Second by Grant Carried D REPORTS Item D-1 TREASURER Item D-2 DIVISIONS Item D-3 Safety Bob Anderson E Item E-1 CLUB Item E-1.1 General Fort Langley Historic Site and Township re Bedford House REPORTS Reports are attached to these minutes. All divisions/disciplines/ committee representatives are required to provide regular reports. A reminder to committee representatives to submit to the executive for keeping: agendas, minutes, and brief reports relevant to FLCC. A month end financial statement is sent to each executive member prior to meeting or review. Statements are available to any member upon request. MOTION by Grant to adopt the financial reports as distributed. Seconded by Karen Carried There have been two incidents in the past month, one OC, one dragon boat. Bob will ensure incident reports are completed and reviewed for safety training needs. BUSINESS ARISING FROM THE MINUTES There has still been no meeting with Historic Society regarding Bedford House - Grant will report back when there is

2 1.1.2 Dragon boat and voyageur strategic plans are still being worked on. FLCC Strategic Plan Sale / trade of the Elite Bob waiting to hear back from Dean Fortin - nothing further to report at this time DB Security cameras Catriona noted work in progress. Plan to move safety boats closer to cameras Canoe Dock Lock Have lengthened chain - will continue to monitor to make sure there are no further problems. Catriona to contact Terry McMullen re locks. No one has come forward to organize an event. Catriona will identify regular volunteers and thank for all they do Volunteer Appreciation Night Cranberry Festival Wrap Up It was a very good day, and a great success. We had lots of volunteers and 24 teams participated. Cheryl will send info to Bob for posting on FB and newsletter. Item E-2.Treasurer Dave Longman E.2.1 Number of Waivers re: Insurance Dave not present at meeting, nothing further to add. Cheryl has spoken to insurer. The number of potential insured paddlers was based on last year s number of participants. The insurance company understands that participation fluctuates so all participants are covered for this year but may have to buy more insurance next year based on the number of participants we had this year. Item E-3 Safety DB Steers manual approved at September meeting. After recent incident with steerspersons going into water, we may have to revisit policy regarding dropin having a captain, the same as a team would. Whenever there is an incident there needs to be follow up with people involved in incident, so we can learn from each incident. The divisional rep to be cc d on incident reports so they can follow up with people involved and identify if any modifications in safety training is required. 3.1 Safety Training for Divisions OC safety manual and regular training needs developing as done in other divisions. 3.2 CPR Training and AED s Bob reported Bedford Channel Society has a plan for AEDs on docks but no details available yet. Bob in contact with Ridge Wilderness to hold training sessions. Item E-4 Facilities/ Inventory Dock expansion Water lease is signed off with ToL. Bob hasn t had a chance to meet with all interested parties involved - need to review dock plans with all users. Will set meeting soon Maintenance Committee and General Maintenance Catriona has sent form to order boat decals to all divisions. Motors will be painted to deter stealing. Al Black has offered to repair docks as needed. We have a bailing crew will need to organize snow removal crew. Members on the dock need to bail all boats - will remind members in FB and newsletters. Item E-5 DRAGON BOAT Karen Corness Item E-6 FLATWATER/SPRINT Grant Rawstron Fundraiser Update They are working on getting donations for their fundraiser. The announcement is to be sent to exec by mid-nov for review then sent to membership as planned. Upon formation of FCKC, all agreed an after-season review meeting should be held though operations would continue with the established status quo. At this time, Club and FW believe the two societies within one club format seems to be working well and there has been good collaboration. FW does have issues that differ from other divisions, such as grants applications and hiring employees requiring tax and WorkSafeBC, so requests a formal agreement be signed. Bob suggested they speak to FCRCC as they have formed a separate FW society and successfully integrated it into their club. Grant will edit the existing 2011 agreement that was created when FW separated their finances from FLCC, making minor changes to reflect the new society,

3 Item E-7 OUTRIGGER Joanne Bolam then circulate to FLCC executive for approval. Grant will work with Dave concerning FW financials needs for grant applications. V12 will be available for booking by end of month great for OC steers training Item E-8 VOY/REC CANOE Glenda Grassmuck PA system F NEW BUSINESS 1.1 Request to purchase new hats for sale Also see attached report. Discussed if the club should purchase a PA system. It could be used for playing music at club regattas. To communicate at events we now use megaphones and agreed they work fine. On occasions it could be used for playing music, such as on the Santa boat. It was decided that it was not needed nor be used enough, so we won t be purchasing a system. Suggested we could borrow music systems that DB teams use for warmups There is no left over inventory. It was felt that purchasing more hats, should come out of next year s budget. Current members have already purchased. Buy for AGM 1.2 Trailering cost It was agreed we will have set rates for trailering based on point of trailer pickup to trailer drop-off. Div reps can make exceptions as needed though rate to be agreed upon before trailering done. Google Maps will be consulted for length of trip at $1/km 1.3 LOSAG Rep Catriona will take this on position. The Executive is very thankful to Marlene Hoyt for her long service in this position. The first meeting is this Wednesday but Catriona can t be there, so will ask Marlene if she will attend this last meeting. Second by Catriona The meeting 8:40 Dragon boat Report Karen Corness October 2017 Most teams have suspended paddling for the fall and winter and some are actively planning for next season. A few FLCC paddlers have joined Team Canada and are participating in the World Dragon boat Championships in Kunming, China. F&F and Titanium have begun their training for World Championships in Hungary in July The 6-16 s have been taken off the water and are in dry storage. John Spenser is coordinating the winter maintenance of these boats along with the Millennium. They will be taken one at a time to Western Canoe and Kayak where they will be inspected and repaired as needed. In early October, there was a moonlight paddle. On very short notice, voyageurs and dragon boaters came together and filled two boats to paddle out and watch the moon rise and munch on tasty snacks. Some paddlers want to continue paddling through the fall and winter but find it difficult to make the Friday or Sunday Drop-in, so a Saturday Drop-in is now offered. Sprint Report Grant Rawstrom - October 2017

4 The athletes in the sprint program are continuing their training that is being coordinated by Elliot- he also does some of their coaching. We also have Ben Meunch and a new athlete/parent, Matt Smith, helping with on water practices. We are continuing to look for a coach either full time or full time for the summer only. The FCKC board is looking at a number of new initiatives both for fund raising and changing our boat fleet to better serve the needs of the younger children gaining interest and our adults. Other activities are also being added to the schedule to provide social and team building time for the younger paddlers particularly. This Sunday was a Grouse Grind outing. Voyager Report Glenda Grassmuck - October 2017 October was a busy month. The voyageurs joined the DB group for a moonlight paddle. It would seem that the DB group now enjoy the voyageur culture of paddling and snacking. Two canoes paddled to Derby Reach to take in the Apple Festival and enjoy a picnic lunch. The Cranberry Festival was well attended and enjoyed by all. Good weather and amazing volunteers contributed to making thjis annual event an outstanding success. Special thanks to Johanna Mramor, under the mentorship of Cheryl MacIntosh, for co-ordinating the army of volunteers needed to run such an event. Many thanks to all those who volunteered. You are what make FLCC such an amazing and dynamic club. Our next event was The Edge Program where 90 students, plus staff, participated in a day of paddling in the pouring rain. Kudos to our hardy steers people. Monday, October 30 will be our last evening paddle, and will be followed by a potluck at Debi Collins home. Saturday morning paddles will continue until the end of the year. My personal thanks to Debi Collins, Debbie Scott, Elizabeth Backman and Julie Kell for looking after all things voyageur while I was abroad. If I haven t mentioned by name please know that your contributions were valued. Motors: all in working order Member at Large Report Catriona Eigenfeldt - October 2017 Decals/FLCC identification: Issues with consistency with decals ordered from sign company. Will create standards and document with FLCC and Fastsigns. Other than voyagers, no one has identified additional orders. Voyager order still a work in progress Coach boats: Reserved for winter and paid. Glenn Howes installed the bimini covers for Cranberry festival. Now being stored in basement. Would like to move boats ahead so more clearly under security preview. Maintenance: fall meeting date still to be determined Security and asset risk reduction: Glenn Howes will be installing security system (date TBA) Need to review and update asset list, ID # s Volunteer appreciation night: No response. No changes in the areas of: Gas volunteer system working. Cleaning. Volunteer system working for chicken coop and boat house organizing Locks. Marilyn Brooks doing a great job - system working reasonably well, given various changes in locks. Motors: John S. in charge updates to be discussed. Will talk to John/Glen about securing motors and making them less desirable for theft. Work continues on the oc1 s. OC Report Joanne Bolam - October 2017
