that he or she must address a situation, they are permitted to contact the coach 24 hours after the last game of a tournament to discuss their concerns. At no time should a parent approach the coach during a game. Travel Policies: 1. You will respect the rules that are provided as well as the coaches and parents who enforce them. 2. Coach will determine meeting place for team (prior to the event) which may be at a hotel the evening before or a tournament site. Any parent volunteer providing transportation for a tournament is under the direction of the coach, regarding when and where athletes are required to be. Please do not volunteer if you cannot work in conjunction with the team requirements. 3. Transportation to and from all practices, club-sponsored activities, and tournaments is the responsibility of the parents. 4. Be sure to bring all jerseys and spandex, shorts, knee pads, socks, shoes, and water. 5. Parents are exclusively responsible for athletes outside of the tournament venue. If a player s parent is not able to attend an event, it is expected that a chaperone parent be assigned to that athlete in advance. 6. When at lodging location, athletes must travel in pairs (as a minimum) when walking outside of the lodging premises. There shall be no display of disrespect toward any club coach, athlete, parent, chaperone, or hotel guest/employee. 7. Curfew to be determined and enforced by coach. 8. Leave the places you practice, play and stay better than you found them! Honor the other guests at the hotel by being quiet and respectful.
6 6 Injury Policy: Any player that suffers an injury that is medically proven to prohibit them from participating in practice and competition with their 3:23 team are expected to attend practices for observation and investment purposes if physically able to do so without risking further injury. Time off the court can be highly frustrating but can serve as a different learning modality for athletes. Only doctors can excuse or limit a player s participation due to injury. Once a player is put on injury limitations, only a doctor can give medical clearance for players to return to play. Proper documentation must be provided. Expectations of Players: Showing up is not enough. 3:23 needs players who are punctual, who are in proper frame of mind to work hard, and who pay attention to instruction and cooperate with teammates and coaching. Players should help with putting the net up before practice time begins and stay to assist in putting up equipment when practice is over. The motto should be: If you are 15 mins early you are on time, if you are on time you are late, and if you re late there will be consequences. Teamness is the outlook of our players to embrace the shared experience which club volleyball is intended to be. Players individual decisions, values, and opinions have great effects on the collective whole. We expect players to spend time off the court together (team meals, events) to enhance the synergy needed on the court for greater competitiveness. That intangible is vital to team belongingness, safety, and building trust amongst teammates (and parents). Commitment: It is vital to be fully committed to 3:23 Volleyball Club program. If you work hard in practices, matches, and scrimmages, you are likely to have a successful season. Players who are committed to improving have little time for players who wish to turn practices into social events because of someone else's aspirations or standards. 3:23 supports our athletes maximizing life experiences and participating in school functions. Commitments such as band, choir, and school sporting event participation are supported by 3:23 and coaches. Commitments such as school dances and other travel sports are not viewed as acceptable reasons to miss practice or tournaments. Along the path of commitment, families will make many sacrifices and athletes will bypass many school functions and social endeavors. 3:23 believes this creates a more lasting value and motivation for the opportunity the club will provide each family. Like-minded families and athletes are pivotal to the success of a team.
7 7 Attendance: The club volleyball commitment is a big one in terms of time, emotion, and resources. With this in mind, it is important for player and team development to attend every practice. If athletes are going to miss a practice, please inform your coach at the practice prior and earlier. Excused practices absences are those related to family, faith, or illness. Players are allowed to play other sports for their school but must communicate schedule conflicts with their coaches. Players attending school events on tournament dates may hinder their development, or the team and that player s tournament play time. It must be understood that missing practices and/or tournaments does not signify full commitment to the team and its goals. Moreover, it needs to be understood that missing training and competition time with your team can greatly affect a player s role on the team. Coaches may have make up policies for players that miss practice due to conflicts of schedules. All make-up policies are approved by the volleyball coordinator. If a player quits a team in the middle of the season, they are obligated financially to paying for the rest of the season. Players that quit a team during the season will not be allowed to try out for 3:23 teams in the future. Image Presentation: You are representing yourself, your family, and the 3:23 volleyball club at every practice, tournament and outside events. We are a club that will be known for good sportsmanships and integrity by our players, coaches, and parents. A player arguing with the officials is never appropriate and will not be tolerated. Families should be very aware of the public nature of social media. Misrepresenting our club, via inappropriate images or comments, will not be tolerated. Respect the Rules: This includes all SURVA, USA Volleyball and any visiting region rules. Rules will be enforced. The team may have its own rules established by the coach and approved by the club. Conduct at Tournament/Practice Sites : It is the intent of 3:23 to be a leader in the volleyball community. It is also the intent of 3:23 to lead by example, which means you: the athletes, parents, and coaches. These guidelines are set forth to protect the safety and integrity of the athletes, parents, coaches and 3:23 Volleyball Club. Please note that all circumstances are not accounted for and in the event of an undue circumstance, the Club Director and Volleyball Coordinator will take appropriate action.
8 8 1. Conduct unbecoming of an athlete will not be tolerated at any 3:23 Volleyball Club function. This covers a wide variety of circumstances, for example, not being a team player, getting into fights with fellow team members, the use of foul language or rude gestures. 2. No cell phones are allowed to be ON in the gym during any practice. At tournaments, all devices will be put away until all responsibilities are concluded. 3. Appropriate dress: practice attire -- t-shirt, shorts, knee pads, volleyball shoes, hair up and out of face, no jewelry. Game attire -- correct uniform, warm-up attire if directed by coach, no jewlery, hair up and out of face. Shorts are to be worn over spandex when not playing. 4. Proper nutrition is required. It is important to stay hydrated at all times. 5. When the team is responsible for officiating, scorekeeping, and handling lines: No headphones, no cell phones, paying attention (not talking to teammates or family across the court). 6. No team member is permitted to leave a tournament site until all officiating responsibilities are completed. There may be circumstances for local tournaments where the Head Coach can give you permission to leave only if communicated weeks before (and shared with the entire time to ensure clear communication within the team dynamic). If athletes leave early, without permission, it should be expected that the natural byproduct of that choice will be additional work assignments at the next event, as well as a discipline consequence at the next practice. 7. You are to support your teammates at all times while on the bench, whether you are playing in a particular match or not. 8. Parents are to be supportive of the entire team at all times. Parents are not to engage in any behavior in cheering that would reflect negatively on 3:23 Volleyball Club. Guidelines for parents are no different from players in this regard, and the same consequences can be put into place for an athlete due to parents behavior. 9. If any 3:23 Volleyball Club team is playing at the same site, teams will be encouraged to watch and cheer for other 3:23 teams. Expectations of Parents : Consistency and trust between coach and parent will allow for the player to gain a much more focused approach and active support network. If the values and goals of our club and their coaches are not reinforced at home, then the success of this experience for your player may be jeopardized. Parental involvement and support are crucial elements to a successful club experience. There are many ways parents can be part of the team and contribute to the team s success.
9 1. Drop off and pick up your child on time from practice and tournaments. Allow your player time to change into their court shoes/gear before practice begins. Make every attempt to have your player at practice at least 15 minutes prior to practice starting. Players are expected to assist in setting up the net and being prepared to start practice on time. 2. Do not instruct or talk to your child during practices. The coach needs their undivided attention to get the most out of practice. We know you do not want to become a distraction to your daughter and the team s development. 3. Assist with communication to coach in the event your daughter will not be in attendance at practice as soon as possible. 4. Help with the transportation of players to practice and tournaments. 5. It is the parent s responsibility to find a chaperone for their child if they themselves are unable to attend a tournament. 6. Supervise your child after the coaching staff has released them from tournament play. 7. Be positive and proud. 8. Refrain from yelling at the team, coaches, referees, line judges, the other team s players and coaches, and abide by the 24-hour rule. Aboveall, encourage your player and their teammates. 9. Attend team meetings. Get to know your player s coach. 10. Pay your fees on time. Budgets are designed to meet expenses and if fees are not paid, we will not be able to meet those expenses in a timely manner. If fees are not paid, your daughter will not be permitted to participate in practices and tournaments. 11. Take advantage of social media. Follow us on Facebook. We will be growing this communication. 12. Take and submit photos of the team to Bonnie or Nikki via for the website or social media outlets. 13. Be willing to contribute to 3:23 Volleyball Club events, such as helping with events hosted by the club and volunteering with you daughter s team at service projects. 14. Remember that playing time is earned, not given. It is not debatable. If there is a question, the player will talk to the coach first. If the concern remains, parents and player can discuss it with the coach together at an appropriate time. 15. Along with the girls, you are also representing our teams and club. Our team will be respectful of the opposing teams, officials, and location we are playing. 16. Encourage your child; it makes more of a difference than you realize! Have fun! Everyone is expected to work together (players, parents, coaches, and administrators) to make the season enjoyable for all. 17. Comprehend that your enjoyment level will often transfer to your daughter. 9
10 10 Grievance Procedure: 3:23 Volleyball Club fully comprehends the value of parent involvement and encourages parents to offer feedback whether negative or positive. The below procedure is designed to help athletes and parents with questions, concerns, or problems that may occur during the course of the season. It ensures open and honest communication between all parties involved hour rule : If the parents or athlete has a concern arising from a tournament or practice that needs to be addressed, they must wait at least 24 hours after the conclusion of the event to discuss the issue with the coach. We trust that parents will be timely in communicating with coaches regarding potential issues that would distract that coach from their primary objective of coaching the team. Issues will NOT be discussed or handled via text message or s. 2. The athlete must first ask for a meeting between the coach and herself to discuss the issue at hand. In the case of players age 12 or younger, the parents may request the meeting. 3. If the issue is unresolved, the parents may ask for a meeting between themselves, the athlete, and the coach to discuss the issue. 4. If the issue is unresolved, the parent will ask for a meeting with the volleyball coordinator and/or club director, coach, and athlete. The decision of the club director/volleyball coordinator is final. Parent Representative Responsibilities: One important aspect for a successful club season is the parent rep. Each team will have a representative who serves as the liaison between coaching staff and the parents. Listed below are some of the responsibilities for the Parent Rep. If you are interested in serving as the parent rep for the team or wish to help in some other organizational capacity, please contact Bonnie or Nikki. 1. Communicate regularly with the coach and informs the team of changes in practice times, tournaments schedule changes, and any other information that needs to be distributed to the team (including parents). 2. Assists in the distribution of team uniforms and apparel. 3. Prepares a team directory for all parents with names of players, parents, addresses and phone numbers. 4. Coordinates team snacks for tournaments, any team meals at tournaments, bonding activities, and service projects. 5. Makes team lodging reservations for team. 6. Encourages team and club spirit!
11 11 Player Fees & Fundraising The cost per player varies from team to team due to the number of tournaments, locations, coaching pay scale etc. Player fees are not prorated or adjusted for missed tournaments, injuries, and/or quitting the team. Once a contract is signed, financial obligations must be fulfilled. 3:23 must approve any fundraising requests from teams. No pay-no Play rule: Players with outstanding monthly balances will be withheld from practice and tournaments until caught up financially. Sun Country policy states that any player who carries an unpaid balance at the end of the season will not be eligible to play on any other club team in the Sun Country region the following year until the balance is paid in full. Uniforms and Fan Gear Players will be asked to wear shorts or sweats before and after practices and games. 3:23 will offer a full line of fan gear for players and parents. Uniforms and other 3:23 required items will be purchased through Cardinal s during November/December. Individual teams that would like their own shirts must have approval from club director first.

We have read the information provided and understand the time and commitment involved in the practices and competition schedule. Understanding the stipulations and having discussed this with our player, we agree to and will support her participation in 3:23. I understand the commitment I am making to 3:23 and that if I should choose not to follow the policies as expressed above and any additional boundaries set forth by my coach, my playing time may be restricted and I risk further consequences with 3:23.
