1 MINUTES OF THE MEETING OF THE BOARD OF DIRECTORS HILLCREST GOLF CLUB Tuesday, January 12, 2016 DRAFT The regular meeting of the Board of Directors was held at Hillcrest Golf Club on Tuesday, January 12, 2016 at 7:00 p.m. Jack Morrison, President, called the meeting to order. The following Board members were present: Doddie Abeyta, Brian Dommer, Michael Brennan, Michele Peterson, Mary Kay Aigner and Paul Wilson. Bob Therrell and Bryce Fauble were excused. The following Hillcrest staff members were present: John Vickers, Ken Kirby, Will Herz and Karen Gallegos. Minutes: The minutes of the December 8, 2015 Board meeting were approved. TREASURER S REPORT: Brian reported that the net cash usage in December 2015 was approximately $43,000; in December 2014, net cash usage was about $33,000. Year to date net cash usage was $28,000. Income and Expenses: Memberships - $29,000 Coupon Book - $49,000 Green Fees - $27,000 Trail Fee - $6,000. Compared to FY 2014, most revenue items were down: Course expenses increased $12,000, primarily attributable to bonus payments, increases in some expenses were offset by decreases in others. Administrative expenses were about the same as Clubhouse expenses decreased about $6,000. Capital expenses increased $20,000 over The major variance from budget was the sprinkler conversion in Principal and interest in total was about the same as The addition of the renovation loan interest offset reduction of interest expense due to principal pay down of the equipment and irrigation loans. Loans: The principal balance of the irrigation loan as of 12/31/15 is $377,702. The original balance was $1,275,000. The loan matures in October The principal balance of the FNB equipment loan is $178,685. The original balance was $287,160. The loan matures on 12/16/2018. Draws totaling $525,594 have been taken on the renovation loan. This loan will mature in June 2026 after conversion to a permanent loan in June 2016.
2 Michele moved to approve the Treasurer s report as submitted with a second from Michael. Motion passed. PUBLIC PARTICIPATION: This is the time set aside for members to voice any questions, concerns or ideas to the Board and the Hillcrest staff. None OLD BUSINESS: 1. Air Conditioning units on Verizon control building: Per Verizon, if the units create an excessive amount of noise that disrupts play on the golf course, measures will be taken to build a barrier that will minimize the noise that is satisfactory to Hillcrest. NEW BUSINESS: 1. Snowmobile: Ken reported that one of the current snowmobiles is no longer working and the cost to fix it is prohibitive. It cannot be used as a trade-in. A 2012 snowmobile is available for $7,000 plus document fees and taxes. Mary Kay moved to purchase the 2012 snowmobile with a second from Michael. Motion passed. Will stated that we have had great comments from the cross country skiers and he had a couple of donation ideas to help defray the cost of the snowmobile. COMMITTEE REPORTS: Budget/Finance House Brian stated that his committee would be trying to get a better handle on golf memberships and greens fees that are complimentary. Suggested setting up the POS system to denote high school and college tee times. Also to try to determine the cost to Hillcrest for the NTO and the Chili Pepper tournaments. John is to get specific information to Brian regarding the high school, college, NTO and Chili Pepper greens fees given. Paul stated that he has done additional work downstairs and outside in installing LED lights. All of the lockers and club storage have been rekeyed, the north club storage has been remodeled (old units taken out, a new storage area for the club built, racks for push carts installed and 13 lockers moved from the men s locker room to the N. club storage area). Nothing will be done to the floor in the north club storage area at this time. Women s lockers have been remodeled. It was suggested that push cart owners have their names on their carts. Volunteers for painting N. club storage area, wall in men s locker room and touch-up painting throughout the building.
3 Grounds Tournament Membership Policy Marketing Guy Begay would like permission to put a practice green in the clubhouse dining room for the college team to practice. It would be taken down before we open for the season. The consensus of the Board was yes to this request. Nothing to report. There will be a Tournament Committee meeting in February. Doddie reported that we had 67 memberships and 11 coupon books plus at least 30 that have not been entered. There were no records from Nothing to report. GROUNDS SUPERINTENDENT S REPORT: There have been ads in the Herald regarding our discounts for January. This information is also on the web site under a new tab Course Specials. Ken Kirby Ken reported that they were in the process of servicing all of the equipment so that it will be ready when we open. New tee signs will have to be made and Ken is to bring samples to the March meeting. There have been a lot of skiers and so far we have had donations of about $1200. There have been many great comments regarding the ski course. GOLF PROFESSIONALS REPORT: Nothing to report. John Vickers With no further business, Michele moved to adjourn with a second from Doddie.
