12 Roles and Responsibilities To ensure that students and adults alike have the best possible experience and the most fun at JCA, the Party Leader should ensure that all accompanying staff are aware of their roles and responsibilities prior to your group s journey. The general role and responsibilities of leaders/assistants: Leaders/assistants are in loco parentis, and therefore responsible for the overall care and wellbeing of the students. Whilst our instructors are responsible for the safe delivery of the activity the leader/assistant is still ultimately responsible for the student s welfare and behaviour. We request that you arrive on time for your netball fixtures, failure to do so will result in a delay for the other teams. Leaders/assistants are asked to accompany each group during an activity. At least one responsible adult from your group should be on centre and contactable at all times Leaders/assistants are to ensure that students are behaving in an appropriate way so that the activity can be both fun and safe for all involved. If a student s behaviour is continually preventing an activity from running well, the leader/assistants should take time to talk to the student so that others are not disrupted. For activities such as climbing, abseiling or archery leaders/assistants are required to supervise the non active participants, allowing the instructor to focus on one-to-one coaching. During activities please ensure the students have the correct clothing and footwear. See kit list information, most activities can be performed in track suits but please ensure students do not come to activities in netball skirts. They must bring their asthma pumps or other relevant medication to each activity. Leaders/assistants have full responsibility for their groups during non-activity times such as mealtimes, free-time and at bedtime. At mealtimes ask the students to read the menu before going to the server. To line up quietly, remember their manners when being served their meal, clear their plates, cups and utensils from the table and return them to the kitchen. To ensure that issues are efficiently resolved we request that matters of a serious nature be communicated by Party Leaders to the JCA Centre Manager only. The Party Leader is responsible for notifying parents of any doctor, dentist or hospital visit or any other incident affecting a member of your group, if appropriate. Leaders/assistants are welcome to participate in the various activities, providing they have been present for the safety talk. This is a great opportunity for leaders/assistants to enjoy the challenge of trying something new and for students to see their leaders/assistants in a completely new light! Bringing your own alcohol on site is strictly prohibited.
13 The general role and responsibilities of JCA instructors: 1. JCA instructors shall follow the JCA Activity Standards and Procedures to ensure that each activity is run safely. 2. Their main focus is to ensure that all members of the group can participate in each activity safely. 3. JCA instructors will work with leaders to re enforce positive behaviour. 4. If the JCA instructor deems that safety could be compromised they reserve the right to exclude individual students &/or curtail the activity. 5. Whilst JCA instructors will offer support wherever possible, the pastoral well-being of visitors at all times is the primary responsibility of leaders/assistants and ultimately the Party Leader.
14 What if I have students with specific needs? Frequently Asked Questions Should you have any students in your party who have specific needs or conditions please ensure that the enclosed medical and dietary forms are filled in. At JCA we are keen that no student should miss out on a course with us, most activities can be adapted to suit the needs of the student. We are more than happy to discuss this further if you wish. What happens with insurance for my trip? If any students cancel for an insurable reason please notify us in writing of their name. You will also need to contact the insurance company s claims department on , quote Junior Choice Adventure. Please ensure that you read your insurance policy paying particular attention to the section titled Disclosure of material facts and pre-existing health conditions. If you require any copies of the insurance policy, it can be downloaded from the Party Leader are at What happens in an emergency? Emergency procedures will be communicated during your welcome meeting. The company has in depth emergency action plans and safety management systems for all eventualities. How much spending money should we bring? There are no hidden costs! But children can bring 5 in change for the shop we have on-site. What happens if it rains? The football tournament will continue in the rain, unless it becomes dangerous. Most activities can be run in wet weather and extra time will be set aside for your students to dry off properly. If the weather is extreme and activities cannot be run, the Centre Manager will implement the centres wet weather plan. Can your staff administer first aid and medication? All of our instructors are fully trained in first aid, but it is the responsibility of the leaders to administer any medication that is required or prescribed. Should you require medication to be stored in a fridge this can be arranged and stored in our first aid room. Sometimes as first aiders it s difficult to offer an accurate diagnosis on some occasions, therefore, whilst we are able to offer first aid we would liaise with the Party Leader if it was felt a student may need off site treatment at hospital or the doctors.
15 Can I play a student down in the year below? Unfortunately not as this will be an unfair advantage. Players can only play up. What is the ability of the football tournaments? Our tournaments are mixed ability. We have teams come for the fun factor and playing football in a different environment, whereas other teams do come and play more competitively. The majority of the teams do come for the experience of playing in a different environment. When can I expect the fixtures for the weekend? We try our best to get the fixtures to you approximately 1-2 weeks prior to departure. As you can understand the fixtures can change regularly dependent on age groups/numbers, so please bear with us if this is slightly delayed. We will always get this to you prior to your tournament. Do I need to provide a referee for the weekend? No, we provide FA qualified referees, so your coaches are free to mentor you from the pitch side. Do we need to bring kit or equipment? Please ensure that you bring your own kit with you, also please provide your own footballs as we do not have spares for teams to use for practice etc. What is the minimum number of players in a football team? As the JCA tournament is 5 a- side. There must be 4 players on the pitch at one time, if not then your team will have to forfeit the match. We recommend bringing 6-9 players per team. Is there injury stoppage time? In the case of injury, the player can only be substituted for the injured player. There will be no stoppage time for injuries.
