Faculty Lounge 10:30 a.m. Present: Buchholz, Evers, Gunderson, Welke, Poeschl, Putra, Rahjes, Reitz, Vernezze, Jacobson, Meinel, Hollander, Norrish, LaVelle, Sura, Luedtke, Saxe, Pankow, Zabel Absent: Gerdman, Buchberger, Kruse I. Call to Order at 10:36am II. III. Secretary s Report - Evers A. Motion made by Welke to accept the secretary's report as written. 2nd by Hollander. Treasurer s Report Gunderson A. Membership is coming in as well as Game Day & Fall Conference registration, no final numbers available at this time. B. Video proposals shared by Putra/Gunderson a. Captivate proposal is $23,000 to include 2 day state cheer and everything that they did last year the same. b. Ivan Berra Films proposal is $23,000 and includes the same as Captivateminus the FSN production, instead a link to the website and only 1 day cheer. c. North X Productions is out of Wausau area and they are doing football promo videos every week that include clips, videos etc d. Discussed if we want to spend $23,000 on this for what we are getting e. Board consensus is we could spend money in different areas and that Gunderson should get a quote from North X Productions to see what they could come up with for a proposal. f. Gunderson made a motion to get a third proposal for video promo with interviews, training videos and event videos without music from North X Productions. 2nd by Hollander. All in favor; motion passed. C. Concussion Insurance - Gunderson a. Cost to WACPC is $1.50 per athlete. 1. If an athlete would get a concussion they would not have any out of pocket expenses. 2. We could cover the cost and would piggy back with the same policy as the WIAA and it covers anything during cheer & dance time when an athlete is with the coach. 3. They would need to be competing athletes with WACPC 4. Projected cost is $6,000-$10, Gunderson made a motion for WACPC to offer concussion insurance for

2 IV. registered athletes that compete with WACPC. 2nd by Jacobson. Gunderson will send the full board all the insurance information. All in favor; motion passed. D. DJ Information a. Aaron Zimmerman has given a proposal of $1,100 for each regional event and JAM, Dance State and Cheer State at $4,000 each event to include DJ set up and announcer. b. Gunderson made a motion for Game Day, JAM, and Dance Regional sites that site directors get their own DJ and announcers. For State Cheer & State Dance we hire ProLine Entertainment for the $4,000 fee per event. 2nd by Pankow. All in favor; motion passed. Gunderson will contact ProLine Entertainment. WADA November 5th & 6th A. WACPC board members that will be attending: Welke, Pankow and Luedtke V. Event Worker Availability A. Board members signed up for their availability B. Gunderson will assign workers for events and notify board members what they are working. VI. VII. VIII. Committee Interest Sign up A. Board members signed up for the committees they are interested in sitting on. B. Executive board will assign all committees and inform the board of the committees they are on. Trophies & Medals A. Buchburger ordered medals & Sura ordered trophies since they are no longer on the board and will need new board members to fill these responsibilities B. Esco does WACPC trophies and Maxwell does WACPC medals C. Hollandar & Welke volunteered for fill these responsibilities Cheer Committee Report - Poeschl A. Cheer is finishing up their scoresheet rubrics B. Final judges training will be September 24th in EauClaire C. Mats needs have all been taken care of a. JAM - Winneconne, UWSP and Storm b. State Cheer - UWSP, UWEC, Winneconne and possibly rest from University of Minnesota, Winnona State, Hudson or EauClaire Memorial D. Future state sites need to be looked for a. LaCrosse for 2019 same weekend b. LaCrosse is not available in 2020 or 2021 in February or March c. Poeschl has contacted people that thought they had sites and none are responding. d. First weekend in March is the biggest issue with coaches; would like to go back to last weekend in February if possible. Possibly may have to go back to having regionals; this will be discussed after this season. e. Cheer committee will compile data from the survey and distribute at fall conference. E. Tentative state schedule is being worked on to try to do as many prelims as possible on Friday so they don't have to start so early. Will determine start time as soon as possible to let coaches know this information.

3 IX. Game Day Updates - Saxe A. Sign up is going well and we are getting some new teams B. Judges are being hired a. Jacobson will hire dance; Pankow/Poeschl to hire cheer panels; 5 judges per panel. Tech Judges will be our tech judges as well. C. Youth/JV will start at 9:00am; Varsity to start at Noon; should conclude by 5:00pm D. Trophies a. Discussed doing plaques or banners instead of trophies b. Saxe got price on plaques of $17.95 E for 8x10; $18.95 E for 9x12 if ordering in pieces of 18 at a time. Banners would be $7.00 a square foot. c. Discussed a canvas pennant from the vendor Collectible Canvas. Saxe/Luedtke to contact for a quote. d. Saxe/Luedtke will decide what is best financially and for the teams and confirm with Gunderson. E. Discussed skill limits and if we should have restrictions for younger teams and what kind of atmosphere do we want; do we want teams to be competitive; be themselves but stay with parameters of divisions. F. Moving forward the challenge videos need to be done better; possibly getting all state graduates and hire a professional to have the video tape. a. Could have registration open by July 1st so coaches can get these videos sooner. G. Jacobson how judges will judge the percentage of athletes that need to do the challenge choreography. Choreography should be shared with judges ahead of time so they know what the original choreography is. H. Saxe/Luedtke to write up judge script and what the judges need to know. I. Apparel on website need to be able to see what sizes are available; Gunderson will take care of changing this. X. Dance Committee Report - Evers A. Dance committee voted to have a new dance awards procedure at state dance recognizing top 3 in the front instead of just 1st place. a. Evers explained how this will work; 3rd place will be announced and come to the front and each individually get their medals; and then line up on one side of the podium; then 2nd place will be announced and come up front and individually get their medals and shake hands with the 3rd place team; then 1st place will be announced and come to the front to get their medals individually and then shake hands with 3rd and 2nd place teams and proceed to the stage. b. Photos of all three teams together will be taken, may have to rope of an area in front as the photographers will need more space. c. The board agreed that cheer should mirror this process for their finals. d. This will be in the slideshow at general membership meeting, out in newsletter, on Facebook page and blast as well as put on the website. XI. Event Producers Training update - Welke A. They will need AV equipment; Evers will make sure it is there and set up B. Training will run 7:00-9:00pm at Fall Conference Friday night C. blast needs to go out to membership reminding them about this training so they get registered. XII. Judges Training A. Cheer will have their last training September 23 at UWSP. All other trainings have gone well and we are getting new people trained. a. Cheer Judges will be able to retrain through video once videos are finished

4 XIII. XIV. XV. XVI. Dance Judge/Scoresheet Updates A. Jacobson will now be our Dance Judge Coordinator B. Scoresheet Committee was; Sura, Jacobson, Putra, Evers, Shaw, Meinel, Buchholz and will be re-evaluated when assigning new committees for 2018 season. a. Scoresheet committee to take input and ideas and put them together to bring to Dance Committee for final approval. b. We will get final feedback from membership before final decision is made b. New scoresheets for dance will be for 2019 to be finalized by June of Fall Judges Training in lieu of Spring Fling A. Fall Judges Training will take place October 27, B. Jacobson will be coordinator of this training C. Considering Menomonee Falls as a location D. Ideas for speakers a. Panel of judges that are nationally recognized experts/judges to take about general specific judging b. All Day conference 9am-4pm and adding some hands on judging c. How to use the star system and how this all plays together d. More research needs to be done e. Pankow & Poeschl will work on the cheer side of this training. E. This one day will replace other trainings we do now. F. Fee for training will be $50 and if they are hired they will earn money back on top of stipend. Spring Coaches In-service A. Putra and Evers met and discussed dates and a layout B. Evers shared information with the board. a. Instead of doing 3 as originally discussed; felt 2 would be sufficient 1. Date & locations - April 14th - Wausau Area; May 19th -Johnson Creek b. Format options 1. Opening; break out to one dance and one cheer speaker; lunch; keynote speaker; break out to one dance and one cheer, close and forum for each. 2. Opening; speaker for both cheer & dance staying together; lunch; keynote speaker; speaker for both cheer & dance staying together; closing and forum for each 3. Evers has contacted Jeff Benson from Mind, Body, Cheer to be a speaker to speak to both cheer and dance; if he doesn't work out will look into other options; Putra to look into keynote speaker. 4. Putra will contract a venue for Johnson Creek; Hollander will contract a venue for Wausau area. 5. Cost to members will be $45 and include lunch and appetizers at forum 6. WACPC Board members will get reimbursement for one event; board members will get their own room; WACPC will pay mileage to board members from their home to the closet event regardless of which one they attend. Board members can attend both but they will be exactly the same but WACPC in only pay for one. Handbook A. Welke to update any changes; contact her with anything that needs changing. B. Working documents need to be sent to Evers and changes noted on the website.

5 XVII. Fall Conference Update - Evers A. Jim Lord doing a NFHS New Rules session. a. Discussed if coaches go to this will their quiz be waived. b. Decided if coaches go to this session they still need to take their quiz sometime during the weekend or Saturday night at the coaches social. XVIII. Ethics A. Input regarding studios versus scholastic a. Discussed if we could monitor this and should we be more like other sports; or for cheer and dance is it more an ethical issue. b. Consensus of the board is if there is a complaint that comes to us with an issue it will be turned to the ethics committee. If the ethics committee at any time think it is an organizational issue they will bring it to the board to re-evaluate. XIX. Vote At Large Members A. Putra shared all members that put in for at-large consideration and who the exec board is recommending. B. Board voted that the At-Large Board Members will be: Deanna Barkhaus - Mishicot Dance; Anne Shaw - Wauwatosa Dance; Darcy Rahjes - Winnebago Lutheran Academy Cheer. Gunderson made a motion to adjourn at 2:30pm. 2nd by Welke.
