Les called the meeting to order at 1:17 pm. 2. Roll Call- Sign-in sheet was passed around to all present

2 MBAS Annual General Meeting September 23, Minutes of last Annual General Meeting September 25, 2016 Errors: None MOTION by Lynn Halstead to adopt the Minutes of September 25, Seconded by: Wanda Sweatman CARRIED 4. Business Arising from the Minutes of September 25, 2016 None 5. Reports: President Les Wardrop - report read, submitted and attached in pdf format Bylaws, constitution and tournament manual were re-written to better equip the executive with the authority to make suspension and/or fines for inappropriate actions. Overall membership is now up to 140 members Financially the organization is in good shape At SAGM John Lamon was elected as zone 3 rep, but due to circumstances had to step down. Janele Moyer was appointed as the representative. Good working relationship with sister organizations and are in the midst of cooperating in a joint venture with Sask. 5 and the Federation, to get 3 more Community Coach Facilitators trained in October in Toronto. Concerns raised at Sask 5 AGM in regards to consistency in the teaching of the Community Coaching Clinics so a descriptive outline of the process has been distributed to our facilitators. Zone re-alignment with Sask 5 from 10 to 8 zones. o Zones 9 & 10 are dissolved o West Sask. now becomes zone 5 which amalgamates the old zones 5 & 9 o Zone 10 (Redcoat) would be dissolved and split up with Weyburn joining zone 2 (Moose Jaw) and Carnduff joining zone 4 (East Sask) MOTION by Carrie Harper to adopt the zone re-alignment of Sask 5 Organization from 10 to 8 zones, where zone 5 amalgamates old zones 5 & 9 and zone 10 be split between zones 2 & 4. Seconded by: Jeremy Wetsch CARRIED 1 st Vice President - Wanda Sweatman- Oral report Congratulations to all teams that competed at Nationals- special congratulations to medal winners Thank you to everyone for your help during Nationals Treasurer Moe Hvidston report read, submitted and attached Audited Financial Report presented Ratification of all business conducted in the fiscal year Profit & Loss Budget vs Actual- July 2017 presented Proposed Budget presented Procedural changes to take effect starting this fiscal year 2

Deposit receipt, written deposit summary) o All funds deposited by Treasurer must include itemized documentation o All deposit books to be handed in at year end for audit and will be returned or replaced o Monthly bank reconciliations will be provided to the MBAS President for review and will be acknowledged via or initials o All expenditures must have itemized supporting documents (invoices or receipts which must identify the amount of GST/PST included) MOTION by Moe Hvidston that once the revenues and expenses for the 2017 Nationals have been finalized, that the bank account is to be closed and all cheques on hand be destroyed. Seconded by Dianne Smutt CARRIED MOTION by Moe Hvidston to accept the approval of the 2016/2017 audited financial statement draft as amended to include the additional $ to be received from the Regina Hotel Association. Seconded by Sheldon Kraus CARRIED MOTION by Moe Hvidston to ratify all business and transactions conducted by the MBAS Executive and Board of Directors in the 2016/2017 fiscal year. Seconded by Laura Andersen CARRIED MOTION by Moe Hvidston to approve all overages and expenditures over the operating budget for the 2016/2017 fiscal year. Seconded by Marilyn Miller CARRIED MOTION by Moe Hvidston to accept the 2017/2018 Profit & Loss Budget as presented. Seconded by Lynn Halstead CARRIED MOTION by Moe Hvidston to appoint Storozuk McClelland as auditors for the 2017/2018 fiscal year. Seconded by Wanda Sweatman CARRIED Discussion re: 2017/18 Honorariums MOTION by Moe Hvidston that we accept the honorariums as presented with the following changes: a) Technical Director honorarium increase from $200 to $300 and b) Introduction to Competitive Coaching Facilitator honorarium increase from $300 to $400 for the 2017/2018 season with adjustments noted Seconded by Diane Syrota CARRIED Zone Reports: Zone 1 Dennis Brooks absent. Format for qualifying changed due to lack of available weekends. 1 tournament will be held for all divisions on Oct. 22/17 with medals being given to each house. Each house will assign a Master to go to provincials. Teams will be made up based on tournament results. All YBC will bowl as singles and the number qualifying to go to Provincials will depend on the number of spots purchased. Trop 2 from each house make the team for Provincials Zone 7 Heather Lawrence absent. No report Zone 8 Tracey Kenney absent. No report Division Reps: Tournament Division Heather Lawrence no report Teaching Division Laura Andersen Numbers will be up this year as some were not allowed to bowl last year due to commitments to the Nationals obligations. Senior Division Sheldon Kraus Looking at increased numbers this season. Sask. Five Pin-Shona Stapleton Report read by Les and attached in pdf The Open Congratulations to mixed team from Regina who brought home hardware from Nationals. o Talk of changes to Open Format for no opening ceremonies banquet o Item for discussion change in number of Open bowlers per team -5 player teams for men and ladies and 6 for the mixed team, (1 man & 1 lady double pull system) Sask 5 is looking for feedback on this proposal. Agreement with Special Olympics comes to an end in September 2018 and all ties will be cut at that time. To make up for the loss, there will be an increase in membership fees by $700/year/member province. Annett Bruneau new president of organization. February 7, 2018 Provincial tournament to be held in Regina As this tournament is getting quite large again, discussion on whether or not to split into North/South tournaments. Questionnaire to go out to zone reps regarding this. 8. Clinic Coordinator Karin Kirkland oral report With SK Winter Games being held in North Battleford I am anticipating some more interest in clinics. Special Olympics Saskatchewan has also reached out looking for both 5Pin and 10Pin Clinics- I have directed Ben to contact CTF -10Pin Clinics held this season already and upcoming Community Coach : o Sept. 10 th in Saskatoon 8 coaches o October 21/17 in Humboldt Certified Competitive Coach: TBD 9. Technical Director Donna Seiferling - report read and attached as a pdf 559 coaches province wide There are still 53 that took their Community Coach Clinic 2 years or less ago and have yet to take their RIS- they will be contacted via . TCC 4 coaches in Saskatoon that have taken their Intro to Competition Course in 2011 that have yet to complete their evaluation portion. The evaluation window closes for them in If they miss this window they will only have Community Coach Status until they are evaluated. Updated version of each zone s coaching list was recently sent out. Please review and let Donna know of any errors or omissions. 10. Membership Coordinator Lynn Halstead no report. New address to send member registrations : 43 River St. Moose Jaw, SK S6H 0A9 11. Fundraising Carrie Harper oral report read Grey Cup/ Superbowl tickets are ready for distribution. They need to be returned by November s tournament. 5

6 MBAS Annual General Meeting September 23, Report on MBAC Nationals in Regina Les Wardrop report read and attached as pdf Overall, good job on hosting Nationals, some complaints tempered with compliments Questions raised about the 450 pot- discussion in splitting it, if more than one perfect game is thrown. Motion on the table to review Ellen Griffin s position on the board and her lack of compensation for all of her duties- will be discussed at January meeting 2018 Nationals to be held in Thunder Bay, ON. Theme is Old Fashioned Golf (knickers, flat caps and such) Assessment estimated at $700 depending on number of entries and flight costs. Early arrivals June 29 th New plaque sponsorship being looked into as Walter is no longer part of the organization and used to handle same. 12. New Business: Final Report on 2017 Nationals Les Wardrop report read and attached as pdf Nationals a success- many compliments received on the event with Saskatchewan Night being the most commented on. A few complaints about issues which were beyond our control but these were handled quickly and efficiently. Disappointment in lack of corporate sponsorship, heads & tails fundraiser and online souvenir sales (issue has been addressed) Fundraising events went well Compliments received on decorations, spaciousness of facility, and number of volunteers. Huge thank you to all committee members for your time commitment, efforts and dedications to the Masters and this event. 13.
