WACPC Board Meeting Date: June 24, 2018 Watertown H.S. 1:30 p.m. Present: Buchholz, Evers, Gerdman, Gunderson, Jacobson, Kruse, LaVelle, Meinel, Norrish, Pankow, Poeschl, Putra, Rahjes, Saxe, Shaw, Vernezze, Welke Absent: Barkhaus, Hollander, Luedtke, Rietz, Zabel I. Call to Order Call to Order at 1:39 PM by Sue Putra A. Reminder: Please attend to the meeting, minimize cell phone, computer use II. Secretary s Report Evers A. Minutes were posted 1. III.A.4 needs grammar correction to follow budget 2. III.A.5 board expenses over budget 3. III.B conscientious to stay on budget a. Evers will update and resend b. Welke motion to approve with updates, Kruse seconded passed unanimous III. Treasurer s Report Gunderson A. General Review 1. Already prepaid for rules books for in this fiscal year 2. Contingency fund already gone 3. Board expenses over budget. March meeting $ Bigger board & more meetings, need to be more intentional about meetings a. Ideas for cost savings i. more schools instead of hotels ii. WIAA or UWSP for October meetings b. Madison area is most cost-effective location for board mileage (includes Watertown) c. Last minute cancellations result in us still paying for food/rooms i. Meinel makes a motion that if person cancels attending meeting/event that they have to contact the president of WACPC with the reasoning keeping the confidence of the board/committee member--

2 as to the absence to determine if they will be responsible for incurred expenses. Shaw seconded. Motion Passes unanimously 1. Defined sufficient notice to avoid paying for unused rooms/food a. 4-day notice for competitions b. 2-day notice for meetings d. Gunderson asks that any items are requested prior to purchasing. e. Discussions about other ways to be thoughtful and cost-effective. f. Gunderson makes a motion to raise admission for all WACPC Events to $10. Rahjes seconded. Motion passes unanimously g. Buchholz makes a motion to decrease the gate receipt for host schools to 10% of the door instead of 15%. Kruse seconded i. Host school today will get $.75 on the $5 admission, they will receive $1 on the $10 admission. ii. Motion passes unanimously h. NOTE: 5 and under still free B. Registration: Deadlines Reminders 1. JAM & Varsity Dance and All State Dance - December 20th; 2. Membership November 1st and late fee after that date; 3. Cheer & Dance Head coach quizzes December 1st or a late fee. 4. All State Cheer deadline to be January 10 th 5. Varsity Cheer & Stunt Groups to be February 1 st C. Late Fees 1. $100 late fee if you do not take the quiz by December IV. Cheer Committee Report A. Cheer Divisions 1. Eliminated Coed Medium, All-Girl Super Large, & Cheer Dance Large 2. Consolidated JAM Divisions offered for cheer a. JV, 5-9, 5-8 Rec, MS/Rec Cheer Dance, JV Cheer Dance, MS/REC Non- Stunt, JV Non-Stunt, MS/REC Non-Tumble, JV Non-Tumble b. Divisions will be evenly split by team size when 13 teams are registered in a division B. Competition Updates 1. At LaCrosse for Still researching sites for 2020 and beyond C. Scoresheet Updates 1. Still working on Cheer Dance Scoresheets 2. Stunt Rubrics D. Judges Training 1. October 27 at Johnson Creek 1 Day only

3 V. Game Day - Updates - October 20th - Waupaca High School A. Registration 1. Available July 1 as soon as membership is available 2. Awards a. Check with Luedtke to see what we have for ribbons b. Welke will coordinate the pennants and ribbons if we needed 3. DJ a. Site can take care of this 4. Sportsmanship award for gameday a. Working on this B. Handbook updated C. Member blast with registration & event information is almost ready to go D. Pom Challenge is done, need to get it video-taped. Will post as soon as ready to go E. Welke will take over as site director (Poeschl will assist) VI. Dance Committee A. Division Splits 1. Pom divisions will be spilt based on the previous year registered pom competition teams where D and up, D , D , D , D5 349 and lower 2. Open Division will be determined by using previous year all registered competition teams with divisions divided equally 3 ways D and up, D , D3 485 and lower. B. State Day 1. D3, 4, 5 Pom and D2 & 3 Open will compete in Session 1 2. D1 & D2 Pom, D1 Open will compete in Session 2 3. Two sections either side of center court at the La Crosse center are reserved for spectators of the performing team Will need some workers to escort in and out 4. Pictures in rotation is being worked on a. Discussions being held with Empire C. Kick Counts 1. MS/JV/Varsity 50 total kicks a. MS 20 High kicks b. JV 25 High kicks c. Varsity 30 High kicks D. JAM updates 1. JAM Dance winners want to perform at state dance 2. Time issues 3. Split divisions into 2 if 13 in a division E. Decision guidelines 1. Proposal form from members a. Must sign name to be considered 2. Forum back at fall conference F. College Exhibitions for State Dance

4 1. Limit number of performances 2. Must submit video to be reviewed 3. Norrish is taking care of this G. Eastern Site Director 1. Rahjes & Welke will co-direct H. Approval of tech training NFHS 1. Evers made a motion to Send Jacobson & Jessica Pankow to training in Indianapolis, Welke seconded. Motion passes (16 yea, 0, nay, 1 abstain) I. Marley floors for All State 1. Researching cost, storage & transportation VII. Dance Score Sheets: update A. Committee has received drafts, sent feedback and they are continuing to work B. Developed glossary to help as well C. Working to get them approved as soon as feasibly possible VIII. Fall Conference Update A. Starting Friday night 1. Minimal sessions B. Proposal for board members and workers 1. Evers makes a motion that WACPC Board Members will get their registration paid for; as well as 2 nights with 2 others (3 to a room) or paid back ⅓ of a room (which will include all taxes and fees) if they book their own room; if they request a room with less than 3 or their own room they will owe back to WACPC ⅔ of the room cost to include fees and taxes. This is status quo. 2. Board members will be required to host one session sometime during the weekend; director will assign each board member to a session. 3. No sitting together at meals but they should mingle amongst attendees. 4. Mileage will not be reimbursed 5. Each college (UWSP & UWEC) will supply us with 12 athletes and we will in return supply 3 rooms for each college team; plus 2 breakfast and 2 lunches. 6. Rahjes seconded. Motion passes unanimously C. IL - Kent Simmons & Kara Bent inquired about coming to WACPC Conference and perhaps networking with WI to share speakers and contacts to promote each of our respective conference events. 1. Jacobson thought they would need to pay for our rooms but the board would decide about waiving the conference fee for them. a. Evers makes a motion to allow 2 ICCA members to come for $100 fee, room on their own. Welke seconded. Motion passes 15 yeas, 0 nays, 2 abstains 2. The ICCA would be thrilled to connect with our cheer friends to the north and share ideas, speakers and concepts for creating wonderful educational opportunities for our coaches.

5 IX. Judges Training Oct , 2018 Update A. Working on contracts and such for dance B. Cheer trainers have been secured C. Coaches are welcome X. Committee Updates A. Social Media 1. Need to have committee updated after the elections B. Empire 1. Putra will be meeting with them this upcoming week XI. Mission Statement A. Buchholz will review samples and partial missions from various sources to try to establish a go-forward mission statement XIII. Concussion Insurance A. If not competing at an event, Michele will set up a registration to obtain insurance for a fee. XIV. Other old/new business A. Rahjes brought a concern to the board from the ethics committee that was discussed. B. WIAA Senior Scholar athlete for 3.5 and above. Kruse and Vernezze will be working on the process to do a similar process for WACPC. XV.
