4 Allowable Conversions: The following entry conversions were determined for the Outdoor Championships: Actual Distance Converted Distance Factor Mile 1,500 meters To us the factor, take the competitor's total time in seconds and multiply by the factor show. Always round up the last digit of the final time. Example: 1500 Meters to Mile 1500 Meters time: 3:49.71 (3 minutes x 60 seconds) seconds = seconds seconds x 1.08 = seconds seconds = 4: : Meters is equivalent to a 4:08.09 mile Awards (Both Men and Women): 1. Catering (Teams): Spire will provide an optional meal plan for each participating team during the championship. Use the link below to access meal plans. A credit card must be used for on-line orders. Team meal ordering will close on Monday, May 7. Coaches are required to Julie Meola (jmeola@spireinstitute.org) a list of names for all the student-athletes, coaches, and administrators that will be dining at Spire. 5 Championship Meeting and Dinner: Date: Thursday, May 10th Time: 7:00 pm Location: SPIRE Banquet Center Packets (meet information, bib numbers, heat sheets, credentials, etc.) that are not picked up during Thursday's practice session will be distributed at the meeting. Reservations forms (see Appendix D) are included in this mailing and should be returned no later than Noon, Monday, May 7th. Those individuals attending who are not issued credentials will be required to purchase tickets to enter the Championships. Credentials for student-athletes, coaches and other members of your travel party may be picked-up during Thursday's practice sessions (along with your team packet). Wristbands for student-athletes will be included in the team packets with credentials. 6 Hospitality: Coaches/Administrators/Officials: Hospitality will be available for coaches, officials, and administrators from 9 am-12 pm and 12-5 pm on each day of the championship in the BIG EAST Lounge. Credentials MUST be displayed to gain access. Student-Athletes: Hospitality will be available for student-athletes from 9 am-5 pm on each day of the championship in the Indoor Track Building. Hotel Accommodations: Each school is responsible for making its own hotel arrangements. Media: Requests for media credentials should be directed to Pam Flenke, Assistant Commissioner, Women s Sports Media Relations for the BIG EAST Conference, at pflenke@bigeast.com by Noon, ET, on Monday, May 7. Media credentials may be picked up at the Media credentials may be picked up in the Fields and Cristal Courts lobby beginning Friday morning. Medical Coverage: As part of the BIG EAST Championship Medical Policy, the following stipulations will be met during the Outdoor Track and Field Championships: 1. SPIRE Institute will compile an information packet to include: Host trainers phone numbers Primary physicians on call with phone numbers Other specialty physician phone numbers Area rescue service/hospital and emergency information with maps List of supplies and equipment that will be available on site. Therapy equipment will be available to team athletic trainers ONLY. Teams that travel with less than 6 will be treated by the host ATC is presented with a written therapy prescription from that institutions athletic trainer. Access to host facilities and training room with maps (training room hours should accommodate pre and post contest). Information regarding transportation by host school for non-rescue situations copy of reporting form for injuries At all championships, the host ATC must be in possession of an AED. 2. A reporting form must be utilized by the host institution for all treatments/injuries. One copy must be kept on file at the host school and copy should be sent back with the visiting athletic trainer, coach or administrator. 3. The NCAAA Blood Rule is in effect during all BIG EAST Championships 4. A certified athletic trainer, physician, EMS Unit and a transportation vehicle will be on site at all times during the championship. 8 Entries: SUBMITTING ENTRIES ONLINE (Direct Athletics): 1. All entries must be submitted online at 2. Entries open at 10:00 am, ET, Thursday May 3rd. NOTE: Entry performances DO NOT automatically update if a student-athlete's performance improves, it must be manually updated by the institution - see DirectAthletics memo. 3. Multi event entries (Men's Decathlon & Women's Heptathlon) will close at 10:00 am, ET, on Tuesday, May 8th. 4. All remaining entries (Track, Field, & Relays) will be accepted until 10:00 am, ET, on Wednesday, May 9th. All entries received after that time will not be accepted. Parking (See Appendix G): Bus/Team Parking North Lot of the Indoor Stadium/Track Spectator Parking West Lot Handicap Parking Front of field and court building in the West Lot. Practice/Warm-Ups: Teams may practice on SPIRE Institute Track on Thursday, May 10 from 11:00 am - 7:00 pm. Please note: teams will not have exclusive use of the SPIRE Institute Indoor Track; other teams may practice at the same time. Athletes must clear the track/field event area at any time if instructed by meet administration, a meet referee or a head judge. The indoor track will be available for indoor warm-ups. Hurdles and starting blocks will be available for warm-ups inside the indoor track facility. Field Event Warm-ups: General guidelines (when possible) 60 minutes prior to the start of the event, except pole vault, which will be at least 75 minutes prior to the start. Throwing area and sand pits will be open for throw-jump approach warm-ups 30 minutes before each event and closed for first flight warm-ups 10 minutes before the start of event. Flight warmups 10 minutes before each flight and 10 minutes before event final. 9 Protest Committee: Bert Rogers - Marquette, Coaches Group Chair * Doug Bakker- DePaul, Track & Field Committee Member ** Mike Barry St. John s, Seeding Committee Chair ** * If Marquette is involved in the protest, the next head coach alphabetically will serve as the alternate (Xavier, etc.). ** If Doug Bakker or Mike Barry are unavailable, or the protest involves MU, DU, or SJ, another member of the sport committee will serve as the alternate. The Protest Committee hears privately and separately from the referee and the schools involved. Relay Information: No qualifying standards exist for ANY Outdoor Relay (4x100, 4x400m & 4x800). Institutions may enter one (1) male and one (1) female team per relay. Each institution will have all available outdoor relays automatically entered regardless if they have a seedtime or not. At the technical meeting on the Friday evening of the championship, a relay declaration form will be distributed to each head coach. Only the head coach may verify what relay event(s) their respective institution/team will be competing in. Once all relay event declaration forms are submitted/collected, the seeding committee will reconvene and seed the relay events based on the declared institutions. The final seeding of the relay events will be made available online to coaches in a timely manner that same evening. Schedule of Events: See attached schedule of events (see Appendix B) Seeding Committee Meeting/Heat Sheets: The seeding meeting will be conducted at 7:00 p.m., ET on Wednesday, May 11 in the meeting room in the banquet facility at Spire Institute. Heat sheet will be available on-line at the conclusion of the seeding meeting (approximately 10:00 p.m., ET) Shower Facility/Locker Rooms: Men s and Women s Shower Rooms will be available in the stadium and in the Indoor Track Building. 10 Sport Committee Travel: Hotel: Committee members need to notify Tania Kennedy of their travel plans as soon as possible so the appropriate room reservations may be arranged. Air: Committee members that plan on flying to the Championship may book their flights through the BIG EAST travel agency. Please call Debra Pearce at Anthony Travel at (909) x 114 or debrapearce@anthonytravel.com and advise that the billing should be charged to BIG EAST Conference Travel. PLEASE call AS SOON AS POSSIBLE to ensure the most economical options for travel. Tents: Schools should contact Jamie Hodge at Sun Rentals (7467 Mentor Ave, Mentor, OH 44060) if they intend to rent a tent for the Championship by May 1. Contact information for Jamie Hodge is phone: and fax: Schools should let Charlie Powell (cpowell@spireinstitute.org) know if they intend to rent or bring their own tents. Tents will be placed along south end of the stadium. The Indoor Track Stadium will also be open to all schools. NO grills, open flames or propane tanks will be allowed inside the track complex or the surrounding areas (i.e. parking lots). NO OUTSIDE FOOD ALLOWED Tickets: All seats are general admission. There will be no advanced ticket sales. Articles 1-3 have been included for your reference: ARTICLE 1. When engaged in competition, each competitor must wear an official team uniform with components governed by these rules or be subject to disqualification. Wearing any part of the official team competition uniform illegally (that is, top off or intentionally shortened, shoulder straps lowered) while in the area of competition shall lead to a warning by the nearest official that repeated violation may result in disciplinary action. A report of uncorrected violations shall be made to the referee and offending competitor s coach. a. A uniform consists of two school-issued components shorts or briefs, and a top. A onepiece body suit is acceptable as a combination of the two components. Any outer garment (that is, sweatpants, tights) that is school-issued becomes the official uniform, when worn. b. The uniform must be of a material and design deemed to not be objectionable or offensive by the athletics department of the issuing institution. c. The uniform top must, by design and size, cover the full length of the torso, meeting or hanging below the waistband of the bottoms, while the competitor is standing, and allow for competitors numbers to be placed above the waist, front and back. d. Uniform tops must be worn so to not obscure hip numbers. e. Additional visible clothing is an undergarment. It must be worn under the uniform and be of a solid color. f. The use of, or wearing of, artificial noisemakers by competitors is prohibited Big East Conference Outdoor Track and Field Championships - Participant Manual 11

12 Note: Individual or team uniform, logo, number and shoe rules shall be enforced through inspection by the clerk of the course or the head field event official at initial event check-in. Violators shall be warned, given the chance to correct the violation, and reported to the referee. Relay/Cross Country Team Uniforms ARTICLE 2. In addition to Article 1, the following shall apply: a. All relay and cross country team members must wear uniforms clearly indicating, through color, logo and combination of all outer garments worn as a uniform, that members are from the same team. b. Visible undergarments on the top (that is, T-shirts) worn by team members must be of an identical solid color. Visible undergarments on the bottom (that is, tights of any length) must be of an identical solid color. Note: The effect of this rule is that no imagination shall be required to justify a clear sense of belonging to a team. Logos ARTICLE 3. An institution s official uniform and all other items of apparel (that is, team jersey, socks) that are worn by student-athletes in competition may bear a single manufacturer s or distributor s normal trademark, not to exceed 2-1/4 square inches, including any additional material (that is, patch) surrounding the normal trademark or logo. The logo or trademark must be contained within a four-sided geometrical figure (that is, rectangle, square, parallelogram). An institution s official uniform cannot bear a design element similar to the manufacturer s that is in addition to another logo or that is contrary to the size restriction. Numbers ARTICLE 4.a. In meets in which competitors numbers are prescribed officially, the competitor must wear the competitor s number assigned by meet management and shall not be allowed to start and compete without a competitor s number. The number must be visible without alterations while the athlete is competing. b. The use of additional numbers usually affixed to the uniform to aid in the placing of competitors in a race shall be allowed. Placement shall be on the hip or outer upper leg. Institution and sponsor logos shall not be obscured and uniform requirements shall be observed Big East Conference Outdoor Track and Field Championships - Participant Manual 12

13 Shoes ARTICLE 5. Competitors may compete in bare feet or with shoes on one or both feet. The purpose of shoes for competition is to give protection and stability to the feet and a firm grip on the ground. Such shoes must be constructed to give a competitor no unfair additional advantage. The incorporation of any technology and/or device in the shoe s construction that artificially enhances a competitor s performance is not permitted. A shoe strap or covering over the instep is permitted. The number of spike positions per shoe shall not exceed 11. Features on, and part of, the sole and/or heel (grooves, ridges, indentations or protuberances) are permissible if constructed of the same or similar material as the sole. When a competition is conducted on a synthetic surface, the part of each spike that projects beyond the plane where the sole or heel touches the surface must not exceed 9 millimeters, except in the High Jump or Javelin Throw, in which it must not exceed 12 millimeters. For nonsynthetic surfaces, this length of the spike must not exceed 25 millimeters. Spikes shall have a maximum diameter of 4 millimeters for the one-half of their total length closest to the tip. Facility considerations may further limit the type and length of spikes allowed. The soles of shoes used in the High Jump and Long Jump shall have a maximum thickness of 13 millimeters. The heel of shoes used in the High Jump shall have a maximum thickness of 19 millimeters. In all other events, the sole and/or heel may be of any thickness. The thickness of the sole and heel shall be measured as the distance between the inside top side and the outside under side, including any above-mentioned features and including any kind or form of loose inner sole. Competitors may not use any appliance either inside or outside the shoe that will have the effect of increasing the thickness of the sole above the permitted maximum. The decision of a head event judge as to the legality of shoes may be appealed by a competitor to the referee Big East Conference Outdoor Track and Field Championships - Participant Manual 13

14 Appendix A Online Instructions STEP 1 - Submit Team Rosters: Deadline is Monday, April 23 at NOON, ET. 1) Go to 2) In the login box, enter your username and password and click Login. (NOTE: Passwords are case-sensitive. Use capital letters where appropriate). If you have used DirectAthletics but do not remember your username and password, please support@directathletics.com 3) Follow these steps to ensure that your rosters are up-to-date and accurate: Review your existing roster(s) carefully.to view your roster, click TEAM. Deactivate all athletes no longer on your active roster. To deactivate an athlete, click on the athlete s name. Then click on the red Deactivate button. Repeat for each athlete you want to remove from your active roster. Add only new athletes not already on your roster. Do NOT create duplicates on your roster. If you have any duplicate names on your roster, delete one of the duplicates. Edit school year for existing athletes. Please review your entire roster to make sure that the school year is accurate for each existing athlete. If the school year is incorrect, click on that athlete s name, then click the dark blue Edit button. Change the school year in the drop-down and Submit. Check spelling. This includes checking the case of your names do NOT use all caps or all lowercase. Names should be upper-lower case (i.e. John McFarland). You can change the spelling of an existing athlete s name by following the instructions in the previous step. Once at the Edit Athlete page, make the appropriate changes to the First or Last Name and Submit. STEP 2 - Submit Entries Entries open on Thursday, May 3rd at 10:00 am, ET Deadline for DECATHLON & HEPTATHLON entries is TUESDAY, May 8th at 10:00 am, ET Deadline for ALL REMAINING ENTRIES (Track & Field) is WEDNESDAY, May 9th at 10:00 am, ET 2018 Big East Conference Outdoor Track and Field Championships - Participant Manual 14

15 1. Within your account, click on the "HOME" link at the top left of your screen. Alternatively, simply login, and you will automatically be in the HOME module. 2. In HOME, under "Upcoming Meets", you will see all meets available for registration. You may also click SCHEDULE at the top of your screen to see a full list of meets available for registration. Click the green "Register" button that appears next to the 2018 BIG EAST Outdoor Track & Field Championships. 3. Within your account, click on the "HOME" link at the top left of your screen. Alternatively, simply login, and you will automatically be in the HOME module. 4. In HOME, under "Upcoming Meets", you will see all meets available for registration. You may also click SCHEDULE at the top of your screen to see a full list of meets available for registration. Click the green "Register" button that appears next to the 2018 BIG EAST Outdoor Track & Field Championships. 5. All athletes will appear in the Athlete drop down on the entry screen. 6. Select an athlete or relay from the drop down. For each athlete, you will be presented with only eligible events along with the raw qualifying time/mark. Check the box next to the events you want to enter and click Update. NOTE: The Entry Page is designed to allow only verifiable performances already on the BIG EAST Outdoor Performance List hosted on DirectAthletics. If you think the time/mark being presented on the entry page is not the top eligible performance or if an eligible performance is not listed you MUST leave the entry process and add the performance to the BIG EAST Outdoor Performance List BEFORE submitting that entry. 7. You will see a running tally of your entries on the right side of your screen. When you are finished with your entries click the Finish button. 8. After clicking the Finish button, you will see a list of your current, submitted entries. Click the appropriate link to receive an confirmation or a PRINTABLE confirmation. 9. You may edit your existing entries at anytime up until the entry deadline (see below) NOTE: Entry performances DO NOT automatically update if a student-athletes performance improves, the institution must manually update it. EXAMPLE If John Smith is entered in the 800m on Tuesday, April 17 at 1:51.50, and he runs 1:50.50 on Sunday, April 22, his original entry WILL NOT automatically be updated even once his best performance is submitted to the performance list. In HOME, under "Upcoming Meets", click the black "Edit" button that appears next to the 2018 BIG EAST Outdoor Track & Field Championships. Click the link to Edit your current entries. 3.
