2 So you are a manager now! Lots of administrative duties to prepare for the season It can seem overwhelming. 4 Police Check All Bench Officials (Managers, Coaches, Assistants and Trainers) are required to complete a police check Bench officials will not be added to OSA rosters or ERSL website unless the Club has received an approved police check from past bench officials or a purchase receipt for a pending police check for new bench officials Required form Police Records Check for Service with the Vulnerable Sector There is no cost if accompanied by a separate letter from the Hornets (copies available at meeting) Individuals must provide the Hornets Office with a scanned or printed copy Vulnerable persons check you can get a letter from your program director and apply online: 4

8 Sport Engine OGSC Hornets decided to work with Sport Engine for the following reasons: Saves $4,000 per year Integrates with registration system Allows Technical Staff and club to communicate across all teams We have set up a coaches site for technical sharing and replacement connections. Every team has a web site: Private, Integrated help features, login and access to multiple teams. Help Center: Benefits: Player availability, calendars, Team Pages, app, personal dashboards, household features OSA Roster will be made from your Sport Engine Team Page if you are not registered and using Sport Engine, you will not get an OSA Roster. 8

10 Team Naming Top team in the age group (usually T1 or Regional): Sting Next Team (usually T2): Attack Next Team (usually T3): Swarm If you are the manager of the TOP team no matter the level you are Sting. Naming convention for all teams is as follows: G2004 Sting OGSC Hornets G2004 Sting 10

11 Fields U9/U10 play 7v7 fields; U11/U12 play 9v9 fields; U13 and older play 11v11 fields All teams entitled to two practice sessions which coaches have coordinated with the office if they have not, please contact Jordan - ½ field each. If your team is away for a scheduled practice, please notify the office so we can re-distribute the field Do not offer your field to another team if you won t be using it. Must go through the Office 11

13 2018 Game Nights ERSL Shield and Cup Usually scheduled for Sundays. Make sure you accept the invitation to join the competition. 13

14 ERSL Website Unless discussing Cup/Shield non-participation, all other communication with ERSL/EODSA must be done through the Hornets Office. If we do not have the answers for you; we will contact them on your behalf ERSL: This site is an indispensable tool for Managers permitting actions such as: generating game sheets preparing Play Up Permits requesting your single rescheduled game Details on rules, regulations, policies (please read as this changes year to year) modifying data on the site, etc. 14

15 ERSL Website Set up your Team Each team will be given an activation code from the Office, once received from ERSL: 1. Here are the instructions: pdf 2. Password: ERSL Using the team password, the Manager will register on the ERSL site, creating a personal password and input their player information. 4. The Club will input U9-U12 players only. 5. Make sure your coach registers for the team as well. Share the password with them. 15

16 ERSL Kickoff Time Policy For all U9-U12 games the standard kick-off times will be as follow: 19:00 until August 14th; 18:45 beginning August 15th; and 18:30 beginning September 1st. For all U13-U18 games the standard kick-off times will be as follow: 18:30 until August 14 th ; 18:15 beginning August 15th; and 18:00 beginning September 1 st. * For all Regional EODSA vs SOSA games before the end of June where games are to be played on Sundays, the default kick-off time will be 16:00. *Later kick-off times for U13-U18 games will be permitted only on fields with lights. The latest permissible kick-off time on fields with lights will be 8:30pm. 16

17 ERSL Play up Permit When borrowing a player, please be sure you advise the coach/manager of the other team Recreational Players must Be added to the ERSL sites by the Club Manager Have a valid OSA Player Card Must have Dragons Roster Responsibility of team to ensure Call Up player is eligible Max number of call up player per game is 3 A player may be called up an unlimited number of games Only 2 underage (U9-U12) players recommended per game NEW NOTE: Players U9-U12 can play up for 5 games, that triggers a notification from ERSL then that offers a choice to permanently place that player up or to keep said player in their age group. 17

18 ERSL/Cup Shield Information All teams are automatically registered for the Cup/Shield Tier 1 District teams have the option to participate in Cup or Shield Teams must notify gm@ersl.ca (Shannon) by May 12 is you are opting out of participating Visit to review recent rules on Cup/Shield as they have changed as well as scheduled dates 18

19 Gamesheets 3 copies of a game sheet must be printed and brought to every game (U13 and up) 1 copy of a game sheet must be printed and brought to every game (U9- U12) Absolutely no handwriting player names on the game sheet unless you have a Temporary Player Permit approved form signed by EODSA Jersey numbers are permitted to be handwritten on the game sheet if needed VERY IMPORTANT: ALL PERSONAL MUST BE LISTED AND SIGN INCLUDING MANAGERS, TRAINERS AND COACHES WHO WILL BE ON THE BENCH! 19

20 OSA Team Rosters Rosters are locked down after July 31 Maximum of 4 team officials (bench personnel) on the roster. Squads are permitted to have up to 4 officials per team Only 1 non-coach bench personnel permitted on each roster (ie manager/trainer) Maximum player roster: 12 (U9/U10), 16 (U11/U12), 18 (U13/U21) Bench personnel must have the following items completed before being placed on an OSA roster - Valid police check or proof of receipt - Making headway in soccer concussion course - Coaching certification (as applicable) 20

21 Concussion Policy All bench personnel (coach, ass't coach, trainer, manager) must show completion of either Making Head Way in Soccer or Making Head Way in Sport prior to the start of the season This free, online course should take max 90 minutes: Concussion Procedure available on our website: ure.pdf 21

22 Codes of Conduct Please review the following Codes of Conduct. We encourage you all to review this with your children (both documents on manager page): Coach Code of Conduct Parent/Spectator Code of Conduct 22

23 NEW - OSA Cards Each player is required to get their own player cards from the EODSA. To do that: Need a good picture. Mail or pick options available. Remember No Card No Play check cards for accuracy & expiry date carefully check OSA numbers against official roster players must follow the online instructions to get player cards ( OSA cards are only available online (not in person at EODSA) All players/team officials must be fully registered and on a team roster before they are eligible for an OSA player card U9-U12 do not need player cards for league play but they are required for festivals so we recommend having a valid OSA Card All team officials on bench be compliant to receive an OSA Card 23

24 Uniforms Umbro custom designed green jersey, black short and green socks/black strip for all Hornets teams No player names or advertising on main jersey All uniforms must be ordered through Barrhaven Source for Sports Uniform orders are to be ed to Barrhaven Source for Sports directly ( on order form) Uniform order form can be found on our website under the Manager tab Barrhaven Source for Sports is our official supplier 24

25 Uniform/Clubwear Information When ordering a kit, (green jersey, black short, green sock) the price is $40 jersey, $20 short, $12 sock. If additional uniform items are ordered individually, the costs will increase (price TBD). If teams wish, they can acquire a secondary backup jersey (may be required for tournaments) Every team and player will be required to purchase the same training top for $10. The green training top is mandatory for training. The approved secondary jersey is black Umbro jersey at a cost of $30.00 (including taxes) white grandfathered for Approved advertising may be used on secondary jersey. Request must be through the Hornets Office. Clubwear order forms on web site. 25

27 Uniforms Games & Practice Games: Green, black shorts, green/black strip socks. When required to change due to conflict: Black or White, black shorts, green/black strip socks. Practices: Green Training Top, black shorts, green/black strip socks. 27

28 Equipment Teams will be required to supply their own balls and practice cones Pinnies available to sign out for game jersey conflicts through the Hornets Office One set of corner flags is required by every team. You may purchase a set of corner flags from the office for $70 or you may sign out a set of corner flags for $70 with a post dated cheque for September 1 Some training tools (ladders etc.) are also available to sign out on a first-come, first-served basis Each team is responsible for their own net pegs 28

29 Volunteer and Paid Coaches Full-time volunteer Head Coaches at age levels (U9 to U11), are eligible to receive a team/squad paid stipend of up to $750 Full-time volunteer Head Coaches who also serve as Age Group Lead Coaches, at the U9 to U11 age levels, are eligible to receive an additional $250 stipend. Full-time volunteer Head Coaches at age levels (U12+), are eligible to receive a team paid stipend of up to $50 per player to a minimum of $750. Full-time volunteer Head Coaches, at all levels, who do not have children on their team, are eligible to receive out of town tournament/festival expenses (gas; hotel room) paid by the team. Paid Head Coaches are eligible to receive payment from the team. Payment will depend on experience, etc. Program Directors to review pay scale and the Office will send an to the coach/team manager will approved hourly rate. Further, they are eligible to receive out of town tournament expenses (gas; hotel room) paid by the team. In building a budget, teams are to work with paid coaches to determine the number of weeks that they wish to have the coach work. Team Treasurer/Manager will be responsible for arranging payment to their Head Coach/technical coach All coaching fees come directly from the team. 29

30 Paid Head Coach Compensation Outside League and Practices Coaches are paid for the following times: Four (4) hours per week for training; Two (2) hours per league/cup/shield game; A maximum of three friendlies, at two (2) hours per, may be billed; Each festival / tournament day, to a maximum of three festival and six tournament days can be billed at a maximum of four hours per day. 30

31 Placement of Technical Coaches If a team (U12+) is being led by a paid coach, a paid TC will not be appointed unless one is requested by the parent group and the request is approved by the Program Director and the TD. If a paid TC is appointed to a team (U12+) being led by a paid coach without parent request, the hourly rate of the paid coach will be reduced by the amount paid to the TC. If a team (U12+) is being led by a parent coach, a paid TC may be appointed, subject to the needs of the coach and the approval of the parents. Placement of TCs with squads (U9-U11) is encouraged where skilled parent Appointed Coaches are unavailable. All TC placements subject to review by Program Director. 31

32 Tournaments/Festivals/Travel GIST participation is mandatory for all teams In certain circumstances teams may apply for the GIST to play up one age level approved by the Technical or A/Technical Director Tournament dates: Boys: July 9-10, Girls: August Each team must register online and pay by May 15 If your team is in the Ontario Cup, notify your Program Director and the Technical staff immediately upon notification. If your team has an ERSL Cup/Shield game notify the Club immediately. The OSA has launched the new Competition and Travel Management System: Canadian Associations: 32

34 Special Festivals (U9-U12) Club will reimburse the first $325 of registration fees. T1 teams should only be charged $75. 34

35 Travel Permit Process The process for approval of Travel Permits will change slightly: Team Official creates a login * New Step * Team Official completes a Travel Permit Form (ATF) Team Official notifies Club they have entered a Travel Permit Online Club Official reviews application and approves through the CTMS System * New Step * Club Official sends to District requesting approval of permit - Includes Application/, Age Group and Travel Dates in Subject Line District approves application through online system Team Official receives confirmation that application is approved * New Step Team Official can print approved application from CTMS System The office will invoice each team for their ATFs at the end of August. Remember to get medical insurance when travelling outside Canada. Remember to book hotels early as they tend to book up quickly. Allow 2 weeks for an approval of travel permits. 35

36 Summer Camps Competitive and Recreational The club will be offering summer camps: Vancouver Whitecaps Competitive Camp (details to follow) date TBD Ages U09 and up run by Vancouver Whitecaps and OGSC Hornets cost of approximately TBD targeted to the competitive player and those looking to take their game to the next level Vancouver Whitecaps Recreational Camp (details to follow) 36

37 Exhibition Game Exhibition Game Process (Within District) The Teams must inform their Club that they are playing an exhibition game and provide the game details (Opponent, Date, Time and Venue). One of the Club teams will assign a referee contact Head referee: headreferee@ogschornets.ca The Teams will fill out the Game Sheet for Exhibition Games. The Referee will submit Game Sheet to EODSA with Caution Reports, Dismissal Reports and Special Incident Reports. The EODSA will follow up on any Discipline that is required. Friendly versus Exhibition Not much of a difference. 37

38 Team Budget Template is on the Manager page on the Hornets site. Teams are responsible for collecting team fees All teams must submit their Team Budget to Hornets Office by May 15 Approval is required for Team Budgets in excess of $350 per player. Budgets can be rejected if costs are too high. Budget items do not make sense Balls cost $1000. Travel to tournaments in Spain. Unapproved or vague expense lines. Teams are responsible for collecting and paying any paid coaches/technical coaches. Once a coach/technical coach has been identified for your team, an hourly rate will be sent to the team manager Upon request, the Hornets Office can provide a letter for financial institutions to open a community bank account please provide the team account name and the names of individuals with signing authority over the account suggestion: open team accounts using a year of birth, not an age level ex. OGSC Hornets G2004 Sting and not Hornets G17 L3 Girls Ensure parents agree with Team Budgets and be open to fundraising initiatives for families who may not be able to afford such expenditures. 38

39 Sponsorship/Fundraising We encourage all teams to go out in the local community to obtain sponsorships for their team. Team sponsorship letters must come directly from the team and not the Club. Any team receiving more than $1,500 from one company must seek Hornets approval. Sponsorship of shirts: Main Green: Never Second Black/White: Must be approved by Board Green Training Top: No must be club wide 39
