1 Birchbank Golf Minutes for Board of Directors Meeting for July 26th, KSCU Board Room, Trail, BC at 4:00 pm Attendance: Rob Drezdoff, Brad Harding, Tom Milne, Mark Brown, Tom Gawryletz, Derrick Simister, Jeri Santarossa, Mark Lloyd, Kalea Garrett and Jeff Papilion Absent: Kimba McLean and Ken Swanson Meeting called to order by President Rob Drezdoff at 4:00 pm. 2.0 Approval of Minutes: 2.1 Approve the minutes of the meeting held on June 28th, Business arising from the minutes: To be discussed later in the meeting. 3.0 Operations Reports 3.1 Director of Golf Report: (See report submitted) 3.2 Course Superintendent Report: (See report submitted) The old beverage cart will not be fixed. 3.3 Food and Beverage Manager Report: (See report Submitted) 4.0 Committee Reports 4.1 Finance Committee: Mark Brown Chair See condensed financials attached Motion to accept Financials: Approved by: Tom Milne, Seconded: Derrick Simister. A new four year Mortgage was approved by KSCU. We will sign in the next week. Green fee revenue is up over $25,000 from last year. The Board approved the 2019 new member rate ($1099). Jeff will start to advertise after the BC Day long weekend member rates will be complete next meeting. 4.2 Match Committee: Kimba McLean Chair: No report 4.3 Building Committee: Tom Milne Chair: Air Compressor fixed to clean off carts and shoes. 4.4 Course Committee: Brad Harding Chair: Meeting July 19 th. See attached report

2 4.5 Junior Committee: Tom Gawryletz Chair: SNAG golf junior clinic July 28 th hosted by Tyler McKay (9-10 am) at Birchbank. Sign up in the Pro Shop. 4.6 Handicap Committee: Derrick Simister Chair: No report 5.0 Old Business 5.1 Bargaining Committee: Met July 9 th. 5.2 New signs on the course: Mark Lloyd brought a template. To be funded exclusively by sponsorship money. Board agreed to move forward with this project. The final design pattern is tba. The Board will try to finalize the sponsorship program and design at the next meeting. 5.3 Plaque for Lifetime members: Jeri, Brenda and Jeff will pick out a plaque that will mounted in the Bistro. 6.0 New Business 6.1 Harassment of Employees: The Board is asking all members to please be respectful of our employees. We have had three altercations this year. 6.2 Thank you from the Colbert family for recognition of Jack as our latest lifetime member 7.0 Director s comments, concerns or queries 7.1 Brad looked into changing the paper towel hand dryers to the electric blowers. It was not cost effective. We will look into more environmentally septic sensitive tissue and 7.2 Mark Brown announced that we will be exempt from the 1% MSP charge next year as we are a Non Profit Society. 7.3 The Board would like to recognize Murph Gordon for many years of service and hard work on the Maintenance crew. We wish Murph all the as he is retiring August 19 th. best 7.4 Brad announced that since the Course Committee mtg, he would like to see a more consistent flow on yardages from the red tees to the blues. Suggestion to move the red tee s forward to 5000 yards or less and then space out tees more evenly to promote all levels of play. Implement red/white combo s and remove red/white tee s and blue/white tee s. Go back to the red, white and blues as solid tee boxes. Rob asked Brad to lay it out on paper and present to the Board before any decisions are to be made.

4 Bistro Report July 2018 The KBRH tournament went over well. The Bistro staff worked very hard and I think they all did a great job to pull off such a large event. I would like to thank Mark and his crew for lending us their Toro cart to use for the week. Aside from Men s Nights and tournaments, the beer cart is not generating very much revenue. The average sales on weekdays are around $45, which is not enough to cover wage costs for staff. One consideration would be to pull the cart on Mondays and Thursdays, as these are the days that we sell the least. Ladies Nights are also slowing down significantly. We started out with an average of 45 ladies at the beginning of the year and we are now averaging around 25. We are also not selling much on the carts on these nights, and therefore may have to eliminate the cart if numbers drop any lower. We will be losing more of our servers as they go back to school in August. Olivia has already left, and Brittney will be leaving after the RT Open. Ben, Ali, and Alex will also be leaving at the end of August. I have placed an ad on the Skills Center website in hopes to hire another server. I will be making up for the shifts where possible. We were having concerns with one of the beer taps being cracked. Jane from Independent Bar Services was able to find a replacement for the tap; however, the beer tower itself ended up exploding the following day (due to the old age of the towers/lines). This resulted in a loss of all of the glycol from our pumps, which had to be replaced. Unfortunately, the glycol must be food-grade and the replacement was quite costly.

6 Board Report July 27 th KBRH Event went well with only one confirmed mishap with a power cart. o While the Event does not purchase any items from the golf shop we did put through a little more than $9800 for the day on Golf, Carts & Dinner (some cart revenue to go back to members still) I would like to thank Mark and his team for preparing the course & Motzy for getting ALL 38 carts running The Mixed Event for the Long Aug weekend looks like it will be downsized to a one day event due to lack of interest / entrees Getting consistent flow of entries to the Men s Open for middle of August. Looking like we will get a bit of an increase from Spokane area. Staffing update; o Emma will be leaving after Aug 25 th o Jake leaves Aug 23 rd (ish) o Blair leaves end of Aug to teach at Selkirk. Blair & I are now in conversation as to next season. Blair would like to come back I just need to see how we can fit him in and rework other staffing as we were paying Blair very little for the Effort he put in this season I am starting a new special next week, $55.00 & tax (18 holes ½ cart & Burger & Fries) o Will run on Weekends & Holidays after 11:00 am I will having a sale for the Week of July 29 th thru to Aug 5 th intending to clear out some clothing and especially hard goods. Revenue comparison For June 1 st to July 23 rd o Green Fees + $10,011 (20%) o Rentals + $5,929 (35%) o Over all Golf Services + $18,389 (24%) o Proshop sales +$1,613 (3%) o Combined +$20,003 (16%) Roger Mayo Jr has come in and had tour of the facility and he is putting together a quote for janitorial services for next season. Roger will be more per hour but slightly fewer hours o Currently billed $900 every 2 weeks ($1800 per month) $23/hr o Roger Mayo approx. $2800 per month $40/hr o I am still trying to get follow up on two other businesses with no response which tells me they are not that interested. 7 Agronomy Report July 2018 #7 Approach The approach into # 7 green was widened a bit on each side this spring. There may be a bit of room to get it a bit wider to accept balls into the green but this procedure will be better performed in the fall when heat stress is low. #3 Fairway The beginning portion of #3 fairway has been a weak turf area since before I started here. We continually try and get better grass established there before any thoughts of bringing the fairway closer to the tee box can occur. The fairway was shortened a bit due to irrigation lines being buried very shallow and aerator hitting lines during fairway aeration. Once we are able to get some better turf established the option to lengthen the fairway can be revisited. The fairway itself is the same width as always and making it wider on the right side may encourage balls bouncing over cart path and into the trees on the right. The trees that were removed on the right side were cut down in order to have a better view of the group ahead so groups can tee off safely. #4 Tee The trial of moving number 4 red tees to the left was done in order to alleviate cart traffic congestion in the #2 tee/4 reds area. The difference in yardage is approximately 13 yards which falls well within the allowable tee marker placement rules. If the tees became permanently on the left side the fairway could be shaped towards them and the current red tees would be abandoned. The large tree that blocks part of the current area would not be an issue and would stay in place. Course Conditions The course is handling the summer stress and heat well so far. Murphy creek is working good now. We only just started pumping full time in early July which is nice compared to previous years. Timely rains and lots of sunshine have made turf conditions quite thick and lush which is a positive sign heading into the summer heat wave. A careful watch on murphy creek levels are now in place as water plays a vital role throughout the summer. Some small drainage issues, and irrigation timing/sprinkler adjustments are ongoing to try and get rid of some token wet/dry areas. Murph Retirement Murph has given his notice and is planning on retiring August 19, Murphs dedication and hard work will definitely be missed on the turf care team. I encourage all staff, members and guests to thank Murph for many years of service to the Birchbank Golf Club. Beverage Cart One of the quenching carts is in need of serious repair as the cam shaft has messed up and it will not run. Parts to repair would be approximately $1500- $2000 but are 2-3 weeks away as they would come from Augusta and basically bandaging an old cart. New motor runs approximately $4000 and a 2016

8 cart runs about $ We looked into a toro workman but all the have is electric ones ($3500) and my experiences with them have not been good. I have let Kalea know that whenever she needs two carts we can lend a workman to her to get the job done.
