The action regarding sponsorship packages was still to be finalised. It was stated that a donation of 500 towards a new playing kit was typical, although smaller donations are still welcome and make an important contribution towards other expenditure, such as training equipment and clothing.
2 The action from the previous AGM concerning the possibility of starting a dedicated girls football team was briefly discussed. The chairman expressed his wish to still pursue this, possibly with some training sessions specifically for girls this could be advertised in the local primary schools. It was noted that some Wheldrake teams already have girls within their squad, most notably the U8s. All other actions from the previous AGM had been completed and closed. The minutes were proposed and seconded by those present. 3 Chairman's address Action The Chairman read a pre-prepared statement regarding the running of the club in the last year, a copy of which is attached to these minutes. 4 Statement of accounts Action The Treasurer presented pre-prepared accounts showing the position of the club at 31 May 2016, a copy of which is attached to these minutes. For the financial year WJFC recorded an operating profit of 1,155, compared with the previous year s loss of 2,400. This season s profit was largely due to an increase in the club player registration fee from 35 to 40. Two other contributing factors to the profitable year were the expenditure on kit and equipment being 2,850 compared to a prediction of 3,500 in the pre-season financial model, and the reduced expenditure on presentation day medals and trophies because of the 500 from Macron. Particular thanks was offered to HK and other volunteers who had continued to run the tuck shop in very challenging (and often very cold) conditions through the season. The tuck shop had made 623 for the club. At 31 May 2016 the club had a surplus of 4,057 in the bank. It had been agreed at the May 2016 OGM to keep the player registration fee at 40 for the season. The accounts were proposed and seconded by those present. 5 Status summary from Child Welfare Officer Action The Child Welfare Officer reported that DBS checks for all managers, coaches and club officials were up to date. It was also stated that there had been no incidents worthy of note during the season.
3 The CWO concluded by reminding managers and coaches of the importance of being clear to parents and players at the start of the season how team selection and player rotation would work. The U12s were used as a positive example of how parents were kept informed about why players were not included in the match day squad some weeks. 6 WRA Action The WRA representative reported that the principal structural elements of the village hall were effectively complete. Internal work, such as electrics and decorating, were ongoing. It is anticipated that the hall will re-open in September, probably shortly after the start of the football season. The next WRA meeting was scheduled for 18 July 2016 and would be held in the village hall. In terms of the Field Committee, relations between WJFC, cricket and senior football are currently generally good. 4 9 Confirm meeting dates for the coming year Action The meeting dates were confirmed for the coming season : 9th October th December th February th March th May th July 2017 (AGM) 10 Any other business Action NL stated that expenditure on keys for the goal locks was excessive, and therefore there would be one set per age group. MG noted that on a number of occasions goals had been left out on the village hall field. The nets on the 21x7ft goals were broken on one of the goals which meant the Samba goals could be taken out. It was also noted that some managers/coaches were allowing their children to use the goals (lending them the keys) unsupervised and outside WJFC training sessions. Managers and coaches are not to allow players use of the goal keys outside of arranged training sessions In response to a question at a recent OGM about the club s coaching philosophy (or whether it had one), NL proposed that it might be beneficial if each age group provided 5 training routines/drills that had worked especially well for that age group, and why. These would then be made available to all within the club as an aid as they progress with their teams through the age groups. All managers and coaches to forward 5 age appropriate training plans/drills to NL Any requirements for playing kit should be forwarded to NL Any requirements for training equipment should be forwarded to NK It was noted that the Selby & District Junior Football League (SDJFL) rules had changed significantly this season. Most of the changes were the result of rule changes or clarifications at a national FA level. NL and MG were attending the SDJFL AGM on 18 July 2016 and would report back accordingly. 5 Wheldrake JFC AGM July 17 th 2016 Chairman s Address The 2015/16 season presented us with a couple of major challenges. Firstly, the loss of facilities whilst the village hall was closed so that repairs could be undertaken. Secondly, the prolonged spell of wet weather that rendered our pitches unplayable for many weeks. Despite these difficulties, the club has continued to thrive and our teams have performed well in their respective leagues and cup competitions. We have over 165 children registered with the club, and we have been able to field teams in the Selby and District Junior Football League at every age group from u7 through to u15. Additionally, Brian Parkinson has continued to run Saturday football coaching sessions for u5 and u6 children, generating a great production line of players who will no doubt stay with the club for many years to come. Brian is passing on a good group of u7 players ready to represent the club next season, and I would like to formally thank Rob Colley and Steve Hall for stepping forward and volunteering to coach this squad welcome to the coaching team. Our reputation for being a well run, inclusive club continues to grow and this is reflected in the increasing number of players that we are attracting from outside of our natural catchment area. Additionally, it is particularly pleasing to see an increasing number of girls training and playing with our squads. Whilst we pride ourselves on giving all players the opportunity to play competitive sport, regardless of ability, it is still nice to pick up the odd trophy. This year has been no different and this year s roll of honour includes u8 Reds Winter Divisional Cup winners u8 Blacks Spring Divisional Cup Winners u8s Ulleskelf Tournament Finalists u8s Wigginton Tournament Winners u12s Ulleskelf Tournament Winners u13s Divisional Cup Winners u13s York RI Tournament Winners u14s North Duffield Tournament Finalists
6 The success that we continue to have as a club doesn t happen accident. it comes about as a result of the efforts and support form a large number of people, and I d like to offer the following thanks on behalf of the club: Firstly, I would like to place on record, our appreciation of the parents of players. Not only do they deal with the logistical challenges of getting children to and from matches and training sessions (mostly) on time and in the right places, but more importantly, they provide positive encouragement to the players and coaching teams. I know that visiting teams like to play here at Wheldrake because of the warm welcome that they receive and the fair support that our parents give. Secondly, I would like to thank all of you sat around this table, our fantastic coaching team. I know as well as anybody how much time is given over to planning training sessions, preparing for matches, developing as a coach and dealing with all the general admin task related to running a junior football team. I know from conversations I have with parents how much they appreciate the time, effort and energy you put into coaching their children. Thank you from the club, the players and the player s parents. I would also like to record my appreciation to all of the club sponsors. The contributions sponsors have made over the last year have enabled us to purchase a number of new strips and training wear for squads and helped us to ensure that we have good quality training equipment to help develop players. Thank you. I would also like to offer, on behalf of the committee, my appreciation to Helen Kruse and those that have helped her to provide the club with a great source of income through the tuck shop. Somehow Helen managed to turn the musty old shed into a viable location for the tuck shop, and has been as successful as ever. It is fair to say that before the unprecedented downpours in the second half of the season, our pitches were in excellent shape in the early part of the season. I d like to thank the WRA for providing good playing surfaces, despite the bigger issues they were facing due to the damage to the village hall. On the subject of playing surfaces, my thanks also go to Thorganby and Naburn Parish Councils for allowing us to use their facilities. Also, thanks go to Wheldrake School for allowing our u5/u6 group to use the playing field.
7 Without access to these, the club would struggle to provide opportunities for so many children to enjoy sport the additional space they provide is invaluable. We recently held our annual presentation day. Once again due the problems at the village hall, we were on the road again this time at Elvington. As ever the day was excellent, well organised and well run. Thanks to Stella for bringing this day together. Just last weekend, we held our annual Foosball Tournament. This was in fact the second time that we ran this event during this season, with the 2015 tournament being held in December, rather than July. As a result, it has been quite a busy season for Stella. Thank you for organising these events. One of the paramount concerns for a junior football club is the safety and welfare of the children. We are very lucky to have an active Child Welfare Officer who is well known and respected within the village and who deals with any welfare questions in a calm and pragmatic way. Thanks Lizzie Hancock for your support over the last 12 months. On behalf of all of us, I d like to thank two people who put more time and energy into the club than anyone could reasonably expect Mike Gelder and Nathan Kruse. In his role as treasurer, Mike has guided us to make sensible decisions that have seen the financial position of the club improve over the last 12 months, to make sure that we remain on a sound financial footing. Additionally, Mike has once again this season ensured that our Charter Standard renewal was completed smoothly and on time. The pivotal role in any junior football club is that of club secretary. Nathan has been excellent once again this year at keeping all of our paperwork in order. I m not sure that when he signed up for the role of club secretary that Nathan ever saw his role to include activities such as Portaloo procurement, foosball table maintenance, or shed tidying, but these are just a handful of examples where Nathan has gone above and beyond the call of duty. The club owes him a special thank you.
8 Finally, despite the challenges of this season, there was one small gesture that affirmed my faith in sport and those that volunteer to provide opportunities for young people to get involved in sport. Following the floods in York, Nestle made a donation to the City of York Council to support sports clubs impacted by the weather. One of of these clubs was the York Kendo Club. Having heard about our plight caused by the damage to our village hall and how it had impacted upon us, they decided to donate the profits they raised from their Nestle donation to us to help us to deal with the challenges we were facing. What a fantastic and unexpected gesture. Thank you to them for reminding us all of how sport can bring people together.
