OPENING REMARKS (REGISTRAR) Deb Powell, the State Registrar, thanked everyone for coming. III. ROSTERS USAH Registry Program Rosters should be submitted through the USA Hockey (USAH) s new registry program - - there will be no more paper or s. If you have not received a confirmation from the program with a password for the USAH site, please notify Deb Powell immediately. Without it, you will not be able to log in. Signatures (players / coaches) are no longer required. Rosters will be signed date received via the program. Pleasee use birth names (not nicknames); or, names as they appear on a driver s license. Please double-check completed rosters, because the new program has quirks. It does not generatee pop-up reminders, although we can run reports now to see what is outstanding. We can edit teams now too. Continue to mail birth certificates to Deb or bring them along to meetings. If they are mailed too her, she will verify and then shred them. Second User for Registry A second user for a registry will not be considered.. (NE District Registrar is denying) A second user will be approved only if a Registrar hass left an association mid season, due to an illness / injury, is out for an extended period of time, and if a Registrar is not able to perform her/his duties. When Rosters are Required House teams should submit a roster. Any team that leaves its rink should submit a roster. Rosters should also be submitted for Learnn to Play / Skate to Midget and other events. Rosters are submitted for insurance purposes. Please claim every player and state specifically where they belong. Please ask the rinks to do the same. If a team is attending a non-usah-sanctioned event, parents must be informed - as event is not USAH insured, as in AAU games. Page 2 of 8

3 Deadlines All temporary rosters must be submitted to the appropriate Division VP prior to the 1st game (1.c.3). In the program, go to print roster, select save, and then send them in an . The game count starts the day that a roster is signed. Rosterss should be submitted prior to the first GSL / Independent / non-gsl game effective date for Bantam Tier 1. rosters -- 8/16/14 -- Midgets / Girls / U19 / U16 / U14, season start date x-ice Mitess through Bantam Split-season Midget U18 / U16, Girls U19 / U16 / due 10/11 -- GSL U14 & Bantam Tier 1 -- final rosters All full season rosters -- final roster date 12/1 --GSLL Deb s system is not up yet - hopefully she can start approving Midgets by 8/16. League / Independent Teams Please review NHAHA Resolutions. Final roster date 12/1 - SQ through BA, U12 Girls / Womens Final roster date 10/1 - Midget U16 / U18, Bantam Tier 1, U14 / U16 / U19, Girls / Womens split season teams Supplemental Rosters Supplemental rosters need to be submitted every time you remove a player / coach or add a player / coach, and there must be a note on the roster stating the removal or addition that has been made. This process is not ready (in the program) yet. BHL, E9, Valley, Mass Select, etc. must complete 2 rosters, 1 for GSL, and 1 for other. These rosters must be sent to Deb prior to the first game. IV. 4 In-State Releases Please send thesee to Mike Durant. Go to the NH Hockey website to complete these online. Mike keeps a list of the releases he signs, and shares this list with Deb Powell. Out-of-State Releases Please send the original copies to Deb Powell. Ineligible Releases If any of the players listed on a roster do not have roster. Alternates a release, Deb Powell will reject the We will talk about this more at the September meeting. If a player is playing as an alternatee for another team, s/he should let his / her regular team know. We may set up a formal acknowledg ment procedure to facilitate this process. V. CANADIAN / INTERNATIONAL YOUTH TRANSFER FORMS Please complete youth transfer forms and submitt them to Once approval is received, please put a copy in the coach s book. For national tournament bound teams, the limit of student visas per roster is 4 players for youth teams, and 2 players for girls teams. Players cann not be listed on rosters until their paperwork is approved. Theree is now a fee for transferring women players 18 years or older on national bound teams along with male players 18 years or older. VI. COACHES CEP / AGE-SPECIFIC INFORMATION ON ROSTERS Association should review the CEP guidelines. CEP / age-specific - Midget / U19 / Independent - modules (online) must be completed by 12/31. CEP / age-specifior Independent play downs, whichever comes first. Please print supplemental rosters for updates, and remindd any coach who is not meeting the modules 10/31 or before State playoff requirements that s/he will be removed from the team if the requirements are not met. VII. SAFESPORT Kim Burgess is the NH Safesport Coordinator. Please contact her with any questions you may have about our Safesport program. Page 4 of 8

5 Safesport Module (online) All team managers / on-ice or off-ice coaches / volunteers must complete the Safesport module (online) before then can appear on a roster; otherwise the roster will be denied due to ineligibility. Training is valid for 2 years. During the second year, all are required to take the review training. Background checks Background checks are part of the Safesport requirement that all team managers / on- ice or off-ice coaches / volunteers must complete. They are valid for 2 years. Go to the NH Hockey website for more information. To process screening is 7 days. Kim will be sending a spreadsheet (with an updated list) to each association. USAH does not have screening function available yet, when it is Deb/ /Kim will provide USAH with list to update their data. VIII. COACHING BOOKS All player forms must be in alphabetic order. Game labels must be in alphabetic order too, not by jersey number. What the coaching books should contain: 1. Credential sheet -- DO NOT COMPLETE -- the State Registrar completes this 2. Signed roster 3. Code of conduct -- Players & coaches 4. Consent to treat -- players & coaches 5. Safesport NHAHA code of conduct -- coaches / team managers / volunteers / on- or off-ice coaches -- go to the NH Hockey website for this 6. Youth transfer form -- Need passport, permanent residence card, birth certificate to submit to USAH -- only the form goes in the book 7. All game sheets in DATE order What the coaching books should NOT contain: Any other association paperwork (anything not for This includes association contracts. I. Canadian teams submit travel permits to Deb Powell at least 14 dayss prior. must Special Event Sanction Forms These are used for certain events that associations hold. Examples: Come Try Hockey, and association celebrations. USAH FORMS - REMOVEE FROM WEBSITES It is Deb Powell s understanding that many associations posted USAH forms on their websitess (in Goalline) -- behind the scenes -- and that the new websites (in Sports Ngin) have made them public. It is a USAH violation to post USAH forms online. Please inform your president / webmaster, and if you have USAH forms posted on your new website, please remove them immediately. Digital signed copies may be used in the books. If Midget players traveling alone have ann injury/accident and need medical treatment they would need a consent to treat form to be authorized to receive treatment and should carry a consent to treat form signed by a parent. Examples of USAH forms: Code of conduct, consent to treat, IMR forms & waiver of liability, student coaching applications, claim forms, tournament applications, youth transfer (Canada) forms, and international transfer forms. I. RULES / UPDATES FOR SEASON PER USAH Safesport Training - New Ruling All team managers / on-ice & off-ice coaches / volunteers must completee the SafeSport module (online) before then can appear on a roster. 7 Screening Policy All team managers / on-ice & off-ice coaches mustt have background checks completed before then can appear on a roster. Background checks are valid for 2 years. AAU Teams - Supplemental Insurance Policies Per the Annual Guide rules, please remind your association / parents / guardians / players that they are not covered under USAH s insurance policy for non-sanctioned events -- they will need to have their own. The violation of this rule will subject a team to suspension by the appropriate USAH affiliate. II. NEW ENGLAND DISTRICT (NED) NEWS Safesport Coaches must complete the roster. Safesport module (online) before they can appear on a USAH Registry Program Access Even though it stated otherwise in the Bulletin, we other than registered registrars. Credentialing will not be issuing access to anyone Only national bound Tier 1 & 2 need to be credentialed, although Deb Powell will be checking all books periodically. There will also be spot checks. It is the responsibility of the team representatives (association registrars) to preview the books and to make sure they are in order. Below is an excerpt from the NH Bylaw regarding our state credentialing requirements. Coaching Book Pre-Season Credential (2.b.3): All teams playing in the Level 1, Level II, and Level III classification must designate a team representative. The representative must attend the September statee meeting and meet with the State Registrar to review the credential requirements that must be met should the team progresss on to Regional / National Play. The credentials, with the exception of sufficient game sheets to meet the current rule, must be completed by the team representative and reviewed by the State Registrar at the October meeting for Midgets and the December meeting for all divisions.
