BIFC Board Meeting Agenda October 12, 2015 Marge Williams Center I. II. III. Administrative: Roll Call/Confirm Quorum Meeting called to order at 7:22 PM, quorum reached. Special Guest/Topic John Thornton attended the meeting as a candidate for the VP of Recreational Program. John is currently a U14 girls recreational coach and his daughter is on a BIFC U8 team. John provided an overview of his coaching and refereeing background, and his current focus on pursuing a degree in educational administration. He is willing to referee BIFC matches. Ian described the VP of Recreational Soccer as a general advocate for recreational soccer, including: acting as a resource for recreational soccer coaches, interfacing with parents, helping with the U8/U10 scheduling, and scheduling referees to cover games. Ron moved to appoint John as VP of Recreational Program for the remainder of Bill seconded the motion, and the vote passed unanimously. IV. Minutes Review and Approval Ian moved to approve the September 2015 meeting minutes. Bill seconded the motion, and it passed unanimously. V. 2 Treasurer (JP Werlin) We accommodated all scholarship applicants for the 2015 fall season Spring Select - 5 Players, 3 Families - total of $ in scholarships awarded 2015 Select - 14 Players, 11 Families - total of $11, in scholarships awarded 2015 Fall Recreational - 9 Players, 6 Families - total of $1, in scholarships awarded 2015 Total: 27 Players - 18 Families - $13, in scholarships awarded. Liming circulated a 2015 Financial Summary as of 9/30/2015. Income is currently ahead of budget. Liming and JP will sync regarding the budget prior to the 2015 Annual General Meeting (AGM). We are currently seeking a CPA for our annual audit. Ian will check with his CPA contact that lives in Minnesota. VP of Competition (Ron Piland) Uniform vendor update: No further discussions Soccer West because we plan to continue our relationship with soccer.com. There is no compelling reason to switch to another vendor at this time. Ron will communicate our position to Mark Kovats, Team Sales Manager at Soccer West. Our soccer.com contract renewal is in 2018 and we need to begin contract negotiations in the spring of Any new agreements must have dates aligned with our Nike vendor contract. Gap analysis: Ron is in the early stages of conducting a gap analysis by comparing BIFC to other successful sports organizations. The analysis will enable us to identify current standings and deficiencies and identify future strategic objectives. The first use case is Bellevue football club, as they consistently outperform their demographic. Studying their organizational objectives and flow will provide data and insights to form future objectives. Ron encouraged board members to send their thoughts and opinions. The format is fairly open and Ron is open to suggestions on analysis approaches. Registrar (Liming McMillan) Liming circulated a 2015 Financial Summary as of 9/30/2015. See September 2015 Financial Report for details. We ve had some problems validating recreational players because teams are arriving without game roster sheets. Liming will send a reminder to coaches regarding submitting game roster sheets. Referee discussion: Last week a game wasn t in the system, so no referees went to the game. Two games have not been covered this season. John Thornton will be connected with Steve Bucy to get trained for BIFC refereeing. Director of Fundraising (Bill Lesko) Cookie Dough/Coffee order forms must be submitted by 5PM on10/14. Recreational soccer jersey sponsors: We need new recreational soccer sponsor for The current financial commitment is $2500/year, this will be increased to $3500 in We will communicate the resulting jersey change to families as quickly as possible. Potential sponsors Bill is considering include Harrison Hospital (Fransician Health) and Westside Pizza. Soccer ball/awards night: Liming will attempt to reserve Woodward Middle school for 2/5/2016. We will need a designated volunteer to plan the party. After defining our volunteer needs and providing parameters (e.g., exact awards) Pam will arrange for 3-4 people to plan the awards night.
3 A political candidate approached the BIFC board regarding sponsorship, but the board declined to move forward with the offer. Director of Coaching (Ian McCallum) USSF changes to youth soccer update: Ian s October 2015 Directory of Coaching report (see attached: October - Director of Coaching Report.doc) focuses on the changes to youth soccer for Ian attended the North Puget Soung League (NPSL) 10/2 meeting. Select teams will move to birth year for age groups instead of school year. The Washington Youth Soccer Oversight Committee (SOC) meeting is 11/14, and the outcome will provide direction to regional clubs for handling the 2016 age change transition. Clubs will create their own management plans for the transition but age brackets must be consistent among clubs. JP started a collaborative FAQ on the upcoming changes. This information will be available before the AGM and sent to BIFC coaches by the end of the soccer season. Volunteer coach appreciation night is tentatively scheduled for 11/16 at 7PM. Exact date/time and location will be announced. JP suggested we create loyalty programs with sponsors for BIFC members to encourage attendance. Assistant Director of Coaching (Maurya Campeau) Wooden Spoon tournament summary 32 teams enrolled and profit was approximately $3000, which is slightly below last year. See attached October 2015 Assistant Director of Coaching report, (BIFCAssistantDOCReport_ docx) Technical Director (Phil Avison) See attached October 2015 Technical Director Report (Technical Director Report - October 2015.docx, attached). One more week remains for fall skills training. We had two more sessions scheduled, but the final week was cancelled due to a BI Parks and Recreation Halloween event. Director of Communications (Johannes Happonen) Not present Director of Volunteers (Pam Conyers) Current system for recording volunteer hours: Volunteers Pam their hours after work is completed, which Pam keeps in a master record. Each BIFC board member is recorded with over 6 hours as it s difficult to accurately track board member contributions. Cookie dough distribution slots were filled within12 hours of the initial call for volunteers. Director of Referees (Vacant) VP of Recreational Program (Vacant) VI. New Business Fields for our Future (basic maintenance, turf and lights): Liming mentioned that we cannot allow dogs and food and drink other than water on the turf fields. A lot of debris remained on the field after the Wooden Spoon Tournament.
4 Ian wants to form a sub-committee to discuss lights consisting of Bill, JP, Ron, and potentially Craig. The meeting will take place Monday 7PM, Copper Top Loop Brewery. Annual General Meeting (AGM): Liming will check with the Madison fire station regarding an 11/30 reservation. There will be no bylaw changes this year. The agenda must be posted 30 days prior to the meeting. The notice shall include a high-level description of issues to be discussed, such as announcing elections. Sherry created a Google document for AGM agenda items. Next board meeting: 7:15 PM November 9 th at the Marge Williams Center VII. Adjourn Ron motioned to adjourn the meeting at 9:21 PM; second by Ian and passed unanimously.
5 Director of Coaching October Report, 2015 Three Year Painted Picture Vision It is three years from today. BIFC is continuing to teach children soccer, as well as values and life skills. Children, parents, and coaches are thrilled with the program. They are happy; smiles surround everything BIFC does on and off the field. The organization allows for player mobility, helping find a place (through partnerships) for even the rarest of players who may end up on the Sounders, and for children at the other end of the scale who are discovering passions other than soccer but still want to participate in a rewarding rec league. Community members are inspired by the organization, and are lining up to serve as volunteers and board members. The board itself is a fine- oiled machine, with new members seamlessly replacing members as timely transitions occur. The club is well managed, with clear metrics that it is measuring; more consistent coaching quality (particularly at the select level); and an annual calendar that serves as a compass for the team. The organization is communicating better with its constituents, and has a regular newsletter for parents. Sponsors feel their investments are being used well, and the staff feel they are fairly compensated for their efforts. There is a strong sense of community, with older kids mentoring younger kids. And the organization s work is taking place around a tangible physical legacy BIFC s own lit fields and clubhouse, which houses its staff and offers a place to meet and play. 8 BIFC Technical Director Report October 2015 With the many discussions that have taken place surrounding the shift to play tryout by year of birth as opposed to school year I have broken down what it actually equates to in terms of numbers at BIFC. You will notice that for the most part numbers are fairly evenly spread, and whilst numbers are never perfect it would seem that there is no major imbalance created for us as a club. The adjustment will come socially with players being set with a different player group, and potentially retaining a perception that they are on a weaker team. If that is the case there may be more of request to play up to match the player s present playing experience. This could cause an imbalance. Players in the mix of 2001 will have high school kids playing with middle school players, and this creates a problem when HS players will play HS soccer, and not club. There could be some jersey number conflicts with merged groups On average 52% of players will not play with their class mates (this is not based on our club, but a marker given by US Soccer) Based on the players within our select program here are the new broken down age groupings based on the birth dates of our existing teams, and how many players that would transfer to at tryouts by age category. 10 Assistant Director of Coaching Report Hello Everyone, We have eased quickly into the fall routine and it seems as if it is already nearly over. Here is what has transpired since we last met: *Rec Skills Sessions have continued to flourish, with a slight drop in numbers last week due to the demands of school starting to really take effect. Kids and parents are much more fatigued due to homework loads and the wear and tear of routine. We have two more weeks left. *Wooden Spoon was a great hit with 32 teams participating altogether and incredible weather to boot. Parents and players alike were coming up to me during, and even days after, the event to tell me how much fun they had and how well they thought the event went. There were only two accounts I received of parents annoyed with other parents for one reason or another, which is frankly very normal with the "kids coaching and reffing" format that is typical for Wooden Spoon. Nothing outlandish or even out of the ordinary happened. Overall Wooden Spoon seems to continue to be one of BIFCs most joyous and successful events. *As for my own teams, my U11s are just about to really hit their stride. Adjusting to 9v9 has proved a little difficult for them, but they are passionate players and hard workers. In our game vs Seattle United during the torrential downpour this weekend, they were able to fend off the other team and hold them to a scoreless game. They were also able to create some great combinations that they haven't been able to grasp before in order to really challenge the other team's defense. Their knowledge of the game is growing and is starting to show in their play. The U13s are at the top of their division, held back only by goal differential and are chomping at the bit to improve in every way that they can. It has been a great honor for me to be able to accompany them on this journey in which they have really been able to mold themselves into competitors and push themselves to higher levels of play. The future is quite bright for them and it is exciting to be any part of it. Best, Maurya
