Additions to Collections (NB figures exclude Manuscripts) Jul - Sep 2012 Targets Actual Total accessions Analysis Traffic light at: None 58,146 N/A Intake subject to publishing fluctuations, reduction in purchasing budget and Agency for Legal Deposit Libraries (ALDL) performance. Work underway to define Universe for UK printed publications, and consequent redefinition of requirements for ALDL. Graeme Forbes 12 November
Supplement: Additions to Scottish Collections Jul - Sep 2012 Targets Actual Total accessions Analysis Traffic light at: In development 2,524 N/A Intake subject to fluctuations in Scottish publishing. To finalise the target setting for the ingest of Scottish material by 31 January Graeme Forbes 12 November
Preservation environment: environmental conditions of storage environment Jul - Sep 2012 Targets Actual Traffic light at: GB 95% 99.3% Green CB 95% 99.6% Green Analysis The targets have been exceeded this quarter, and environmental conditions in Causewayside and George IV Bridge are satisfactory. This KPI is being reviewed as part of the ongoing programme to revise KPIs for implementation from It is now planned to broaden this KPI to include all permanent storage areas. Robin Smith 15 November
Digital objects created through digitisation programme: Apr - Sep 2012 Target Actual Traffic light at: Objects created 390, ,865 Green Analysis The target for creation of digital objects was exceeded this quarter. This is partly due to the good availability of storage and effective use of automated processing tools. The digitisation programme will continue as planned. Robin Smith 15 November
Staff Absence: Average days per employee Jul - Sep 2012 Target Actual Traffic light at: Overall Green Staff Absence has continued on a downward trend, indicating that the Absence Management procedures are being fully engaged. HR Partners will continue to support managers in the management of absence cases. Mo Dockrell 12 November
Staff Absence breakdown into Short and Long Term Absence Analysis We currently have 3 long term absence cases that are being managed according to our absence management policy and procedures. All absence cases are being effectively managed. One is about to be brought to conclusion, with the most likely outcome being dismissal on the grounds of capability. Mo Dockrell 12 November
Fundraising Apr - Sep 2012 Target (cumulative) Actual Traffic light: Payments received 200, ,178 Green Analysis During the period of this report there was no Head of Development in place. A new Head of Development started in post in mid October. The absence of a Head of Development for a quarter of the year has made the target very challenging; we still aspire to achieve the original target. The new Head of Development is further developing the fundraising strategy, to include a strategy for US and Londonbased prospects. She is developing cases for support for Library projects and is assessing the existing database of prospects and donors and proactively approaching prospects. Alex Miller 7 November
Media Profile (Advertising Value Equivalent, thousands) Jul - Sep 2012 Target Actual Traffic light at: AVE 412, ,074 Green NLS featured in 315 articles/clips between July and September, all of which were positive. They were seen or heard by a readership/audience of 148 million people. Some of the highlights included The launch of the Treasures display on US Independence which was covered by BBC Radio Scotland, the BBC Scotland website, Daily Record, STV and Scotsman. The announcement of funding for a national sound archive which was extensively covered including on many local news websites The forthcoming display on 75 years of the Dandy which coincides with the decision to cease publication of a print edition. Coverage in the Sunday Herald, Sun, Daily Telegraph, Daily Mail among others. Continuing coverage of the Going to the Pictures exhibition, particularly around the Facebook campaign to Scotify a famous film quote Herald, Scotsman, Evening News. A partnership with the Scotsman to publicise an adult writing competition, organised by NLS and Scottish Ballet The Treasures display on the Brothers Grimm covered by BBC Scotland s Book Café, Times, Scotsman and Evening News. Ongoing programme of activity Alex Miller 12 November
Traffic light at: Footfall 57,375 69,716 Green Visitors and Outreach George IV Bridge Footfall Jul - Sep 2012 Target Actual Footfall in Q2 was comparable to Q2 2011/12 despite a fall in both the number of reading room visits and exhibition attendees over the same period. The likely reason is the popularity of the NLS café with both local and overseas visitors which attracted additional footfall to the visitor centre during the busy summer months. The Access & Outreach Manager and the Front of House Manager will explore options for increasing the percentage of café visitors who might also visit our exhibitions areas. John Coll 14 November
Traffic light at: Exhibition attendees 20,000 24,845 Green Visitors and Outreach Exhibition Visitors Jul - Sep 2012 Target Actual Exhibition footfall shows its customary spike in numbers during the busy July September period. The increase is smaller than last year s however, by some margin: as indicated in the Q2 report last year, this unusually high figure could be explained by the re-opening of NMS in July 2011 and the resulting increase in passing visitor traffic as a result. This year s increase is closer to the average from previous years (nb. the high spike in was due to the MQS last letter display). Ensure 2013/14 targets reflect reduction in summer exhibition attendees in 2012/13 so as to ensure realistic targets are set. John Coll 14 November
Traffic light at: Event attendees 1,100 1,018 Amber Visitors and Outreach Events attendance Jul - Sep 2012 Target Actual The first six months of this calendar year saw a marked drop in event attendance due to the absence of an Events Officer in post and a subsequent decrease in the number of events programmed. A new Events Officer came into post in July, leading to a steady rise in figures throughout the period. However, the target was not met due to disappointing attendances at this year s Fringe event: despite a name performer (with a successful run at NLS in 2010) and good reviews, attendances over the 10-night run averaged 60 rather than the 80 anticipated, explaining the shortfall against target. Events programme for Quarters 3 in place and provisional Q4 programme now drafted. John Coll 14 November
Website Usage (web sessions, Thousands) Jul - Sep 2012 Target Actual Traffic light: Web Sessions 425, ,000 Green Visits to pages on family history, exhibitions, events, library cards, jobs and, curiously, the overview of the main catalogue helped buck the recent trend of visits to falling from Q1 to Q2. Of the 20,000 increase in sessions in Q2, 38% were from new visitors, which is up 2% from last quarter. A new page about NLS shop merchandise was viewed 850 times in Q2 a sign of the popularity of the cinema exhibition posters which tied in with the Facebook competition. Web features on the Bartholomew Archive, emigration, Post Office directories and scientists all contributed 20-30% each to the increase in visits to digital.nls.uk. New visits were down 3% on last quarter, but at 76% of total visits this is still an encouraging level. From Q1-Q2, new visitors accounted web sessions as follows maps.nls.uk 55 % (up 2%) geo.nls.uk 51% (up 2%) ssa.nls.uk 73% (up 1%) auth.nls.uk (registration, licensed collections, digital orders) 39% (up 1%) scotbis.com 56% (up 9%) auchinleck.nls.uk 66% (up 22%) blogs.nls.uk 79% (down 2%) : John Coll 14 November
Reading Room Visits Jul - Sep 2012 Target Actual Traffic light at: Reader Visits 16,250 14,362 Red Q2 saw a fall in reading room visits with September showing a drop of 13%. It is noticeable that the number of general tickets issued to all students fell by 30% over the same month. Although this does not explain in full the drop in visits it does suggest a correlation. We will continue to monitor usage by reader categories to identify any potential trends in use of the reading rooms. : Monitor Q3 reading room visits against registration by categories to identify trends in usage, John Coll 14 November
Catalogue Coverage Jul - Sep 2012 Target Actual % intake processed on time Traffic light at: 100% 98% Amber Uncatalogued material catalogued tbc 2,709 - Level throughput of material being maintained despite reduction in resources. : To finalise the target setting for uncatalogued material by 31 January Graeme Forbes 16 November
Enquiries Jul - Sep 2012 Target Actual Traffic light at: Enquiries N/A 6,251 N/A Enquiries for Q2 continue to be dominated by Reference Services and Document supply who accounted for 52% over this quarter. Manuscripts and Maps collectively account for another 20% and the SSA are the third highest with 14% The slight rise in enquiries (2.8%) over Q1 despite a fall in reading room visits may be indicative of a shift towards answering enquiries from offsite users but further data is required before this can be established. : Continue to monitor both onsite and offsite enquiries to establish trends in use of the NLS enquiry services. John Coll 14 November
Use of Collections Target (Physical Collections) Actual Traffic light: 87,500 72,165 Amber The use of the NLS physical collection normally dips in Q2 compared with Q1 to reflect seasonal changes in usage of the Library i.e. much lower usage by students over the summer months. However, the drop in Q2 2012/13 was also down 9.8% over Q2 201//12. Future data and further analysis is required to determine how much of this has been affected by reading room visits (down 13% over the same period) and the increase in licensed digital content ( up 9.8%) : Continue to monitor use of physical collections against reading room visits and use of licensed digital content to determine key factors in influencing future changes. John Coll 14 November
Use of digitised Collections via non-nls platforms (NB Non-uniform metrics) Jul - Sep 2012 Target Actual Traffic light: N/A 319,787 N/A The seasonal pattern of declining usage between Q4 and Q2 continues, but at a higher level. The increasing figures look positive, although the small reduction in YouTube usage is worth investigating. Is our offering there being added to or refreshed often enough to retain interest? Our most viewed items continue to invite explanation a Malay dictionary tops the list month after month on the Internet Archive. : Forthcoming surveys of customer opinion about public services might provide incidental data about who uses our digitised content, and any relevant comments gathered will be passed to the digitisation team. Paul Hambelton 7 November
