1 President s Report Brian Strom We have just concluded our 49 th season, in this, my first year as president. It was a challenging year but with such a dedicated team of Directors, Chairs and volunteers we managed to get through the year. I look forward to being more active and supportive in the 2019 season. Early in the season we were challenged by the weather, but once we got going it was a great year with many events over subscribed, thanks to all of you for your continued support. It takes a commitment from everyone to make the club thrive. To all those that actively and selflessly give of their time to create the draws, start matches and score the results to the many who participate in the weekly draws to make the club a success I thank you.. We are fortunate to be able to play regularly on a great course with good friends while enjoying excellent cooperation from Burnaby Golf Operations. Head Pro Greg McClure and his staff are always available to fine tune our skills. In closing I want to thank our Directors and Chairs for their efforts and support, Dennis Houle, Moe Jones, Ron Pound, Robert Brisebois, Roy Murao, Lloyd Zimmerman, Silvano Padovan, Bruce Pearson, Lorne Lindsay and Chris Golding. Special thanks to Phil Boase and Don Buchannan. Don has organized the Kensington Par 3 tournament since its inception and has chaired the Committee for the past 2 years. Phil records our pace of play, produces our Member Handbook and our newsletter, keeps track of our historical records and just about everything else we ask including the production of this report. Vice President s Report Moe Jones This year has been a year of learning the golf club s operation and becoming familiar with the membership. My biggest task was organizing and emceeing the spring luncheon, which turned out to be a great success, both financially and as an event our members appreciated. Spring Lunch Details: Attendance 118 Net Income - $1,070 The silent auction, raffle, and 50/50 revenue exceeded the budget by $2,453. The free lunch and encouragement of members to buy tickets likely produced this result. The donation to Junior Golf was 50% of the total funds raised. We are planning for next year s Spring Luncheon to be a similar format with a free lunch and the members buying lots of fund raising tickets. Committee: The committee for the spring luncheon did a great job of obtaining prizes and running the prize table. Thanks to Don Buchanan, Jim McDonald, Al Ibsen, Herb Harburn, and Gary Crawford. The Committee, with help from Dennis Houle, Ron Pound, Brian Strom, Tom Taylor, and Brenda Harrison made the Par 3 Tournament the best yet. Also, thanks to Alan Oloman for his generosity. This has been a very successful year for our club. The weather for the last three months has been fabulous. Financial results are favourable. The competitions have been well organized. Most importantly the sportsmanship and fellowship have been outstanding. 1

2 Past President s Report & Member Welfare Dennis Houle As Past President, it is my job to assist & advise where needed, chair the nominating committee, and monitor our member s welfare. Our club continues to be well managed by a great team of directors and numerous volunteers. Nominations: The nominating committee consists of me and the previous two past presidents, Ron Zapp and Alastair Fraser. Six of our current directors are remaining for their 2 nd year of a 2 year term: President Brian Strom, Vice President Moe Jones, Treasurer Bob Brisebois, Drawmasters/Starters Lloyd Zimmerman, Director at Large Chris Golding, and me as Past President. We have five positions to fill and are pleased to recommend the following slate of Directors for the next two years (with 1 exception). Nominations will also be accepted from the floor at our AGM. Club Captain Ron Pound Handicap Chair Jack Major Secretary Don Buchanan Membership Chair Herb Harburn Head Scorer Lorne Lindsay (1 year term only) We extend our thanks and appreciation to three departing Directors, Secretary Roy Murao, Handicap Chair Silvano Padovan and Membership Chair Bruce Pearson. You have all made a significant contribution to our club; on behalf of the Board of Directors and all members we thank you for your dedication and donation of your time. Member Welfare: Sadly we have lost 7 members/former members this year, (2 on the same day, before the season started.) David Lee, a regular member since 2003, and a life member, passed away Feb 15 th at age 86. Jim Thomassen, a regular member since 2014 passed away Feb 15 th at age 80. Ken Baker, a regular member since 2007 passed away Sept. 1 st at age 80. George Saunders, a long-time member from passed away on Sept 7 th at age 84. Terry Hannigan, a regular member circa 1985 passed away this year. Ross Weber, previous Club Champion in 2002, joined the club in 2000, passed away this year. Sam Shalaby, previous member from 2013 to 2017, passed away on Oct 12 th at age 74. I have kept in touch with most of our Associate and Regular Members who have not been golfing. Some are experiencing health issues which are keeping them away from golfing; all are in good spirits and keep abreast of club activities through our communications. We look forward to seeing many of you at our AGM. Treasurer s Report (Unaudited) Robert Brisebois Copies of the financial statements, revised 2018 budget comparing actual to budget and a proposed 2019 budget will be on tables at the AGM. Provision for some 2018 expenses accrued to accounts payable Revenue $26, GICs $7, Expenses $27, Club equity to date $10, Net income (loss) $(366.10) Junior Golf fund $ Cash on hand $8, Accounts payable $3, Notes: Variance on 2018 budget shows a $1715 gain over our projected budget due to increased revenue (mainly from spring luncheon raffles of $2,453) and offset increased expenses of $880. 2

3 Captain s Report Ron Pound 1. A variety of games during the regular year were offered to improve the fun and participation of members. Feedback has been positive about the selections and offerings. As part of the survey of membership at the end of the season, members input will help in the creation of the game options for Pace of play this season was generally good. Special thanks to Phil Boase for collating the pace of play data each week. From time to time members would get behind and then cause the rest of the field to be slow. It is imperative for members to be aware of their position relative to the group in front of them and to employ all the tricks of golf to keep up with them. 3. In cooperation with the club professional and his team, Greg McClure offered a four-session package of instruction for our members. The four sessions seemed to meet the needs of the members with some of the sessions being over-subscribed and extra sessions offered. As part of the survey of members, we will ask if lesson packages should be offered for is the last year of the existing rules of golf and to that end the BCGA was reluctant to offer training sessions. The vice-captain and Captain offered an orientation and rules session, with the support of other directors, for new and prospective members. The session was well attended, and we heard positive response. January 2019 sees the first major revision in rules for some time. Rules seminars for all members will be offered and new abridged rule books provided. 5. Play the course as it is presented is a major component of the rules of golf. This year, for all tournaments with the exception for a ball in a divot, we played the ball as it lay and putted out all putts. An analysis of the scores of players both before and after tournaments showed no real impact on scoring with half of the membership improving their scores and half having an increase in their scores. As part of the year end survey of members we will seek guidance for 2019 in playing the ball as it lay. 6. Match Play ended with a three-person playoff which was interesting and had a decisive outcome. This format will be reviewed for The putting contest had nearly 100 participants with lots of close matches. 8. The encouragement for players to choose the correct tees from which to play has shown growth and acknowledgment from the membership. The Red Tee event played in July seemed to cement the deal for some members who are recognizing that they are having more golfing enjoyment playing from a forward tee. The July Red Tee event had 41% of players scoring net par or better for their rounds. Events earlier in the year had 19% of members scoring net par or better. Clearly playing the correct tees improves scoring. 9. This year the On-Course Official use was increased from the club championship to all tournaments. The intent was to have the official on course and available to settle contentious issues or to provide rules interpretation in a timely manner. There were several opportunities to teach in each of the events. Special thanks for Menno Martens for his willingness to patiently stay on the course assisting members for 8 hours at a shift. It was like a job! 10. This year Chris Golding took on the task of organizing the away games schedule and events. The outcome was successful and kudos to Chris. As part of the member survey, questions will be asked about the number and location of away games. Five Away games were played this year at the following courses (number of players in parenthesis): Riverway (29), Pagoda Ridge (26), Mayfair (19), Meadow Gardens (24), and Langara (24). 11. The Par Three Tournament was again organized and run by Don Buchanan and despite the rain there were smiles all around. 12. Two great smart phone apps are available for member use. Golf Canada and the USGA rules (has all the new rules for 2019 in the new format). Both are free! 3

4 Membership Chair s Report - Bruce Pearson The wait list currently sits at 42 with14 additions since the end of the 2017 season. The Club started the 2018 season with 147 Regular Members and 23 Prospective New Members. On May 9th, an was sent to all Prospective New Members reminding them that if they are unable to play a minimum of 12 games, they will be dropped from our roster of prospective new members. They then have a choice to re-apply to join at the bottom of the wait list, or not. We have 2 prospective new members with 0 games, 3 with less than 6, 1 with 10, 15 with 12 or more games played. Due to medical conditions, 4 prospective new members with less than 6 games will retain their status for the 2019 season. Two prospective new members had asked to rejoin the wait list earlier in the year. One prospective new member has 10 games and should make 12. If not, the membership committee will decide if he should retain his position as a prospective new member. One prospective new member with 0 games and no contact about his reasons will be dropped. I have served two terms as Membership Chair, so, as required, I will be vacating this position after the AGM. It has proven to be a pleasant and rewarding experience. I want to thank the other Directors I shared those years with, for their help and support. Secretary s Report Roy Murao The Secretary s duties involve taking minutes of all meetings, distributing minutes of Directors Meeting to Directors as soon as possible following each meeting, maintaining minute files on our website and attend to Club correspondence. In late September the Notice of Annual General Meeting (AGM) is sent to all members, along with the registration form for members to continue their membership or resign. The Secretary assists the Treasurer at the AGM to collect each member s registration form and payment in order to prepare the membership Excel file. Thanks to Past President Dennis Houle who has undertaken the task of preparing the membership Excel file for several years. The membership list is updated on the website at year end and ongoing to match the master list of members. After the AGM, an annual report will be filed in Victoria showing the date of our AGM and a list of all Directors. In 2017, the transition to the new Societies Act was filed after the special resolution changing to a Member Funded Society was passed at the AGM. The Constitution and amended Bylaws of the BMSMGC were also submitted. The secretary is responsible for producing the annual Club Roster containing a list of members, events, schedules and other information deemed useful to the members. The Secretary may delegate this responsibility to others. Over the past years, Phil Boase has willingly taken on the preparation and printing of the Member s Handbook. That s a big job and I am only too glad to have had his assistance, leaving me the task of distributing the Handbook to the members. After the Member s Handbooks were labelled with member s names, the Starters were asked to help distribute the books. Thank you Phil and the Starters. The Secretary is also responsible for accounting for the number of BMSMGC Score Cards on hand and for printing more copies when the need arises. In the near future, when changes to holes #14 and #15 are implemented, changes to the Score card will be made accordingly with the assistance of the Directors. To the Directors, thank you for the time we shared running the BMSMGC together with your enthusiasm, expertise and dedication. I will always cherish those memories. 4

5 Handicap Chair s Report Silvano Padovan Communications with members: s were sent out at the start of the year to Prospective New Members (Jan 9 th ) and to all members (Feb 28 th ) providing information about our Scoring and Handicap System with a reminder of the shared responsibilities for members and Handicap Committee. On Feb 28 th the Club Captain and Handicap Chair put on a seminar for Prospective New Members and all other interested members to go over orientation, The Rules of Golf and The Scoring & Handicap System. A comprehensive audit of scoring records was undertaken from March 1 st to May 1 st and the results were communicated to all members. As in the previous year, the results were disappointing as there were numerous issues with the scoring records used for handicapping. During the first 3 weeks of May the Handicap Chair worked with members collectively and individually to resolve as many of the discrepancies as possible. The responses received from members were generally positive. Handicap Chair s Report (cont d) Training: The Handicap Chair obtained his Handicap System Certification from Golf Canada in May 2018 as per the requirement in our Member Club License Agreement with Golf Canada. Handicaps and Score Sheets Spreadsheet: The Handicaps and Score sheets Excel workbook was edited numerous times during the course of the year in order to improve its functionality and make it stand alone, such that anybody could pick it up and use it. The cosmetic changes and rewriting of column descriptions made it easier to navigate and understand. Many of the instructions were rewritten and clarified within the different work sheets and a separate instruction sheet was created to replace an external instruction document. BMSMGC s Member Club License Agreement with Golf Canada: As per our License Agreement, we are obligated to comply with all provisions of the Golf Canada Handicap Manual and also ensure that each member uses the Handicap System in strict compliance with the Golf Canada approved procedures set forth in the Golf Canada Handicap Manual. Many of our members have difficulties with the Scoring and Handicap System and do not post scores and/or have little interest in taking responsibility for maintaining complete and accurate scoring records in the Handicap System. At the end of my 2-year term as Handicap Chair, I have concluded that under the current environment within our club, it is highly unlikely that the Club will be able to achieve an acceptable level of compliance with its License Agreement. It is believed that fair and equitable handicaps for everyone in the Club are not possible under the current system. Solutions are available, but the required changes to the Club would have significant impacts on the way it is operated. Head Scorer s Report - Lorne Lindsay Scorekeepers: Special thanks to the 23 members who worked one or more shifts at the Scorer s Table during the 2018 season. Your willingness to be involved is crucial to the success of our Club. Offering half-day shifts for Starters and scorers for the past two years was a good innovation. Ten members selected a full-day shift; the remaining 24 dates were split-shifts. Of the 68 scoring shifts, 20 required a switch or change of scorer. It is essential to touch base with the weekly Scorers to ensure that they are still available. Thanks to the Bistro staff for loaning us their laptop and special thanks to Brian Peacock, who often sets things up for the first scorer in the Bistro. Kudos to John Ellis, who has served as Assistant to Head Scorer for the past 2 seasons. Our Club will definitely miss John. 5

6 Weekly prizes: As of October 3, the volunteers at the Scorer s Table distributed 276 $5 Bistro vouchers and 20 $10 Pro Shop vouchers. [The Pro Shop vouchers were paid for in 2017.] Total expenditure to date is $1,380. Interestingly, of those eligible for a $10 voucher, 20 chose the Pro Shop and 23 opted for the Bistro, a slight drop in Pro Shop numbers from The increase in number of prizes being awarded for the past two seasons has been well-received by the majority of the membership. Competitions: Reducing the AGC from 5 days to 3 the past two years, and including the runners-up each day for the August Championship, was another good decision. This year there were still several members unavailable to participate on August 29, so the next-in-line members were contacted to ensure a full field in each flight. Scoring: Scorecards of those in the running for weekly prizes are checked; scorecards are also checked when there are ties for prizes. Some weeks, all cards are verified. I believe that the Nominating Committee has found a good candidate to replace John Ellis as Assistant to the Head Scorer. Use of red tees has increased from a weekly average of 4.75 (April-June) to (August-September). Thanks to Silvano for producing the appropriate worksheets each week and thanks to Ron, Dennis and Brian for providing assistance and insight throughout the season. Thanks to Lloyd for his excellent job organizing and updating lists of Scorers, Starters and Drawmasters. It goes without saying that BMSMGC is very well organized, with many dedicated volunteers. Drawmaster/Starter Chair s Report - Lloyd Zimmerman Members volunteered (17 in 2017) to prepare draws for 34 regular season & 5 away games members volunteered (47 in 2017) as Starters Starters were used for the 34 regular games. 4. Split shifts were used in 24 of 34 regular Wednesday games games were covered by Starters who preferred to work both the early and late shifts. 6. Detailed reminder notes were sent to each Drawmaster 8 to 10 days before his assigned game. 7. Detailed reminder notes were also sent to each Starter indicating the time they were required to be at the course to either set up or relieve the first Starter and the format for the game. 8. The Club Captain prepared detailed instructions for the more complicated game formats which were given to the Starters to hand out to the Foursome Captains. This worked well. 9. Generally the split shifts for the Starters worked well with no major issues. 10. During the season, some Drawmaster s and Starter s plans changed from the schedule issued in February. I compliment them for giving me adequate notice of these changes to find replacements. 11. Complaints were received from some Foursome Captains about the seemingly excessive number of times they were called upon to be Captain. This will be investigated to determine if a system can be developed to ensure a more equitable assignment of Captains. 6

7 12. The registration form which was modified last year to allow the volunteers for the Drawmaster, Starter and Scorer positions to indicate their preference for full or split shifts, the number of times they wished to volunteer and their availability worked very well. 13. A form was also prepared for the members to volunteer at the AGM luncheon. This form was placed on the luncheon tables. 7 members took advantage of this form to volunteer in various positions. 14. The Drawmaster and Starter guidelines, which were extensively modified before the start of the 2017 season, were tweaked to clarify and rectify some issues that were discovered during the course of the year s use. 15. Problems were encountered during the season with the Golf Group Manager (GGM) program which is used for signing up and for preparing the draw in addition to many other uses. Signed up players were being lost either before or during the preparation of the draw. This problem is being investigated with GGM. I want to thank all the Drawmasters and Starters for their excellent work and support throughout the season. You did a great job of keeping everyone on track. My thanks also the Ron Pound (Club Captain), Lorne Lindsay (Head scorer), Dennis Houle (Past President), and Phil Boase for their guidance and cooperation. Thank you to Amyn and Leslie in the Pro Shop for all their help. Director at Large Chris Golding It was my responsibility and pleasure to coordinate the Away Games for the 2018 season. In planning the Away Games, nine courses were contacted over the winter. Four courses allowed advanced bookings and a fifth was added after the season s start. My thanks to Dennis Houle for securing this last booking at Langara. Away Games were played at the following courses (number of players in parenthesis): Riverway (29), Pagoda Ridge (26), Mayfair (19), Meadow Gardens (24), and Langara (24). Going forward we will consider ways to increase attendance at our Away Games including the invitation of Waitlist players and possibly including Away Games in the tabulation of the 12 required games each year. These items and the manner in which we promote our Away Game program will be discussed at the Director s meeting in January. I d like to thank everyone who participated in our Away Game program this season. I also want to thank those who assisted in the organization of these games in the roles of Coordinator/Drawmaster, Handicapper and Scorer. They include Ron Pound, Dennis Houle, Lloyd Zimmerman, Lorne Lindsay, Silvano Padovan, Roy Murao and John Dailly. Your time and expertise are greatly appreciated. 7
