6 The most up- to- date version of this manual can always be found on our Committee s website WELCOME On behalf of the Visiting Bands Committee and the Calgary Stampede, I would like to welcome you to the Greatest Outdoor Show on Earth! The Stampede is celebrating its 101 st anniversary in 2013 and we are pleased that you have decided to have your band join us for our 10- day celebration. The celebration will officially begin on Friday July 5, 2013 when over 350,000 spectators will line the downtown streets of Calgary to watch the Calgary Stampede Parade. Throughout the week your band may have the opportunity to perform on the Stampede Park to over 100,000 guests that attend there each day. Your band may also have the chance to perform at one of the many pancake Caravan breakfasts around the city throughout the entire 10 days. As you read through this manual, make sure you make notes of questions that you may have for your Host in regards to your trip this year. Please note the most up- to- date- version of the manual can always be found on our committee website We look forward to working with you this year to ensure that your band has an outstanding experience in Calgary and at the Stampede. 7 1. GENERAL INFORMATION 1.1. Band hosts All hosts are VOLUNTEER members of the Visiting Bands Committee. This host will assist the band through its contact person in making arrangements for performances, sight- seeing, accommodation, and transportation in Calgary Your host will be your primary contact with the Stampede, and all questions from the band should be directed through the host whenever possible. Your host s primary goal is to help you enjoy your stay and to assist you in any way possible to make your experience at the Stampede a memorable one! Some things your host(s) may assist with include: Be available to answer any questions you may have prior to your arrival in Calgary Meet your buses at the outskirts of Calgary to help your bus drivers reach their destination (they may provide you with maps instead) Meet you at the Calgary International Airport with your buses to take you to your pre- arranged accommodations Accompany you to ALL Stampede events in which your band is performing (including the Parade for bands that are in the Parade) Assist in planning your free time. They may help with inquiries, assisting in bookings or assist in other ways as they are available. They will be able to direct you to information regarding local attractions Assist in planning your everyday needs while at the Stampede. Your host will be able to help or direct you to various services you require. Assist in emergency situations See you off when you depart. Once your band has been assigned a lead host, all communications with the Committee and the Stampede should be directed through your host. This helps to reduce confusion and ensures that your host knows exactly what planning is being done for your band. Your host will ensure that all information will be forwarded to the appropriate people. Upon arrival in Calgary, please introduce your host(s) to your band and chaperones so that everyone in the band knows who they are and why they are there. Use of Stampede Logos The Stampede Logo and other registered trademarks are copyrighted and may not be used without the authorization of the Stampede. Bands wishing to use copyrighted materials may obtain a password that will allow them to download the official version from a website. Contact your host for more information 1.5. Stampede Merchandise and Souvenirs The Stampede develops and distributes a variety of Stampede souvenirs that may be of interest to your band members. These include t- shirts, sweatshirts, ball caps and many other items in a variety of styles, sizes and colors. It is possible to customize almost any merchandise item with your logo or design making it a unique souvenir of your trip to the Stampede. 11 It is critically important that you provide our Committee with Proof of Insurance on or before the deadline of May 1, INSURANCE INFORMATION 3.1. Insurance Requirements All bands participating in the Stampede MUST carry the appropriate insurance All bands MUST carry Commercial General Liability insurance in the amount of $2 million (CDN) for damage to property and/or person In addition, it is required that the policy state the following, or wording to this effect: THE CALGARY STAMPEDE, CALGARY PUBLIC SCHOOL BOARD AND THE CITY OF CALGARY AS ADDITIONAL NAMED INSUREDS The City of Calgary and/or the Stampede are owners of some of the venues where you may be performing. Bands staying and/or eating at the High School are staying at Calgary Public School Board property. Hence the requirement that they be added to your liability insurance policy as Additional Named Insured s. Liability insurance is required to protect the band, the Calgary Exhibition and Stampede, the City of Calgary and the Calgary Public School Board should a band member, or a member of their group, cause any damage to the property of another person or injure another person of the general public. This is not to be confused with any other insurance the band may already have for their instruments or medical coverage for the band members. Bands NOT having the above insurance in place CANNOT participate in ANY Calgary Stampede sponsored functions. Most bands have some form of insurance already in place and it is simply a matter of going to your insurance company and having them issue a Certificate of Insurance showing the appropriate add- ons. Often the company will do this for no additional premium though there may be a small additional cost. A copy of the Certificate of Insurance MUST be mailed, faxed or ed to the Visiting Band Committee and received prior to the deadline of May 1, 2013 Visiting Bands Committee Calgary Stampede PO Box 1060, Station M Calgary, Alberta, Canada T2P 2K8 Fax: Obtaining Insurance In the event that your band does not have this insurance in place already, insurance may be obtained through the following: BFL Canada Inc Attention: Leisa Pettigrew 1300, nd Street SW Calgary, Alberta T2P 2W2 Phone: lpettigrew@bflcanada.ca All cheques are to be made out to: BFL Canada Inc. A receipt will be issued from them, for payment. Cost is $300 CDN plus $10 administration fee. This insurance is designed to cover the band during the ten days of Stamped and for Stampede events ONLY. 11 VISITING BANDS COMMITTEE

12 4. ACCOMMODATIONS Bands and band members are responsible for the security of their property while using the provided accommodations Unless requested otherwise, separate accommodations are provided for male and female guests using the school accommodations 4.1. Accommodation Facilities The Calgary Stampede believes that it is important for out of town bands to have access to inexpensive accommodations during their stay in Calgary. To this end, the Visiting Bands Committee provides out of town bands with free accommodations on a first come- first served basis. The accommodation is at a local high school and is available during the period for which the band is performing for the Stampede. Depending on their size, bands will be assigned to a gymnasium or classroom(s) While these accommodations are provided at no cost to the bands, there are some important points to keep in mind: Multiple bands will be sharing the facility, including all washroom and shower facilities Separate accommodations are provided for male and female guests using the school accommodations Anyone staying at the school will be required to provide their own bedding (sleeping bags, pillow and camping style mattress) The school s custodial personnel are on duty 24 hours per day while the bands are in the school For security reasons it is advised that the doors of unattended spaces occupied by the band are locked. Band members are not permitted in the band facilities without a chaperone. If a classroom or gymnasium is locked and a band member requests access; a chaperone must accompany the band member. The City of Calgary has enacted a strong Smoking By- law that prohibits smoking in indoor public places and many outdoor public spaces All individuals staying at the school must be properly identified to the school custodians. This is for security and emergency purposes. The school is located at: Crescent Heights High School st Street NW Calgary, Alberta T2M 2S2 Fax Since space is limited, requests for accommodation are prioritized based on the order in which they are received. Make sure your request is clearly known by the Band Office and your lead host (once they are assigned to you) 4.2. Accommodation Availability The school based accommodations available to bands are offered on a first come, first served basis to all bands participating in the Stampede. These accommodations are provided at no cost to the band. Facilities are provided only for persons directly associated with the band, such as band members, staff and chaperones 12 VISITING BANDS COMMITTEE

13 Special accommodations will need to be arranged for bus drivers if the band will be using chartered tour buses or providing their own busing. Once all the accommodation at the school is filled, your host can assist in locating potential alternate (paid by the band) accommodation. Please be aware that hotel/motel space in Calgary fills quickly during Stampede. Rates for this kind of accommodation are typically at a premium during Stampede. Persons not directly associated with the band are asked to make their own hotel/motel accommodations. Your host can be of assistance in locating suitable accommodation within a reasonable distance from the school where the band is located. This should be done WELL IN ADVANCE of your trip to Calgary, as it is particularly important that bus drivers have accommodations near that of the band Stampede is a particularly busy period for local hotels and motels. Hotel/Motel bookings should be made months in advance and confirmed shortly before you arrive 4.3. Facility Security Fire regulations require that a full roster, including the names and ages (age not required for adults) of your band members and chaperones MUST be turned in to your Host before your trip and no later than your arrival at the School. Doors to the School are locked each night at 11PM. Bands wishing to return to the school after this time must make PRIOR ARRANGEMENTS with the school s custodial personnel. Details and contact information will be provided to you when you arrive at the school. Security of your area in the school should be discussed with the school s custodial personnel on your arrival at the school. A limited number of lockers will be available to each band; however, each band must provide their own locks for these lockers. Security of personal and band property is always a concern when there are a large number of people in a facility. Keeping the doors of unattended rooms locked will help to secure your belongings. Please report any suspicious people or activities you may notice in the school to the Band Office and/or to custodial personnel Please report any suspicious people or activities you may notice in the school to the Band office or to custodial personnel. 14 4.4. Accommodation Guidelines The following guidelines must be observed during your stay at any accommodation provided by the Stampede. Violation may result in your immediate expulsion from the facilities and/or potential legal recriminations: The use of ANY RECORDING devise, such as but not limited to, digital cameras, tape recorders, cell phones, etc in areas of privacy like the dressing rooms, locker rooms, washrooms and shower areas are STRICTLY prohibited Absolutely NO COOKING is allowed on school premises, except by authorized catering personnel in the cafeteria No consumption of meals is to take place in the school except in the cafeteria The consumption of alcohol in or around the school is STRICTLY prohibited. The entire school is a designated NON- SMOKING environment. Smoking is permitted outside the building, well away from any doors to the school. Violent or excessive rowdy behaviour is prohibited Any damage to school property must be reported immediately to the Band Office or school custodian. For security reasons, ALL unattended rooms MUST be locked. Under no circumstances will school custodian personnel unlock a door without a band chaperone in attendance. School custodians are the only personnel with keys to the rooms. Chaperones are responsible for the supervision of band members Following these guidelines will help ensure a safe and pleasant stay for all band individuals at the school. The City of Calgary has enacted a strong Smoking Bylaw which requires all indoor public places and many outdoor public places to be smoke free The High School is a smoke- free building. The consumption or transportation of any alcoholic substance (beer, wine, liquor, liqueurs, coolers) in or around the school is NOT ALLOWED AND WILL NOT BE TOLERATED Please visit Calgary.ca or speak with your lead host for specific information on the bylaw 14 VISITING BANDS COMMITTEE

15 5. CATERING AND MEALS Hosts will assist in making arrangements for meals at a cost to the bands. Bands should budget approximately $30 CDN/member/day to cover meal costs. For those staying in the school, meals will be supplied (at a cost to the band) by the caterers in the school. The caterers will contact the bands directly to establish meal requirements and costs. Bands staying in school accommodations who wish to eat at the school MUST purchase meals from the school caterer and my not provide their own food in the school Catering Availability The Visiting Bands Committee makes arrangements with the school caterer to provide meal services to visiting bands during their stay in Calgary. Bands may pay for catering using cash or cheque only. All catering costs are to be paid on the day of their last meal at the school. Bands are responsible for the payment of all meals cancelled with less than 48 hours notice to the caterer (not your lead host) Catering services are provided at Crescent Heights High School, where visiting bands are provided with free accommodations. The caterer at the High School is Coco Brooks: Candy Patterson Crescent Heights High School Cafeteria Cell Office ext 116 candy.patterson@cocobrooks.com It is the responsibility of each band to provide all meals for their members, staff and chaperones during their stay in Calgary. While some performances, such as Stampede Breakfasts, may provide bands with a free meal for performing, most performances do not include food Catering Arrangements Visiting bands will receive a letter from the Caterer (if they are staying at the School) that provides all details on what catering services are available, how much notice is necessary and pricing. Bands MUST deal directly with the Caterer for all such meal arrangements. Bands staying in the school and those staying away from the school can make arrangements with the Caterer to provide breakfast, lunch and/or dinner at the High School cafeteria for Band members Chaperones and staff Bus drivers for chartered bussing Bands not using the High School accommodations, including local bands, are also welcome to make use of the Catering services made available by the Committee. Simply ask you host to set up a meeting for you with the caterer. A best guess meal requirement is requested at least four weeks in advance of your arrival (especially for dinners) Adjustment can be made on week prior to arrival. 15 VISITING BANDS COMMITTEE

16 Bands not staying at the school will be responsible for transportation to the school for any meals arranges with the caterer. The exception is Parade morning when bands are picked up from their accommodation and taken to the High School to the convoy. Brown bag lunches can be arranges for bands to take with the group to performances and outings. Your host will arrange for the contact person to meet with the Caterer and school Custodial staff on your arrival at the school. You may arrange for all meals and bagged lunches required during your stay in Calgary at this time. Payment will also be due at this time. Important changes for 2013 Meal ordering and cancellations (including bagged lunches) now require 48 hours notice. Any order cancelled with less than 48 hours notice will be billed to the band. Please ensure you know your performance schedule before making definite commitments for meals at the school Please keep the following in mind when considering your meal needs All payment must be in Canadian currency (cash) plus 5% GST You must provide confirmation on the number of people eating each meal each day during your stay, plus or minus 5% Meal time requirements and special food orders other than those noted can be accommodated upon request If you require special services, such as pizza and pop for late evening snacks, please contact the Caterer directly for prices and arrangements MEAL AND BAGGED LUNCH CANCELLATIONS REQUIRE 48 HOURS NOTICE. IF UNDER 48 HOURS, YOUR BAND WILL BE RESPONSIBLE FOR FULL PAYMENT. While Alberta has no provincial sales tax, Canada has a national 5% Goods and Services Tax (GST) which applies to most purchases in Canada. Please remember to budget for the GST when estimating your costs Meal Prices Meal prices in 2012 were as follows: Breakfast $6.75/person; Lunch $8.00/ person; Dinner $9.50/person prices are subject to change Bagged Lunches Bagged lunches require a minimum of 48 hours to prepare Please inform catering staff when you will pick them up (each day) The same cancellation policy applies to bagged lunches as any other meals 5.4. Meal Schedule Meals will be served in the High School Cafeteria at the following times: Breakfast 7:00 AM 8:30AM (except Parade morning) Lunch 11:30 AM - 1:00 PM Dinner 5:00 PM 6:30PM 16 VISITING BANDS COMMITTEE

17 Parade morning 6 AM, 6:45 AM, 7:30 AM 6. TRANSPORTATION 6.1. What is provided Bands visiting the Stampede that do not have their own transportation will be provided buses to and from Stampede- sponsored performances at no cost. The Visiting Bands committee will arrange for the transportation for these venues The following bus transportation items are at NO cost to the band: Transportation from and to the airport and the band s accommodation will be provided Transportation to and from the bands accommodation to the parade will be provided for those bands performing in the Stampede Parade on July 5, 2013 Transportation will be provided to and from all Stampede related performances. (These are optional performances available to the bands for the rewards program) They will be filled on a first come- first served basis Your band will be supplied with the appropriate number of buses according to the numbers of members in your band. In most cases, the buses will not wait at locations while bands are rehearsing or enjoying free time, but will return at designated pick up times as arranged by your Host. Bands will be expected to take their equipment on the bus transportation provided. Trucks are available for bands to rent for the larger equipment if they require Customs Ensure you check with Canada Customs prior to your trip regarding the fastest way to clear band members and equipment if you are arriving from outside of Canada by air. Transportation provided by the Committee is in large school buses, which can be used for both personnel and equipment. Bands wanting a separate equipment truck will need to contact their host to make these arrangements. This should be done well in advance of your arrival. The costs for the equipment trucks are the responsibility of the band What does the band pay for Bands requiring equipment trucks will be responsible for the costs of the equipment truck (approximately $360 CDN/day or $170/truck/trip. Bands are expected to pay for their own transportation costs for free days, sightseeing, and for time they are not participating in Stampede Venues Transportation Arrangements Bands participating in non- Stampede performances or tours can contact our transportation provider to arrange transportation. Once the transportation provider has been secured, your host will inform you so you may make arrangements for events for non- Stampede performances. Bands with their own transportation will receive a small subsidy from the Visiting Bands Committee for the use of their buses for Stampede- sponsored performances. 17 VISITING BANDS COMMITTEE

19 7. SCHEDULE OF EVENTS/ VENUES 7.1. Parade The Stampede Parade is the most popular event of the ten- day Stampede and acts as the official start of the Stampede. Bands in the Parade will encounter more than 350,000 spectators lining the 4.5 km (2.8 mile) Parade route, while an estimated 10 million viewers watch on live and time delayed television broadcasts. The Stampede Parade will be held on Friday July 5, Some quick facts Estimated time to walk the entire route 1.5 to 1.75 hours Estimated number of people in the parade 4,000 Average number of marching bands participating 25 to 30 Number of floats participating 40 Number of horses 750 Total number of entries 170 Travelling speed on the route: 210 feet per minute or 3.8 km/hr It is very important that band members stay hydrated during the Parade. This is accomplished by having band members or staff carrying water bottles that are used by band members as needed. Information concerning the rules and regulations for the Parade is contained in the appendix Parade Prelude Parade prelude allows bands to perform at specific locations in advance of the Stampede Parade. The Prelude is intended to provide entertainment to the crowds while they are waiting for the Parade. Bands march to a location and perform for a 5-10 minute period at a specific site. They then march to the next location and perform again Typically, each group performs approximately five times at different locations along the parade route before the start of the Parade Showbands Live Each year, the Visiting Bands Committee hosts Showbands Live!, a competition for marching Showbands. It is held in the Scotiabank Saddledome, home of the NHL Calgary Flames. Showbands Live! will be held on Tuesday July 9, Marching Show Bands compete for a to be determined amount of prize money Only amateur bands may compete, although professional bands may participate in exhibition if time permits Water and PowerAde will be provided for the participating bands Bands competing in this venue will have access (at set times) to outdoor fields adjacent to Crescent Heights School. This will provide these bands with the opportunity to rehearse for their performance. 19 VISITING BANDS COMMITTEE

20 Information concerning the rules and regulations for Showbands Live! is contained in the appendix. This section is currently based on previous year s information and is subject to revisions Drum Line Battle/ Competition (depending on interest) A drum line competition may be held on Monday July 8, 2013 at Rope Square if enough bands participate. Information concerning the rules and regulations for the Drum Line Battle is contained in the appendix Daily Stampede Park Performances Stampede Park is the heart of the Stampede. Bands performing on- Park will partake in concert performances arranged for the enjoyment of park visitors. It is important that bands performing at the Park stay to their scheduled times to avoid conflict with other performing groups. Due to the activity at the Park, we ask bands to be flexible as changes do occasionally occur. Bands participating in the Park performances will be given further information upon arrival at the Park Daily Rope Square Performances Rope Square is an event hosted daily by the Stampede s Downtown Attractions Committee and is held in front of City Hall in the Olympic Plaza. This free, three hour event showcases a variety of performing ensembles including Bands of all types Aboriginal dance groups Western wagons Horses Chuck wagons serving flapjacks (pancakes) to the public Daily Caravan Performances Caravan events are held throughout Calgary by the Stampede s Caravan Committee. Caravans provide the public with mobile performance platforms that highlight a variety of performing ensembles, along with Calgary s famous pancake breakfasts. Due to limited space available at Caravan performances, it is not possible to perform a field show at these events. Performances are at large outdoor venues (usually a shopping mall parking lot) Arrangements can be made to ensure that band members are able to have a pancake breakfast at the performance Due to the limited space at these venues, it is not possible to perform a field show at these events Community Events From time to time, the Visiting Bands Committee is approached by organizations in the community that are eager to have bands perform at their Stampede Events These performances are perfect for small to medium size bands and provide excellent exposure to Calgary s Stampede culture. 20 VISITING BANDS COMMITTEE

24 9. SIGHTSEEING AND COSTS 9.1. Tour/performance opportunities All of the venues/locations below are available for tours and/or performances at a cost to the band Heritage Park Historical Village Located within the Calgary City limits, this park is a year- round exhibit of western history. It features a village that has been recreated to appear as though it may have in the late 19 th century. (Many of the buildings actually were moved from original locations to the park) The park includes a working steam locomotive that circles the park and a steam stern wheeler that circles Glenmore Lake in the summer. Only bands with app 40 members have Alberta Heritage Music are able to perform at the park. Contact Jo Morris (jmorris@heritagepark.ca) Calgary Zoo The Calgary Zoo is the 2 nd largest zoo in Canada and is located 5 minutes outside the City centre. It is accessible by C- train. The zoo has over 1,000 animals and includes the following exhibits: Destination Africa, Canadian Wilds, Australia, Botanical Gardens, Arctic Shores, Eurasia, Prehistoric Park and South America. No performance opportunities due to the potential disruption of the animals. Groups must be booked 3 days in advance. (Youth (3-13) $11.00 CDN and Adults $18.90 CDN. (plus GST) Contact ext 2 (guestrelations@calgaryzoo.ab.ca ) Calgary Olympic Park (C.O.P.) This athletic facility was home to many events during the Winter Olympics of This park is also home to the Olympic Hall of Fame and Museum. During summer, the park has mountain biking, beach volleyball and mini golf available. Contact (info@winsportcanada.ca ) Drumheller Royal Tyrrell Museum The Royal Tyrrell Museum is exclusively dedicated to the science of paleontology and is located 90 minutes North East of Calgary. It has the world s largest displays of dinosaurs. No opportunity to perform. Groups must be booked 3 days in advance. (Youth (7-17) $5.10 CDN and Adults $9.35 CDN) Entry is all day, you can leave and return. Contact Wendy at (tyrrell.info@gov.ab.ca ) Spruce Meadows Spruce Meadows is an international equestrian facility in south Calgary. The North American Tournament is usually held within the first two weeks of July every year. There may be performance opportunities for bands during this tournament. Contact (information@sprucemeadows.com ) Calgary Tower The Calgary Tower is 191 meters in height and has a revolving restaurant and an observation deck. 25 Glenbow Museum The museum is one of western Canada s largest museums with more than 20 galleries. The museum is located in the center of downtown Calgary. The exhibits include: Western Cultural History, Ethnology, Military History, Mineralogy and Asian Collection. No performance opportunities. Groups must book a few days in advance. (Youth (7-17) $9.00 CDN and Adults $14.00 CDN. 10% discount for groups of 10 or more if paid as a group. Contact (bookings@glenbow.org ) Military Museums The Military Museums are dedicated to representing Canada s navy, army and air force divisions. The museum offers various tours to groups of 10 people or more. Tours must be booked in advance (Youth (7-17) $3.00 CDN and Adults $6.00 CDN. Contact (bookings@themilitarymuseums.ca ) Two for one coupon available at Cross Iron Mills Mall Cross Iron Mills Mall is an enclosed shopping centre a few minutes north of Calgary. APPENDIXES Parade Information Parade Route The parade route is 4.5 km (2.8 miles) in length, officially starts at 6 th Avenue and 3 rd Street SE and follows a rectangular counter- clockwise route through the City s downtown. There is a form- up area before the official starting area where bands can expect warm up, hydrate, etc and then to move slowly along the route until they are fed into the main Parade. There are emergency medical stations located at several points around the Parade route where band members can be taken if necessary. (See Medical Services section) Due to the length and pace of the Parade, it is strongly recommended that participants be 12 years of age or older. A full version of the map is available in Appendix 10.2 This map includes information about medical services, water station, television camera locations and judging locations Convoys to the Parade All bands participating in the Stampede Parade will be bussed in convoys with a police escort from Crescent Heights School or from Stampede Park. Hosts will accompany their bands on the buses to the form- up area. It is recommended that all band members and staff be in uniform prior to leaving the school for the Parade form- up area. Bands not staying at the school will be picked up from their accommodation location and transported either to Crescent Heights or to Stampede Park. If your band will be using their own buses to travel to the form- up area, please be 26 VISITING BANDS COMMITTEE

27 sure that the drivers are notified regarding departure times and their position in the convoys. The host will travel with the bus to ensure the drivers stay in the convoy and to ensure the drivers know the way. Specific loading and departure times for the convoys will be discussed at the Pre- Parade Meeting on the Thursday before the parade. It is essential your band is ready to leave at the assigned time or the band may be left behind The Form- Up Area Bands will be marshalled in the form- up area where you can warm up the band and prepare to enter the Parade. Your band will NOT have time to warm up once they are moved onto the Parade form- up area on the street. Portable toilet facilities are available at the form up areas. It is advised that bands use these before moving onto the street form- up area. PowerAde and water will be available to band members before and after the Parade. Bands may warm up in the bus parking lot prior to forming up for the Parade. The band will be moved onto the street form- up area approximately minutes before moving onto the Parade route. The band must be ready at this point to step onto the route at any time. It may take several minutes before they are fed into the Parade route as entries are fed by their number in the parade from several locations. There is no further time for warming up when the band moves onto the street. A mister is set up for Parade participants use after the Parade. The media companies that broadcast the Stampede Parade limit their broadcasts to a set period of time The Parade Block From the street form- up area, the band is fed onto the Parade route. All bands are expected to follow all regulations and restrictions outlined during the Pre- Parade meeting. These include: Bands must supply and carry a suitable identification banner. Bands must march in a compact format following the layout requirements below: o Maximum 1.5 m (5 ft) between playing members o Maximum 3.4 m (11 ft) between auxiliary members (colour guard) o Maximum of 5 members across in the block for smaller bands Maximum width of a band is 7.1 m (25 ft) across A host must accompany the band along the route A traffic lane on each side of the band MUST be kept open at all times for use by Calgary Emergency Services and Parade officials Bands not maintaining the required format and speed may be withdrawn from the parade Bands must follow the preceding entry within two street skip lines (dotted lane markings) Keeping your formation as compact as possible helps to ensure that all Parade entries will appear in the televised coverage of the Stampede Parade. 27 VISITING BANDS COMMITTEE

28 Bands must be able to march at the parade travelling speed to minimize gaps in the parade Failure to comply with the foregoing regulations may result in the forfeiture of prizes and/or removal from the Parade at the discretion of the Parade Marshalls Step- Off You will be notified by your Host when it is time for your band to form up in preparation for Step Off. When it comes time for your band to be funneled into the Parade, a Parade Marshall will give your host a signal that your band is to start moving onto the route. Bands must be prepared to step off quickly when entering the Parade or following a pause in the parade. Drill routines before stepping off are NOT ACCEPTABLE as it results in an unnecessary delay in the parade. Bands must follow the preceding entry within two street skip lines (dotted lane markings) Hydration (water) is provided at the half- way point in the Parade. Bands must provide their own container as cups will not be provided. It is expected that the band will continue to move and that the water carriers can replenish their supply at this location During the Parade Some important notes to keep in mind while on the Parade route: Bands must maintain a forward speed of 210 ft/minute (64 m/minute). Bands unable to keep up risk being removed from the parade Only forward motion is permitted while on Parade. BOTH COUNTER MARCHES AND SLOW MARCHING ARE PROHIBITED. No stopping unless the parade has stopped Accompanying personnel, other than the Band Director, will be limited to one per 20 band members. These individuals may be first aid or water carriers and MUST be properly identifiable as part of the band, with an appropriate shirt or jacket (similar dress to the band). Hosts will accompany your band along the Parade route. Band directors MUST follow the instruction of their Host. Horses form an integral part of the Stampede Parade. Your band may be placed near horses. Please advise your members to avoid startling animals with loud noises or threatening movements. All parade participants are prohibited from throwing or otherwise distributing materials along the Parade route. A hydration point is provided for bands at the half way point along the route. (water only) Bands MUST provide their own containers as cups will not be distributed at this station. o Accompanying personnel may distribute water to the members along the route. It is suggested this not take place at judging locations and television station locations Parade Judging Bands are judged on 4 distinct categories during the Parade Marching 28 VISITING BANDS COMMITTEE

29 Musical Performance Auxiliary Performance General Effect Judges are located in two sites along the Parade route. (see map in appendix for exact locations) Both locations are located within the first six blocks from the official start of the Parade. There will be signs along the side of the Parade route advising you that a judging site is coming up. It is imperative the band play right through BOTH judging areas. If your current song ends in the area, please immediately start another song. If the judges do not hear your music, they cannot judge the band on that aspect of its performance. This results in a lower overall score Pipe Band Judging Pipe Bands will be judged on the same criteria as other bands. However, a specific judge with pipe band experience will be marking these bands. Bands participating in the Stampede Parade will be competing for a to be determined amount of prize money. Military bands (other than militia) and professional bands are not eligible to receive prize money. The prize categories for the current year are: Best Senior Band Best Junior Band * Best Pipe Band Best Auxiliary Band Best Overall Band Best Canadian Band (* - Only available to bands who qualify as Junior Bands (described below) All awards are paid in Canadian funds Each winning band will be presented a plaque from the Stampede The band judged Best Overall Band will have their name appear on the Stampede Trophy. Trophies for all categories are on display year round in the Calgary Round up Center on Stampede Park. Any trophies presented MUST be returned to the Stampede Visiting Band Committee before prize money is awarded. The definition of a Junior Band was expanded in 2007 in an effort to allow additional bands to qualify for Junior status Junior Band Definition To be considered a Junior Band, a band must meet the following requirements: 90% of the band s members (including any auxiliary) must be 16 years of age or younger as of July 1 in the year the band is competing The remaining 10% of the band must be 19 years of age or younger as of July 1 in the year the band is competing 29 VISITING BANDS COMMITTEE

30 Medical Services Calgary s Emergency Medical Services (EMS) will be patrolling the Parade route on mountain bikes and are in radio contact with the Parade Marshalls In the event that a band member requires medical attention during the Parade, please have your band chaperone escort the member to the open lane on either side of the band. The inner lane (left side) has more responders. Try to keep the band member as comfortable as possible. Your band host should be notified as quickly as possible if a band member is taken out of the Parade for medical assistance. A parade marshal should be contacted to ensure EMS arrives to assist as quickly as possible Meeting with Band Members after Medical Care In the event that one or more members of the band requires medical attention on the Parade route, they will receive care as quickly and efficiently as possible. Your lead host will work with members of the Parade committee to track down the location and status of these band members once your band has completed the Parade route. Depending on the medical status of these band members, they will either be returned to your band at the end of the Parade route or your lead host will work with you to make other arrangements to meet up with them Prelude Some bands will be selected to perform in the Prelude. Bands selected for Prelude will have the opportunity for five stationary performances in seven locations on the Parade route prior to the beginning of the Parade. Your host will inform you as to whether you have been selected for the Parade or Prelude. Final selections are approved by the Parade Committee 30 VISITING BANDS COMMITTEE

31 10.2. Showbands Live! Information (DRAFT SECTION) General Information Your thorough review of this manual is paramount to ensuring the success and enjoyment of this competition Competition Date: July 9, 2013 Venue: Scotiabank Saddledome, Stampede Park Eligibility DRAFT Requirements All bands must be amateur organizations to be eligible to compete. Professional bands may perform in exhibition. Any band from outside of Canada must complete a Canadian Customs form in the event that any cash prizes are awarded. All competing bands must have general liability insurance with a minimum of $2,000,000 CDN coverage. A copy of proof of insurance must be submitted to the committee by June 1 of the year of the competition. Band resume must be submitted by June 1 of the year of the competition. This will aid in any media releases or scripting for the commentator of the competition Categories of Competition (based on Member ages) OPEN - Bands with any participating member over the age of 22 on July 1 of the competition year SENIOR Bands with all participating members 22 years of age or younger on July 1 of the competition year JUNIOR Bands with 90% of their participating members 16 years of age or younger on July 1 of the competition year. The remaining participating members must be 19 years of age or younger on July 1 of the competition year Preliminary Competition All bands will compete in the Preliminary Competition. Only those bands in the Preliminary Competition are eligible to compete in the finals. Schedule of the Preliminary Competition will be given out once attendance confirmation is finalized. Scores and judges taped marks will be given at the end of the Preliminary Competition to the directors Final Competition All competing bands should be available for the Final Competition and are encouraged to attend. The top six scoring bands will be in the Final Competition in the evening. Schedule of the Final Competition will be determined based on the band s Preliminary Competition score. In the event of a tie, a maximum of seven bands will be invited to the evening Final Competition. 31 VISITING BANDS COMMITTEE

32 The band s performances in the evening will be judged, adjudicated and re- scored. No score from the Preliminary Competition is carried forward. The Final Competition scores in the evening will be used to determine the overall ranking of bands Show Preparation DRAFT Band Director s Meeting The band director s meeting is held at 7:00PM the day before the competition. Location is typically at the High School; your host will be aware of any changes. Drum majors, band directors and the band host should attend this meeting. Judges will NOT be present. Changes in scheduling, and procedures will be provided at this meeting Buses and Equipment Trucks Bands will be transported to Stampede Park from their accommodation. Your host will accompany your band to obtain entry to Stampede Park. It is up to the director and/or host to make arrangements to gain access to the bus and to confirm pick up times for after the competition. No buses may stay on the Stampede Park grounds during the performances There are NO changing facilities available for bands in the Saddledome. There is a small changing area provided to the bands for special purposes only. Bands should arrive at the Saddledome in uniform. If you have an equipment truck it should travel to Stampede Park with the buses. A maximum of one passenger is allowed. An official parking pass is required for equipment trucks ensure your host is aware you require this pass. Equipment trucks MAY park and unload necessary equipment by the loading dock doors of the Saddledome. Follow the instructions of the committee member in charge of parking Check- In Bands need to arrive at Stampede Park and check in at the loading dock doors of the Saddledome a minimum of 90 minutes prior to their tentatively scheduled performance time. Your host or a band representative can complete the check- in Upon check- in, the performance time of the band will be confirmed. If there have been changes to the schedule, the band will be made aware of the changes at this time Warm Up Areas Once bands have arrived on site, they may proceed to a warm up area as assigned to the band. No warm up may take place in the loading dock area of the Saddledome. Your host can clarify the approved areas and show you your warm up area. No warming up is to take place near the Saddledome to reduce noise while bands are performing and being moved into the form up area. In the event that it is inclement weather, bands will be permitted to warm up in the nearby parkade and will be escorted through the building under a sheltered pathway 32 VISITING BANDS COMMITTEE

33 Form Up Area All bands are to report to the loading dock doors at least 10 minutes prior to their performance time. Hosts and/or directors will be contacted if the competition is not on schedule. When the loading dock doors are opened, the band proceeds through these large doors to the form up area. All equipment and materials for their performance should be brought to this location. It is imperative that silence be maintained once the band proceeds through these doors as another band is performing on the field. Each band is formed up in a waiting area while the band immediately ahead of them is completing their performance Show Performance DRAFT Performance Location The competition is held in the ScotiaBank Saddledome (an enclosed air- conditioned arena). Due to other Stampede events, the Saddledome will not be available to the bands for rehearsal. Outdoor fields located near the High School will be available for this purpose Field Layout and Size The marked performing area is 180 feet (55 meters) by 90 feet (27.5 meters) The audience surrounds the performing field with most seated at the front. The podium for the drum major is provided and located in the penalty box area along the centre line off the field. There is 15 feet (4.5 meters) from the floor boards to the front side- line. This should allow enough room for groups with pit equipment to set up this equipment off the field Markings on Field The floor will be marked with tape at 5- yard intervals across the field and will run the full depth of the field. Yard markers will be set at both the front and back field as per a standard Canadian Football Field (55- yard marker at centre) A tape marking will be placed every 5 yards down the centre and 25 yard markers. This may be used by bands to place depth markers if they choose. Five markers labeled A, B, C, D, and E are available to use No tape, paint or markings of any kind may be put on the floor surface by the Band. Removable markings or tape may be placed if they are removed during the band s floor time Entering Field Bands will enter the floor from the large doors inside the loading docks. The door is located on the left side of the field from a performer perspective. When the announcer introduces the band, the band will be allowed to enter the field. 33 VISITING BANDS COMMITTEE

34 Timings Floor Time Each band has a maximum floor time of 15 minutes. Failure to meet these criteria will result in the assessment of penalties as outlined under the Penalties section. The floor timing will begin as soon as the first person from the band crosses the curtain at the entrance The floor timing will end as the last person from the band crosses the exit line. This includes any staff member, volunteer or parent removing equipment Performance Time Each band s performance time MUST be a minimum of 8 minutes and a maximum of 12 minutes. Penalties may be incurred if these times are not met. Performance begins when the first note is played following: Announcer will say: The Calgary Stampede is proud to present (name of band). Drum major, is your band ready? (Drum major salutes), you may take the field in competition **No on field warm ups will be permitted Exiting Field When bands complete their performance, they will exit the floor on the opposite side they entered. Upon exiting the floor, bands will be directed to a waiting and refreshment area. Silence must be maintained in this area as it is directly under the seating for the competition. Bands may move up to the seating area to watch the remaining performances if they choose. Otherwise they must leave the Saddledome as quickly as possible. Your host will be able to direct you to the seating area Electrical and Equipment Electrical power will not be provided on the performance area for any amps, guitars, PA systems, etc at the Saddledome Carts to move equipment on and off the performance area will be allowed, but not provided. No internal combustion based engines may be used to tow, power the carts or operate generators. The following are NOT ALLOWED in the Saddledome AT ANY TIME: pyrotechnics of any kind, including fireworks, discharge of arms, or any hazardous materials that may cause damage, present a safety or fire hazard, or remain on the field after the conclusion of the band s performance. The entrance to the Performance Area is 20 feet (6 meters) wide by 24 feet (7.3 meters) high. The exit is 12 feet (3.7 meters) wide by 10 feet (3 meters) high. Performing band s equipment MUST conform to these parameters. Your host MUST BE notified, prior to June 1 of the competition year if your equipment size is not between the entrance and exit parameters. Bands will receive a 0.1 penalty for every 3 seconds, or portion thereof, that the performance is over the 15 minutes. Performance Time: Performance time penalties will only be assessed if the band performs for less than the allowed 8 minutes. Bands will receive a 0.1 penalty for every 3 seconds or portion thereof that the performance is short. If a band plays for longer than 12 minutes bus does not go over the 15 minutes allotted for floor time, no penalty will be assessed. However, the judges will stop judging the performance at 12 minutes. Any element completed after the 12 minutes will not contribute to the band s score Delay of Show After the drum major has given their salute, the band has 30 seconds to begin their performance. 38 Awards Ceremony General At the conclusion of the Final Competition, the bands competing in the Finals will be asked to return to the floor for an awards ceremony (retreat) Drum majors from all of tithe bands competing during the day will be called to the front of the field to accept awards on behalf of their band Awards Ceremony March In Each band will be asked to line their band up into a single file with the drum major at the front of the line. The bands together will form one large parade block. This block will move into the Saddledome together. Everyone will take a turn to the right to the back field; then a turn to the left to follow the back side line and then a turn to the left and proceed to their designated yard line to set a block Only uniformed band members and uniformed staff members will be permitted on the floor for the awards ceremony Additional Information DRAFT Definitions Audience Area: The seating area in the stands from where non- performers watch the performances. Canadian Football Field: A field with markers every 5 yards. The centre line is marked with a 55- yard marker and decreases in 5 yard increments to the left and right. (In comparison, an NFL field has a 50- yard marker at the centre of the field.) Finals: Evening competition of the top six (6) scoring bends from the afternoon performance. These bands will be re- judged and adjudicated. Floor Time: The amount of time a band may be on the floor. This includes entry, setup, show performance, take down and exit. The timing judge will start the watch when the first member crosses the curtain line and stops the watch when the last band member, staff, volunteer or parent with equipment crosses the exit line. Performance Time: This is the time that the band is actually performing and being judged. This time begins on the first note played after the drum major salute and ends at the conclusion of the last selection. Preliminaries: Competition to determine the top six (6) scoring bands. Drum Line Battle/ Competition Information Performance Rules & Regulations Each percussion unit is to perform 2 different routines that consist of percussion cadences of their own choices, to be executed together with field formations Two percussion units are to perform one after another facing each other. The winner of each drum battle will proceed to compete with the designated winner of another drum battle until the top three places are determined No minimum cadence time requirement. Maximum allotted time for each cadence is 120 seconds The designated performance area is 15m x 15m Performance order is based on a random drawing of all participating drum lines Caption judgment is employed consisting of 2 sub- captions of each of the following three captions: Music, Visual, Overall effect Sub- captions consist of 1) what is performed and 2) how it is performed. Scoring consideration includes technical aspects of music performance, quality of music performance, visual content utilized, quality of visual content utilized, creative use of equipment, and audience appeal Scoring system: Each assigned jury member provides a score out of 100 points for each sub- caption. The total of each Jury member s sub- caption scores will be multiplied by a conversion factor and added together to provide an overall score percentile score. Drum lines will be penalized 0.2 points for every five seconds over the maximum allotted time for each cadence. Boundary points for any boundary violation as defined in the designated performance area rule. Instrumentation is limited to those instruments typically used and recognized as part of a marching percussion section. Single tone, non- keyed horns (i.e. whistles, sirens, animal calls, etc.) may be utilized only if generating an effect. They may not be used in any melodic form. No pre- recorded audio effects may be used. No instrument may be sequenced or programmed. Use of unauthorized recording med/sequenced equipment will be understood as grounds for disqualification. No motorized vehicles, pyrotechnics, discharge of arms, pressurized canisters, dangerous materials, inflammable liquids or animals will be permitted in or around the performance area. Gasoline, electric, or manual powered generators will not be allowed. Smoke machines will not be allowed. Electrical (plug- in or battery operated) or compressed air apparatuses, including lights, lasers, and flash cubes (electrical or chemical) will not be used in the performance area.
