5 A successful synchronized ska=ng team is made up of more than just athletes. Parents, coaches and team managers all play an important role in the success of the team. Parents (Cheerleaders/ Bankers) Coaches (The Magicians) Team Management (The glue that holds it all together) Athletes (The Performers) Team Captains (Leaders of the Pack)

6 PARENTS (Cheerleaders/ Bankers) 1. Select a team that meets both your child s goals and your philosophy regarding commitment, cost, academics, etc. Read and understand the team handbook before signing up, make a good decision and s=ck with it. 2. Teach the skaters good sportsmanship in success, failure and everything in between. 3. Support the team under all circumstances; do not speak poorly of any team members, parents or professionals in the presence of your child. 4. Respect the decisions of the coach 5. Understand that being a member of a team is different than being a singles skater. Coaches will make decisions for the best interest of the team, which will not always line up with the interests of individual skaters. 6. Understand the commitment to the team and make sure your skater follows through.

7 COACHES (The Magicians) 1. Put every effort into ensuring the success of the team. 2. Set goals and expecta=ons for the team and clearly communicate with athletes and parents 3. Make all major team decisions, including prac=ce, compe==ons, travel, costumes, team selec=on, compe==ve level, etc. 4. Respect the parents and athletes and listen to their comments, concerns and sugges=ons. 5. Make all decisions in the best interest of the team as a whole.

8 TEAM MANAGEMENT (The glue that holds it all together) 1. The prime supporters of the team: athletes, coaches and parents 2. Take care of the off-ice details, so that the athletes and coaches can focus on ska=ng. 3. Have an open line of communica=on and a partnership with the coach. 4. Keep everyone informed: athletes, parents and coaches. 5. Listen to the concerns of all team members. 6. Be an avid supporter of the coach.

9 ATHLETES (The Performers) 1. Give 100 percent at every prac=ce and demonstrate good sportsmanship at all =mes. 2. Understand your contribu=on to the success of the team. 3. Respect the coach and the decisions that they make 4. Respect your teammates. 5. Understand that decisions need to be made in the best interest of the en=re team. 6. Con=nue to improve individual skills throughout the season

10 TEAM CAPTAINS (Leaders of the Pack) 1. Serve as the spokesperson for the athletes. 2. Set a good example for team members by demonstra=ng hard work, an excellent aftude and dedica=on to the team. 3. Keep the coach and team manager informed of athletes concerns. 4. Help the coach communicate informa=on to the athletes. 5. Foster good feelings among the team members.

11 Team Management Du=es 1. General management and oversight Par=cipa=on in the hiring process for the coach, coaching staff and contract management. This process, in part or in whole, may be under the responsibility of the club s Board of Directors. Primary contact for the team, internal and external; management of all incoming and outgoing communica=on. Link between coaching staff and parents. Management of schedule, calendar and agenda. Ice reserva=ons and ice contract management (as needed). Par=cipa=on in mee=ngs between coach, parents and skaters. All mee=ngs between parents and skaters and the coach take place with the team manager present.

12 Team Management Du=es 1. General management and oversight Arrange ice shows and other appearances. Organiza=on of social func=ons (team par=es, team-building ac=vi=es). Coordina=on of chaperones and other volunteers. Coordina=on of team audi=ons or open house events with coach. Oversight of the selec=on of support professionals (dressmaker, music technician, others). Supervision of the draging and enforcement of team rules and policies, including a policy for alternates, as defined and established by the coach. Monitoring of all maiers of discipline and conflict resolu=on.

13 Team Management Du=es 2. Team administra=on Create and maintain up-to-date team roster with and phone lists. Create and distribute calendars to parents and skaters (monthly). Create and maintain up-to-date medical forms and emergency contact lists (Appendix A). Submit team registra=on to Skate Canada before November 1st deadline. Collect skater team registra=on, copies of proof-of-age documents and copies of Skate Canada membership cards.

14 Team Management Du=es 3. Team financial management Create budget and maintain financing and accoun=ng for the team. Allocate money for expenses as per budget; pay team invoices. Collect fees and payments. Prepare financial statements and present to board and parents. Organize fundraisers and solicit sponsors.

15 Team Management Du=es 4. Compe==on logis=cs Submit all required compe==on registra=on forms and complete en=re online registra=on process (if part of event registra=on) before the set deadline, including: aiending coach, chaperone, skaters, planned program(s), music informa=on, onsite contact informa=on, etc. (Appendix B). Arrange travel and accommoda=ons (air, bus, train and hotel). Oversee the team s daily schedule during the event as discussed with coach. Book reserva=ons with restaurants, off-ice spaces or conference rooms as needed. Check that team and skaters have all necessary travel documents (passports, insurance cards, medical documenta=on, etc.) and compe==on equipment and afre (Appendix C).

18 When to Prac=ce? Iden=fy your season based on level of team, availability of ice and the compe==on schedule. On ice prac=ce (Hourly fee for ice) Is there ice available in your rink? How will it impact other sessions? Off ice prac=ce (Rental fee for space?) Is there space available in your rink?

19 When to Prac=ce? The Long-Term Athlete Development Model (LTAD) makes recommenda=ons on the amount of =me athletes should be spending on the ice at the different stages of athlete development.

20 Clubs are strongly encouraged to try to provide their skaters with the ice =me recommended in the LTAD model. Nevertheless, prac=ce =mes vary greatly across the country and not every club can provide ice =mes as recommended.

21 Off-ice prac=ces can compensate for some ice =me, during which the team can learn new steps and transi=ons and perfect their synchroniza=on and unison. This is highly effec=ve and should be done regardless of how much =me the team spends on the ice.

23 Finding a Coach 2 - Complex process depending on loca=on, budget, lead =me for selec=on and coaches availability. - The appropriate remunera=on must be available according to the coach s skill level and experience. - Adver=sements may be placed in local newspapers, club or sec=on newsleiers and/ or by using online resources. - A successful coaching candidate should have prior experience in synchronized ska=ng either as a skater, coach or assistant coach. - Signed contract between the organiza=on and the coach once the terms of employment have been agreed upon. - Contract may be short-term or long-term, but the terms of employment, remunera=on and payment op=ons can all be nego=ated and agreed upon between the team manager and the coach according to each par=es needs.

24 Quali=es of a Good Coach 2 Knowledge of Skate Canada technical requirements and applicable ISU communica=ons. (The coach must be willing and have the capacity to learn the rules governing synchronized ska=ng and stay up-to-date on any changes that may occur) Strong communica=on and problem-solving skills. Coaches must be able to communicate effec=vely with athletes, parents, team managers, assistant coaches, etc. They also must be able to address challenges when they occur with strong leadership and confidence. Possession of the technical knowledge appropriate for the team s level. Ability to manage basic synchronized ska=ng responsibili=es: music selec=on, costume selec=on, choreography, basic discipline, skater safety, strong organiza=onal skills and ability to work with a group. Willingness to consult with outside resources (officials or other coaches) and par=cipate in con=nuing educa=on and professional development opportuni=es.

25 Quali=es of a Good Coach 2 Strong working rela=onships with other synchronized ska=ng and figure ska=ng coaches An ability to network with judges, technical controllers and technical specialists. An understanding of their own strengths and weaknesses, and how they can be augmented with the assistance of outside professionals and assistant coaches. An enthusiasm and love for the sport, good sportsmanship and a strong work ethic. Athletes learn from their coaches, and one of the first jobs of a coach is to teach their athletes to love the sport, and to be able to deal with both success and failure while trying their best. Adherence to all club rules and policies and all Skate Canada rules and policies.

27 There are several things to take into considera=on when deciding what level the team will compete at: Number, age and skill level of skaters Financial commitment of the athletes/parents Time commitment of the athletes/parents Availability of ice =me Number of compe==ons per season desired Experience of the coach Experience of the athletes Goals of the team Long-term goals of the team and the Club

30 Team Name A name should provide a unique iden=ty and should be researched in order to be sure that no other team carries the same name in the region and at that level. Names of established synchronized ska=ng programs are to be avoided en=rely. While some skaters and teams do not mind having their name adopted by other teams, in general it is considered bad form to do so.

37 Budget Prepara=on The size of a team s opera=ng budget will vary greatly from team to team, according to the length of the season and the complexity of the training program, staff members, ice costs, loca=ons of compe==ons aiended and other variables. A team budget must always consider and include the following (as applicable): Coaching costs. Should include fees for choreography and music produc=on. Assistant coaching costs. Ice costs. Off-ice costs. Room rental if applicable. Professional fees for any hired resources (ballet, Pilates, dance, etc.). Planned seminars and physical evalua=ons.

38 Budget Prepara=on Dresses and other wardrobe needs (track suits, team jackets, prac=ce dresses, etc.). Planned compe==ons: Hotel Bus, airfare or carpool cost Coaching costs (on and off-ice) Ice cost (if purchasing addi=onal prac=ces) Off-ice room cost (if ren=ng off-ice space) Compe==on cost (registra=on and other fees) Management costs, if applicable (copy paper, internet access, basic supplies, space rental, etc.). Please see Appendix E for a sample team budge6ng worksheet.

39 Financial Management How the budget is wriien and in which manner the skaters will be charged is en=rely at the discre=on of the organiza=on. Some clubs put all expenses into one budget and charge the skaters for everything up front in one inclusive number. Others only ini=ally invoice basic costs and budget and collect for each compe==on or event separately. Many accept payments over =me and have clear policies on the quan=ty and frequency of payments that they require from members. The most important thing about financial management is keeping open and clear communica=on with those who are paying for the skaters dues. Using monthly statements and upda=ng parents and/or skaters at team mee=ngs will help everyone feel confident about where their money is being spent. Though not the most pleasant part of a manager s job, collec=on of fees does fall under the team manager s responsibili=es. Many teams have draged clear policies about when payments are due and which consequences will be applied (if any) to skaters that become delinquent in their payments. Managers ogen solicit the assistance of their chaperones to help collect payments or fundraiser money generated by the skaters.

40 SeCng a Budget Based on your PLAN YOUR SEASON scenario, use Appendix E and set the budget for your team.

41 Establishing a set of team rules should be a priority when crea=ng a new team. Clear rules on issues such as behaviour, aiendance, or payment of fees helps define what is expected of skaters and the consequences they will face if they do not adhere to rules set for all members. Having a clear set of rules and communica=ng them to the skaters and parents at the beginning of the season will help seile conflicts as they arise during the season.

42 Many organiza=ons create a document (ogen referred to as a Skater s Contract or Team Agreement) that can be distributed to parents and skaters and signed by all as proof of their knowledge and acceptance of the team s rules. Rules and the behaviour they require should be set in a manner that encourages healthy par=cipa=on and respect for the basic principles of sportsmanship and safety. They should include requirements for skater behaviour during prac=ces and when represen=ng the team at outside events, rules on aiendance and tardiness for prac=ce, specify what afre is required during prac=ce, rules on basic safety (long hair =ed back, no gum, no jewellery, etc.) and rules for behaviour during travel. A sample Code of Conduct and Team Rules document (Appendix F) is included with your documents.

43 Policies for Alternates As part of the team rules, a policy for the naming or selec=on of alternates at compe==ons should be defined by the coach and approved by the team management. Alternate selec=on is en=rely at the discre=on of the coach and no parent or manager should have an influence on this selec=on. The coach s decision should be made according to the goals set for the team at the start of the season and is based on many factors that may include technical ability, ska=ng skills, knowledge of the program, improvement, aftude, aiendance, dedica=on and illness or injuries. For recrea=onal teams, it is always preferable to try to have everyone skate at events as much as possible and not have any alternates at compe==on. The goal for teams at the Beginner I & II level is to encourage par=cipa=on for all and avoid alternates en=rely.
