4 HIGHLIGHTS 8 TH OCA COORDINATION COMMITTEE MEETING (January th, 2018) The 8 th Olympic Council of Asia (OCA) Coordination Committee Meeting (Coorcom) were successfully held in Hotel Sheraton Jakarta on January 14 th, 2018, delivering important decisions for the Asian Games The most important decision made was about the final number of sports and schedules for the main events, finalization on technical delegates, Estimated Team Size (ETS) form, and games-time transportation solutions. The meeting were attended by President of INASGOC, Mr. Erick Thohir, Honorary Life Vice President of INASGOC, Mr. Wei Jizhong, Vice President of OCA, Ms. Rita Subowo, Chairman of OCA Coordination Committee, Tsunekazu Takeda and other important figures, such as Vice Governor of DKI Jakarta, Mr. Sandiaga Uno. Mr. Takeda stressing the importance of implementing the planning process, While Mr. Uno focusing on how Palembang and Jakarta should overcome the traffic problems that occur in both host cities. Before the meeting took place in Hotel Sheraton, there was two day venues visit involving the Committee, started in Palembang on Saturday, January 13th, and ended in Jakarta by the next day. The Committee feels very satisfied by the progress of work done in both cities, especially compared to the states they were previous in Coorcom. The meeting concluded with the official release of Asian Games 2018 uniforms, scheduled before the Committee s inspection team goes to Gelora Bung Karno (GBK) venues to witness the inauguration of the newly renovated main stadium by the President of Republic Indonesia, Mr. Joko Widodo. 2

8 TH OCA COORDINATION COMMITTEE MEETING CONCLUSIONS: 1. Hockey competition in Asian Games 2018 will be taking care by Asian Hockey Federation (AHF) in coordination with OCA. 2. There is no limited participation in any sport.

Technical Hand Book, INASGOC should deliver to all NOC in 2 weeks (after 8th OCA Coordination Committee Meeting), no replacement in the sports event, any changes are subject OCA approval. 4. The exhibition approved by OCA is only E Sport at this moment, any additional sports are subject for OCA approval. 5. Test event should be tested in coordination to all department especially for TV, Broadcast, IT Solution, Traffic department and all should be calculated on test event. 6. Transportation and security should be in high priority and INASGOC need to have further report to OCA. 7. Protocol Guideline a. Sports Protocol guideline must be clear and in line with Indonesia Protocol guideline. b. Seating arrangement in the main stadium for VVIP and lounge must follow the Protocol Guidelines. 8. Catering Department should concern about the menu rotation and the value of nutrition should be mentioned in the menu in Athletes Village. 9. Medical Department: a. Polyclinic in Palembang should be relocated in the Athletes Village. b. Head of LADI should be placed as The Head of anti-doping control in INASGOC c. Processing Room Anti Doping station in every venue Jakarta and Palembang d. The prohibited list of important drugs must be sent to all NOC immediately. 10. Torch Relay: a. The design of torch must be sent to OCA immediately b. The Rundown of the torch Relay, Opening and Closing to be sent for OCA approval immediately. 3

8 2 nd OCA PROTOCOL COORDINATION MEETING (January 11 th, 2018) To synchronize the understanding and technical implementations of Sports Protocoling that will be used in Asian Games 2018, Olympic Council of Asia (OCA) and Indonesia Asian Games Organizing Committee (INASGOC) were holding the 2 nd OCA Protocol Coordination Meeting at Wisma Serbaguna Senayan on January 11 th, This Host City Contract mandatory meeting were led by INASGOC International Relations & Protocol Coordinator, Mr. Indra Kartasasmita and also attended by OCA Protocol Director, Mr. Abdulla Al Mulla and OCA Protocol Officer, Mr. Abdulhadi Mohammed. To run Asian Games 2018 successfully, we will need three important elements. Athletes as the real assets of the game, venues as a place for them to compete, and third on how we are going to minimize traffic jam in Jakarta, said Mr. Al Mulla. This meeting itself focusing on technical matters, such as VIP seating arrangements protocol, accommodation, catering, transportation, hospitalities, and ceremonies. On accommodations, the Asian Games 2018 VVIP and VIP will be allocated in one of the OCA approved hotel which is Hotel Mulia, Hotel Fairmont, and Hotel Four Seasons. All those hotels need to have VIP services requirements such as dedicated elevator inaccessible for public use. Another important decision were also made on transportation management. INASGOC Department of Transportation explained the special treatments for VIPs, like the usage of special lanes on highway and routes clearing to decrease the time needed for VIPs to reach their destinations. The 2 nd OCA Protocol Coordination Meeting were concluded with the OCA delegates inspecting royal boxes in Gelora Bung Karno (GBK) cluster s venue. 6

9 UPDATES ONLINE ACCREDITATION SYSTEM (January 30 th - April 30 th 2018) We would like to inform all the NOCs that the Asian Games 2018 online accreditation system is officially up and running on January 31 st to April 30 th, To fill up the form please refer to Accreditation Guide produced by INASGOC s Accreditation Department. This online accreditation system can be accessed through acrn.asiangames2018.id. Please use the username and password sent by our official NOC Relations to each NOC to login into the said website. TECHNICAL HANDBOOK (THB) DISTRIBUTIONS The updated Asian Games 2018 Technical Handbook (THB ver. 2.00) has been distributed to all NOC by INASGOC on February 24 th, Soon the online Sport Entries System (SES) will be up online. 7

10 INVITATION TOURNAMENT (February 8 15 th, 2018) Invitation Tournament were held as a mean to test the readiness of Jakarta as one of the host cities to organize Asian Games Nearly every aspects of organizing the games were tested, such as accommodation, venues, transportation, volunteer management, I.T, and even broadcasting. Archery, Athletics, Basketball, Boxing, Pencak Silat, Taekwondo, Indoor Volleyball, and Weightlifting were the sports competed in this Invitation Tournament. Indonesia, Brunei Darussalam, China, Hong Kong, China, India, Japan, Kyrgyzstan, Korea, Saudi Arabia, Lao PDR, Malaysia, Mongolia, Philippines, Singapore, Sri Lanka, Thailand, Timor Leste, and Chinese Taipei NOCs were participating the tournament that was started on February 8 th, Evaluation meeting of the tournament attended by Vice President of Indonesia and also INASGOC Chairman of Steering Committee, H.E Moh. Jusuf Kalla concluded that there is four main issues needed to be solved by INASGOC. Internal coordination within INASGOC departments, external coordination with related institutions, data network connections, and transportation was a major problems during the Invitation Tournament. We have alternative solutions regarding transportation matters. We can use the sideways or TransJakarta lines for transportations. We can also put the public school in holidays and re-manage office hours during the games, said President of INASGOC, Mr. Erick Thohir. We have learned a lot from this tournament. 8 9

13 GELORA BUNG KARNO MAIN STADIUM INAUGURATION (January 14 th, 2018) President of Republic Indonesia, Mr. Joko Widodo inaugurated the newly-renovated main stadium of Gelora Bung Karno (GBK), a venue that will be used for football, athletics, opening and closing ceremonies of Asian Games The stadium that cost no less than USD 58 million to renovate is a mark that Jakarta and Palembang are ready to host the games. Almost all competition venues were ready for the biggest sports multi-event in Asia. Almost all the sporting venues are completed, and we will ask the president to inaugurate them one by one, said Minister of Public Works and Housing, Mr. Basuki Hadimuljono. I have heard that the lighting system in Gelora Bung Karno Stadium is one of the best in the world. The single-seat system was chosen to conform the FIFA safety standards, which require that it must be possible to evacuate the stadium in 15 minutes in case of emergency. The GBK inauguration itself were celebrated by a football match between Indonesia and Iceland, which the host nation had to admit a 4-1 defeat by the hands of the World Cup 2018 qualifiers. The wider GBK Cluster will host Asian Games 2018 events for tennis, swimming, basketball, badminton, archery, hockey, softball and baseball
