1 GHBL Committee and Coordinator Position Descriptions Non-Board Positions = Positions we an advertise to the membership as jobs to be done, but not necessarily Board positions: 1. Sponsorship Committee (2-3 people); The Sponsorship Committee will seek partnerships and support from the Gainesville/Haymarket community and businesses to raise funding to improve the GHBL baseball experience and to keep our registration fees as low as possible. This is a vital committee for the league and the kids as it allows the league to keep its costs down for all the parents and provides opportunities for facility capital improvements benefiting the kids. Currently the league has a well-documented three pronged sponsorship approach, which includes 1) Discount Cards; 2) Corporate Sponsors and 3) Individual Team Sponsors. The relationships we have established are outstanding and growing. The relationship with our Discount Card partner is tremendous as our relationships with Corporate Sponsors. What is needed is people to carry the torch and maintain these relationships while growing them into the future. All of the documentation (to include overall approach and presentations for corporate sponsors) will be turned over to members of the committee to ensure smooth transition and success. Having said that we certainly want members to bring new ideas and approaches to raising sponsorship funds to help the league to continue to progress and offer the kids in our community the best baseball experience possible. The more people involved with the Sponsorship Committee the less work needs to be done by any one individual. The Sponsorship Committee is expected to be active year round with certain peak periods. The peak periods include: In the Winter: Getting with the Discount Card partner to determine the number of cards required and establishing delivery of the cards in the early spring (March). Estimated time: ½ day; In the Winter: Being involved in the required Manager training sessions to communicate the Team Sponsorship requirements to the Managers for the spring season. Estimated time: 2 days; In the Winter: reaching out to existing sponsors to continue building those relationships and have them return as sponsors while also reaching out to additional new businesses about sponsoring the league and the kids while promoting their businesses. Estimated time: 6-10 hours per week for several weeks at a time; In the Winter: Working with our sponsors to set up GHBL League Days at their respective businesses. Estimated time: 2-4 hours. Late Winter/Early Spring: Coordinate with the Opening Day/League Day Committee to invite all our sponsors out to be involved in those events. An additional opportunity for our sponsors to promote their businesses to the league as a whole. Estimated time: 2-5 hours. In the Spring: Once the cards are in putting the cards in packages along with information from other sponsors for each team for delivery to the Managers (and then parents) at the Opening Day Ceremony; In the Spring: getting banners for our sponsors produced and hung at the baseball parks. Estimated time: 1-2 days;
2 In the Spring: Continuing to reach out to the Managers to ensure they are meeting their Team Sponsorship requirements and working with those Team Sponsors and our Communications Director to get their logos on their respective teams web page within our website. Estimated Time: 3-4 hours per week; End of Spring: Take down sponsor banners and store in equipment building for next season. Estimated time: 1-2 hours; End of Spring: Send an to all sponsors letting them know how the season went to include highlights, special events, special achievements and where the league is heading. Estimated time: 1-2 hours; Beginning of Fall: Put sponsor banners back up at the baseball fields. Estimated time: 1-2 hours; Beginning of Fall: all sponsors updating them of any events or goings on with the league. Estimated time: 1 hour; End of Fall: Take down sponsor banners and store in equipment building for next year. Estimated time: 1-2 hours; End of Fall: ing our sponsors again with a recap of the year and what the league has planned for the future. These s let our sponsors know what we are doing with their support and keeps them updated with everything happening within the league. All Year: Continue to build relationships with our sponsors, get any s or promotions they want to get out to the league to the Communications Director for distribution, seeking new sponsors, researching new ideas for future sponsorship campaigns, etc... Estimated time: varies throughout the year, but less than 30 minutes at any one time; 2. Trophy Coordinator (1-2 people); The Trophy Coordinator ensures trophies are ordered and received prior to the end of both the spring and fall season. The Trophy Coordinator will be responsible for: Selection of the trophy vendor; Selection of the trophy to be distributed to the kids that season; Distribution of trophies to the managers for each GHBL team. This is a very important role to be filled for the league and it is really important to the kids! This volunteer opportunity has a specific and focused time period of activity (beginning to middle of both the spring and fall seasons). This position will require approximately: 1-3 days to select the vendor and the trophy to be used that season; 1 day to organize the trophies for delivery; and 1-2 days to deliver the trophies to all the Managers in the league for distribution to their players. 3. Events Committee (3-4 people); The Events Committee will be responsible for planning and running annual league events. Opening day and League Day are two critical events for GHBL. Opening Day is the official kick-off of the season for the kids! League Day is the end of season event to celebrate the season we all just had! The events committee will recommend, oversee, and organize additional events such as Pitch, Hit, and Run (PHR) and Nationals League day. It is very important to us to make these days as special as possible for them.
3 This Committee plans, oversees and coordinates all the events for these activities. Historically Opening Day includes things like: getting with a local high school to get their marching band; getting a DJ to Emcee the event; getting with local county officials to invite them to participate in the event; getting all the teams lined up for the parade of teams ; inviting our sponsors to participate in the event; etc Historically League Day includes things like: getting with a moon bounce vendor and other entertainment vendors to come to the event; getting a DJ for the event; getting with local county officials to invite them to participate in the event; inviting our sponsors to participate in the event; We are highly interested in creative people and people who love to throw parties for kids! We absolutely welcome any new ideas that can be implemented to ensure these events are as special as they can be for the kids. This Committee has two primary events, Opening Day and League Day, each season. The Committee can either choose to plan, organize and line everything up for both events at the beginning of the season or can manage each event separately. In addition the committee will recommend, oversee, and execute any additional events throughout the Spring and Fall seasons. In the late Winter/early Spring, this Committee will be involved in the planning and preparation for the Opening Day Ceremony. Depending on what the Committee chooses to do, this could take 1-2 days. The week prior will require 2-3 hours per day and finally they will host the event. In the middle of the Spring season, the Committee will be involved in the planning and preparation for League Day. Depending on what the Committee chooses to do, this could take 1-2 days. The week prior will require 2-3 hours per day and finally they will host the event. Additional events will be recommended to the GHBL BoD and if accepted will be ran by the Events Committee. Examples of additional events are MLB Pitch, Hit, and Run Day or Nationals League Day. This Committee is extremely important to the league and to the kids who participate in it and being involved in this Committee can absolutely have a tremendous impact on the season for the kids. 4. Tournament Committee (3-4 people); The tournament committee oversees and coordinates GHBL tournaments throughout the year. The tournaments may vary each year, but examples are Memorial Day Travel Tournament and Post Season Tournament (All Stars) in early July. GHBL is looking to host its 2 nd Annual Memorial Day USSSA Virginia State Tournament again in 2014 for our travel program. USSSA does nearly all of the work (getting teams, registering them, providing umpires, balls, scorebooks, tournament seeding, etc..), but GHBL provides the facilities, manages the Snack Shacks, and maintains the fields (line and drag between games), etc For the Post Season Tournaments GHBL may host. Last year we hosted the 11U and 12U Cal Ripken Babe Ruth District 8 Tournaments, which was a huge success. Hosting
4 tournaments isn t always the case, but in cases where GHBL is hosting a tournament this committee will be involved in the planning, organizing and execution of those tournaments on behalf of GHBL. The tournament committee is expected to be active mostly during the spring season. This position will require approximately 6-8 hours per week. Recommendation: a couple of weeks (2-3) at 5-8 hours per week for preparation for post season Tournament Play (All Stars) to prepare the tournament books, which includes getting rosters for each team; building the team binders, getting the Cal Ripken Babe Ruth cards for each player, manager certificates, team score books for the season, etc. In the event that GHBL is chosen to host a tournament, the committee will oversee and organize tournament related activities. They will actively participate in the operations throughout the tournament. 5. Rules Committee (2-3 people); The Rules Committee is a standby committee except for during November - December when they will be charged with reviewing and updating the GHBL Operating Manual. Committee members are expected to read and become extremely knowledgeable with the rules of Cal Ripken/Babe Ruth and the local GHBL rules governing our baseball experience. As a standby committee throughout the Spring and Fall seasons this Committee will resolve disputes as they arise and make updates to the GHBL Operating Manual, if necessary. The Rules Committee will assist the protest committee as required. This Committee will be involved in the following activities: All mandatory Manager training sessions for each season (prepared to answer any questions Managers may have). Estimated time: 3-6 hours; Available throughout the season to rule on any situations or disputes as they arise. Estimated time: less than an hour per week; November December GHBL Operating Manual review and update. Time estimated. 2-3 hours per week. 6. Background Certification Committee (2 people) The Background Certification Committee oversees the background certification process for all managers, coaches, team moms or anyone who might be in the dugout during games. They will review all applications to ensure they are completed as well to track their progress through successful completion. When background checks come back successful nothing further is needed. If they come back with red flags then that information is provided to the Board of Directors for further investigation and action with the individual. This Committee communicates with league commissioners and team managers to ensure all volunteers have successfully submitted and received favorable background checks. This Committee is extremely important to the league, parents and the kids. It is our responsibility to ensure each and every volunteer working with the kids has a clean background to ensure the safety of all our kids. This Committee has very focused times of effort and, therefore, time requirements, which is focused at the beginning of each season. Time estimate: 3-5 days a week at the beginning of each season. 7. Protest Committee (2-3 people);
5 The Protest Committee will preside over all formal protests. Members of the Protest Committee are required to have read and be extremely knowledgeable in the rules of Cal Ripken Babe Ruth and the local GHBL rules governing our baseball play. If you are thinking reading a rules book doesn t sound like that much fun remember we will provide each member with the rule books, which can be specifically reviewed for the specific protest put forward. So the rules will be provided to you. What we really need are people who can be objective, review the rules governing the protest situation and render a decision being fair and objective. They will operate and render decision IAW the GHBL By- Laws and Operating Manual. The Protest Committee will make recommendation to GHBL BoD for final decision. This Committee is expected to be active on the first day of the Spring and Fall season and remain active throughout the season. This is a standby committee, which while active throughout the season is only engaged once a protest is formally made. Committee members can expect to work 6-8 hours per season. 8. Manager Search Committee (3-4 people) This Committee oversees the GHBL Manager search (advertising and active recruiting), submission, and approval process for the Spring and Fall seasons. This Committee will determine how many teams, based on the registration numbers, there will be in each Division; based on the team composition in each Division determine how many Managers are required in each Division; review, analyze, assess and give a rating all of the Manager applications submitted to the league for each Division; attend a GHBL BoD meeting at the beginning of each season to present their Manager recommendations to the GHBL BoD; and notify all manager applicants on the decision made regarding their application. This Committee has two periods of high activity throughout the year (beginning of the Spring and Fall seasons respectively). The Committee can chose whether review the applications individually and then meet to review their independent assessment or can meet as a committee to perform this function collectively. Expected time: 3-4 days at the beginning of each season (Spring and Fall) 9. Buddy Ball (1 person) The Buddy Ball Coordinator is expected to investigate the interest and feasibility to bring Buddy Ball to GHBL. Buddy Ball helps a dream, a reality for physically and/or mentally challenged ballplayers. With the help of a special "buddy" to swing a bat, round the bases or catch a ball, ballplayers are able to experience the thrills of the game. Buddy-Ball League is designed to foster confidence and self-esteem, make memories and have fun. The Buddy Ball Coordinator is expected to be active immediately upon approval by the GHBL BoD. 10. Blast Ball (1 person)
6 The Blast Ball Coordinator is expected to investigate the interest and feasibility to bring Blast Ball to GHBL. Blast Ball provides an ideal entry level of play for 3-4 year olds who will go on to other advanced levels of the game and also a great fitness and recreational activity. Offensive players use a foam bat to hit a Blastball (foam baseball) off the tee and then run to a Blastball HONK base. Defensive players field the batted ball by using the gator-chop technique and attempt to tag the offensive runner or throw to the Blastball HONK base/first base. The Blast Ball Coordinator is expected to be active immediately upon approval by the GHBL BoD. 11. Concessions Committee (3-4 people) The Concessions Committee oversees and coordinates activities required to operate the concessions at both Long and Catharpin Park. The committee will search for volunteers and maintain the concessions schedule. The committee will be responsible for ordering all necessary supplies. In coordination with the GHBL league treasurer they will make regular deposits. The committee is expected to be active 14 days prior to the start of the Spring and Fall season and run the concession stand activities throughout both seasons. Committee members can expect to work 8-10 hours per week. 12. Spirit Committee (1-2 people) The committee oversees and coordinates activities related to GHBL Spirit wear. The committee will develop a Spirit wear catalog. The committee will be responsible for ordering the necessary products to ensure timely delivery of Spirit wear. In coordination with the GHBL league treasurer they will make regular deposits. The committee is expected to be active 14 days prior to the start of the Spring and Fall season. Committee members can expect to work 4-6 hours per week. 13. Division Commissioners (8) The Division Commissioners oversee and run the day-to-day operations of their division. Division Commissioners will meet with all the Managers in their respective Division to review and ensure each Manager completely understands the rules governing that Division as well their team sponsorship requirements. Division Commissioners should randomly attend games within their Division to ensure everything is operating smoothly for all participants and to see if the Managers need any assistance from them or the league. Additionally, they will work closely with the League Registrar, Scheduler, Protest and Rules Committee, and Trophy Coordinator to ensure the day-to-day operations of their respective Division is carried out IAW the GHBL By-Laws and Operating Manual. A Division Commissioner cannot be the Commissioner of the Division in which their child plays (applies to all Cal Ripken Divisions ONLY) in order to maintain objectivity and fairness.
7 This Committee is expected to be active 30 days prior to the start of the Spring and Fall season and remain active throughout the season. Committee members can expect to work 2-3 hours per week to support the Managers and players in their respective Division. Division Commissioners are needed for all GHBL Divisions, which includes the following: - T-Ball (1 person) - Coach Pitch (1 person) - A7/A8 (1 person) - AA (1 person) - AAA (1 person) - Majors (1 person) - Babe Ruth (1 person)
