NOTE: Give the first foursome out on each side the Closest to the Pin Markers and remind the last group on each side to pick them up. We would like you to have Make Your Own Foursome or Make Your Own Twosome on the 4 th Wednesday of the month unless there is a tournament that Wednesday. It can be an individual game or a team game. 1/21/2019 1
2 As a guideline, the flights are based on handicaps: first flight: 0-19; second flight: 20-26; third flight: 27-33; fourth flight: However, you may have to adjust the range for flights depending on the number of players. The number of players in each flight should be as equal as possible. For weekly play, player s handicaps will not exceed 40. If playing a game with half handicaps, cross out handicap on the scorecard and put half handicap. For example, if the handicap is 21, the half handicap would be Printed handicap sheets are posted on the bulletin board in the J/B Clubhouse on the 1 st and 15th of the month by the Handicap Chair. Handicaps are also available on-line soon after the first of the month and the 15 th of the month. Important: You may use the previous month s handicaps if the first Wednesday falls on the first days of the month and the new handicaps are not yet available. Deciding What Games to Play for the Month Determine which games you intend to play for the month. (See the STLGA Game Information Sheet for suggestions for games.) Check the number of tee times allocated for each week. If you anticipate that the number allocated will not be enough (a Make Your Own Foursome or some other popular game is scheduled), contact the Pro Shop to see whether additional times can be obtained. If you cannot get additional times, note on the sign-up sheet that the tee times will be limited to the allocated number. the play dates and games for your month as early as possible to the Tournament Chair JoAnn Barton jobart68@atmc.net for posting on the web site. Be sure to indicate which games are in flights. Handicap Adjustment for Teal Players If a game is in-flight, flights can include both teal and red tee players. Use a teal player s teal handicap for the course you are playing when you group flights together. Because players are competing from different tees, an adjustment must be made to the teal players handicaps to allow for the difference between the course rating for the red and teal tees. Make this adjustment AFTER flights are created and scorecards are printed, so that the player will still be playing with a similar handicap flight. Follow this procedure to make the adjustment: If a player is playing from the teal tees and competing against red tee players, subtract the course rating difference from her teal tee handicap to determine how many strokes she will receive from the teal tees. The differences between the red and teal course ratings are as follows: BYRD Red 67.5 Teal 61.7 Difference = 5.8 rounded up to 6 strokes JONES Red 69.5 Teal 61.5 Difference = 8 strokes MAPLES Red 68.9 Teal 61.8 Difference = 7.1 rounded down to 7 strokes Example: Jane Doe s handicap for the teal tee on the Byrd course is 25. The course rating difference between the red and teal tees is 6.0, so her adjusted handicap from the teal tees 1/21/2019 2
3 would be 19 instead of 25 (25 6 = 19). If the Teal Tee player s handicap is above 40, make the handicap 40 then make the adjustment. No player shall play with a handicap over 40. NOTE: If the Teal players have more than 4 players and it is an individual game, they can have their own flight for winning purposes and their handicaps do not get reduced. If the Teal players do not have their own flight they can compete only for low net on the first Wednesday of the month when the game is low gross/low net in flights. Therefore, they pay only $1 for the game. Please see the pro shop or JoAnn Barton or Joan Mason for questions on flighting. Preparing the Pairings Post the sign-up sheet on the STLGA bulletin board in the Jones/Byrd clubhouse after checking in players on Wednesday. Teal players must note they are playing from the teal tees on the sign-up sheet or via the special request section on the Internet sign-up. Take the sign-up sheet down at 12:00 PM on Saturday. For online sign-ups, go to Gmail. Sign in using the username stlgapairings@gmail.com and the password STLGA2018. There should be an with the title Sign Up Users in the inbox. If you cannot find the check the spam. NOTE: This will not be available until 1-2:00 pm on Saturday. Attached will be an Excel spreadsheet with the names of those who signed up through the website. Merge the players names from the sign-up sheet and the online internet sign-ups. Type the names on the template Excel form on the Web Page in the forms section. An example is in the red file holder in black bag. Please note that they want the index not the handicap for the course. Make sure you double check the index for each golfer. Verify that all players are current members of STLGA. If you do not have enough players for foursomes, please call Joan and let her know. She will post on the web site banner that we have room for additional players on Wednesday. They will call you. If you fill the tee times and you have extras let them know that if there is a cancelation you will call them. Generating and Posting the Pairings 1. Call the Pro Shop by Sunday AM and release any tee times that we will not be using. Also the Excel list with the players to Ken Johnson, kjohnson@seatrail.com and Dave Hogue, dhogue@seatrail.com at the Pro Shoop. Make sure the has all the information which is listed on the example form in the black bag. Ken/Dave will generate the pairings based on the game you have picked and the list of players. At least once a month put the higher handicaps on the front nine and lower handicaps on the back nine if possible. Ask him to send the pairings lists to you on Monday. If there are any changes after the cards are made please make the changes on existing scorecards. White-out and pen/ink the changes on the existing cards. If the game is in flights and there is time, ask Ken to the pairings sheet to you before he prints out the cards so you can be sure the pairings are in flight according to handicaps. 1/21/2019 3
4 For team games, ask Ken to print out two cards with the team s names on them one for each cart. If the game is not a team game, ask him to print out one card for each player. 2. a Word or pdf file of the tee times and pairings to Jo Larson at jolarson28468@yahoo.com as soon as possible on Monday so she can post them on the STLGA website. Type the tee times and names in a single column or you can scan the tee time list from the Pro Shop and send that to Jo. Ken can also you the tee times. Please post a copy of the pairings on the bulletin board at the J/B. 3. You are responsible for any cancellations and re-pairings. 4. Pick up the pairings sheet and scorecards from the pro shop on Monday or Tuesday. 5. If applicable, highlight holes on scorecard that will be used in the game, for example, Even Holes, Odd Holes etc. 6. Make three copies of the pairings sheet and distribute as follows: a. Post one on the STLGA Bulletin Board at the Jones/Byrd Clubhouse. b. Give a copy to the bag drop on the day of play. c. Keep a copy for yourself to use on game day. Checking Players in on Game Day 1. Staple envelopes with the previous week s winnings onto that player s score card for distribution on game day. 2. Make out the sign-up sheet for the next week of play and take it with you so that people can sign-up for the following week. After play, post the next week s sign-up sheet on the STLGA Bulletin Board. 3. For the first Wednesday of the month, have a sign-up sheet for the Closest to the Pin contest. 4. Drop off a copy of the pairings sheet at the Bag Drop. If there have been any updates, give a new copy to the clubhouse check-in desk. 5. Arrive at least one-half hour before the first tee time. As each player arrives, collect $2 for the game fee and $1 if playing Closest to the Pin. 6. Check off the player s name on the pairings sheet, and give her the appropriate score card. You are responsible for juggling pairings if anyone cancels on the day of play. 7. On the first Wednesday of each month, the game is Low Gross/Low Net and includes Closest to the Pin. Give the Closest to the Pin markers to the first group off each side. Weather and Cancellations When course conditions are such that play could be effected, contact JoAnn Barton (9I ) jobart68@atmc.net or Joan Mason ( ) dragon@atmc.net to determine if any special rules will be in effect for that day. If special rules are to be used, make sure all players are informed at check-in time. If the weather looks threatening on the day of play, discuss the possibility of canceling play with the Pro Shop and reach consensus on the play/no play decision. A determination to 1/21/2019 4
5 cancel play should not be made until the first scheduled tee time, unless the weather is severe. Determining the Winners 1. Collect cards from players and complete the scoring worksheet, determining the winner(s) based on the day s game. Make sure you have all of the cards. When you play in flights, award prizes in flights. 2. Match of Cards Tie Breaking Procedure: Determine the winner by comparing the TOTAL scores on last 9 holes (10-18), then last 6 holes, then the last 3 holes and then 18 th hole. Comparison stops once a winner is determined. 3. When the game is Low Gross, Low Net, pay out for both 1 st and 2 nd places for Low Gross and for Low Net for each flight, unless there is a very low turn-out. Please award in this order: 1 st Low Gross, 1 st Low Net, 2nd Low Gross, 2 nd Low Net. NOTE: For Low Gross/Low Net games, remember that teal players are only eligible for Low Net winnings. If they do not have their own flight. 4. When playing Mixed Flights or a Team Game, the number of winners can be determined by paying 30% of the field and dividing the money appropriately. 5. Write the winner s name, date, and place on a small envelope and insert the appropriate amount of cash winnings. Prize money envelopes are in the STLGA bag. If you run out of envelopes, contact JoAnn Barton or Joan Mason to get more. There is also a Slush Fund envelope that can be used if needed to round out payments. Extra funds should be put in the envelope. 6. Complete the scoring worksheet and make one copy. 7. Place one in the Handicap Chair s mailbox on the wall under the bulletin board or take a picture with your phone and to Jo ASAP. 8. Keep one for the game paperwork to be given to Tournament Chair at the end of the month. 9. Record results on the Publicity Sheet in Word. Print the full names and scores of winners and their place. Also, include all birdies, chip-ins and closest to the pin (state measurements) on the publicity sheet. Please triple check accuracy of results before sending out! The publicity sheet must be done in word. There can be no bold lettering, No##, or & or other symbols. 10. 6 11. List players who completed 18 holes alphabetically and Mary Alice Jerome at 12. At the end of the month, place the following paperwork for the month in the Tournament Chair mailbox under the bulletin board in the clubhouse: Alphabetical list of player names Sign-up forms (written and Internet) Scoring worksheet Publicity sheet Score cards 13. Give the STLGA bag and the closest to the pin markers to the people doing the next month s pairings. Points to Remember If a member arrives after her scheduled tee time and her group has already teed off, she is not eligible to participate in the game for that day. This is not negotiable. Guests may play if there is room but are not eligible for prizes. Weekly golf credit for playing is also given when: The game is canceled by the pro shop and the monthly coordinators for inclement weather, and the player did not cancel before the no play decision is made. A player participates in a Ladybirds tournament on a Wednesday. No weekly golf credit is given when: A player signs up but does not play. A player withdraws and does not complete 18 holes.
