3 3 Growing Great Swimmers Introduction Welcome to Swim Club. Swimming is a sport that teaches and rewards discipline, dedication and determination. It is the ultimate sport in that it is an individual sport which fosters a very strong team spirit. It is a sport that sees life-long friendships being made and has a unique family feel to it unlike many other sports. Often we hear children say I am closer to my swimming friends than my school friends. Club History The Swim Club (GSC) is a not for profit organisation. Its vision is to provide a swim programme for the children of the local community that will improve their swimming proficiency, provide stroke development, water safety skills, the opportunity to swim competitively and above all have a life-long competency in water. In 1958 The Amateur Swimming Club was formed and an application to use the Tauranga Pool made. In 1968 The Club decided to purchase 4 sections in Kiteroa Street and expressed interest with the Council to build a new swimming pool. The main pool was constructed, with the official opening occurring in The learner s pool followed in We strive to be the leading Swim Club in the Bay of Plenty; Serving our Community by enabling Members to reach their full potential in swimming. 4 4 Registration To be part of the Swim Club you must first register with us. This is done via the Swim Club website Once on the home page select the Join Now button at the TOP OF THE PAGE. Follow the prompts to complete this process. Registration for two membership levels is made via the website. (i.e. Competitive Swimmer and Swimming Opportunities Non - Competitive Swimmers Swim OP Non Comp).

5 5 Club Registration must be completed before competitions are commenced. There is an annual fee due on 1 st July, which marks the beginning of the swimming year. The fees vary depending on your membership status. On registering as a Competitive Swimmer, you are automatically registered with Swimming New Zealand. You will receive a Login Name and Password. Please record these in a safe place, as these are what you use to login and enter swimming meets. 6 6 Registering To Compete In A Meet Swimmers are responsible for ensuring entries with fees are done online before the close off time. The club will remind swimmers of close off dates via . Should you fail to meet a close-off deadline you will not be able to enter. Most events have a close off date 3-5 days prior to the actual meet. Some meets require qualifying times to compete. Talk to your coach about these if you have not competed before. If you cannot attend a Meet after entering you must notify the GSC Recorder immediately. This way the swimmer can be withdrawn, potentially within a timeframe which allows for monies to be refunded. Failure to withdraw within the appropriate time frames can result in a fine being incurred. Such fines will be passed back to the swimmer. Some withdrawals require a medical certificate. 7 7 In the bottom rectangle you will find all the Upcoming Meets. Hit the tab (national, regional, club). Find the meet you are intending to enter and hit the detail icon followed by the enter icon.

8 8 Click on Enter and enter the races you intend to compete in. If you are unsure what races you should enter please talk to your coach. It is good practice to always talk to your coach about what you should be entering and why. The entry sheet will highlight the events for which you have qualified. If you are unable to enter a race that you believe you have qualified in, please contact The Recorder. The final step will ask for Credit Card payment.

9 9 Uniforms and Gear Requirements The GSC colours are Yellow and Black. There is some basic equipment you need as a swimmer. Togs Goggles Towels (plural, especially at competitions) Water bottle Fins (talk to your coach) Pull buoy (talk to your coach if required) Sports shoes for Dryland as required Socks, hats and footwear for all meets Extras you may like to consider More than one pair of togs at meets if you like dry togs between events Skins (special racing togs) for more advanced swimmers these can be expensive. Small chilly bin for your food to take to competitions Good nutritional food and high energy snacks Foam roller for muscle relief Specific racing goggles; tinted and reflective googles if you are competing outdoors Some meets are outdoors, not all are indoors. Additional items for OUTDOOR meets Lots Warm clothes including a warm hat Rain gear Sunhats with wide brims and ties Sunblock Cushion for bottom or half legged chair In addition parents like to bring Highlighters and pens to mark the programme in order to track a child s day Money for possible raffles as well as food and drink Packed lunches and lots of snacks You can be exposed to all the seasons in one day so it is important to be prepared.

10 10 Swimming does not have to be expensive. Before buying any new gear talk to your coach and a few experienced parents to get a feel for why you would consider purchasing a particular item. There is often merchandise available at Regional and National meets. None of these items are compulsory and are solely for family members to decide upon their relevance. Every new competitive swimmer receives a race cap and Polo Shirt to wear at swim meets as part of their registration. These will be issued to you at your first competitive meet by the team manager. Please make sure you have your polo shirt with you at every meet you attend. The club hooded sweat shirts and beanies are optional. It is important to always wear shoes and socks at meets. Keeping your head and feet warm is vital in terms of keeping your body warm. Warm feet kick fast.

11 11 To order any additional club gear please the GSC Secretary who will forward your request to the person in charge of uniforms. You can place money in the following bank account. Please reference your name and the item required NB: It is Club policy that should you be presented with medals or ribbons that you arrive in uniform with footwear. Please do not arrive at the podium in only your togs and towel. If you have any second-hand uniforms that you no longer need and would like to pass them on, please contact the GSC secretary.

12 12 Meet Etiquette The following are rules that apply to all meets: 1. Arrive 15 minutes before the stated warm-up time. 2. Swimmers must sit together as part of the Swim Club team. 3. All swimmers are to introduce themselves to the team manager on arrival and inform them of any allergies or special requirements. 4. Parents of first time competitors should notify the team manager. 5. Your child must stay with the team. If they leave at any time they must report to the team manager first. 6. No one should walk in front of timekeepers or other officials. 7. Always stop moving at the start whistle. Seating is often limited. Team seats are reserved for swimmers only. Parents sit separately from the team and should bring a portable/camping chair. You can buy a programme on the day to follow your child s events. Most parents choose to highlight events their child is in. If you choose to cancel on the day it is important to remember any cancellation fees incurred will be passed onto the swimmer. All clubs have access to the pool to warm-up before racing starts. Coaches will instruct swimmers on their warm-up preparations. This consists of a mixture of starts, turns and easy and hard swimming. Swimmers are encouraged to wear old togs during warm-up. Out of the pool it is important to keep warm. Feet and head lose heat quickly. Keep both areas covered when out of the pool. The team manager will check new swimmers but discuss this with your child prior to the meet. Once warm-up is complete racing will commence. The team manager is responsible for calling your child to meet with the coach prior to their race and getting them to the race start area (marshalling area), before their race. At marshalling, swimmers are seated in race and lane order. Swimmers are not permitted to leave the marshalling area unless they are heading up to compete.

13 13 NB: Some competitions do not have marshalling. At these events the swimmer goes behind the race blocks of their designated lane in race order. If there is no marshalling, it will be announced during warm-up. The team manager will discuss this with the swimmer and tell them exactly what to do and where to go. Swimmers cap and goggles must be securely fastened when heading to marshalling. The swimmer can go to marshalling clothed and with a towel. Once behind the blocks, clothes and towel are placed in the basket provided. The referee whistles to stand behind the blocks or to enter the water, if you are swimming backstroke. There is no talking once the whistle has been blown. If there is a false start, swimmers must return to the blocks as quickly as possible. Many swim meets operate over the top starts. This means, once a swimmer has finished their race, they move back one metre from the wall and wait beside the lane rope. The next swimmer will mount the blocks and start. The swimmer can then exit the pool from the sides never over the end. The referee will indicate if a swimmer is required to exit the pool prior to the next race. Once a swimmer has exited the pool they should collect their belongings from the basket. They may ask the timekeeper their time. If electronic timing is used, the time the timekeeper gives will be fractionally different from the one recorded by the computer. Swimmers should thank the timekeeper. After collecting their belongings, the swimmer returns to the team and has a debrief with the coach UNLESS they have another race immediately, in which case they go straight back to marshalling. The team manager will have informed them of this prior to their first race. After their debrief, they will warm down, then return to the swim team, get warm and rehydrate. Results are available during the meet on notice boards around the pool. They are available on the website the following day. Apps such as Meet Mobile can be downloaded to get instant updates on swimmers times and placings. Coaches and team managers are always collecting the latest information to understand who will be competing in finals, disqualifications and swim offs.

14 14 The first few meets can be stressful for swimmers and parents. The team manager has a report showing all competitor entries, and they take particular care to assist new swimmers and make them as comfortable as possible. They know to keep an eye on them to make sure they are keeping warm, eating and drinking, and generally feeling alright about things. The coaches also try to make new swimmers comfortable in their surroundings and in following meet processes. When your child has finished swimming, you can leave the meet. The swimmer MUST notify the team manager before going. This is for the child s safety and to stop team managers searching unnecessarily for swimmers that have left. Team managers will inform swimmers if they have made finals. Leaving without speaking to the team manager may result in a swimmer missing a final and incurring a fine from the meet referee. All normal rules of politeness apply. Should you have any concerns about your child, or other people in the club, please remember to approach the coach or team manager during a break. We appreciate your assistance with this.

15 15 Out of Town Meets and Camps You will quickly discover that there are a number of meets out of town. Some of these meets are local, some regional and some National. For these regional and local meets it is common to car pool and share accommodation. One of the great things about swimming is getting to know other families and starting life-long friendships. We appreciate that some parents often have to work over weekends and miss a number of competitions that their children are competing in. In this case they will be unable to assist in volunteering with things such as timekeeping and team managing. In this instance a few key reminders. Arrange between yourselves an exchange of funds so that the parent driving and / or organising the accommodation is not out of pocket. Some competitors have severe allergies; it is up to their families to communicate all requirements and possible outcomes to any supporting parent(s). Our club is made up of both genders across a wide range of ages. It is important to remember different developmental ages, and to be acutely aware when sharing accommodation. At National Meets and Training Camps, the Club generally works as one. Transport, food and accommodation is sorted for the group of competitors, coach and the 1-3 parents who volunteer their time to support the coach and swimmers. Funding is always applied for to assist in National Competitions but is not always successful. Such competitions will usually last 5-7 days. Codes of Conduct forms will need to be completed by competitors and their guardians. At any meet or camp it is important to keep the lines of communication open, to assist and support fellow team mates and listen carefully to all instructions. Any swimmer who has been medically unwell needs to be cleared before attending a camp or meet for their own personal well being and for that of the other competitors and volunteers. We appreciate it is extremely difficult to make these decisions when a swimmer has been training incredibly long and hard to make a meet, however, there are times when everyone s welfare needs to be considered.

16 16 What Meets Are Coming Up Every season an events calendar is published. Swimming Opportunities and GSC will a spreadsheet of the recommended events for the different squads. These events and the specific flyers attached to each event can be viewed on a number of websites including In addition information can be found on the GSC notice board at the pool and the GSC Facebook page. Upcoming Meet Flyers can be located on the Events/ Results tab of the GSC website. The Club also sends out regular newsletters and s which will keep you up to date with events to consider and close off dates. Swimming Opportunities also has a regular newsletter and sends out a list of events and their dates to put on your calendar.

NZ Secondary Schools Champs. Aims Games (Intermediate Aged children) NZ Short Course Champs. All National and most Regional Meets require qualifying times as do some selected Club Meets such as the Winter Champs. Qualifying times may be attained by swimming at Club Meets, at Club Race Days. For those new to swimming who have no qualifying times, your coach will conduct Time Trials during training sessions. These times will then be used to enter local competitions. NB to be eligible for a Club Member Certificate at Club Prize Giving you have to attended swim meets.

18 18 Coaching Competitive Swimming Instruction Squad swimming is offered at Pool by Swimming Opportunities. Swimming Opportunities runs a competitive swim programme which is endorsed by GSC. Swimming Opportunities is a private company based in Tauranga, New Zealand and is owned and managed by Tai Daniela. It is a separate entity to Swim Club. Tai began his coaching career in 1999 as a learn to swim instructor at TSW Aquatics in Wellington while studying at Victoria University. Eighteen years on, Tai has coached eight New Zealand record breakers, and has had multiple Swimming NZ and NZ Surf Lifesaving selections. Graduates from Tai s programmes have received full and partial NCAA scholarships and entered National High Performance Centres. In 2008 Tai was a NZ Team coach on the SNZ Pacific Schools Games team. He has also been both an assistant coach and a head coach on SNZ Development camps. Tai has also delivered professional development for Learn to Swim instructors in Tauranga. Tai established Swimming Opportunities in He was previously the head coach of the Bayswim Programme delivered at. Tai has a team of support staff around him and works with this team to help build each individual competitive swimmer. Regular one-on-one meetings are held with each swimmer and their parents to discuss clear directions, goals and developmental stages for the swimmer. Tai and his team run six different squads in order for individuals to work at the same level. These are: Iron Squad is our introductory squad for swimmers focusing on improving all 4 strokes, as well as starts and turns through a fun and competitive environment. Iron Squad swimmers are able to complete regular repeats of 50m distances in backstroke, breaststroke and freestyle and 25m distances of butterfly. Iron squad provides a good introduction to competition in local club swim meets. Bronze Squad members continue their focus on stroke technique, starts, turns & overall fitness. While still encouraging fun, Bronze Squad fosters a competitive spirit through a moderately intensified practise environment with regular repeats of 100m in all strokes. Bronze Squad is designed for the swimmer between the ages of who want to compete strongly at regional meets and/or are looking to qualify for Junior Nationals.

19 19 Silver Squad is designed for the advanced swimmer 15 years or younger. In Silver Squad, the focus shifts to advanced technique-based competitive training. Silver Squad swimmers work toward achievement of seasonal goals through continued stroke development and technical training along with conditioning and the introduction of dry land training. Gold Squad is for swimmers who want to swim at the highest levels - National and International. Gold Squad is designed for the serious and determined swimmer who is 13 years or older. Gold Squad swimmers commit to the highest levels of excellence that one can achieve. Gold Squad swimmers have specialised goals to make strides towards performing at National Championships. Swimmers are required to practice a minimum of 6 times per week to stay in the Gold Squad. Steel Squad is designed for members who enjoy swimming but are not able to commit to competitive swimming. Endurance and stroke technique is the primary focus of this group. Steel Squad suits athletes aged 13 and over who are interested in Triathlon and Surf Lifesaving or as a fitness boost for other sports. Swimmers can practice up to 3 times per week. 21 21 Fees Club fees and coaching fees are separate Club Fees are reviewed annually and are made up of a Swimming New Zealand Membership fee; a Swimming Bay of Plenty Membership fee and Club fee. Membership runs from 1 July to 31 June annually. As at 1 st July 2017 the annual fees were set at $150 for a competitive swimmer. Coaching fees are additional to Club fees and are set by Swimming Opportunities. Please refer to Tai with any specific questions around this. There is also an entry fee to the Pools. Most of our swimmers pay for monthly or annual concession cards. A monthly child s concession card for unlimited access to the pool as of July 2017 is $ Event fees are charged for each event that you enter. For example if a swimmer enters six races on a day, each race will be charged for. Race costs vary but expect to pay somewhere between $8 - $9 per race.

22 22 Where You, The Parent, Can Help Like so many sports, competitive swimming is reliant on parental support in order to operate. Volunteers in the way of Time Keepers / Inspector of Turns (IOT) / Team Manager and administrative roles are always required. Opportunities to train for these positions are made at numerous times during the swimming season. Not only does it help to fill some of your poolside hours but it is a great way to meet other people and increase your support network. In addition parents will be called upon to assist in hospitality by providing food items for officials for the Clubs own Meets. Other positions are required at a Board level also. It is hoped that all parents assist in some capacity with the running of Swim Club during the time their child is an active swimmer. Some of the Volunteer Roles Timekeeping The following are instructions and information to assist in timekeeping. Preferred clothing when timekeeping white top, black or dark trousers. A towel can also be handy if you get splashed or need to dry your seat. When you enter the complex, if an entry fee is charged (entry fees are charged at Baywave but not at all pools), tell them that you are an official at the event. You should then not have to pay. Once inside the pool area you need to find the desk with the Chief timekeeper this should be easy to spot as it is normally in the area where all the officials hang out, and the desk will have stop watches on it. Tell the Chief timekeeper that you are from the Club and that you will be timekeeping. If you are not qualified and have not time kept at a meet before please ask them to put you with a qualified timekeeper. The ideal is to have 3 timekeepers on a lane but it is normally 2 and sometimes if there are not enough volunteers there will only be one per lane. Don t panic!! At almost all events electronic time pads are used and these are the official times that are recorded. Human timekeepers are used in case of electronic failure. This rarely happens.

23 23 It is possible that when you check in there are too many timekeepers and you are not allocated a lane. In this situation check with the Chief timekeeper to see if any other timekeepers have been allocated lanes. Speak to those in the lane and they may want to work in shifts, which gives everyone a break. The Chief timekeeper will write your name on the lane sheet and tell you which lane you will be recording. It is tempting to ask for an outside lane as these lanes are more likely to have no swimmers but be aware that as these lanes may have the slower swimmers, there is less of a turnaround time, between swimmers finishing and starting races, to record times. The Chief timekeeper will then issue you with a stopwatch and record the number on the back of the watch against your name. Go to your lane and be seated before racing starts. On each lane there will be a clipboard, pencil and a list of all the swimmers in your lane for that session. When a swimmer comes to your lane check their name and confirm what event they are doing this is very important with the younger swimmers as they are often unsure and they relax once they know they are in the right lane. Check the older swimmers as they also make mistakes, this sometimes happens when there are empty lanes. When you have several swimmers waiting and a race where you have no swimmer make sure the next swimmer doesn t jump in thinking it is their race. The most experienced timekeeper normally records the times. If there are three timekeepers all three times are recorded and the middle time is circled as being the official time e.g. 2.10, 2:15, 2:28 official time 2:15. If there are only 2 timekeepers, both times are recorded and you will need to work out the middle of the two times e.g. if you have a time of 2:10 and 2:21 then the official time would be 2:16 (if the difference between the two times is an odd number you add up rather than down). Once all the times on one page have been filled in the person who has recorded the times signs the sheet and it is collected by the Chief timekeeper. At the end of the session return the clipboard, pencil and stopwatch to the Chief timekeeper. At the beginning of each race it is best to stare at the floor waiting for the starting signal this aids concentration and stops you from pre-empting the start. As soon as the race has started check your watch, if for any reason it is not working, or you feel you have started incorrectly, raise your hand and the Chief timekeeper will replace your watch with theirs. They start an extra two watches at the beginning of each race for just this purpose we have all done it.

24 24 If at any time you need to go to the toilet raise your hand and the Chief timekeeper will replace you until you return. Normally a water bottle and cups are provided on each lane and food and/or sweets are brought round during the session. You are expected to stay until the end of the session in which you are time-keeping even if your child has finished swimming for that session. Once you have time-kept for a few sessions please contact the Convenor who will arrange for you to sit a small test (which is incredibly easy once you have time-kept already) to become an official time-keeper. You will then be registered by the club and issued with an official s badge and given a black and white shirt. NB If you are to timekeep at an outdoor event it is advisable to take clothes for all 4 seasons and your own drink bottle. Team Manager The following are instructions and information to assist in being the Team Manager Prior to going to the swim meet you will need to collect the banners and Team Manager bag from the office at the pool. These must then be taken to the swim meet with you. Please contact the Club Secretary to arrange to get the key for the office. In the Team Manager s bag there are pens, highlighters and spare swim caps. All swimmers competing must wear a team cap. If a cap is issued please record the name of the swim meet, date, and child s name in the book provided. If the same person keeps getting replacement caps a $10 fee will apply.

25 25 At the meet go to the official s desk and ask to collect the swim programme for the Team Manager and coach. These will normally be situated in a cubby hole with the club name above it. Give the coaches programme to the coach. Using a highlighter, highlight all swimmers in the Team Manager s programme. Introduce yourself to the competitors and let them know that if they go anywhere they must let a Team Manager know. This applies even if they just want to go to the toilet. A Manager s meeting is normally called just before the meet starts. This is announced over the intercom. At this meeting you will be told when the breaks will be and any rules and information for the meet. You should be told how many events ahead they want competitors at marshalling. Let the coach know when the breaks are and find out if a relay team is to be entered. If yes, find out the names, and the order they are to swim, from the coach and hand them into the official s desk. Your job is to then listen to the announcements and get the competitors to marshalling when required. Collect any DQ notifications when they are announced. These are to be handed to the coach and are not to be discussed with the swimmer. Collect any ribbons/medals from the officials (normally kept in cubby holes by the official s desk). These are given to the coach DO NOT HAND OUT yourself. If the meet has finals a new programme sheet will be printed. Those who have made finals will also be shown on the results board. Note down any swimmers and let the coach know. After the swim meet the bag and banners need to be returned to the Club office at pools. If a swimmer is not in a race that they/or their parents expected them to be in, then it is too late to enter them on the day. Swimmers that swim back to back races have to be aware that as soon as they finish one swim they need to get to marshalling/blocks as soon as possible after their first race or they will miss the start. In the event of a swimmer absence from the Meet or a race, the Team Manager must advise Meet Control asap so that the swimmer may be scratched. Failure to do so could result in a fine depending on the rules set by the Meet. Being Team Manager is a fun way to be involved and is not as scary as it may first appear.

27 27 Sanctioned Meet Starter Swim Off Timekeeper Touchpad XLR8 Point Scores Short Course (SC) Long Course (LC) Is one where the required number of qualified officials are present and it is conducted under Swimming NZ Rules Responsible for starting the race using the format On Your Marks, followed by the gun Two or more people qualify with the same time as the last qualifiers for a final. They have to swim against each other with the fastest qualifier entering the final. Is situated at the end of a lane and records the swimmers time manually through the use of a stop watch Used for recording swimmer times electronically. These are activated when the swimmer touches the wall at the end of the race. This time becomes the official time of the swimmer. XLR8 Points system is designed to provide an overall measure for Junior Level swimmers. Swimmers are ranked in the following 4 areas: Distance Event, Individual Medley, 200m Event and their top ranked event outside those categories. It is GSC and Swimming Opportunities preferred sight to access all your relevant information.
