2 1 Minutes of Last Meeting (MS) Minutes of last committee meeting (1 st February) were accepted. 2 Decisions Since the Last Meeting None. 3 Carried Over Actions AH OPEN Investigate what other clubs have done and what is available. AH has forwarded newer designs for the cags. MS OPEN Work with Glenn to update the new members leaflet. No progress. AH CLOSED Sell unused Pyranha RX boats in loft. Sold. MS OPEN Draft policy for equipment hire. No progress. MS OPEN Draft policy for group membership. No progress. AD OPEN Remind duty officers of their duties. No progress. AD OPEN Ask former keyholders to return their keys. No progress. OO CLOSED Bring the treasurer documents to the clubhouse. Done. ALL CLOSED Sort through the treasurer documents. OO has sorted through all the documents and disposed of the old documents. PB OPEN Dispose of the trailer. Next work day. AB OPEN Talk to the pool about replacing container with a permanent structure. No progress. LJ OPEN Look at replacement fans for the changing rooms. LJ has contacted the electrician and the work is going to start this week with no extra cost for a full PAT. MS OPEN Advertise CE volunteer award scheme. No progress. MS OPEN Look at getting internet access for the clubhouse. No progress. PB OPEN Purchase larger loft hatch. No progress. JD OPEN Get a cover for the new mower. No progress. MD OPEN Order an event shelter and feather banners. MD is waiting for details of a feather banner supplier from OO. MS > OO OPEN Look at options for digitising old club documents. OO is going to scan these. MS OPEN Sort out private boat store subscriptions. No progress. Status: Approved Page 2 of 6
3 PB OPEN Prepare a quote for a tower light for the car park. PB sent a quote that the committee didn t receive. PB is going to resend this. MS OPEN Remind members of the equipment hire policy. Waiting on an approved policy. LJ CLOSED Investigate smells coming from the showers. There have been no more complaints since LJ poured drain cleaner down the showers. LJ > OO OPEN Draft a response to Lower Dale Farm about the lane repairs. OO is going to contact Lower Dale Farm offering to pay the amount requested ( 57.50). MD OPEN Work with Glenn to prepare Club Mark application. Glenn has had family issues recently so there has been no progress on this. MS CLOSED Liase with Jo Sharp about grants. MS has spoken to Jo and she is looking into this. MD CLOSED Buy more hi-vis vests. Done. AB x OPEN Sort out a river level gauge. AB showed the committee designs of a stainless steel gauge that he will install at the next work day. MS OPEN Draft clubhouse duty officer policy. No progress. PB OPEN Get quotes from 3 structural engineers for extension plans. No progress. OO02.1 OPEN Update club account signatories. In progress, OO has a transfer document that MS needs to fill in. MS02.1 CLOSED Add taster sessions to WebCollect. Done. JD02.1 CLOSED Organise FSRT & WWS&R courses. Done. JD02.2 OPEN Organise a showcase video for taster sessions. Waiting on footage from the first taster session. MD02.x CLOSED Run a bring a friend Marlins session. MD has had little interest in this. MS02.2 OPEN Investigate alternative committee mailing list. No progress. JK02.1 CLOSED Purchase sea kayaks. Done. 4 Officer Reports 4.1 Chair (PB) 4.2 Treasurer (OO) OO gave an update on the current progress of sorting out the club accounts. OO asked whether the club had looked into charitable status or becoming VAT registered. MS explained that the club is a Community Amateur Sports Club (CASC) which gives a Status: Approved Page 3 of 6
4 discount on rates and allows the club to get gift aid on donations (but not membership fees) - the rules for charities would prevent the club charging for membership. 4.3 Secretary (MS) MS received a request from a member for details of the club affiliation and liability insurance. While dealing with this it became apparent that the club affiliation renewal notice was lost during the transfer of the membership officer role. MS03.1 NEW Renew club affiliation. 4.4 Health & Safety/Incidents (PB) No incidents reported. 4.5 Safeguarding (OO) 4.6 Membership (MS) MS has sent out the first batch of membership reminder s to approximately 170 members. 4.7 Training/Coach Development/Introductory Sessions (JD) JD has had some difficulties with the introductory sessions not appearing on the Go Canoeing website but these have now been resolved. The planned courses for the year were discussed and it was decided that an Advanced WWS&R later in the year might be beneficial to some members. JD03.1 NEW Look into running an AdvWWS&R in September. 4.8 Slalom/Marlins Coaching (MD) Little to report other than a mix-up with booking the course at HPP for the race in April that Dave Bradshaw is working to resolve. 4.9 Pool Sessions (MD) There has been a mix-up with the payment for this year s pool sessions and it looks like the centre hasn t received payment for the sessions. OO03.1 NEW Sort out payment for the pool sessions. There has also been an issue where the pool is closing early on the day of the last session which prevents the session being run. The centre has offered the Sunday after or a pro-rota rebate for the missed session. As there are no courses running on this date, MD has cancelled the last session and taken the rebate Equipment and Slalom Comms (Steve Tott & AD) 4.11 Building Maintenance (LJ) Status: Approved Page 4 of 6
5 4.12 River Touring (AB) There have been a few trips to the Dee and Tryweryn with Andy & Si starting to take people from the Wednesday night sessions on more trips. AB mentioned that there needs to be some new faces on trips, both running them and taking part. The MEM sessions are also going to start soon Website/Forum (MS) The website suffered a one-day outage where the domain name wasn t renewed in time and expired. This has been resolved and the domain name renewed for a further 5 years. MS has posted a number of Sea Kayak trip reports that have been kindly provided by JK s group. MS reiterated the need for similar reports from the white-water paddling groups. JK suggested that the club look into using Twitter as a way to communicate and advertise club activities. MS has a Twitter account set up in the club s name that he is going to advertise and start posting from. MS03.2 NEW Resurrect the MCC Twitter account. 5 Any Other Business Marketing Officer The committee discussed whether it would be a good idea to create a new officer role to handle advertising club activities online and to the local area. It was decided that the club should see how well the current efforts to increase communication in the club work and review the benefits of a dedicated officer in the future. Hire Rates The hire rates for the Sea Kayaks purchased by JK were discussed and it was decided that these would be set slightly higher than the rest of the club fleet due to the extra maintenance required. It was decided that rate would initially be set at 10 a day or 50 a week. Sea Kayaking Training JK has offered to continue running informal sea kayak training this year and requested that a formal 4* sea kayak training course be put on this year. JD03.2 NEW Organise a 4* sea kayak training course. Work Day The 14 th May was set as the first work day of the year with the following items: Path repairs. Collection and chopping of wood for the stove. General site clean-up. Status: Approved Page 5 of 6
