1 Birchbank Golf Minutes for Board of Directors Meeting for Aug 30th, Montrose Firehall, Montrose, BC at 4:00 pm Attendance: Rob Drezdoff, Brad Harding, Tom Milne, Kimba McLean, Tom Gawryletz, Ken Swanson, Jeri Santarossa, Mark Lloyd, Jeff Papilion and Kalea Garrett Absent: Derrick Simister Meeting called to order by President Rob Drezdoff at 4:00 pm. 2.0 Approval of Minutes: 2.1 Approve the minutes of the meeting held on July 28th, Business arising from the minutes: To be discussed later in the meeting. 3.0 Operations Reports 3.1 Director of Golf Report: (See report submitted) 3.2 Course Superintendent Report: (See report submitted) 3.3 Food and Beverage Manager Report: (See report Submitted) Due to staffing shortages, the Bistro will have set hours. 4.0 Committee Reports 4.1 Finance Committee: Mark Brown Chair See condensed financials attached Motion to accept Financials:: Tom Milne, Seconded: Brad Harding The 2019 rates were approved and will be circulated next week 4.2 Match Committee: Kimba McLean Chair: Meet October 1st 4.3 Building Committee: Tom Milne Chair: No report 4.4 Course Committee: Brad Harding Chair: Brad proposed new hole lengths to even out distances between tees. A copy will be sent to the BCGA for review to ensure the rating does not change. This includes adding a combo red/white tee. A Course Committee meeting will be held before the year is over. 4.5 Junior Committee: Tom Gawryletz Chair: No report 4.6 Handicap Committee: Derrick Simister Chair: No report

2 5.0 Old Business 5.1 Bargaining Committee: sent to CUPE that we will contact them to begin bargaining in September 5.2 New signs on the course: Tom Gawryletz has laid out a plan to generate funds needed to pay for new signage at our course. This was unanimously approved. See Tom for details 5.3 Plaque for Lifetime members: Will be ordered and mounted in time for the AGM 6.0 New Business 6.1 Nominating Committee: Ken Swanson will run for a second term. We are looking for two people to sit on the Board next year. 6.2 Scorecard design was put forward by member Gord Grolla to consider. We thank Mr. Grolla for his suggestion. 6.3 Members Scorecards: Jeri asked that we should consider members cards. A simple black and white card with sponsors on them. It was agreed to look into the cost. 6.4 Members accounts. It was agreed to create an account for each member to track membership dues, cart stall rentals, lockers etc. 7.0 Director s comments, concerns or queries 7.1 Brad advised that the Hackett bench on #10 will be replaced by the family. He would like to ensure the Hackett family is recognized for their long time support of the club. 7.2 Jeff would like to get the range balls for 2019 logoed with a local business. Agreed to follow thru with this 7.3 Tom Gawryletz wanted to know why you cannot pay your accumulated bistro bill upstairs. We will look into linking the computer from upstairs to the admin office. 8.0 In Camera: 6 pm 9.0 Adjournment: 6:15 pm Next meeting to be held September 27 th 2018 at 4:00 pm at KSCU.

3 PRO SHOP Report August 30, 2018 Just working through staffing, Blair is Finished as of Thursday, Emma Finished last week. Thanked everyone for their hard work and efforts. o I am putting together a proposal to retain Blair for next season comparable to a CPGA 3 rd or 4 th year Assistant. If I can find something that works great if not I will put out an ad with the CPGA for an assistant for 2019 (Not going to over pay) RT Men s Open was a good success, lots of positive comments A promising number of calls coming in for New Members for 2018 o Joe Molito called again, he has 4 old Members wanting to come back however was stuck on ½ a seat for cart lease at $350 each like at Redstone?? August 1 st to 26 th Comparison o Green Fees + 6% o Rentals - 8% o Range - 12% o Shop -29% (We have plenty of good sales on just no shoppers?) March 1 st to August 26 th o Green Fees + 20% o Rentals + 35% o Range + 11% o Membership + 2% o Proshop - 30% (mostly Hardwood s) Clear out Sales to Start in Sept with Deep cuts to move as much Product as possible Still getting calls for Social groups ( 12 to 24 players) for Golf & Dinner Jump Start Event very very quiet for Sign up Brenda has found a few members with cart storage that have somehow slipped though and not paid for multiple year s Possible error that golf shop staff in the past sold storage under guest and not the member name but unlikely How would the board like to proceed in collecting ( some have not paid for what appears to be up to 4 years! 4 Bistro Report August 2018 The RT Open went well. I got a lot of positive feedback, especially from out of town guests. We had approximately $4500 in alcohol sales for the weekend. August was a slower month, with fewer tournaments than previous months. Ladies Nights has also reduced significantly, with an average of 16 ladies coming in for dinner. I have scheduled another Wine & Paint night to bring more new faces into the Bistro. Tournaments will be picking up again in September, and Jeff has booked a couple of Teck groups already We will be very short-staffed for September, as a couple of staff that initially intended on staying for the entire season have decided to leave at the end of this month. We will be down to 2 cooks and 2 servers. To accommodate for this, I believe the best option is to reduce the Bistro hours to 10am-6pm (excluding Men s & Ladies Nights). This will mean that only one cook and one server are needed for the full day. I will come in earlier on these days, so members can still get coffee/drinks. For the month of August, I have noted that the first customers do not come in until 9:30-10:00, and the first meal is rarely ordered before 11:00am. This is with the current first tee time being at 7:00am; therefore, if the tee times are start later, customers will begin coming into the Bistro later as well. Due to this shortage, the cart will only be able to run on Men s Night. Any tournaments requiring a cart will need to be requested, so that I can work it into the schedule.

6 Agronomy Report For August 2018 Greens/Aeration The greens performed very well through an extended hot dry spell of 45 days. Our fall aeration has now taken place with a different approach once again in order to target different thatch layers and promote rooting at different depths within the profile. I will continually change my aeration type, methods in order to maximize the root structure of the plants. Aeration of fairways, tees, and surrounds will be ongoing over the next while. Smoke/Evaporation/Wet Areas As we all know widespread smoke blanketed our area for most of August. As watering still commenced due to temperatures staying in the 30s some areas have become wet as evaporation rates were limited due to the smoke cover and non intense sunlight. These areas have been constantly topdressed to try and alleviate wet areas and keep them firm. Watering times became a bit of a battle to try and keep things moist but not too moist with the inconsistent sun penetration. Aeration and incorporation of more sand into wet areas will help with further concerns in these areas. The Open Thank you to the mens club for providing breakfast each day for the turf care team. Thanks to Kalea and her team for providing us with excellent meals each morning. Thanks to Jeff and his team for putting on a very professional event from start to finish. Irrigation Upgrades Our upgrade supplies have arrived and will start to be installed as soon as we can get going and water is in low demand. Layoffs Seasonal Layoffs will commence early September and carry on until season is through.
