1 ELEMENTARY CROSS-COUNTRY INFORMATION 2014 (Grades 3-8) ENTRY DEADLINE: Monday, Sept. 29 at 4:00 p.m. New website location: INCLEMENT WEATHER -- Cancellations as a result of severe weather will be announced on local radio stations by 7:30 a.m. In addition, schools will be notified via as close to 8:00 a.m. as possible and the meet will be rescheduled to the designated rain date. Marshals: Each participating senior school MUST provide 2 adult Marshals and junior schools 1 adult Marshal to assist on course during races in which your school is involved. Please have your marshals check in at the scoring area not later than 15 minutes before the first race in which your school is involved. ** Please note the start times, and have marshals present 15 minutes before your first race. ie K-5 schools should be present 15 min. before the start of the gr. 5 girls race not at 9:45 am. Dates: Division 1: Monday, October 6, :00am-1:00pm Division 2: Tuesday, October 7, :00am-1:00pm Division 3: Wednesday, October 8, :00am-1:00pm Division 4: Thursday, October 9, :00am-1:00pm Rain Date: Friday, October 10 and if a second is required Tuesday, October 14 th Location: Christie Lake Conservation Area (located on Highway 5 between Highways 6 and 8) There will be a coaches meeting 20 minutes prior to the start of the first race Please ensure that your athletes are properly trained and prepared for the run and can complete the entire course. Labels: Pre-printed labels will be provided for each runner in the coach's envelope, available upon arrival at the meet. At the finish chute, each runner's label will be removed and placed on a master scoreboard. Individual placing and team scores (grades 6,7,8 only) will be determined using the master scoreboard. As well coaches should write the students race number on their hand in case they lose the label. 2 Entries: Each school may enter up to 15 runners per gender/age category (with only 5 runners per school on the start line and the others behind them). Athletes must be entered using the on-line entry system accessible at ****** New url for the database to enter you students: ****** Web Site opens for entries on Wednesday, September 10 th, ENTRY DEADLINE: Monday, September 4:00 p.m. No entries can be accepted after the entry deadline. Team Scoring: Team scoring involves grade 6,7,8 races only. Individuals placing first, second or third will receive ribbons. Winning schools in each of the age/gender categories will receive a championship pennant. For team scoring purposes, the following will apply to each age/gender category: Division 1: top 5 runners to count - 6 th runner tie breaker. Division 2: top 4 runners to count - 5 th runner tie breaker. Division 3: top 3 runners to count - 4 th runner tie breaker. Division 4: top 3 runners to count - 4 th runner tie breaker. NOTE: to qualify for team scoring in an age/gender category, a school must have a number of runners equivalent to the number that count as noted above for their Division. To qualify for overall boys, girls or team scoring, a school must register points in all of the age/gender categories. 1. At 9:45 a.m., marshals will be placed at the designated areas on the course. All senior schools MUST provide 2 marshals and junior schools 1 marshal in order to compete. 2. All runners must have their school identified and easy to read on their running apparel. 3. Schools are responsible for clean up in their area. Assigning students in advance of this task may help! 4. Schools should stay in one specific area, well away from the finish chutes. Any pacing, interference or harassment will result in disqualification. *** When booking busses for the meet please indicate to the company that you wish to have the busses remain at Christie Conservation Area for the duration of the meet in the event of inclement weather. Also, at the conclusion of the meet do not load the bus on the road, use the parking lot area.

4 ***ELEMENTARY CROSS-COUNTRY ENTRY PROCESS-2014 All entries will be made through the board web-site in the same manner as track entries. The following flow chart summarizes the process: Log on to new location: For login and password go to the coaches pulldown menu on the Athletics Website Click on LOG IN Choose Enter New Student for your division Choose appropriate Division & School Click on CONTINUE Box Click on SAVE STUDENT You will get a notification of successful entry. Continue to enter students in this age group by choosing Enter new student. To move to a different age group choose Return to Main Screen and choose appropriate Division & School. When you have completed all entries, return to Main Screen, choose your school and choose LIST ENTRIES. You will get a listing of all your entries that have been saved to the database. Check to make sure all your athletes are listed in the proper division, correct any errors or omissions by deleting any entries (from Main Screen option) that are not correct and by adding any missing athletes. When your list of entries is correct, please print this page as your entry verification and bring this page to the meet. This page will be used in case of disputed entries.
