1 BC Senior Games Society Zone 2 Board Meeting July 30 th, 2014 Qualicum Beach Civic Centre, Qualicum Beach, BC DRAFT MINUTES Present: Cheryle Sosnowski, Trish Anderson, Barry Sparkes, Tony Mayor, Paul Kingan, Cindy Simpson, Robert Reed, Corinne Berkin, Shirley Focht, Shaun Gessner, Maggi Slassor, Donna Cheetham Regrets: Pat Dennison, Judy Francis ITEM DISCUSSION ACTION 1. Call to Order: The Chair called the meeting to order at 11:28AM. 2. Approval of the Agenda: Amendment to Agenda: - Add to Any Other Business: Nomination to Provincial Board of Directors by Cindy Simpson. Moved/seconded by Cindy Simpson/Paul Kingan to approve the Agenda, as amended. 3. Minutes of previous meeting: Moved/seconded by Barry Sparkes / Shirley Focht to approve the minutes of the previous meeting (June 25 th, 2014) as circulated. Carried Carried 4. Opening Remarks Chair: All is ready for the Coffee Party as long as the coffee percolator works. Please advise Cheryle if you are thinking of leaving the Board. [Cindy confirmed her intention to step down after the AGM.] 30 Jul 14 1 / 8
2 5. Correspondence: None received. 6. Old Business: 1. New Horizons for Seniors Programs. Deferred until next year Article in Senior Living magazine. Corrine will submit a Post- Games article for the fall edition of Senior Living and one in the Spring. The Chair noted (and the Board agreed) that Corinne did an excellent job producing the June 2014 edition of the Zone 2 Newsletter. 3. Proposal the BCSGS join Canada 55-Plus. It s on the agenda for the next BCSGS Board Meeting. 4. Soccer payment of Sport Fee. The Soccer Coordinator collected the overdue fees and passed them along to Cindy. 5. Ads in Community Recreation Guides. Corinne advised that she is working on this 6. Water bottle giveaway.14 boxes of bottles coming. Shirley should receive them later this week. Will need 450-plus to give away at accreditation in Langley. Other Board members offered to help get the bottles to Langley. 7. Committee Reports: 1. Financial/Fundraising Report (Donna on behalf of Pat Dennison). Balance Sheet and Statement of Revenues & Expenses (to June 30 th ) attached). Via from Pat: The balance of the Operating Account as of July 24 th is $47, which would be before the July 22 nd cheques ([including $28,500 to BC Senior Games Society] have cleared. The balance of the Gaming Account is $39, I have not heard anything about the Gaming grant. Also via , to Cheryle, Pat advised that we need to spend money. Cindy suggested using some funds to introduce seniors in our more remote areas to the sports and games covered by the Senior Games. For consideration at the next Board Meeting 2. Sports/Events (Paul Kingan). Paul, Tony and Cindy completed the audit of Zone 2 s registrations for the 2014 Games. We are all good to go There are 25 sports in Langley. Zone 2 will be represented in everything except Whist. About 428 participants. Paul is all ready with handouts and notes for the Coffee Party. No further news about BC Ferries travel passes. 3 3. Membership & Registration. (Cindy Simpson) 493 have registered (participants, non-participants and members. (list attached) Noted that withdrawals, for medical reason, must be passed to Tony for reimbursement of registration and sport fees. 4. Public Relations. (Corinne Berkin) Noted that the BC Senior Games Logo will be changing. Corinne is developing a logical plan for submitting articles and preparing the Zone 2 News Letters. Will answer: How can I participate in the BC Senior Games? Corinne 5. Travel/Accommodation. (Bob Reed) No issues so far. 6. Uniforms. (Shirley Focht) Shirley has a pile of shirts & jackets for sale, exchange and giveaway at the Coffee Party. Confirmed that pins and hats will be given out at accreditation in Langley. The Board supported a proposal to reduce the price of golf shirts from $20 to $15 to help move stock before new logo comes into effect. 8. Director s Report: (Tony Mayor) Tony has been busy with Provincial stuff. 9. Area Reports: 1. Area 1. Shaun. Quiet. Fielded one query How to I become a participant?. 2. Area 2. Trish. Nothing much to report. 3. Area 3. Maggi. Pretty quiet. Will be submitting article to local senior s newsletter tomorrow. 4. Area 4. Judy. (Absent reported all quiet). 5. Area 5. Shirley. One late query about registration. Has distributed newsletter to Seniors centres.. 6. Area 6. Vacant. 10. New Business: 1. In response to question When to repay Dragon Boaters? all participants, including Dragon Boaters, will be reimbursed their sport fees at the AGM in October. This will include the $2 overpayment made by some Dragon Boaters. 11. Any Other Business: 1. Cindy advised that she is thinking of running for Vice-President of the BC Senior Games Society.
