1 Special Olympics National Games 2018 Consistent Volunteer Roles Across All Venues Technical Delegate KEY RESPONSIBILITIES Serves as the key sport advisor regarding all sport specific questions and issues (i.e. rules, divisioning, sport equipment, uniform requirements and sport venue specifications) Consistently and faithfully prepares for and participates in official meetings and functions Reports to Sport and Competition Manager, Moira Ryde Reporting into Assistant TD Supports HOD, coaches The role will be to ensure that, via the Games Sports Manager, the Games Organising Committee (GOC) of the 2018 Special Olympics National Games correctly interprets implements and enforces Special Olympics Sports Rules and modifications, the rules of the relevant International Sport Federation and current rule changes. The TD shall advise the Sports Manager on the technical requirements of the specific sport to ensure a safe, quality and dignified sports environment. Assistant Technical Delegate PD Supports the Technical Delegate PD Reports to The relevant Technical Delegate Reporting into - Authority as directed by the TD. Delegation Venue Manager Non Competition PD The venue provides this role to support the Games through the efficient and effective provision of the venue as prescribed by the relevant Sport and Competition Manager, TD and Games Operations Manager. Reports to - Games Operations Manager, Gareth Hogan Reporting into - 1

2 Authority Over the physical environment of the venue. Delegation Maintains the venue environment in accordance to all legislative and HSW requirements, sports needs and as agreed to with the relevant Sport and Competition Manager, TD and Games Operations Manager. Venue Manager Competition Key responsibilities; Ensure the venue is setup according to the specifications of the Operations Manager and the TD. To be onsite each day of competition to manage the daily operational tasks such as suppliers and equipment. Code of conduct signage to be in place Reports into Games Operations Manager, Gareth Hogan and Volunteer Manager, David Swaine Reporting to All roles relevant to the delivery of the Games program for that venue. Authority Manages all volunteers assigned to the relevant venue. Venue Announcer Role Outline - Announce results, schedules, presentations, amendments and generally keep athletes and spectators informed and upbeat. Reports into; Venue Manager Reporting to; Sports Information Officer Volunteer Liaison Role Outline; Coordinate volunteer sign in requirements, reallocate volunteer to alternate roles depending on demand during the day, educate volunteers on their role and responsibilities Reports into; Volunteer Manager, Venue Manager Reporting to; All general support volunteers for that venue Authority; in conjunction with the Venue Manager and Volunteer Manager to re-allocate volunteers, roles and responsibilities. Results Coordinator Role Outline: Coordinate volunteer sign in requirements, reallocate volunteer to alternate roles depending on demand during the day, educate volunteers on their role and responsibilities Reports into; Volunteer Manager, Venue Manager Supports; Fusesport team imputing scores and results 2

3 Sports Information Officer Role Outline; Coordinate all athlete, team and officials registrations, assist spectators with general information, update announcer of any changes, coordinate medal presentations. Collaborates with Venue Manager and Technical Delegate to ensure all participants are present in accordance with the day s competition schedule. Reports to; Venue Manager and Technical Delegate. Reporting to; Medal Presentation Marshall Catering Assistants Role Outine; In collaboration with team officials assist with setup and serving of athlete meals. Receive athlete meals from caterers at the venue. Ensure appropriate meals are distributed to relevant athletes dietary requirements as indicated by team officials. Ensure all athletes receive their meal packs. Ensure water is available for all officials / Technical Delegates throughout the day both on and off the field. Reports to; Venue Manager, Food and Beverage Manager Collaborating with; Team coaches and carers. Team Support/Athlete Supervisor Role Outline; To support teams in their holding bays throughout the day, working alongside team carers and coaches to maintain enthusiasm, positive energy levels and fun. Provide support for teams around logistics, gathering, fetching, delivering items and similar. Reports to; Team coaches, athlete carers, Volunteer Liaison Officer Conferring with; Team coaches and carers. Medal Presentation Marshall Ensure all medal winners are at the presentation dais on time. Medal Presentation Manual will be at all venues. Reports into; Technical Delegate, Venue Manager Collaboration with; Medal Presentation Assistants Role outline; Check athletes in with Presentation Area Marshalls 3

4 remain with athletes in the Presentation Preparation Area Assist with arranging athletes in the correct order to proceed to the dais (1st to 8th) at the appropriate time (as directed by Presentation Room Marshall) check athletes out of the room and escort them to the medal presentation dais at conclusion of event presentation return athlete belongings and escort to relevant State Official return directly to call room with empty basket to collect your next group of athletes Medal Presentation Assistant Role Outline; Facilitate medal and ribbon presentations. Reports to; Medal Presentation Marshall. Medal Presentation Manual attached. Please read through. Collaboration with; Medal Presentation Marshall Results Coordinator Role Outline: - To receive results from Results Runners A after each event and support the entering of results into the Fusesport computer system. Make 3 copies of results sheet and provide to Runner B to distribute to result board, presentation prep area coordinator and medal presentation area. This role will have a dedicated space for the computer/data entry and will work alongside Fusesport staff. Reports to; Venue Manager, Technical Delegate 4

5 BASKEBALL VENUE ARC Stadium Campbelltown Venue Manager Bruce Dolman Sport Information Officers / Marshall / Catering/Presentation Role Outline; Coordinate athlete registrations, assist spectators with general information, update announcer of any changes. Ensure the teams playing next have been notified and brought to the court. Support the provision/delivery of athletes lunch. On Friday, support the medal presentation as per protocol. Runner/Ball Retrievers These roles are designed to ensure all results are collected, collated, distributed and uploaded promptly and in accordance with the Games needs. Role Outline; Once results have been checked by Results Coordinator, runner takes three copies of the results (1-posted on result board, 2-presentation prep area coordinator, 3- medal presentation area) Chase down balls that leave the playing court and hold onto them until called for by the match umpire to ensure continuous play by having balls ready courtside Reports to; Venue Manager, Technical Delegate 5
